What is Ascentis (discontinued)?

Ascentis was an a-la carte full suite workforce management (WFM) technology platform and human capital solutions. Ascentis WFM provided time and attendance solutions that provided clients with scheduling, compliance, complex calculations, and time collection options. The HCM suite, included a fully a-la carte solution.

Ascentis was acquired by UKG in March of 2022. The service will be discontinued.

We currently use the cloud based version of Ascentis HR. Up until a year ago we were using a copy that was locally hosted. We use the application to keep track of employee PTO, sick days, personal information, AHCA type requirements and maintaining documentation of employee education. It is used across our whole organization as it houses all of our employees records and we use the Web Based Self Service piece to allow employees to request time off, view their available time off as well as a type of intranet for organization announcements. Beyond the typical record side the most important problem this software has addresses for us was allowing employees to have 24/7 access to their time off and requesting time off.
  • Ascentis HR Offices Self Service piece is done very nicely and most employees find the interface intuitive and easy to use.
  • The product is backed by a passionate group employees, many of which have been with Ascentis for decades, making the support and communication with them seem quite fulfilling and and always personal and to the point of an issue.
  • The back end piece of Ascentis HR is as easy to use as the employee facing side. Our HR team has no issue entering information or getting reports out of the system. Ascentis made this softeware to make the lives easier of HR people and in my opinion it succeeds at that.
  • Ascentis offers many hooks into different insurance/benefit companies online systems making publishing benefits a fairly easy process.
  • While this is technically a cloud based system it is actually running on RDS hosts so accessing and using the back end piece is much more cumbersome that having it installed locally or using a web based version of the same.
  • I think their costs are a bit high compared to some other online offerings. Large companies would probably find using Ascentis to not be an economical choice.
  • While their Self Service piece works well for an employee and is made to be simple for HR Staff it does not offer much functionality or changeability for someone in IT that might want troubleshoot or add some "off the beaten path" information to the portal. It is basically a CMS made for non IT folks.
Ascentis HR is most suited for companies sized between 25 and 200 users. It comes with enough base offerings to keep most employees, in those type of companies, happy. The lack of changeability to the online portal makes me question whether it is good for larger companies more accustomed to changing stuff on the fly. In addition, since it is 100% online based now it would not make sense for any company dealing with outposts offices that have little or no internet capability.

Ascentis HR is used by the entire organization. We use it to allow employees to request time off and to track HR for all staff. Our paramedics, unfortunately, do NOT use the time off features as the scheduling system in use for them is outside of Ascentis, but all other staff use self-service.
  • Employee Self Service is excellent
  • Notes, attachments to employee records are easy to use
  • Management self service is also well thought out, although we would like to see managers included in their own team calendar views.
  • We looked at the scheduling system available from Ascentis - in depth - it was almost what we needed for our paramedics, but not quite (NovaTime) - it would be great to move in that direction in the future.
  • A way to connect leave calendars to MS Outlook would be a wonderful tool.
  • The need to use remote desktop to get to Employee Manager and Setup Manager is cumbersome - people forget their passwords frequently - it would be nice to see Ascentis move toward web-based functionality for the entire thing.
Ascentis is well suited for salaried, full-time staff on a regular schedule. The web-based employee self-service is very strong.

We do not find the payroll function to be well suited to our needs - and as mentioned previously, the NovaTime scheduling system could not be customized to work for us without spending upwards of $20K US.

Ascentis is used for recruiting, applicant tracking, onboarding, HRIS, timekeeping, payroll, talent management, and learning management. It is used by every employee in the organization. Ascentis addresses the business problem of HR as a service, flow to minimize errors, compliance, and accuracy in payroll.
  • Product flow, robust system--linked to all-in-one HR network
  • Customer service availability is good, although slow at the beginning of the year
  • Reporting improvements with online-based option recently
  • Recruiting--poor applicant experience ratings
  • Reporting option too robust--needs simplification in HRIS
  • Support often needs to forward my questions to a specialist--consider directing more easily to a specialist so I don't have to wait (option for "do you need a specialist?")
I am a part of an HR peer group in my region. I have "shown off" the Ascentis system a couple of times and most of my peers are jealous at the robust options in Ascentis--the minimization of duplicate entries in particular. This system has saved our company from having to add a full-time staff member because it works so well.

Ascentis was very difficult for me to use at first. I came from a similar sized company of 118 people, which used Bamboo HR for HRIS and recruiting and outsourced timekeeping and payroll to other, less robust platforms. The company had just purchased Ascentis a few months earlier and the owner/decision maker for the purchase had left before the system was fully established. This caused me a large amount of pain and it took a while for me to be sold on the product. I was convinced for months that we had over-bought for our company needs. Once I was able to fully integrate all the pieces of the system, I was overjoyed with it. Perhaps when you have a client going through this type of turnover issue in HR, it might be good to have a team member specifically assigned to contact them weekly. I appreciate the online forum and training options, but because of the background of the role and how many people I was expected to hire at the time, I really had to learn by making mistakes on the fly. It was a struggle getting started for me.

We use Ascentis as our HRIS, Payroll and Timekeeping systems across the whole organization. We manage 20 locations in total. We do our business a little differently. Most of the locations are one EIN but operate completely autonomous from one another - using their own payroll database, timekeeping database and HR database, running their own payroll each pay period. Ascentis is able to handle that efficiently and effectively for us.
  • Easy to use software. I have had several new HR employees comment on how easy the system is to learn!
  • Problem Solving- Ascentis is always problem solving! When we were in the process of selecting a new payroll company, we needed unemployment claims management assistance for our locations, something Ascentis did not currently offer. The sales rep went out of his way to find a unemployment claims management company that would work with Ascentis and us. That company has helped us keep an 80% win rate for our claims!
  • User conference- Engage is an awesome way to learn more about the products Ascentis has available as well and meet up with the staff you work with every day!
  • Web access- while web access is great for companies that have one parent location and many sub-locations, or for my HR staff that only has access to one location, but for me, as a manager of all locations, using the web just isn't useful. I have to log in to each location separately, which I can use the old java version to access them all at once. I can't wait for the web version to be used with one logon!
  • HR system- multiple locations. I have to run reports one location at a time when I need them. The ability to pull a report or even copy a report into all HR databases would be helpful. Currently, I have to create the report in all databases when I need it.
  • Support- the past year or so I've noticed longer than normal hold times to get ahold of support. It's frustrating because when I'm able to make a call to support in the afternoon hours of pacific time, I'm on hold for 20-30 minutes sometimes. There needs to be more support reps on for calls until 5pm pacific time.
I love how small, yet big, Ascentis is. It's not an ADP where I'm just a number. I'm able to do a lot to our system when needed and don't need to wait on support to make the change. On the other hand, when I need help, there's a human on the other end of the phone that can help me with whatever I need help with.

  • Web based HR is still missing a LOT of functions. No point in going there yet.
  • The communication between HR and Payroll systems is bad. Hoping for a resolution of problems once HR is fully online.
  • Payroll works well on desktop. But the online system is not very useful yet.
Payroll is working well. HR on the desktop is very un-user-friendly. The transition to web-based is very promising, but taking way too long. Vacation accruals and processing through email chains is nice, but the employee review process is clunky and not intuitive. The idea is great, but the managers hate to go find it, so they don't bother except at year-end.

We use Ascentis across our company as our HRIS. We (in HR) are completely paperless, and were able to do so because of the Ascentis system! We were the first "group" in our organization to complete this task, and the ease of scanning and saving documents in Ascentis took time but wasn't difficult. We now have employees scan and save documents in the system as well. We use TimeKeeper and Recruiting, and now complete our Open Enrollment in the system too.
  • Ascentis is VERY user friendly! I conduct all New Hire orientations, and make sure our new employees are familiar and comfortable with the system. Rarely do I get a call back with questions.
  • The Ascentis Support Team is always very prompt and helpful when we have questions. We usually get a response and get our problem or questions resolved within the day.
  • We LOVE the homepage and widget function. We communicate all important info. on the homepage, and have included countdown widgets, links, etc. The homepage is a very easy set-up, and allows employees to utilize in place of a newsletter, etc.
  • The new reporting system is amazing and very easy to use! Makes running quick analysis reports a breeze!
  • It would be great if on the new platform, you could look up employees by hire date, as we used to use that function all the time on the old desktop.
  • Some of our new hires have had issues uploading an employee photo during the onboarding process - maybe a bit of user error, but it does seem to puzzle them - maybe a way (I'm not sure if there is one) to make this easier?
Ascentis is a wonderful tool ... I don't have anything to say that isn't favorable? I have recommended it to several friends as the capabilities are fantastic, and I love how it's always improving, etc.! The App is amazing and has proved to be very beneficial to our employees!

We are currently using Ascentis for HR, Payroll and Timekeeper. Yes, it's being used across our organization. It helps with keeping up with employees time, attendance and tips. It is user friendly for the employees to keep up with address, phone, exemptions and filing status changes without having to email HR in order to do this.
  • Notifies employees on submitting their timesheets
  • Error if an employees forget to clock in or out
  • Downloading Timesheets into Payroll is super fast
  • Time Management with Ascentis is great
  • It would be nice if termed employees can still see paychecks and W2s
  • Quarterly filings are done automatically
  • Payroll in the web to flow easier
The steps to get payroll done is very easy and fast. My only complaint is when entering new employees on Payroll on the web it's not that user friendly.

Also, the support team is extremely helpful and always just a call away. I have used other HRIS/payroll companies that make it nearly impossible to get an answer right away!

We used Ascentis across our organization. It is used for time clock services including an points for attendance process. We also use the HR, Benefits and Learning & Development modules. This allows us to automate information as well as provides us opportunities to use the system processes rather than creating manual processes.

As a growing company, we decided we needed an integrated system. Ascentis has allowed us to do our own recruiting, onboarding, HR management ie benefits, compensation, etc., employee self-service plus our payroll. Implementation was longer than expected but the system works very well. Customer service is very helpful and responsive. I highly recommend Ascentis.

We use it for timekeeping, payroll, benefits, and working on recruiting. We are not yet making good use of creating ad hoc reports as the process is not as simple as it seemed to be during demos. Presently, I and others lookup individuals or situations, but I have only used it for one report, and that one I exported to Excel and manipulated the data I needed that way vs parsing it from the Ascentis database. It has done an adequate but not seamless job of replacing paper timesheets, but we are still having to modify rules to make it work the way we need it to.
  • Houses many pieces of data

  • Maneuvering through the system could be more intuitive.
  • Producing ad hoc reports has been complicated.
  • Recruiting implementation has been challenging.
Ascentis is good for clocking in, and the on-screen timekeeping widget works well. The smartphone app works pretty well but does not mirror the desktop version. The occasions of employees being stymied by the online version not working or not loading properly happen more than we would like.

We use Ascentis HR across the organization. The majority of our employees are only using Employee Self Service. They can access their pay stubs, make changes to their tax withholdings, make demographic changes, and view their accrued PTO. Our HR department uses Ascentis HR every day for tracking PTO, upload documents to employee files, benefits enrollment, recruiting, and employee evaluation/ performance.
  • We like the timekeeping capabilities. It lets employees know when they are approaching hours and seeing their weekly summary breakdown is helpful. It is very easy for our employees to navigate.
  • The dashboard is fun and the widgets are a great way to keep all of our employees undated and informed.
  • Ascentis support is wonderful too, they have been very helpful and very quick to respond every time we have reached out.
  • Ascentis offers so many reports which is great. However, I find it sometimes difficult to navigate what reports I need!
  • We have had multiple issues trying to upload during payroll processing when we have staff with too many transactions on their timesheet. Also sometimes our differentials do not work like they should.
I love how Ascentis is web based, so I can have access anywhere. Tracking ACA was one of the reasons made the switch to Ascentis.

We use Ascentis company-wide for recruiting, applicant tracking, onboarding, benefits administration, HR administration, payroll, and training.
  • Payroll is timely and easy to use.
  • Web interface is difficult to navigate. Menu organization is not logical or intuitive.
  • Benefit calculations does not support age banding for children.
  • The mobile app will not work for users that have single sign on (SSO).
  • Learning Management System (LMS) for training is buggy.
  • The recruiting module is cumbersome.
  • This is not an integrated system It is a bunch of separate software products that have been patched together by building data interfaces between the various software pieces.
I wouldn't want to jeopardize a friendship or professional relationship by recommending this product.

Ascentis is well suited for full-scope HR/Benefits/Payroll. It can also be utilized in part (only use what you need).

May not fit the needs of all companies based on data they are trying to store. This however can be overcome by talking with their sales/customer service representatives.

We use Ascentis across the organization for our HRIS. We use it for recruiting, HR/benefits, payroll, performance, and talent management.
  • Ascentis has amazing support. They are quick to respond to emails and the people on the phone are always very helpful.
  • They are constantly making improvements. I can tell that they are investing in their product and trying to make it more up to date.
  • Their implementation is fantastic. Individual meetings are held with product teams that walk you through every step.
  • Having multiple databases and websites is not ideal. Updating something as simple as a job title requires the use of multiple applications including payroll, payroll bridge, and a remote desktop.
  • In addition to multiple databases, their recruiting is not their own application. This creates challenges as the setup and support is a different process than the rest of the HRIS.
I think smaller companies that are just looking for HR, benefits, and maybe payroll could use the product well. All of those things can mostly be done on the web now. The product would also be good for smaller HR teams that need a lot of support as their email and phone support is fantastic.

Larger organizations looking for an all-in-one seamless experience should look elsewhere.

Ascents is being used throughout the entire agency. We have the HR/benefits, payroll/timekeeper/ modules, and recently implemented the performance module. Ascentis has made our organization more paperless and efficient in our processes. The Ascentis Support team has been great and always willing to help when needed.

  • It also offers ACA reporting of 1095 annually.
  • The performance module offers a self assessment option.
  • Be more up to speed with implementing changes based on pandemic needs and law changes.

I would recommend Ascentis to anyone that is looking for a one-shot deal of systems. They do have the entire package for HR to payroll. Customer service is great and all of the implementation reps are very knowledgeable.

Ascentis is currently used across two businesses. We have the full suite with the exception of performance management. It is used across the whole organization. Ascentis solves no problems for the organization but does create a multitude of new problems that we did not have to deal with from our previous payroll/HR/benefits/timekeeping provider. Ascentis contractor LaborMetrix addresses the problem of calculating variable pay for hourly employees.
  • Contract with LaborMetrix
  • Payroll - Requires more manual steps including processing separately in the timekeeping portal, calculating in the variable pay calculator application, exporting from the variable pay calculator application to a .txt file, uploading that .txt file into Ascentis payroll to add the hourly pay. Paychecks do not include the time off balances by default, which is out of compliance with CA earnings statement laws. Administrators have to export the balances and manually upload them for every payroll. Paychecks can display the 401K contribution percentage, but not the Roth 401K contribution percentage. We have to use a separate payroll application to do the W-2 and quarter-end processes because the main web portal is not able to do that. We have to use the separate payroll application to get reports of any use because the main web portal only has a few reports available and they are not helpful. In order to view an employee's paycheck, the administrator has to go through his or her personal profile and payroll screen. The administrator is unable to edit an employee's tax withholdings on the web portal.
  • HR - Almost everything related to configuration and management is only fully-functional on the Remote Desktop that no one mentioned being necessary at all during the sales calls. Administrators cannot do everything from the main web portal. This includes editing employee access and changing the information that is displayed to employees on the main web portal. This includes setting up benefit carriers and employee profile management. Most of the reports available on the web are not useful, and administrators have to use the Remote Desktop to create custom reports.
  • Benefits - Unable to view the EDI feed information. Administrator view does not show the sum of all of an employee's benefit costs. Managing the documents and links in the benefits section requires using the Remote Desktop that no one mentioned during sales and requires unnecessarily complex steps involving adding a picture to a specific folder in the remote desktop and then including the file reference to RD/Company/Admin/Folder/file.jpg just to have a picture displayed for employees instead of just uploading the picture like any other website.
  • Timekeeping - Requires separate processing in order to lock timesheets and process payroll, requires a workaround involving exporting the following pay period to show the current time off balances when downloading the figures to be included on the paychecks,. The system has meal premium features and shifts features, but they conflict and display incorrect times for approaching hours (example shows meal premium after 6.01 hours instead of after 5 hours). Notifications that were sent to the EE and supervisor were sent at midnight the night after the employee already reached the point of getting a meal premium, which does not help anyone avoid it at all. Holidays paid out the number of work hours on the shift plus the 30 minutes of unpaid lunch, which meant they were overpaid. Holidays paid out for days when the employee was not scheduled to work, which meant they were overpaid. Sick balance policies consider transferring to be like a new hire, which incorrectly adds 3 days of sick time to the employee's balance. It's been a year since implementation and problems that caused Ascentis to postpone our implementation still have not been fully resolved. Features highlighted during the sales meetings do not work and we have had to deactivate them to avoid confusion with our staff and supervisors.
  • Mobile App - Paycheck information in the app does not match paycheck information shown on the web portal. It displays hourly-only timesheet features like exception counters and things for salaried employees who do not get meal premiums or OT or clock in and out. It allows employees to add or remove employees from their benefits, which should not be allowed unless the employee had a qualifying life event. It does not allow employees to submit address updates, scheduled for future bug fix but currently displays unpaid hours like unpaid vacation as a dollar amount instead of hours. It's scheduled for a future bug fix but currently shows a total rate that is the sum of an employee's sick rate + vacation rate + regular rate + OT rate + etc... that does not mean anything, but is shown for some reason. It does not allow administrator configuration of what should or shouldn't be visible to employees, does not display all of the pay statements in the employee record when they are all visible on the main web portal, and it has two separate sections in which employees can view their balances and request time off - one from the last paycheck's information and one from NOVATime, which is confusing because they do not always display the same information.
  • Recruiting - The system user experience is extremely convoluted. Also, unlike others that just allow clients to add the forms and things required from applicants, Ascentis charges at least $100 for every form that needs a signature, which is most forms in the new-hire process. Ascentis also charges for each signature. Ascentis also charges for each administrator/manager who would use the recruiting module. None of this was stated during the sales meetings or even in the order form/contract.
  • Reporting - Reports cannot contain timekeeping data, HR/Benefits data, and payroll data in the same report. They all have to be separate reports. Also, unlike ADP or others that do it for free, Ascentis charges the client at least $500-$1000 for creating custom reports.
If a company requires variable pay calculations, LaborMetrix, not Ascentis, is good. Every other aspect is more difficult and time-consuming from running regular payrolls, to managing the database of employees, to entering new hires or terminations, to new hire enrollment or open enrollment, to viewing employee information.

This is used by our entire company for personnel records and payroll. We also utilize the learning and talent management modules. It helps to distribute online learning capabilities built by our staff development department. Tracks training renewal needs. It keeps our employees records, both dat and documents.
  • NovaTime/Timekeeper reports are easy to access and use

Ascentis is used as an HRIS for all staff by approximately 14 HR professionals.
  • The web-based product is being advanced and seems to be moving in a direction where a web-based product could be utilized in place of the remote desktop.
  • Customizable fields and tabs. Ascentis has a significant quantity of customization which is very necessary for the complexities within our organization.
  • User password reset. It is very quick and efficient to change a user's password when they are locked out (as long as the remote desktop is already open).
  • It should be far easier to rehire an individual with prompts as to the fields that require editing. Currently, there are multiple steps and screens/tabs and no prompts at all. If one field is missed on the employment tab, the employee will continue to show as being terminated on reports which can raise a lot of questions and takes more time/effort to correct.
  • The Employee Manager window should be expandable to enlarge. It is small and often hard to read for aging eyes. Lack of this simple feature makes the product also appear quite antiquated.
  • Information in the fields and tabs within Employee Manager should not be so easy to accidentally overwrite. Lack of a simple warning again makes the Ascentis product seem antiquated.
  • Lack of follow up follow through when there are issues. We often take issues to Ascentis Support and often, the resolution takes days or weeks and has been seldom satisfactory. We often have to send several reminders for assistance before we get the action we need. Frequent turnover of account reps also seems to be an area of concern.
  • Using a remote desktop source or RDP over SSL is also antiquated. A well-secured web-based product would be far more user-friendly and simpler to access.
  • Limited space on remote desktop. Having to move attachments over to the remote desktop to upload to an employee profile can be a hassle. I have moved several attachments over to upload, been faced with the typical HR interruptions and ended up have to re-attempt a fee days later only to find that some of my attachments are randomly missing. Then having to go back and identify what was deleted due to space constraints and start the entire process over.
I think in a very simple, very small organization, Ascentis may be a decent choice. However, there is simply too much room for error in entries for a larger organization that depends on a higher percentage of correct data and has many users, so checks and balances are fewer.

We use Ascentis for HR1, payroll, timekeeping, and recruiting. It has been an easy program to use and after using many different Payroll and HR systems throughout my career, I found that this was the easiest program for us. I have used HR1, payroll, and timekeeper, and all are fairly easy to use if you have used any other HR/Payroll system before. We have 9 Warehouses and all of them use the timekeeper for our 300+ hourly employees. It's nice to have both the finger readers and the web-based system.
  • This program has a great interface between the HR1, timekeeper and payroll.
  • The payroll system makes it easy to process payroll and what your not familiar with, they have the community to help you.
  • I have used other payroll systems and they have been extremely complicated to get files from external systems. The Ascentis programs makes it so easy that you think you are missing something, you're not. It really is that easy.
  • I really like the reports that we receive from the payroll system when we do a calculation. They automatically offer an Excel file and a PDF for the payroll register. This makes auditing the payroll so easy.
  • I have had really good experience with customer service via email. I know what needs to be done with payroll and when I ask them to do something, they always will check things for me and do the changes needed immediately.
  • This system works with those who are new to payroll and those who have been doing payroll for years.
  • Recently, we began to have delays in getting the payroll calculated, but it seems to be fixed.
  • I know my HR partners sometimes have issues with employees showing up in the timekeeper. They usually have to have Ascentis Timekeeper customer service assist them.
  • They currently do not process payroll in other countries like Canada.
For Payroll. It's so easy to process payroll. The reports are great and the ability that you as a processor have to make changes in Ascentis is awesome. I use the calendar quite often. I like that if you need to process payroll and have a check created, it can easily be done without having to process an entire payroll. On the other hand, if you need to do an off-cycle payroll, you set it up yourself and process. You do not need to wait for customer service to do it for you.

We implemented Ascentis HR, Payroll and NovaTime Timekeeper initially, to assist in consolidating many manual tasks into one place electronically. We have since added the Performance and Comp modules, as well as Recruiting.
  • Customer Service is outstanding!
  • They listen to our requests and suggestions and try to understand why we are asking for certain things.
  • Things flow from one place to another with relative ease and behind the scenes workflows.
  • Recruiting has been challenging to us because we do a lot of seasonal hiring, and we also want to utilize the system to capture volunteer applications as well as full-time hiring. The verbiage within the system is not as customizable as we would like to accommodate these workflows.
  • To build out several offer letters is costly, and the inability to easily correct or create/update forms is frustrating.
While the Recruiting module itself is difficult to get it the way we need, moving applicants into HR has saved us tons of time since it is fully integrated. Everything works well together and the support services teams for all modules are outstanding.

Within Recruiting, there are no integrated Reference check capabilities, so it has to be done manually outside the system. With the volume of seasonal hiring we do, we simply don't have the time to do this effectively. If there was a way to run reference checks and have them flow back to the employee record in the form of an attachment for their file, it would be awesome!

We use Ascentis for HR data management, employee self-service, payroll, recruiting and onboarding. This allows employees access to their own data, and in some cases, the ability to manage the data. Data and HR processes are now available from anywhere. This is a huge step forward from the file cabinet in an office being the only source of data.

  • The web resources are available from any computer
  • Personable implementation and support team
  • Moving more things from the remote desktop to the web application
  • Making the web navigation more user friendly (less pop-up boxes)
No HR tool is going to fit all organizations, so I'll never give one a 10 out of 10. Ascentis is a good tool for a small to mid-sized company. For us, moving from a file cabinet and online payroll processor, Ascentis was a welcome relief to excess data entry and limited access to data and processes.

It is used for work and training scheduling and as the company time card to determine Payroll. We also have the performance management portion. However, given the level of paperwork we have and the lack of training time available to us across the organization, this component is not used.
  • The scheduling function provides a good platform that allows employees to see what their schedule is. If multiple departments have need of their time, they can look and see availability. If none, they can negotiate with the employee's direct report to get them in. We use it to coordinate both work hours and training hours.
  • It can be programmed to notify if someone clocks in/out early/late and awards points accordingly. Our frontline staff have a work requirement for in/out timeliness. It lets Managers know when and where to intervene with HR to bring this performance focus back into line.
  • If there are log-in/out errors, Supervisors can easily make corrections. This is important when there are issues that might affect an employee's points.
  • Ascentis requires that every change MUST be saved. So, if one has done a lot of work, and forgets to hit Save, then it's all for naught.
  • It is not intuitive so for Supervisors and Managers who oversee staff timecards, Ascentis training needs to be built into their promotional process.
  • All users need to be proactive in letting their scheduling managers know about schedule changes in time to update the schedule. Otherwise, at the backend, there is a GREAT deal of work to be done to fix time cards and points. In our organization, we have 1 scheduling manager for every program and a manager over them.
This system is good for organizations that are decentralized with multiple points of employee sign-in/outs. Because it is Web based, employees can clock in on a computer, at their cubicle, on their phone or any other device that is not simply a time clock.

First: our industry is actually Agriculture, we are a Cooperative. We are not farming, however, that's the closest option available. We are currently using Ascentis for payroll, timekeeping, HRIS, recruitment (New), and compensation (New). The timekeeping system is the most frequently used system throughout the cooperative. Every employee has a username and password to access Ascentis Self-Service and NovaTime. NovaTime eliminates the need for paper timecards and reduces the manual entries by managers.
  • Our account representatives that are assisting us in implementing recruiting and compensation have been doing a great job at keeping in touch and following up with us.
  • I've received great support from Christian at Ascentis HR when asking for new ideas or other things that we can be doing to make Ascentis self-service more attractive to our users. (Widgets in particular)
  • I've not had troubles with Ascentis Payroll or HR and am satisfied with the consistent availability of those two programs and appreciate that updates and streamlining are of importance to Ascentis.
  • NovaTime is the biggest hiccup that we've consistently encountered with Ascentis. We've encountered some of the same issues time and time again throughout our cooperative and I've opened numerous tickets and I've yet to feel like those issues have been resolved. Generally, the program will work, however, when it doesn't it creates frustration with the employee group.
  • I've noticed that when NovaTime has gone down an email has now been sent out notifying the administrators. This is a positive step!
  • I'm wondering if HR and payroll, can, at some point, be one of the same program. I know that with the most recent web updates it sounds like it's moving to one complete system so you don't have to go to two different spots to seek information. If that information was in one spot that would be helpful.
I feel Payroll is well suited and I also like Ascentis Self-Service (the dashboard). I'd like to see more widget functionality since we use that the most to communicate with all of our employees! I think NovaTime is fine to use and I feel I'd have rave reviews for it IF we could rely on the functionality of it and receive the utmost service level when calling into support. It's possible that there has been miscommunication when working with NovaTime support staff but on more than one occasion I've called in requesting a problem be resolved and I've been told it's resolved only to find out when running the next payroll that it isn't fixed. It's difficult for me to understand the full functions and rules within NovaTime because I don't see them, so the support staff needs to keep that in mind when communicating with customers. I've been satisfied with how the recruiting module and compensation module is, so far. (It's in the beginning stages for us).

We use Ascentis HR and Ascentis Payroll, paired with Timekeeper. It is mainly used by me to record employee information and do payroll. In 2018, we integrated Ascentis HR and Timekeeper, so it is now used by all employees for timekeeping. We just recently launched ESS through Ascentis HR, so employees are learning how to log in and access their personal information. I still have a lot of training to do with the department heads to teach them how to use it for ESS and Timekeeper. Right now, I do it all.
  • I like the flexibility in Ascentis HR. I can create custom tabs for things that are specifically relevant to my company. It's helping me digitalize a previously paper-based company.
  • Ascentis HR and ESS have given my employees the option to finally go paperless with pay stubs. Employees like the option to access their pay stubs at any time. I appreciate not wasting costly check paper and time to stuff checks when employees throw their stubs right in the trash. We have had direct deposit for a long time, but didn't have a way to go paperless.
  • The ability to pull custom reports in Ascentis HR is very nice. I can get the information I really want and can get it in Excel format so I can manipulate the information.
  • Everyone wants to know if there is an app for ESS. As far as I know, there isn't. They can type in the website on their cell phones, but an app would be greatly appreciated and convenient.
  • Especially after using Ascentis HR, I feel the report capabilities in Ascentis Payroll are very weak. One report I have to get Ascentis' help on every year is the number of hours an employee worked for the year. It's not something I can pull on my own, and when I am assisted, it's broken down into regular pay, or, holiday, etc. It would be nice to just be able to easily pull how many hours they worked in total, on my own. I also feel like a lot of the reports in Payroll should be able to be exported into excel. A lot of them are print only.
Ascentis has been good for our growing company. We bring on seasonal people during harvest, and I'm easily able to track those peoples' time cards separately from ours and pull reports to send to the staffing agencies we use. Employees are able to punch the time clock from computers or even their phones if allowed. Our sister company uses field workers and after looking at our system, felt it was too complex for what they needed. They literally wanted something like an "on the clock", or "off the clock" button. The company has to be pretty tech savvy to be able to use these products, especially Ascentis HR.
