We use Atlassian Confluence for a number of different things, ranging from knowledge sharing, product documentation, documentation on processes and procedures, links to outside resources, and things of that nature.
  • Structure of spaces
  • Space permissions
  • Formatting options
Cons
  • Space permissions can be more clear and easy to find
I really like how Atlassian Confluence works for teams and being able to have more concise permissions on different spaces, and pages inside those spaces. I find it most appropriate for documentation and sharing the information with specific people.

Easy to use, clean interface, expandable

  • Enterprise intranet wiki.
  • Primarily designed for documentation, how to's, instructionals.
  • Also used as a bulletin board for posting meeting minutes, project info & specs, announcements.
  • Very expandable with modules and plugins. Allowed embedding of Word and Excel sheets, and integrates with the JIRA ticketing system.
Cons
  • Could have a more robust system for comments.
  • Could have more options for more embedded content, like multimedia.
A fantastic intranet wiki for enterprise, with a cleaner interface and far more expandable options than standard wiki solutions.

Atlassian Confluence - An easy-to-use, powerful tool for Organizations of any size

Confluence is used within our organization as a project management collaboration tool and as a method for making important documentation available to business stakeholders. As we continue establishing our agile project management methodology, Confluence (in concert with Atlassian JIRA), is quickly becoming our trusted ally. Our technical and business users both rely on it for sharing information.
  • Compared to other tools of its type, Confluence seems to have a very low barrier to entry for all types of users. Everyone from low level users to the most technical developers seem to learn the software quickly and effectively.
  • Despite its out of the box simplicity, Confluence is quite extensible. Between Custom Macros, External Gadgets, and 3rd Party Add-ons, you can extend Confluence to meet most of your business needs, whatever they may be.
  • Confluence's integration with Atlassian JIRA means that you can track the entire lifespan of a project, even before it actually becomes a project. Use the Questions add-on to gather feedback from the business on project ideas, allow your team to brainstorm on possible solutions, and then track development all the way up through QA and release.
Cons
  • One particular problem we've experienced is the lack of an ability to collaborate on Excel documents. To do this, you must download an Excel attachment, make your changes, and then re-upload it creating a new version. Due to the overhead involved in this, we often find ourselves using SharePoint for this task. It's certainly not a deal-breaker, but it would be nice if there was an add-on which allowed in-app editing of Excel worksheets.
  • I've observed that users who mainly work on a stack of Microsoft applications often have a more difficult time learning applications outside of that realm. The overall feel of Confluence is very un-Microsoft, which might make adoption a bit slower/harder.
If you are looking for an easy to use, extensible application capable of serving many different purposes for your organization, I would highly recommend Confluence. From KB's, to collaboration, to Project Management Confluence can do it all.

If you're using Atlassian products it's the reason to use this

A lot of our documentation for both the products and internal way of working is setup there. We've at a certain point made it the place where business logic was defined so developers could access it.
  • Ties directly with Jira
  • You can reference someone in the organization
  • Has some nice formating on the warnings and other widgets
Cons
  • Layout of the pages are a bit restrictive and they could look nicer
  • Working with other colleagues at the same time
  • Having more dynamic spaces that are more seemless integrated
If you're connected with Atlassian and you are working on things that don't change too much. It helps to keep track of documents.

We are using [Atlassian] Confluence across several departments within the organization, but not across the entire organization. It allows us to keep our documentation related to Jira issues in one easily accessible place that directly ties into our Jira projects, which keeps us well organized and makes it more convenient to keep documentation up to date.
  • Numerous templates are available for different documentation needs.
  • Linking documentation and issues is pretty seamless.
  • Keeps documentation well organized and in a single go to location.
Cons
  • Some of the components can be a little clunky to use and configure on pages.
  • I've run into a few issues where edited pages refuse to publish and work is either lost or time wasted copying and pasting to a new document that will publish.
[Atlassian] Confluence is very well suited for documentation surrounding issues or items within other Atlassian products as well as overall internal product documentation. It is not suited for documentation that is intended for an external audience or even internal people who are not member of the workspace or project since the documents would have to be downloaded and delivered through some other means.
