Atlassian Confluence has been selected and used first by the University's IT department. Other services of the University started to used it as well and the Advancement group started using it about a year ago. We first used it a central repository for shared documents with the desire to replace our shared drive. Then, each sub-group has created its own page to share information to the rest of the Advancement staff. We are now using it a s a project and event management tool.
  • Everybody can be trained using Confluence in one hour, start editing pages right away and contribute in sharing information.
  • The version management is automatic and reduces the risk of lost data. It is easy to go back to an older version.
  • The extensive library of macros helps be creative and efficient in building pages and doing cross-references.
  • Editing and viewing rights are easy to manage and allow to separate public views from internal works.
Cons
  • As we are using Confluence more and more to manage projects, it is lacking some key functions related to project management, such as a visual Gantt chart. It has made progress though with the Page Properties macro and related report to identify projects.
  • It would be nice to edit a spreadsheet within Confluence and use the basic functions of Excel (sum, ...)
  • Links to PDF files are a 3-step process with an automatic download; a option to preview the file (like an image) would be useful (specially on mobile devices)
  • Email reminder/notifications for task due in a day or two could be useful for some users.
Confluence is a great collaborative tool that is easier and more effective than documents shared on a shared drive. Every user becomes a collaborator, and the more it is being used, the more one creates contents. It's a live environment, continuously updated, and easily shared with others. It is not a project management tool nor a repository space to store every file.

We (stake managers who write stories for the development team) use it for creating the backlog for the development team and the development team uses it for managing sprints. The interface is very intuitive, so even users with no experience or knowledge of the process can easily understand it. Confluence helps us prioritize different development tasks from the business and revenue standpoint and we can also track how successful our dev team was in each sprint, which makes estimation of the following sprits easier.
  • Dashboard with backlog of dev tasks. Prioritization becomes just a matter of drugging items in the list and assigning points to each task. Super easy.
  • Sprint reports are also very helpful, they allow us to estimate how successful was our last sprint and what should be changed to successfully finish next sprint on time.
  • Cards for writing user stories are very intuitive and even people from production department, with no technical knowledge whatsoever can write a story.
Cons
  • Integrations with major calendars (Google, Apple, Outlook etc.) would be a good idea.
  • No other issues.
I think it's great for any project, as it helps to structure and streamline the process. Maybe the only scenario where it wouldn't be as appropriate would be a big art team with a lot of images and other art assets that they would need to collaborate on.

It was used to develop a wiki for employees. This wiki was intended to help understand the importance of information security, and the do's and dont's in the organization.
  • It has a very good Good GUI with lots of features particularly creating macros; it made my job easier.
  • The Task List and its notifications helped me to synchronize my work.
Cons
  • Nothing that I can think of now.
It will be always well suited to any organization where they want to share specific information and also restrict access to people who are not supposed to have access. It is a well managed tool.

We used Atlassian Confluence as a collaboration tool across the various departments. It brings teams together when you have departments scattered around and each department is working on different projects that all tie into one solution. The blogs and page templates make it convenient for others to review or pass along information that other teams or individuals did not think of.
  • Unlimited individual wiki pages is a great feature when you have a large organization.
  • Document conversion
  • Permissions setting permissions on individual or team spaces to only allow access to those that need it.
Cons
  • It would be nice to have new features and enhancements for true power users.
  • There is a pain point of managing content in Confluence.
As a collaboration tools Atlassian Confluence offers a lot of features for users of this product. Some questions you can ask yourself are:
How often do program updates go out? Is there a guarantee of satisfaction with their solution? Is Atlassian Confluence scalable? What are the typical risks that you can expect with your planned installation?

Our organization utilizes Confluence along with Jira for additional project documentation and collaboration. Details on every part of our projects are captured, stored, and shared using confluence. This includes meeting notes, shared worksheets, requirements documents, system architecture as well as some process and procedures/outcomes of the projects. IT utilizes this system as a required way to store change information for updates and enhancements.
  • Fairly easy to use this product. The UI itself is user-friendly and easy to follow.
  • Collaboration and updates are easy to turn on or off.
  • The product is very scalable and can capture and organize a lot of data in one place.
Cons
  • Some of the options do not always work, this may be local setting but I find the option to edit some documents via Confluence to not always work, and we need to download, update, and then re-upload the document as a new version.
  • Where there are a lot of notes and documentation entries it can be difficult to keep track of or sort through everything. How you utilize the program and label things is very important.
Confluence can link to Jira and be utilized as part of your project management solution. I think if you are using Jira this application may make sense to utilize for tracking all important details. However, I haven't seen other projects that have a connection to Jira to say that this is the best product available. With big projects, the document trail seems to be a little messy.
