What is Basecamp?

Basecamp is a web-based project-management tool developed by 37signals in Chicago and launched in 2004. The Ruby on Rails framework was extracted from the Basecamp project.

Basecamp offers features standard to project management platforms, including to-do lists, wiki-style web-based text documents, milestone management, file sharing, time tracking and a calendar, and a messaging system. Mobile accessibility is supported. Notably, it supports unlimited users. It also offers integration with 37signals' own Campfire product, which expands the group messaging functionality of the core platform. Customization, accessibility, and functionality are extended further by the broad range of apps available for free from 3rd parties. A 2-month free trial is available. This is a far better service than our previous central managing system. I love that Basecamp is internet based and we're not relying on software that manually has to be updated. This system runs very fast and I've noticed that I've become much more efficient with my own work. I'm able to work anywhere now! So much more freedom.

Basecamp is great for small or large teams. In order for it to work efficiently, the entire team really needs to buy into it. If one member insists on using only email then it could render Basecamp ineffective. Other organizations will find that while it's perfect for collaboration, a separate service may be necessary to create actionable items. This isn't necessarily a bad thing, it just means another link in the chain.

  • One word of advice that I would provide for any collaboration tool is to set criteria or rules on what is appropriate to post so that everyone understands what should be a group notice vs. what should be done offline in email or by phone. It can be extremely annoying to get several emails of banter between two different people when a simple phone call could clarify the situation.
  • If you use it to manage a studio or team of creatives, it's important the account manager include a post to let everyone know when the asset is approved and onto it's next phase so they aren't waiting around expecting the asset to come back

We use this more as a repository of all feedback around different projects. This has become a key way that we communicate across different teams in different locations. This also helps us to ensure that, year over year, we have a historical context of why particular decisions were made. It's become an invaluable way to keep the clutter out of email and still keep everyone calling from the same playbook, so to speak. As teams continue to adopt this as a communication tool, we're seeing great results in how we're able to collaborate across different roles.

Basecamp is very useful if you are struggling with keeping a workflow in place and holding people accountable for their actions. I would recommend Basecamp to pretty much any organization as you could be using it among a small team of 5 people, to an entire organization. Another added benefit is that Basecamp is not extremely expensive as some of the competitors are.

I think it's appropriate for a group of people who have a technical background. It's incredibly easy to use, and with little explanation those people can be up and running.

Unfortunately for people who are not technically inclined and don't understand organization it ends up being a complete disaster. Finding files, or comments becomes a nightmare. So training is required.

Basecamp works great for tracking project progress, storing files in the cloud, and promoting team discussion. If you need the ability to create new files in the cloud, I would probably recommend Google Docs or something similar to that. Basecamp is a bit pricey compared to other solutions on the market. Also if you're doing software development, bug tracking is not very good.

Basecamp is very helpful for projects with a lot of moving parts. If you're trying to coordinate multiple groups of people who don't normally work together, or who are not in the same location, it provides clarity and an easy "go-to" place to check on the status of multiple deliverables. It's especially helpful for project managers to communicate deadlines and feedback if there are multiple parts of the project running side-by-side. It may not be helpful for simple, shorter projects, as it could add an unnecessary level of complexity. The key question to ask in choosing Basecamp, I think, is if you will have trouble keeping track of different people working on different parts of a single project simultaneously, and if communication would be difficult over email alone.

Basecamp isn't poor software. It may be that it's my own impatience that makes me more partial to products like Podio where project management modules can be shaped according to one's needs very easily. Basecamp felt like enterprise software...even after the UI redesign.
