Beanworks AP Automation is designed to give accounting teams, from CFOs to AP professionals, the ability to work together from anywhere. With Beanworks, the vendor states users can reduce manual processes like data entry and approval follow-ups, cutting invoice processing costs by 86%. They further state users will strengthen AP controls with approval workflows for POs, invoices and payments that route requests to the right staff members at the right time, as well as increase transparency to hold all departments accountable to following finance processes.

Beanworks has been implemented within our organization across all departments. We have also started using it within the other companies that we manage. Some of the companies that we do business with are not in the same building; Beanworks and its cloud-based system make it easy for us to still upload and manage invoices.
  • It's easy to access.
  • It's simple to use.
  • It works well with QuickBooks.
  • It could use more search functions.
  • The sync tool takes a while to load up.
Beanworks is a great tool used in conjunction with QuickBooks. It has helped eliminate paper invoices across the company, as the invoices can be accessed and uploaded digitally and be seen/approved by the appropriate users. It is easy to get information synced from Beanworks and into QuickBooks, and vice versa.

  • It's easy to download reports for audits.
I have not used a system like Beanworks before -- this is my first -- but it is a great tool.

  • Uploading an invoice.
  • Coding an invoice.
  • Searching for a specific invoice, if you can't recall some information.
Beanworks takes some time to set up initially, but once it's ready on your computer, it is very easy to use in conjunction with QuickBooks. They have representatives that are readily available or can schedule an appointment to walk you through it if you are ever having issues. Uploading invoices is quick and easy. Approvers can easily make changes to coding before approving.
