With its simple and clean interface, Calendly solves the problem of scheduling consultations by providing a hassle-free experience for both users and clients. It frees up time for sales and marketing reps to focus on important tasks, automates marketing processes, and accomplishes tasks with just one click. Users appreciate that Calendly can be easily synced with Google calendar, automatically updating their schedule. This allows them to set up meetings passively and schedule times that are convenient for contacts.

Calendly is used in various scenarios, such as onboarding meetings with new customers, one-off trainings with current customers, scheduling interviews, matching applicant schedules with interviewers, and booking sales calls. It is also utilized by businesses for client calls and meeting requests. The ability to integrate with Google calendar, send reminders automatically, and customize each client session makes Calendly a preferred choice among freelance consultants. Nonprofit organizations benefit from Calendly as it reduces the need for sending back-and-forth emails when scheduling meetings. Additionally, individuals rely on Calendly to book lunch or coffee meetings effortlessly without multiple emails to find a mutually available time slot.

Calendly is widely used by Customer Experience and User Experience teams for coordinating interviews and user testing, eliminating the outdated method of manually suggesting available times. Employees across departments use Calendly to organize meeting dates, prevent overlapping in schedules, receive calendar reminders, and invite external participants from outsourced companies. Moreover, recruiters leverage Calendly to streamline the interview scheduling process for candidates. The integration with video conferencing tools like Zoom and Webex has received positive feedback from prospects and clients.

While some users have found challenges in integrating Calendly with Microsoft Office or Outlook, overall it is considered a helpful product. The free version is recommended for basic needs, and the premium features cater to those requiring advanced functionalities. Calendly's efficiency in automating scheduling, reducing backend work for appointment setters, and streamlining webinar and consulting session scheduling has made it a go-to tool for many organizations. Its ability to seamlessly set up meetings and eliminate extensive booking conversations, especially for global clients, has been highly appreciated by users.

User-Friendly Interface: Calendly is praised for its user-friendly and intuitive interface. Users appreciate the clean and simple design, making it easy to navigate and customize. The visual interface for clients is described as clutter-free and straightforward, allowing them to see available days and times without any confusion.

They can easily set up appointment lengths, names, criteria, and mandatory questions according to their preferences. This allows users to gather relevant information for sales calls and streamline the scheduling process.

Integration with Google Calendar: Calendly's integration with Google Calendar, Outlook, and iCal is highly valued by users. It provides real-time updates, avoids scheduling conflicts, and seamlessly adds confirmed appointments to users' calendars.

Limited customization options: Users mentioned frustration with the lack of customization and branding options in Calendly. Some users expressed the desire to upload brand logos, assets, and use brand color codes in their profile settings.

Inability to sync with multiple calendars: The inability of Calendly to sync with more than one calendar at a time was mentioned as inconvenient for users who keep different calendars or use different calendar platforms.

Lack of flexibility in scheduling: Users found the hourly and half-hourly session-based scheduling limitation problematic, as they desired the ability to schedule in 15-minute increments even with existing bookings in adjacent time slots.

Users highly recommend Calendly for its effectiveness in scheduling meetings and its suitability for their company needs. They greatly appreciate the value they receive for the cost paid. Additionally, they advise considering alternative solutions if reminders or requesting specific information during a demo booking are necessary. These user recommendations provide valuable insights into the strengths and limitations of Calendly as a scheduling tool, making it an excellent option for simplifying meeting scheduling and meeting basic requirements.

What a wonderful way to organise dates :) I work with clients globally and meetings are my all day business! I use Calendly to set up meetings and there's never a day I have to build booking related conversation with my clients, Calendly does it for me seamlessly! Love the fact that the team never fails to grow better in functionality.
  • Meeting reminders are set using workflows.
  • Ability to set up different meeting slots using the "Event" feature.
  • Possibility to work with multiple time zones.
  • Features that support pre-meeting notes/pointers.
  • I love the UI, but it will be definitely great if colors can change a bit.
  • Workflows are game changers, but having an automated system to send post-call notes as per different scenarios will be helpful.
  • Call confirmations can be indicated in a much brighter and visible way.
I cannot think of any application/software that will be as productive as Calendly! It does not only solve my current problem, but also ensures to bring more features and additional productive ways to make my work easier. It's commendable that the team has Calendly collective and this forum helps us stay connected to new features, discussions and ideas.
  • Workflows.
  • Multiple events.
  • Event settings for working hours and days.
  • I get to work with clients globally, able to manage multiple meetings without any hassle.
  • Content appropriate time periods possible with events (30 minutes, 45 minutes etc)
  • Meeting links that are customizable helps me capture more information right at the link, making every bit productive.
  • Zoom
Initially I used only Zoom to set up meetings. Had no clue how to make the best scheduling process in place. And them, Calendly came in. This was a game changer.

Zoom allows to just create meetings, but Calendly is absolute convenience! There's zero requirement to follow up with customers to understand their availability.

They go on meetings on a daily basis. We from the GTM team cannot function without Calendly. Also, for the purpose of sharing work, we make use of Calendly. There's a group calendly link that will share work for discovery call. Wherever there's availability, call gets assigned.

Following are the job functions,
Product consultant
Account research analyst
Customer Success manager

People who are good with interpersonal communication, people who would like to keep things organized and process-oriented.
  • Following up with potential clients.
  • Setting up discovery calls to understand needs, pass on calls to available agents.
  • Set up multiple time slots based on the content of the meeting.
  • Workflows are game changers! We use a lot of workflows.
  • We make use of the two time zones to match with our client's availability.
  • We make use of the round robin method to ensure every customer gets a sot for discovery call.
  • Internal meetings.
  • To check people's availability.
  • Improved collaboration, when someone is out of office other people can help them schedule meetings with just their calendly links.
For all reasons like workflows, UI, and the way Calendly keeps all of us engaged through the Collective forum. It's indeed undeniable that no other product covers all business needs like Calendly does.

On the other side, this has also reduced the workload by enabling us to focus more on other tasks for the day.

As a freelance consultant, I use Calendly for all my meetings. I also recommend it to all my clients, most of whom switch away from their current solution because Calendly is so comprehensive and competitively priced.

I have created numerous appointment types (events) so I can share them with various segments to better structure my day around the type of work and meetings I want to batch. The custom notifications and reminder messages make follow up and confirmation that much more effective, reducing the rate of no-shows to essentially zero for me.
  • The ease of creating different appointment types allows me to perfectly tailor my availability to my preferred workflow.
  • The integration with Google Calendar, Outlook and iCal make it very easy for users to add confirmed appointments to their calendars.
  • The custom messages for confirmation and reminder notifications are great to automate follow up and reduce no-shows.
  • Being able to schedule group meetings would be the last feature to solve all my scheduling needs.
So far, I've found that it works great for all professional service providers and sales teams.

I haven't seen it used for on-site appointments, like medical providers or home service providers, but I'm sure it could handle those very well with their before and after appointment time buffering to factor in travel.
  • It has saved me countless hours of back and forth through email to find times for meetings.
  • It has also saved me from having to follow up to remind people of our meetings and reduced my no-shows to essentially zero.
  • I would estimate that it has increased the number of appointments I get by 20% since it's that much easier for prospects to find a time that works for them without having to go through the hassle of emailing back and forth or me chasing them to get on my calendar.
It's much more flexible than ScheduleOnce or TimeTrade, allowing for numerous event types.
Plus, it's cheaper than both of them, making it a no-brainer.

I'm a freelance consultant working with small business owners of companies between $1M and $20M in annual revenue.

Just some basic logic to structure availability and understand follow up emails and timing.
  • Prospect appointment scheduling
  • Client appointment scheduling
  • Creating numerous appointment types to tailor my availability to different contacts.
  • If they add a group scheduling function, that would solve all my scheduling needs!
I've gladly paid for it for the past 4 years and don't foresee any reason to stop using it.
