What is Podio?

Podio is a cloud-based collaboration service that was founded in 2009 and acquired by Citrix in 2012. Podio supplies a web-based platform for organizing team communication, business processes, data and content in project management workspaces; also it may be used as a social intranet or as a light CRM platform. Its reporting features allow a user to observe sales pipelines and manage budgets and time. Its task management interface is meant to be lively and dynamic as a social networking site's to facilitate sharing and task delegations, and supports document uploading. Workflows can be improved via automation of various triggered tasks. It integrates email and many familiar programs and applications (e.g. Dropbox, Gmail and Google Apps, Gotomeeting, Excel) to expand functionality, and it is mobile accessible. Podio began as a free service and a free option still remains, though three tiers of paid plans (Basic, Plus, and Premium) are now offered which expand support options from implementation only to a priority lifetime user able to gain support at any time (Premium), and limited access to shared projects for subordinate team members. However core features are supported across the tiers.

Since it is a custom solution it can address a wide range of scenarios ranging from project management to invoice tracking. I think that Podio is a marvelous tool for any company that requires a way to handle internal or external processes with ease without having to spend lots of money to build a complex system.

If you are just looking for a task manager or team tracker, Podio is going to be too much with too many features. However, if you are looking for a comprehensive project management tool with all the features you need in one spot then Podio is just what you need.

Podio is great for niche businesses needing highly customizable apps. It is also suitable for smaller businesses where one person may wear many hats and operate in multiple departments simultaneously. Do you have a high-volume production dept. with a massive number of projects per month and a dozen or more tasks per project? If so, Podio is probably not a good fit for you. Good reporting alone does not make up for inefficiency and missed deadlines. If you demand high-quality customer support for your team, don't even think about Podio. Your people don't need to be insulted by the person whose job is supposed to be helping them.

Podio works well for dynamic teams that need to communicate on the fly and have active users. As a platform it might be more difficult for teams with very specific processes or needs. Important factors to consider are mobile vs desktop access, the need to integrate with other data(custom db, exchange vs gmail, etc), and how structured system data needs to be.

Podio is one of the most cost and effort effective ways for small and medium sized businesses to consolidate spreadsheets, manage calendars, and create a platform for employees, vendors and clients. There are very large enterprises using Podio, but due to its workspace based user management it may not be ideal for certain applications. The best way is to start with a small project / product management team and then decide whether it is the optimal solution for you.

I think Podio is ideally suited to website design and development work. I looked at Basecamp as well but that was too rigid for me. I needed the ability for my project management tool to be more robust and Podio fit the bill. I've been very pleased with it.

Podio is very flexible, have a look at their app market to see all of the various functions people are using it for. It's similar to a spreadsheet in that it's useful for engineering calculations as well as accounting tasks and numerous other applications.

I think it's great for varied organizations. We're working with a lot of different use scenarios and it's been great to consolidate our communication into one app instead of 5. I've heard good things about custom integrations and bespoke applications really extending the usability of whatever you want to do with it.

Podio is good for people wanting to systemise their business and has the ability to integrate with other software through API links and third party connectors like Zapier. It can take some time to construct your current way of working with tools like microsoft office, to a new way.

I suggest getting a Podio authorised partner or a user with 3 months+ experience to help set it up. Documenting your current workflows and agreeing on the way to do things first, makes the build in Podio easier. Podio is a little like snow skiing for the first time, you can teach yourself, however it can be more enjoyable if you learn from an expert.

Also don't start too big. Work on one area of the business and test it. People need to get to know the core of tasks, chat, apps etc as they learn customised apps. I suggest not to bite off too much at the start.

Combine heavy and like users in the testing environment to account for different skill levels and ways of learning.

Lead from the top. If the owner/leader is using it this will have a ripple effect.

Well-suited scenarios:
- Short-term projects: We used the apps to build project briefs because our projects were not very complex and had a tight turnaround. I'm not sure how well they would work for longer-term projects.
- Sales team/Account Management team to Creative team / production team hand-off
- Uploading content to one source
- Internal source of information for a company

Less appropriate:
- Scrum development - Podio was pitched to the development team but, at the time, it was not suitable enough to address their very complex needs.
- Salesforce / similar equivalent - Podio is great but it's just not an equivalent tool to what Salesforce can do (or at least it wasn't when I used it six months ago).
- Gantt charts - the last time I used Podio, the available apps in the marketplace were not robust enough to craft easily-editable Gantt charts.
- Replacement for Excel. The last time I used Podio, the spreadsheet implementation and exportation were both clunky - the process rendered questionable results. It'd be nice to see Podio's spreadsheet view behave like a Google spreadsheet, complete with formulas and the ability to make charts.

Because of the payment structure, it was more difficult for those who were facing-vendors to include them in their workflow. For example, the ad agency managing the work, dealt with client contacts who were on podio, but not the ever-growing list of publishers they worked with on a daily and weekly basis.

If you want an application that will be able to hold data well, with minimal editing, then this is for you. If you are expecting fully fleshed out excel features, you will be severely disappointed. This application is great for either the start up or the giant corporation, it is not the size of the company that will help you choose, but rather what features you seek to have. I personally would want to be capable to have fully fleshed out excel features so that I can make mass changes and do functions because they would make my job much easier. I have gotten frustrated with the system at times because it is not built for that. As I said before, if it's the right tool that you are looking for then it will work great for you.

We switched to Podio from a mixture of Highrise (sales leads), Basecamp (project management for designers), and Asana (project management for developers). Now our entire teams works in a single platform and no one misses tasks or information. Podio is flexible for just about any application and if we come up with a new use case, we can customize the platform to accommodate it.

We highly recommend it.
