We are a small, boutique graphic design agency in [...] TX without a project or traffic manager on staff. So we require a platform that accomplishes the management for us—efficiently. We used Trello for years, but eventually, our client load and workflow complexity kind of outgrew Trello and necessitated a change. We explored a lot of options, but we eventually fell in love with the cleanliness of ClickUp's interface (we are designers, after all!). Their team facilitated some walkthroughs for us as we dug in to vetting the product, and we discovered that it's not just pretty—it's packed full of features that have helped us organize and facilitate some real improvements to our internal and external communications. Namely, the Subtask feature and the ability to define project dependencies has been a game-changer for us, as we frequently work on projects with multiple components, often touched by different members of our teams (or our clients'). Additionally, the Home tab, which offers a comprehensive project outlook has been super helpful in avoiding unnecessary delays in communication or production. We know we've really only scratched the surface of all that ClickUp has to offer, but based on our initial experience, we're pretty excited to see how much more powerful our jobs management can get in the near future. ClickUp has been a win for [...], and we're happy to recommend it to anyone we know.
  • Keeps my production schedule, including impending dates, front-and-center
  • Notification tab works like a convenient to-do list
  • Makes organizing complex projects easy
  • While the appearance is pretty inflexible, the interface is highly customizable
  • Drag-and-Drop between columns (statuses) doesn't always work
  • Maybe more options for customizing the appearance of the app as a whole, or at least customizing client spaces
One of our clients hosts a fairly large fundraising gala every year. This project requires multiple assets in multiple media: print, direct-mail, social media, web, email campaigns, photography. This kind of project requires a pretty linear progression of one asset to the next, leading up to the event. That is, branding the event must come first, to establish the overall look and feel of everything that will follow. Producing the first email and print announcements comes second. It goes like this all the way to the date of the event, where we will need to have a fully functional microsite at their web home, in addition to a staff photographer present, etc. ClickUp's ability to organize all of this in one task card makes this complex process pretty seamless. Each asset can be defined as a subtask with clearly defined roles and due dates, containing its own sequence of communication and proofing/revising. Additionally, dependencies can be defined: ClickUp knows that we cannot begin work on the email campaign until we've completed the branding and social media assets, for example, and the app will inform the relevant team members that the branding workflow (for example) is at risk of throwing the rest of the project off-schedule. All of this together has materially helped us pull of large, complex projects with measurably higher efficiency.

We have used ClickUp as a complete business management tool, to handle managing our daily client responsibilities, our sales flow and our CRM, as well as our content creation and management portal. ClickUp has been an all-in-one solution, true to it's goal, where we could manage just about every aspect of our business activities. This includes things such as web design projects, search engine optimization clients, social media management, and business management for two other associated companies. I must confess, I have managed much of my personal life and responsibilities there as well! Due to my extensive amount of use of ClickUp, I am recognized as a Verified Power User by ClickUp.
  • Structure - I can create the structure I need for any type of project
  • Detail - I can create the custom fields I need for any type of data management
  • Versatility - From task mgmt to doc mgmt, whiteboards to mindmaps, I have multiple ways of processing data
  • Perspective - The multiple, customizable views are a real help
  • The new, integrative dashboards are an amazing help! Now, I can drill down right into my tasks from the dashboard graph views. Very helpful!
  • Speed - This is the big elephant in the room. It is an extremely slow platform to work within, especially with lots of data in the mix.
  • Analysis - While the ability to create dashboards is there, the automated overviews of project spaces in products like Asana or Quire is a gaping hole.
ClickUp is a great platform, and has tremendous versatility. If you are looking for a comprehensive business management solution, it could well be the answer to that need. It can actually be fun to work within, and the delays I was experiencing have been addressed through installing the app as a browser app from your preferred browser's settings menu.

I use ClickUp for task management between several departments such as Technology, Finance, Operations. For each department, the board serves a general project management purpose. The primary use case that we all have in common here is to ensure all deliverables are being tracked and nothing falls through the cracks. Specific to each department, the use cases can vary:
Technology: With tech, I use it to mainly check all of my prioritized tasks as a product manager and to see if there are any expected delays in any of the tasks. We also use it to address bugs and resolve them. Sprint management is the main feature that we use amongst ourselves to ensure that our deliverables are structured properly. We also use small features like tracking blocked and "waiting-on" tasks to make sure that if there is a particular item that needs attention and unblocking, I can take care of it.
Finance and Operations: With finance, we mainly use the boards to manage the requests that have been submitted to us. These go through an internal pipeline within finance and then are transferred to us using buckets that exist on ClickUp. The customizability of these buckets allows us to track them very effectively
  • Automated sprint management
  • Creation of labels such as blockers or other custom labels
  • Email notifications for updates
  • Warnings and reminders for tasks that are overdue/near deadlines
  • Log tracking of tasks and their timeline
  • A centralized dashboard should be there for analytics
  • Creating custom durations for sprints to accommodate for public holidays
  • Hovers for task descriptions for subtasks should also exist
  • The mobile app is not very easy to navigate when there are multiple boards
  • Template creation for sprint board structures would be great
Scenarios where it is well suited:
  • Resource allocation - it is very easy to allocate a particular item to a specific user and manage each task this way
  • Time management - very easy to manage timelines using the due dates, estimated hours, delivery dates items etc.
  • Task tracking - each task can be easily tracked based on the bucket it exists in
  • Notifications for all change management - all changes to a task that is being watched by a user generates a notification
  • Cross-functional collaboration - providing access to several departments and users is easy
  • Customizable project management - overall customizability is good which allows for each department to operate in a way that suits it
Areas not suitable:
  • Analytics - either i am not well aware of analytics or this functionality does not exist
  • Load management - resource load allocation management should be available
  • Productivity management - tracking how much was delivered by a particular user
  • Team management - creation of teams based on a set of users would improve aggregated tracking

ClickUp helps manage projects across multiple teams. My team specifically uses it to manage projects that come in based on templated steps or renewals. We love the ability to intake information, generate lists automatically, track time, manage priority and plan workloads for the team.
  • The intake form has been a game changer for us. We love that it creates lists/steps for completion once we have the information needed-all in one place.
  • The time estimates and time tracking really help our team schedule and maximize team efficiency. We can track it for future reference and get the estimates better for next year.
  • The ability to collaborate on everything. Simply put-it's been a game changer to really execute everything we need from one place. There's a lot less chaos when you no longer need 10 tabs to track/log/collaborate. The efficiency has been amazing.
  • The intake form was a little difficult to understand/set up. Once we got the foundation of concepts, we were good but getting started was a little difficult for us.
ClickUp works really well with managing our YOY project work and combining relationship management tasks in once place for collaboration.

Our Business Unit has shifted to using ClickUp for project management, editorial calendars, scopes and marketing repository.
  • Organizes bit size pieces of a project that multiple people are working on
  • Integrates calendars/task into multiple views so it works for everyone
  • Provides easy way to access files and create updates for internal and external viewing
  • File size I've had a few files that could not be attached.
We've used it for social media calendars. Project management and campaign launches. Personal to-do lists and team updates.

Our organization currently use for mainly those functionalities.
  1. Project Management / Both technical and functional Projects
  2. Management of content development and campaign scheduling
  3. Manage Supplier Development
  4. Manage Daily tasks
  5. Manage team capacity
The scope is both for e-commerce dedicated teams that need to develop new features or keep day to day operations. Or corporate purposes of planning.
  • Gantt Chart are Useful
  • task list management
  • Document Creation
  • Automatism of task
  • Delegation of activities
  • Calendar Management
  • Dashboard creation
  • Workload management
  • Integration with other platforms such as microsoft teams
  • UI Design and colors for dashboards
I would recommend ClickUp for all the functions that have to deal with the management of activities and teams. In detail Project managers, calendar managers, product managers and others that want to have both the detailed and macro views.

I would not use it for IT ticket handling on a day to day basis, because it would require some configuration. eventough is possible and easy to do.

We use ClickUp for managing marketing and technology initiatives, ranging from simple schedules in Kanban to full-blown Scrum projects within the IT Department, including support desk and some asset management. It come to replace several other platforms, increasing collaboration between team members and even between departments. Its ease of use and customization aided in transforming the way projects are handled in the organization.
  • Dashboards and Kanban.
  • Customisation
  • Automization
  • Easy task assignment.
  • More intuitive UI.
  • More Automatization Steps in Each Subscription.
  • Allow larger Customization of Dashboards and Theme Creation.
Best for small teams doing small development or bug tracking, marketing, and procurement teams. Small desk support just to keep track of requests. The list creation feature can let you excel if they are well created in some other areas, such as asset management or release requests between development teams.

We manage our internal operational tasks and external client projects in ClickUp. It brings significant organisational structure to, and greater clarity on, all of our work.
  • Structures and categorises tasks, projects and work really well
  • Automates repetitive steps
  • Enables collaboration seamlessly
  • Overall speed of development has led to regular minor bugs/issues
The learning curve with ClickUp is not steep, I found it intuitive from the outset, which led to quick adoption into our processes. When I wanted to go deeper with functionality, that intuitiveness continued, and allowed me to quickly build-out our processes for greater effect. The support structure is excellent, and very responsive, which is encouraging. Their learning resources are also excellent.

1. We use ClickUp to collaborate with all the teams with respect to implement new changes, raise user issues and get it fixed by involving the right team into it. As this tool has time tracking as well, it is easy to track the stay on timeline.

2. There are lots of tracking tools such as time tracker, charts (pie, line, bar charts) which helps in efficient handling of projects using ClickUp.

3. The ability to create and customise multiple dashboards is very helpful and gives out efficient inputs for the teams to work effectively.
  • Dashboards
  • Multi-team collaborations
  • Tracking mechanishm
  • Charts
  • Links multiple tasks
  • More customisable tracking mechanisms (although current one's are good)
  • Mobile app notifications do not work at all
  • More dashboard features
Well suited:
  1. In cases where there are lot of user queries, feedbacks which needs work from other teams to solve it.
  2. Creating and implementing new projects, checking to see if they stick to timeline.
  3. Use of dashboards to see if the tasks under certain project are in line with the goals set
Less appropriate:
  1. Where multiple team collaboration is not required

We use ClickUp to manage and track our social and digital media content creation pipeline. This allows us to see the status of each content piece (in progress, needs edits, scheduled, etc.) along with who is the lead designer. It also eliminates all the back-and-forth email communication as the comments section for each task can be used to deliberate and delegate tasks/next steps (serving the need for tracking and following up on our content creation cycle).
  • Clear to create and understand multiple views like 'kanban', 'calendar', 'list', etc.
  • Track context for tasks by being able to add sub-tasks, comments and attachments
  • Assign tasks to users and provide clarity to all team members on project status, timelines, and priorities
  • More 'roomier' or intuitive UI - there are lots of features and they can be hard to find at first
  • Have more onboarding/training videos for folks new to ClickUp since not everyone is a power user
  • Release ClickUp 3.0 sooner!
ClickUp is great for when there are multiple tasks/subtasks for a particular project and all members of the team need to be kept updated. A well-designed folder or list can easily replace the need for communicating via email and Slack/MS Teams. The different views also help identify priorities and create timelines effectively.

I was introduced to clickup with my current company bloomreach and what a fantastic app it is. Honestly it makes so much collaborative and keeps track of what project it is, how many people worked/ contributed to it to finish that. This has to be the best productive app ever i have come across. It's simply amazing and the fact that you can organize the whole team project, just gives a very good understanding on what team can do. The most important feature is the flexibility which it gives around to play, tons of customization labels, etc. I am impressed with clickup and i'm glad my company went with this. Over all as their caption says One App to replace them all it truly justifies what they go with it.
  • Project customisation (labels, Hierarchy , subtasks)
  • User payload data (Projects, individual contribution)
  • Ease of flexibility
  • None

We use it to keep organized, establish workflows, keep notes handy, decipher employee bandwidth and as a general resource for login information, partners, publishers, clients and companies/products we work with on a daily basis. We have many different dashboards for all the different teams/departments in our company. We utilize different dashboards for meetings to ensure we cover everything and stay on track. And our team uses it for fun too! We have a private bonding board where we share pictures, quotes, and things we're listening to/watching/shopping for. It's the best blend of work and play, and keeps us SO organized.
  • Custom fields.
  • Dashboards
  • Your conference!
  • Letting you know about bugs in the dashboard right away could be done quickly.
  • Fewer glitches.
  • Different color schemes to highlight different things.
ClickUp is well suited for meetings, filling out forms, collecting data, managing daily tasks, managing team bandwidth, managing work when team members are out of the office for vacations or sick days, historical data, and good to see how much money and campaigns our team has touched throughout the year. It's less suited for completely replacing emails or Slack.

We use ClickUp as a cross-divisional, interdepartmental project management hub and communication tool. When we began implementing ClickUp, our primary issues were a lack of communication with decisions, programs, and projects that involved multiple teams. This resulted in unnecessary miscommunications and tensions. We have a staff that ranges from 400-600 at any given time, and one of our historic challenges has been to create a structure that can last over time rather than being dependent on a person with a specific skill set or ability. Our goal with ClickUp was to begin to mitigate some of these dynamics as well as create guardrails and guidelines to safeguard our core processes and procedures. At our current stage of both on-boarding and implementation, we are already seeing ways that this tool has streamlined some of our communication and tracking of progress on projects and tasks.
  • Tracks tasks over time.
  • Provides a workspace around a task to keep communication in the same place.
  • Lots of flexibility in structuring and customizing your workspace to your needs.
  • On-boarding can be a little laborious for members of your team who are less tech-savvy.
  • It can be a little hard to find features through the various menus.
  • The chat function looks helpful, but it is not clear if it is powerful enough to replace some of our other methods of communication.
ClickUp is very well suited to task-based communication and project management. It tracks the progression of a project well over time and is well suited to facilitating teamwork. ClickUp, apart from a task, is not always conducive to communication. It does not completely replace email or an external chat function and is limited by its commitment to workflow almost to a fault. The notification system works well within a task but is not always as immediate as would be helpful for a quick chat conversation.

We use ClickUp mainly to track the capacity of our resources (employees). We want to make sure that no one is over-worked at any given time, while also making sure we are utilizing all resources as much as we can. By creating a structure of Spaces, Regions, Projects, and Tasks we can keep everything sorted. We assign a % Allocation value to each task (like this task will take Jeremy 50% of his time for 2 weeks) and use that to make sure we are using resources effectively and efficiently. Using the Gantt and Calendar views also helps us to ensure we are prepared for what's coming in the future.
  • Speed
  • Ease of Use
  • Clean Design
  • The workload view is not very customizable, for example you cannot collapse the allocation bars to a more condensed view
  • You cannot create placeholder assignees, like if I wanted to assign a task to a "TBD - Designer" if I did not have a specific individual in mind.
  • Guests cannot even view the workload view
ClickUp has been great on teams that have a steady flow of new projects, and a group of consistent resources that work on those projects. We have not yet tried it on teams that do not get new projects often, or teams where there are many external resources for example that need to work on tasks.

I have used ClickUp to organize and manage big and small events and projects where I work. I have found the calendar feature, the dependency features, and the survey functions especially helpful. It is the best project management software I have ever used. ClickUp literally saved my life on planning a major event in 2022x
  • Calendar

  • Dependencies and tying tasks
  • Allowing personal branding on survey tool
  • Higher education discount for a small team
  • Better and more usable iPhone app
  • Major event planning or project management
  • Variety of approaches to managing projects and visualizing progress
  • Survey tool integration with the entire management system
  • Incredible notes/documents feature
  • Keyboard shortcuts that make writing content super quick and easy

I use ClickUp to track the wide variety of projects and tasks my team is currently working on, and the status of each. I can view tasks by project or by team member, or view everything at once.
  • Overviews of tasks by topic, sub-topic, person, or everything (macro level)
  • Tracking of project or task status
  • Sharing of tasks between projects and individuals
  • Copy-pasting behavior from windows program is poor (formatting never comes over right)
  • Some tasks in rare instances randomly disappear
  • They decided to limit which colors you can choose as a user for your theme
ClickUp is very helpful and powerful when you need to track a variety of tasks relating to a project, or a variety of projects, and who is working on what. Their views are highly customizable so you will be able to get a good overview of just the information you wanted. I tried many project management apps and this was the clear frontrunner.

It's still slightly rough around the edges as it can be slightly buggy sometimes and copy-pasting into ClickUp from other programs doesn't always work well.

We use it to capture meeting items and the product roadmap. I am using it personally as well for following up on meetings I have with my direct reports.
  • API access
  • Being flexible for multiple use cases
  • Reporting features
  • The UI in general
  • iPad & iOS app could be better
  • Sometimes a bit slow to load the UI
It's suited for all environments that have some kind of project scope, roadmaps or meetings. If you need a very simple Task Manager without the need for example for projects, I think ClickUp might be overkill.

The engineer division uses ClickUp for product development (planning management such as requirement gathering - requirement generation - release plan, development, release) and Defect Management / complaint handling Management (management of defect reports that make improvements or need enhancements / feature requests), and from other divisions also use it in their work management.
  • I often use the automation options that ClickUp provides, and the ClickUp API is really very helpful for creating daily reports and notifications.
  • ClickUp dashboard and widgets provided are also very helpful for monitoring work in the team.
  • The many views (such as table, gantt chart, calendar and many others) provided in the display options also make it easier to maintain tasks.
  • I think ClickUp performance needs to be improved when loading data, when opening a detailed list, also when opening a dashboard with many widgets also takes quite a long time.
  • expand the automation options that ClickUp provides
  • expand widgets on the ClickUp dashboard
ClickUp has many features that can make us explore many things for our needs, such as jobs that require a lot of processes where we can have a clear and detailed job history. I think ClickUp is less suitable if you only need management of jobs that are not complex, such as those that do not require monitoring and not many processes.

We use ClickUp as a fancy to-do list, basically. It's especially helpful for multi-step processes that we do repeatedly that involve multiple different people. We create a template for that process, which helps ensure we don't miss anything and it easily communicates (automatically) between people when they're able to do their tasks.
  • Automated communication between people - "Task A is done, so you can now do task B."
  • Easy manual communication between people via @mentions and comments.
  • Templates for repeated (and somewhat involved) tasks.
  • Not terribly intuitive. It was difficult to get buy-in, ClickUp is typically the first thing an employee neglects when they get busy.
  • Occasionally glitchy, and things don't work. Reloading the webpage typically fixes it, but it's annoying to have to do that.
  • The desktop app was especially glitchy so I stopped using it. That was a year ago, perhaps it's gotten better.
It's not perfect, but for the cost and capability, it's the best I could find.

I use ClickUp to manage all my domain tasks from takeovers to pointing to all else in between, I do like this program as it offers a all inclusive automated service, the fact that the storage is almost unlimited also helps with keeping all the necessary documentation on each client without having to rely on multiple programs, in it's current state I would have liked if I could manage my emails inside of it as well, but that is a wish for the future for now the app is working wonders and it serves me excellently by minimizing the amount of programs I have to open at once.
  • Multi-use platform
  • Intergrations and automations
  • Task Management
  • Email management
  • speed (but they are working on it)

My team and I use ClickUp on a daily basis to organise project tasks and most importantly to allow visibility and collaboration between internal members of the team and external customers. By employing the use of ClickUp we can remove the need to do time consuming things such as exporting of screen capturing images of project plans such as Microsoft Project. The clever use of Statuses and colour provides us with immediate understanding of progress as well as making it easy for any guests we add to see and understand what is happening. It is also always available and up-to-date. Anyone can add comments, include documents see dates, timelines, KanBan boards etc. so there are many ways the product interacts with specific preferred methods.

We use it for assessment booking which involved allocation of manpower and room resources. The view form of calendar allowed us to easily manage the booking time and human resources. Although we are just using the free version, the flexibilty and function are good enough for us to fasten our operation.
  • Calendar view form
  • Easy to customize
  • Colourful layout
  • Recurring of task is not always functioning
In general I see the potential of customizing ClickUp to be a better usage for my team in terms of laying down all the resources required per task. However, since I am just a free version user, I am happy enough with the unlimited tasks and function I could use.

In our company, Click Up helps to organize and prioritize projects in all departments. With automations and all the other features of Click Up (which are not a few), creating consistent processes when executing projects becomes very easy. Tracking the status of projects is also so simple. I can confirm that since using Click up, we have increased our project planning and organizing skills. Our communication is also at a better level.
  • Ability to customize all spaces, lists, views, etc.
  • Quick response when a problem is reported and a responsible attitude from customer service.
  • Click Up are constantly working on improving their services. They treat their customers responsibly and are always responsive to their wishes.
  • For this moment click up has everything we need
Click Up is suitable for project management. It is also not convenient for direct communication (chat messages)
