Our team uses ClickUp to manage course design and production for a small 4-year college that also offers online and graduate programs. Our manager established the architecture and workflow and begins it by assigning ClickUp cards to us with detailed tasks and dates - we can add the dates based on our own timeline or the dates can be added by another staff member/our manager.
The challenge with our work is the potential turn-around of staff and having to manage project history. Having the ability to track progress, add dates, make comments, assign tags, means that we can track work throughout several people over long periods of time without losing important project details. It also means that, when one staff member leaves, all of their work for a course development project is retained in perfect detail and we don't need to rely on notes or shared drive/docs to keep up on the latest details of the project.
We use a consistent naming system in all of our ClickUp cards/items so that they are more searchable. We can use unique keywords in the item description so it's easy to search for a term or title and get all of the ClickUp items related to that project. We can also see the history of everyone involved and all of their comments. This is great for continuity of work!

ClickUp is our umbrella Project Management software. It replaces several team-specific PM platforms that we have used over the years and now integrates everyone from Executive to Account Management to Dev to IT to Design, etc. It alleviates the previously fractured approach we had to project management and integrates the time tracking and project codes that we use with Workamajig.
- Task assignment, tracking and watching
- Dev and QA revision history, API functions, Git integration (commits, pull requests, etc.)
- Time tracking and billing integration across all staff
Cons
- Interface can be overwhelming and hard to organize especially for new users
- General learning curve of onboarding especially compared to some legacy apps like Jira
- Occasionally buggy, especially when using in a browser vs. native app (broken links failure to load from status update emails in browser), frequent logouts in browser for no apparent reason, etc.)
Great tool, better UX and learning.

ClickUp is used by all departments within our organization: Product Engineering Marketing, Operations Sales, Operations HR, and IT admin. Each team manages/tracks and completes its projects or tasks. We also use it for personal task management and project collaboration.

As a busy female entrepreneur, my days were often filled with endless to-do lists, meetings, and deadlines. I struggled to keep track of everything, and it felt like I was constantly playing catch-up. That's when I discovered ClickUp, which completely changed my life. Using ClickUp as my project management tool has given me time freedom I never thought possible. The platform is incredibly user-friendly, although it has a bit of a learning curve, and I was able to customise it to fit my specific needs. I can now easily track all my projects, deadlines, and tasks in one place, dramatically impacting my productivity.
- Task management including subtasks and templates!
- Dashboards for a detailed overview of your status / progress.
- The homeview is all you need to GTD and stay focused!
Cons
- There is a steep learning curve, so more tutorials would be beneficial for new users
- Define things other than just tasks (this is coming in 3.0)
- Would love to see more layout and color options
