We only have one person who administers the system and it is only a part of their job. Most of the functions can be performed with minimal technical expertise. CSOD offers a lot of training to support admins.
In general and admin should have:
  • Some technical ability
  • Good process mindset
  • Creative
  • Detail oriented

Initially we had 1 System Admin. This person handled all implementation and config. over the years we have created admins for each functional area. Performance and Succession, Recruiting / Learning Management Systems. So now those folks handle executing day to day admin tasks in their relative areas and we have 1 overall platform config admin. Total of 4.

We have a single centralized resources for Cornerstone Support (end user and superuser support) and a network of training administrators across the organization that manage their own training and help to make system decisions. We call it the federated model and it helps to keep autonomy for the training groups but they have the support they need.

  • Reporting (understanding how other systems operate is a benefit also knowledge of excel helps and how pivot tables work as the functionality of reporting 2.0 is sort of similar).

There are multiple central teams managing the various areas of the LMS:
Support teams: different support lines that offer guidance, troubleshooting, connection issues, DQ analysis to role authorization, role supervision and tool customization.
Training teams: Catalogue and offer management, Distribution, Group and report management, ILT management, Digital content creation and QA testing the scorms.

We are using a center of excellence model of support for our org. One Manager with three practitioners who support a virtual customer service booth with Level 1, Level 2, and Level 3 support tickets. We have an internal Service Level Agreement and our turnaround is an average of 1.6 days. We have created a variety of self-service tools and job aids to enable learners to help themselves directly inside our portal.

This is a bit of a tricky question as the word "support" can mean many things. We have one system administrator (me) and I spend a few hours each day at the most doing system admin support for Cornerstone. That is for both learning and performance. We also have a whole Learning and Development department who do much more than support the system but they provide expertise in helping our learners in Cornerstone. We develop our own curriculum and create our own learning so that is about 4 people and they create content, upload the content, troubleshoot users who have problems with online completions etc. We also do many large events each month for instructor led training (ILT) and we have three people supporting that - their Cornerstone involvement is creating events and sessions and managing who is enrolled in those sessions. We have a compliance team that verifies attendance at those ILTs and handles the CPE compliance of those that went to training.

The CSOD tool is very robust. We probably used only 15% of the true functionality. It often frustrated though even our own HMI engineers and there are sections in the system that were not designed with users in mind. Too many clicks as one small example. The system is very robust. Someone with a strong HRIS background and some IT knowledge would be best to administer the tool effectively.

We have one system admin (myself) and two learning admins. The system admin is also the global process owner for the system and ultimately has final say with how the system is run and managed. The learning admins have user rights that are elevated beyond the standard user so they can support with troubleshooting courses, uploading new courses, user account access etc. The system admin should have a strong technical background and process management experience. The learning admins need to have a base knowledge of technology and a willingness to learn new skills.

Most of our in-house support staff provide support as a smaller portion of their overall responsibilities. We have five individuals whose responsibilities in the system are divided along these lines:

1) Lead Administrator/Governance Lead - Tasked with overall system configuration, governance, and testing support during quarterly releases. Also responsible for maintaining the relationship with Cornerstone support staff

2) Internal Training Coordinator (x2) - Tasked with tactical administration including entry of classes, rosters, simple reporting etc.

3) Dealer Network Training Coordinator (x2) - Tasked with system administration supporting our respective dealership networks

Mostly L1 type of support is required for Catalyst portal. As the application will be an third party application and we will not have the code of application most of the issues received were regarding processes only. They have got good support team too, for some of the issues they guided us to get an solution for business problems.

The system administrator had a general systems understanding and deep knowledge of the business area, in this case talent management. We trained this individual on the system implementation and on-going maintenance, so the system could be effective supported.
The back-up, analytics analyst, was tasked with providing system administration coverage when necessary and was focused on providing analytics around talent management, for that strong skills on reports and analytics were required.
