Within our department, it is used heavily as a communication and registration tool in event management. We use it for sending advertising emails and building registration and information websites for events with over 4,000 attendees from around the world. We use it for check in at events, to collect fees, and for data and statistic management after the events.

Cons
  • Some products have too many features
  • Help articles are sometimes outdated
  • Phone app is outdated
Cvent Event Management is great for coordinating communication and registration associated with large events. You can send a variety of communications automatically with a range of triggers (at specific dates/times, whenever someone leaves a certain page, whenever someone registers, etc.) and because you can build using data tags, you can easily customize those communications for each recipient. It also allows for complex registration and payment processes with lots of design and function options. This is ideal for multi-day events, conferences, reunions, and workshops with a lot of people. It collects and easily displays tons of analytic details and makes them easy to review. For very small or simple events it is perhaps not worth the effort, but to manage the details of large and complex events it works wonderfully.

We use Cvent for all sourcing worldwide. It is used by our entire organization and it is used by all associates. It is a fantastic tool for sourcing providing us with custom fields, great client reports, hundreds of thousands of site solutions for our clients. Helps us help our clients find the best locations for their events.
  • Client reports - easy to read, update and customize for our clients.
  • Mapping - love this option to be able to show clients exactly where their site options will be based on specific needs.
  • Communications with partners - allows us to communicate with many at once versus email.
Cons
  • Honestly, based on my experience so far, I can't think of a con or new idea for Cvent.
Based on my experience, it is an excellent system for sourcing - whether it's hotels, restaurants, convention centers, local venues. It fits our needs.

The web developers and registration managers on our operations team use Cvent to build and manage the majority of our clients' events. It's one of three registration tools we use and it allows our company to organize registration data effectively.
  • Clean reporting
  • Easy interface and navigation
  • The ability to import data into internal fields saves time.
Cons
  • I wish that after building an event, I could press one button that pulls all the fields included in that event build. Instead we have to handpick the fields which takes time.
Cvent is a strong tool for small, medium and large events that require detailed reporting throughout the life-cycle of a program/event.

Some SMM accounts/ departments within BCD M&I have their own instance of Cvent. BCD M&I also has their own instance for the event side of the business.
  • Budget. You can completely customize the budget module by creating a customized library of your categorizes and sub categories.
  • Registration Tool. You can create more fun/ customized registration sites and it also has some survey functionality.
  • The RFP/ Sourcing functionality is robust and easy to navigate
Cons
  • Reporting functionality is a little rigid. For example: We can only pull x, y and z question into x,y and z column, but we need it to be done differently. More customization in the reporting tool would be a huge help
I feel that the Cvent software is extremely easy to use and to learn. The way it is designed just makes sense. You can easily make changes if you have administrative rights and if for some reason you can't, their customer service is superior to that of any other software in it's competitive set.

Conduct and Manage webinars, events, conferences on national and state levels. We use invitee management, custom reporting, email/web site configurations. Our Education teams and Volunteers use Cvent to create their events. We also integrate Cvent with our CRM and DWH to manage 360-degree customer view and engagement across every platform. We also use Crowd compass and survey tools with Cvent. The level of engagement of our volunteers and leaders are calculated from Cvent for our incentive programs.

Cons
  • Standard out of the box Cvent Integration should be more dynamic.
  • Custom fields cannot be created on account level to maintain data integrity because event planners can change their data type, remove them or change them in their own events. There should be a way to allow users to provide access based on their roles like view/edit or delete permissions.
  • Currently, custom fields can just be created and within events only we can define their level of security/permissions.
  • Custom reporting does not meet the requirements for complex scenarios.
So far it has met our needs.
