It creates visibility into cost of wages vs sales and integrates with our payroll platform. Creating and filling shifts is very simple and copying rosters to the next week makes it simple to ensure all shifts are covered. Staff can clock on and off from their phones which does away with the need for additional hardware.

Cons
  • The ability to cost an unfilled shift.
  • A notification if a roster is not published by a certain day/time.
Deputy is suitable for any business that requires rosters and/or staff to clock in and out, it may not be as valuable for businesses that only employ salaried staff that have set working hours and don't need to see when they are working. Businesses with a large number of staff or multiple venues would see the benefits of Deputy amplified.

Deputy is being used across the entire business to cover 100+ shifts per 24-hour period. It provides a complete solution for all rostering, timesheets, and customized pay arrangements. Prior to Deputy, we were using a combination of other less suitable solutions, which did not integrate well with each other and required significant amounts of manual data entry.
  • Timesheets.
  • Training records.
  • Rosters.
Cons
  • Customer service and provision of advice to growing businesses--we had many difficulties getting assistance because our business had less than 250 staff, despite the fact that our business was growing quickly.
  • Better options for front-end management of training records (we find using the back end link much easier for adding training records).
  • Better functionality in the Android app.
Less appropriate if custom terms are needed, as these cannot be added or updated by standard users. Less appropriate for larger businesses.

More appropriate for smaller businesses that have complex rostering needs. The software works very well with 24-hour rostering arrangements.

Less appropriate with complex management structures, as access restrictions are not easily adjusted.

Wish Deputy would add our pay award to their system - multiple requests with no response don’t make us love the product.

We are using Deputy for time sheets only as we feel Deputy isn’t tailored to trade businesses.
  • Time sheets.
  • Logging GPS location of check in.
Cons
  • We have requested our pay award to be added to Deputy so that we can use Deputy for our entire payroll process on multiple occasions, we have never had a response and our award has never been added to Deputy.
I believe Deputy is tailored to retail businesses. We feel that construction (plumbing) businesses don’t get the support / features we need to use Deputy to its full potential.

Game changing software for scheduling small or large teams. Easy to use and the time savings will pay for the cost of the software!

We are using it to staff across multiple events across multiple states. It is great to be able to see available resources, and to be able to post empty shifts that can be picked up by individuals. Our team loves the flexibility of being able to put in unavailable time. Our management team finds it easy to use and it provides us with the ability to assure all our shifts are filled while respecting the time off requests of our team members.
  • The ability to email and text shift changes and schedules.
  • The ability for staff to provide unavailable times to management.
  • The ability to post "open shifts" so that PRN (as needed) associates can pick up shifts.
Cons
  • Once associates are archived, their shift information disappears. It would be nice for that information to be archived for review if needed.
It is well suited when you are managing multiple schedules. For our team of health care providers, we are easily able to assign roles to staff and to build a schedule that works based on an event. For example, a flu shot event that needs 4 nurses - we have three nurses that are available and can be assigned. Deputy allows us to email all nurses on our team to see if anyone is available (maybe it is their day off and they want to pick up overtime, etc.). The fourth nurse is able to easily pick up a shift right from her phone. It has been a tremendous resource management tool for our team.

I work in a bookkeeping company and have implemented Deputy for a number of clients. The one I am using for this review is a food/beverage industry with over 200 employees. It is used for scheduling and timesheets for payroll. It addresses the problem of scheduling and having a database with all staff members in a central place for shift covering between different locations and areas. It also implements awards, which is very useful for calculating penalty rates. The archive function for employees-not-in-use makes it easy to reinstate staff members if they leave then come back (majority of the staff members are students and may take extended periods of leave or leave then come back).
  • Scheduling.
  • Dashboard for timesheets and leave pending approval.
  • Easy for managers to view and set up schedules requiring training across different areas.
Cons
  • Awards - with over 200 staff members, [in my experience,] it is a nightmare trying to update the awards every time they change. [In my opinion,] it would be far more useful to be able to select an option to automatically apply award updates across the staff.
  • Customer Service - [In my experience,] when I started using Deputy 5 years ago, it was much easier to get help and to speak to people who knew the product. The customer service is absolutely shocking now [in my opinion] and is a massive reason why I no longer recommend Deputy to clients looking for payroll management software. [In my experience,] the responses are incredibly unhelpful and no one ever follows up. [Personally,] I've had issues that were never resolved, and [I feel] my messages have been ignored. [I believe] I've been led in circles for hours and passed around a team due to lack of knowledge when I needed help with some timesheet exports, and [I believe] I've never received a phone call I requested at least twice.
  • Birthday rate changes for employees - [In my experience,] we always need to do this manually in the payroll software for payroll adjustments. It would be easier if Deputy would allow us to change a birthday rate and apply it only to the timesheets approved after the rate change. [In my experience,] if someone has a birthday mid-pay period and we update it in Deputy, it exports out at the new rate for all shifts and not for the timesheets approved at that rate.
  • Better visibility on names - have their preferred name and their actual name in brackets. [In my opinion, it] makes it difficult for payroll when staff use different names and trying to match them up.
  • Audit reports seeing who made changes - eg: my company had all the public holidays set up for all the states in the background settings and one of the staff members who had access to the background settings went through and changed them, but we couldn't confirm who it was to advise them not to do this again as they did it incorrectly and it affected an entire pay.
It depends on what they are looking for. [In my opinion,] the scheduling is a great side of Deputy, but if their payroll is complex and has a lot of staff members, then I wouldn't recommend it. The cost of Deputy plus payroll software would be very high and, [in my experience,] it's not easy to manage birthday pay rate changes across a large employee database. [Personally,] I only recommend it now to very small businesses, who need basic timesheet functions because it's easy to see potential issues and manage. [I believe] it's not easy for employers who have staff taking a lot of leave and need it split between sick, unpaid, and annual.
