Dropbox is a critical tool in the every day workflow of my business. We securely share files with all the employees and that allows us to collaborate in a very efficient manner. We can also share files with customers, or vendors. We really enjoy using features such as file request. This allows us to collect information from third parties in a secure manner and have it delivered straight to our Dropbox.
  • Secure Backup
  • Collaboration in teams
  • Control of shared digital assets with external parties
  • Integration with Hello Sign was a bit clunky
  • Desktop app has had a few bugs recently
  • Backup options when plugging in new devices can be a bit annoying.
Dropbox is well suited for teams on the go and in companies where you dont want to manage internal network storage. This allows you to minimize the amount of resources you need to dedicate from your IT team when it comes to securely storing files. Some businesses with very strict document handling procedures might need to opt in for a more custom solution that is built in house for legal or other reasons.

Dropbox is good

We have found Dropbox a great document repository where we are able to store all kinds of documents related to projects, sales and marketing materials, training guides and the like. The access can also be restricted on a need-to-know basis. So a project related folder can be accessed only by the members who are working on that project making Dropbox quite secure when working on projects where client information is critical and access to it needs to be restricted.
  • User friendly
  • Can edit documents online as well
  • Uploads are very quick and easy
  • Notifications when a document is uploaded can be made quicker
  • Editing of document by multiple people sometimes causes issues
It is very useful as a document repository especially when working on projects where access can be restricted on a need to know basis. This ensures that project and customer data is always secure. Dropbox is also a great way to collaborate between team members where document updates are easily and seamlessly reflected to be viewed by other colleagues.

Our company uses Dropbox for data storage and backup meaning I can offload a large portion of files which I do not require on a daily basis to the cloud and keep my local environment cleaner. Dropbox is also used as a backup so that when we have a system failure, or a transitioning to new hardware, the process is much simpler.
  • File Storage
  • Seamless Integration
  • Simple updates for changes to shared files

Simple and seamless file sync. It just happens in the background and I pay very little attention to it.

As someone who has been using Dropbox for both personal and professional purposes, I feel compelled to share my experience with this versatile cloud storage solution. I initially started using Dropbox as a convenient way to store and access my personal files across multiple devices, but it quickly became an integral part of my work routine as well.
  • Manages files and folders
  • Lets you view the file before downloading
  • Syncs with your other systems
  • Sync across apps easier
  • Multiple account switches, for personal and professional use
  • Automations
Sharing files with customers who consider data to be sensitive. As someone who often handles sensitive data, the security features of Dropbox give me peace of mind. The file encryption, two-factor authentication, and remote device wipe capabilities ensure that my data is safe, even if my device is lost or stolen.

One can share files and folders from your cloud storage, simply by copying a link. Store the files on the cloud to save the work and operate online anywhere with safe authentication. Transfer large files, like videos, by sending a link for recipients to download.
  • Transfer large files, like videos, by sending a link for recipients to download
  • Data security and easy accessibility
  • Accessible from any device with safe authentication from the Cloud
  • Easy to organize data and share it with the link
  • Files shared by link will not get synced when changes are made by you on the same files.
  • New files added by other people or devices aren't syncing to your device.
  • The Dropbox files and folders disappeared from the screen and sync stopped working.
Suited because the app is available for practically every operating system, offers a flexible array of collaborative tools, gives solid offerings for premium subscribers, has digital signatures enabled, superb app integration, automatic file backup and synchronization, and has offline functionality. It's not well suited because it has poor storage limits for free users, comparatively expensive paid subscriptions, security weaknesses, and a limited search function.

We have a lot of images organized into years, collections, and archives in Dropbox. We are able to share certain folders with collaborators and stakeholders. We also use Dropbox to store all of our Model Release forms and Photoshoot documentation. I also utilize it to organize Social media content.
  • Organize
  • Share Folders
  • Starred Content
  • It would be nice to comment or add notes to content.
  • I'd like to see when someone else starred something
It is a little frustrating when I star images I'd like to use and those stars cannot be viewed by another team member.

We are a WFH company and all our files live in the Dropbox server. Files are easily accessible and there are little issues with syncing. Recently, a new hire accidentally deleted 3 years' worth of files in the server while learning how to use the desktop app. Dropbox was able to recover everything for us in a timely manner and we were back to work in a couple of hours. I'm really happy with the service.
  • File syncing
  • Accessible
  • User friendly
  • Time stamps on activity tab
It is so easy to search keywords without using tags within the files. This was so time consuming to do in the past and I'm happy to see images can be found easily without the use of tags.

We maintain a great deal of information about our company and our customers that needs to be shared among multiple computers and staff members. Dropbox provides us with a central location where all of our information is readily available. It's even available on our mobile devices, which makes things very convenient.
  • Shared data
  • Software to manage data on mobile devices
  • Status Notifications
  • Users with Multiple accounts
  • Forcing applications to use Dropbox for storage
Unlike some cloud storage applications (e.g., OneDrive), Dropbox is not necessarily tied to a specific user making sharing data among multiple users easy. The notifications when creating or removing files also make decisions to keep files or create them locally versus for everyone easy.

We use Dropbox to store and share all business and project files. It’s the central location for all employees to access files. Dropbox helps address our need for increased storage space and multiuser capabilities.
  • File trees
  • Storage space
  • Multi-user platform
  • Some files take a while to appear clear, as they buffer and remain pixelated.
  • When opening a PowerPoint, the format is all wrong, so we have to open it outside of Dropbox.
Thus far, it has worked better for our business than OneDrive. The organization of the file trees is better.

We use Dropbox to share files amongst each other. Dropbox helps us keep track of progress of projects, to keep all of the records old and and new, helps us keep track of all the invoices, design choices, photos. It also helps us communicate amongst each other. Dropbox connects us instantly wherever we are.
  • syncs documents
  • easy search system
  • easy layout
  • search system
  • upload ease
Dropbox is well suited for project management, to keep all the records together, especially pictures. Sometimes it takes the files too long to load or hard to find. I wish there was an AI integration that would analyze what is in the picture to name them automatically. I like Dropbox.

Our non-profit organization trains individuals in the skilled trades with our Pre-Apprenticeship Program. We use Dropbox mainly to house documents that our students/graduates complete during orientation, during class, and post-graduation. It allows a "one-stop" location where our department can obtain documents needed for various tasks, eliminating the need to keep paper copies.
  • Multiple users and the ability to manage permissions accordingly
  • Edit documents within Dropbox without having to download and then re-upload
  • Overall organization and ease of use
  • Ability to see the document in a small window without opening it
  • Overwrite/replace currently housed documents with the same name eliminating the need to delete the older ones
  • The ability to "color-code" specific documents based on their importance
I like having the ability to upload multiple documents and then move them to their appropriate folders.

We use Dropbox as the official storage for all of our documents. It allows multiple people to access the same documents (PDFs of legal agreements, meeting minutes, etc.) and provides a platform to share large documents quickly (photos, videos, etc.). We are a nonprofit, so not exactly a business. We use it for storage and sharing of all electronic material.
  • Upload photos in full size and quality from my phone to an automatically shared folder.
  • Allow smooth access to the same files from multiple devices.
  • Allow different privacy sharings for different folders.
  • I discovered some hidden files on the desktop version that appeared on the website version when the title name was included or other symbols. I then renamed the files and they appeared, but would be smoother to somehow sync those files to appear both on the website and the desktop Dropbox folders, regardless of title names.
  • I still don't fully see the difference or the appeal to one or the other with shared folders vs. team folders. We have both for different files, and I'm not sure why two formats are necessary.
  • Allow for some sort of setting that puts a cap on the GB of files allowed to download to each device. I first also synced the Dropbox drive on the desktop of my personal laptop for the occasional work while traveling, but it downloaded too much for the device to function properly, so I had to uninstall it and access the files via remote desktop, instead.
Dropbox is great for sharing and storing a high volume of files that are not to be edited, such as PDFs or jpegs. Dropbox is also helpful for me to access files that I alone wish to edit, as it allows for access from different devices. Dropbox is less helpful if a document is being edited by more than one person, and sometimes prevents an editor from saving their changes. Google Docs is often preferable for that scenario since all viewers can see the current status when edits are being made.

Senior management needs the analyses and reports I create. By saving in Dropbox, access is provided to the designated senior managers at a time convenient for them. The managers also can annotate, revise, and amend files for my later use and analysis and this also can be done at a timeframe convenient for me.
  • Seamless sharing of files
  • Familiar editing commands for filing
  • Immediate access to files for all authorized employees
  • I, sometimes, become confused when I use my business vs personal Dropbox facilities.
  • I wish it was possible to sync files between my business and personal Dropbox accounts.
Good for internal (within my organization) file sharing as I feel the files are secure. Not sure I feel comfortable sharing with external parties, but also not sure of the potential ways I can send secure files amongst external contacts. It may be out there, but a simple process for secure file sharing would be helpful.

We use it on each job we do. We go in and take pictures for insurance purposes and to see what products need to be replaced. Dropbox helps us keep tabs on each job as it comes up as well as giving us the tools to go back to every other job we've done.
  • Organization
  • User friendly
  • Easy to read layout
  • Make it easier to scroll through pictures
  • Make it easier to share with people not on the account
  • Make it more cost-effective for people without full access
Suitable for any company that documents jobs or job sites, anyone that needs to take pictures to send off or to revisit, and any companies that are involved with insurance claims.

We use Dropbox to host more of our items. I do believe the company may be looking at switching to Google Drive which has been met with some hesitation. I think the issue was that some people across the company used Google and others used Dropbox and they are trying to see which one works best for everyone. While I like Dropbox sometimes I find the folders difficult to manage but that may also be how it has been previously set up.
  • Organizes
  • Provides easy access to everyone
  • Easy to go through folders (again may be a internal issue with our process)
I am more used to Google Drive so I am more open to that. However, I know my boss loves Dropbox and we are currently using that more. It does help to keep some organization, however, the folders are all over the process. I would love to figure out better organization with what Dropbox can truly do.

We use it to store all our documents. I use it daily in order to save all the important documents and review information about the different cases that we have.
  • Edit documents
  • Organize and save important documents
  • Safety and protection of documents
  • The site crashes very often
  • The search bar as it is sometimes difficult to search for specific files
  • Very slow sometimes
It is not well suited for large documents since it can be very slow. For urgent documents that are related to work, it is not well suited since the site crashes very often and when that happens, we don't have access to our documents. It is well suited to use it as a backup of your files, but, overall, I wouldn't personally recommend it as the number 1 option.

We use Dropbox to host and share all client files for live updating across multiple employees. We have over 700 GB of files.
  • Quick file syncing.
  • Easy access of files from anywhere.
  • File notification when others have saved, deleted, or moved files.
  • Searchability by file name: if nothing is found, it could recommend a shortened term or similar term.
  • Ability to see progress bar/time for file syncing.
Dropbox is well suited to teams where file sharing is important. Syncing is pretty quick, with larger files taking more time. We have over 700 GB of files, which makes the ability to share across multiple staff easy. Users can keep specific files locally downloaded, syncing updates to Dropbox for team access, offloading files once they no longer need immediate access, and taking up space on their local drive.

We use Dropbox to work on documents together. This is especially important for manuscript writing. We also use Dropbox with collaborators to distribute files too large to send via email. The only downside to Dropbox is that files accumulate very quickly. For instance, if you have the system synced to your desktop, copies of the files are stored locally. If then a person uploads 100Gb to your shared folder, 100Gb of your desktop drive is instantly used. This can be alleviated by turning off the sync feature.
  • Syncing
  • Sharing to other users
  • Saving conflicting copies
  • Too many conflicting copies. There should be a warning when someone currently has a file open.
Dropbox is great for file sharing and for multiple people to edit the same document. The two downsides are the file sync to your desktop and the number of conflicting copies that get saved. The file sync is convenient as it saves a copy of everything to your desktop, however, when other users upload large files it fills your hard drive very quickly. The conflicting copies issue is the result of two people having the same file open at the same time and making different versions of the same file. Every time this happens a new conflicting copy is created. It becomes confusing.

Dropbox has been a game-changer for our company and our employees. Its user-friendly interface and robust data staging capabilities have simplified our workflow, ensuring our teams have access to up-to-date information effortlessly. The platform's seamless collaboration features, cross-platform compatibility, and comprehensive security measures have not only enhanced our productivity but also provided peace of mind.
  • Dropbox's real-time collaboration features, including simultaneous editing and commenting, have revolutionized the way our teams work together.
  • On multiple occasions, we've accidentally overwritten important documents or needed to retrieve deleted files. With Dropbox, we can easily revert to previous versions or recover deleted files, preventing data loss and minimizing disruptions.
  • Dropbox excels in making file sharing a breeze. With just a few clicks, we can generate shareable links or invite colleagues to shared folders.
  • Custom branding options for shared links and folders would help businesses maintain a consistent and professional image when sharing files externally, adding a touch of personalization to shared content.
  • allowing users to set view-only access for specific sections of a document while maintaining edit rights for others would be valuable for collaboration on complex documents.
  • Integration with More Apps
Dropbox lacks advanced project management features, so businesses heavily reliant on project planning, task management, and timelines may find it less appropriate. In such cases, a dedicated project management tool might be more suitable.

-Limited Budget: For startups or small businesses on a tight budget, Dropbox's pricing, especially as data storage needs increase, can be a concern. It may be less appropriate for those seeking more cost-effective alternatives.

We use Dropbox to share large amounts of data, maps, design work, and other information throughout our company. Dropbox helps us address the transfer of data throughout the company because we are located in different parts of the State. Our data has gotten too large for email, and Dropbox gives us a place to store and share.
  • Easy accessible.
  • Folders and files resemble "normal" computer looking files.
  • The app allows us to view documents on the go.
  • I feel the online or app versions should look more like a computer file folder.
Dropbox is perfect for storage and large data sharing. For small data sharing, email works just as well.

At our coaching and training company for HVAC, plumbing, and electrical industries, we rely on Dropbox every day for storing both internal and external files. The external files mainly consist of videos that our customers can watch on their own or files from our HVAC and plumbing company that serve as templates for laying out their documents.
  • Organization
  • Sharing
  • Live Editing on Documents
  • I didn't like the last two updates for the organization. It doesn't make things easy to find.
  • The search function is not my favorite and usually can't find what I need by using search.
  • I don't like the dark theme that Dropbox changed to without my knowledge of change.
We used Box.com before switching to Dropbox, which I was familiar with, but it still wasn't a great platform. While Dropbox does some things better, I don't like how it takes hours to upload a video compared to Vimeo, which only takes 5-10 minutes. As a workaround, I upload to Vimeo and add the shortcut web link to Dropbox. It would be great if Dropbox improved its video upload speed.

We use dropbox to store our client data and organize our file structure so we don't have to have an in-house server and still have all team members have access to all firm files.
  • Allows us to have word docs and Excel spreadsheets that multiple people can work on at the same time
  • allows flawless integration with the windows operating system that allows us to see shared files as if they were local files
  • Dropbox helps us feel secure about our file storage management and security of that data.
  • better notifications about conflicted copies of files
  • Let us know in a more direct way when someone else has the file open on their desktop rather than the online web version
  • allow a secure file sharing with people outside of the organization who don't have a dropbox account.

Our company uses Dropbox to hold, maintain, organize, and access all of our clients' collateral (graphics, videos, copywriting, social media calendars, press releases, etc.). We are able to tell fellow coworkers how to access folders to update, edit, or review collateral all in one place. It's easy to transfer items in and out of folder, easy to update and save items online, and it's a great way to access information on the go. We utilize Dropbox online and on our external hard drives. We love using it. We are also able to share links to our clients for reviewing collateral in a project without having to download, re-upload, and start all over every time they have an edit. I recommend Dropbox to every one with a business that needs to hold a large amount of information and easy sharing of large files.
  • Large storage capacity.
  • Easy & quick editing capabilities.
  • Fast saving and updating.
  • Easy to use and access.
  • Sometimes, it can be difficult to access files if they weren't made offline.
  • Although rare, Dropbox can get messed up by saving files or freezing an upload for periods of time.
Well-suited for: - Small businesses/organizations - Personal use - Sharing large files in a safe and secure manner - Updating documents on the go Less-suited for: - Large corporations with more than 15 people.
