Community Insights

TrustRadius Insights are summaries of user sentiment data from TrustRadius reviews and, when necessary, 3rd-party data sources. Have feedback on this content? Let us know!

Users of the Open Text web app have made several recommendations based on their experiences. The three most common recommendations are:

  1. Stay true to document management standards before creating a system: Users recommend ensuring that the system adheres to established document management standards in order to maintain accuracy and efficiency.

  2. Explore other options before choosing Documentum: While some users find Documentum to be a good repository for saving documents and data, they suggest considering other interfaces that may offer more efficient solutions.

  3. Consider PLM tools as an alternative: Users suggest that Agile and Arena, among other PLM tools, may be better than Documentum for managing documents. However, if a PLM tool is not an option, Documentum is considered the best out-of-the-box tool available.

It is important to note that while some users recommend Documentum for its record management and documentation capabilities, others caution about high maintenance costs and the need for skilled labor. Additionally, users suggest negotiating pricing and packages, having experienced implementors and administrators, evaluating flexibility in accommodating changes, and considering long-term vision and investment. Some users even recommend using Documentum in specific browsers or replacing it with a more robust platform for web content management.

Overall it is a very easy tool to manage content and documents. However, it requires a little effort to learn. And imaging, Core DMS, BPM module we can use easily. One of the best reasons is to have this i.e security and version history along with a comment feature which makes it better.

Documentum is best used in medium to large institutions that can afford it, have alternate solutions for web publishing, and who have either in-house developers or can hire good Documentum developers (not the ones who know Java but do not understand ECM). It is, in my opinion, the best heavy duty ECM solution out there, assuming OT is not gutting it as we speak. That is my only hesitation to not giving it a 10, OpenText is an unknown quantity in this and I worry that they will only support Documentum until they have figured out how to fill the gap between Documentum and OT and then offer a migration path to OT with a Documentum sunsetting as an incentive.

EMC Documentum is very well suited if you have large number of content and user base is high.

This product is very scalable compare to others.

Not suitable for small companies because of cost and number of installations.

Documentum is very well suited in an environment where there is a need for compliance and security. It is compliance-approved by government agencies, which frequently makes it a software of choice for compliance purposes. It has very strong integration interfaces with other enterprise systems. It has one of the industry's best workflow systems. It allows so much customization and extensions for customers that upgrade (it becomes an expensive affair). If customers are expecting a high performance, this product is not suggested.

What are the document volume, the throughput - currently and expected in year, 3 years etc.? Is the company doing content management on international level, where access from multiple locations is needed - then Documentum can be good investment. What ECM system will be used for - document storage, document lifecycle or retention? Or all of the above? - Documentum works very well if all 3 items are combined, yet for storage there must be cheaper and more easily adaptable solutions available.

If you need robust repository with ultimate performance and no downtime go for Documentum. However, do not expect it to be the best interface for users unless you develop a custom application. EMC has done well with D2 compared to Webtop but still has a long way to go compared to the richness of the user interface provided in current times.
