Currently EMS is being used globally at my account. We use EMS for space management, video conferencing, catering and audio visual equipment inventory.

  • More intuitive catering options for example we have seasonal menus, it would be nice to have a date feature for when menu items are available.
Overall I like the product, the visitor management piece needs to be enhanced. Not all visitors go to a conference room.

EMS is used in our student center on campus. Students, faculty, and staff are able to view spaces and book rooms in the building on their own. This saves me a lot of time from inputting repetitive info. I use EMS to communicate with all of our service providers as well and producing quality data.
  • Room statistics. I use this a lot when I have to prove a case, or ask for more facility money.
  • Set up worksheet. This can be manipulated for our services providers to only see the info that pertains to them based on categories.
  • Web App - Our users are able to do everything themselves anywhere, anytime for booking rooms and adding set up details. Including making changes/edits at a later on date!
  • At my university I am struggling to get the push notifications to work - I have a feeling it is some setup with the firewall and our IT people.
  • This past year we definitely felt the company changes - there was a struggle with the customer service aspect, after attending the conference, I really got the impression that this is something they are going to work on and with Accruent/EMS.
  • It would be nice if there was a diagram system within EMS instead of having to use an outside one like Social Tables.
Our campus uses Ad Astra for academic scheduling. By far, I hear that EMS is MUCH easier to navigate when reserving space in our building versus a room somewhere else on campus.

  • User friendly - everyday users and super users can interface about events in one location
  • Integrates with other platforms we use - Social Tables, Four Winds, Outlook
  • Our issues are mostly with our internal ITS division. We are exploring new services with the Accruent fabric.
I'm not particularly tech savvy, EMS is easy to use and configure. We are hoping that our entire campus will switch to the system.

Event scheduling and course class room scheduling.
  • Class room scheduling is very helpful. The optimizer is great for maximizing class space
  • Event management side is great for room management. Our campus life area utilize EMS to schedule rooms for student orgs.
  • Our current edition 43.0 does not allow us to have multiple building options. This would be helpful. As of now we have to use views or areas.
EMS works well for classroom scheduling. The final exam scheduling is not as smooth. Our office uses an outside software for the final exam schedule.

We use EMS for events on campus, disposal requests, and video permits.
  • It tracks all the events on Campus making it easier for us to provide our Department with the services they are requesting.
  • Also we use EMS for disposal of scientific equipment or any other type of surplus furniture people need to remove from their space - keeping track of all the inventory we have on equipment.
  • I love the software, it has made my job easier, especially on generating reports.
  • It could use more user friendly fields for new customers requests.
  • It could be a little faster - I don't know if it's just in my office that it gets slow sometimes, not all the times, but when it does I have to give it some time to get back and do what I need to do in EMS.
  • Other than that I'm very happy with the program
I enjoy working in EMS on a daily basis because it helps me keep track of all the events that are happening on campus--making sure all the services we provide are met to the customers' standards. It's always good to keep the customers happy, starting with the event scheduling on EMS. We here in UCD are happy to have EMS for us and our Customers.

We use EMS to schedule event spaces in the Student Union, our Housing facilities and our School of Continuing Education. We also use it to invoice/bill for Marketing pieces and assign marketing locations. In addition, we give the ability for student organizations to get permission to set up food sale fundraisers.

EMS has the flexibility and features to handle a variety of event needs. If you have multiple scheduling needs that include classes and events, this software is for you. It also has the ability to create various resource needs. The software really can do almost anything that you need. Several of our hospitals use EMS to schedule conference rooms in various departments. Each hospital has at least one administrator who assists with day to day issues. Unfortunately, each site has their own ways of using scheduling for their EMS. However, many of the locations include room and catering within EMS. Each site also has the web option of EMS to allow people to request space.

People who schedule conference rooms, banquet halls, training, and classes. EMS allows many people to view conference schedules so they can pick open times and rooms quickly. Catering can run reports prior to meeting times to assist with scheduling and food prep. Site support can determine additional equipment is needed prior to the scheduled meeting so equipment can be in place.

We use EMS for two purposes. Each department in our museum uses EMS to book meeting spaces and plan their own internal events or events on behalf of the museum. I work in the Culinary/Special Events department. We work with external clients to plan private events at the museum. We use EMS during our whole process. We create bookings, build BEOS and invoice through EMS.

EMS helps everyone know what is happening in the building at any given time. We have many people and programs at the museum at any given time and we're able to give internal departments ability to see everything that is happening. We also use it as a communication tool. We have programmed several notifications that notify specific departments about reservations and resources. We also use the reporting function every day across departments.
  • Allows us to create specific reports for each department. For example, each month we report on financial earnings based on external events. EMS allows us to pull events based on parameters we set.
  • We are able to create resources specific to what we provide as a museum. For example, we can put completely customized menus into EMS. There is a lot of freedom in creating new resources.
  • We have many various event spaces as well as "non-building" items that need to be booked as rooms. For example, we have hundreds of tours that go through our building. We are able to set up tours as "rooms" and our staff is able to view the tours going on the same way they could view meeting rooms or event spaces. We also utilize this for van reservations.
  • It would be helpful if we could create multiple invoices per reservation. Currently, we can only create 1 invoice per event. So if a client needs a zero balance invoice, we can't send them a formal invoice. We have to send them a Summary of Charges. Once their payment is processed, then we can process the official invoice.
  • We have to use separate ticketing software for our museum. It would be helpful if EMS could talk to ticketing software or if it eventually had a ticketing function.
  • It would be helpful if EMS could also talk to staffing software or have a staffing function.
EMS is well suited to event venues that have several rental space options. You are able to view multiple areas at the same time so you're able to see multiple reservations at the same time. It also serves as a useful communication tool across departments. We have 200+ employees and several employees in each department have access to EMS. We're able to add notes and comments that can be seen by all necessary parties without having to use another tool such as a google sheet or shared document. In our venue, most of our services are in house (catering, facilities, av, etc.). EMS allows us to add all of those details into one space.

I found it was less useful in a venue that only had one main event space. It was still somewhat useful for creating BEOs, but we did not need EMS to it's full extent. We also only had 4 employees so communication was less difficult.

EMS is currently used across the entire university campus. Currently all the spaces on campus are built into EMS, I am working on getting people in those departments to be on board with using EMS and having their spaces be reservable through the web app for students and departments.

We use it for room reservations, all event service orders, Master Calendar, integrations with digital signage. Used across the entire campus, and multiple service provider managers. EMSWebApp is primary access point for people to request use of space, or self-serve spaces. Cuts down on double-bookings, and ease of communication between service providers.

  • ROOM HOURS!! The system needs to be able to give us the flexibility to have room hours, and not just building hours, because they are not necessarily the same things.
It is perfect for 95% of our needs. I foresee any issue where it is not well suited for us, becoming a non-issue with the G Suite integration.

TIAA uses EMS across the entire organization and for some of our affiliates. By integrating the Outlook Plug-in, we made a one stop shop experience and enabled meetings to be booked in Outlook while adding Webex, inviting people, and including attachments, etc.

We primarily use EMS software to manage and book conference rooms. Clients within our organization book over 15,000 meetings per year. They can also select services and resources like AV equipment, or request a technician. For larger events, we use EMS as an event management tool for organization of event services and billing to clients after the event. Other departments use EMS to support our conference rooms, whether it’s catering to verify order locations, setup/cleanup staff, facility maintenance, etc.
  • The customization and configuration options of EMS are unparalleled. There are so many options for permission settings that can be unique for each department’s needs.
  • EMS has excellent customer service. Their support staff is incredibly approachable and knowledgeable. My issues are always resolved with a friendly attitude.
  • The EMS Live conference is a great place to network with other users to compare tips and best practices. I always leave the conference with new ideas to implement.
  • EMS audits and tracks the history of each reservation, which is helpful when users cannot remember when or why they cancelled or modified their booking. It’s easy to show them their history with comments and email confirmations as proof that changes were not arbitrary or by mistake.
  • There are no areas for improvement as I see it with EMS.
EMS is perfect for small organizations all the way up through global corporations to manage and book everything from desk space to conference rooms to classrooms and even resources.

We use EMS to manage classroom, meeting and event space. As well as non-room items like banner space, or van use. We also use EMS to manage services, manage classroom support, invoice and track payments. EMS is used across most of the university. From the Memorial Art Gallery, to the Eastman School of Music, athletics, student activities, Med Center.....etc. It allows the multiple entities to share common space, such as our registrar, events, and student activities.
  • EMS is really good at providing data. The query builder allows you to pull a lot of data to answer a lot of questions.
  • Using the Web App is extremely helpful to reservation coordinators. Allowing users to search for their own space reduces the number of phone calls from those looking for available rooms.
  • EMS is great for maintaining our event services inventory. It helps prevent us from double booking gear.
  • I’d love it if, when EMS changes features they can provide an ‘off’ switch. So I can disable the new wonderful feature that my users hate.
EMS is great for managing bookings for space. EMS might not be best at creating schedules for individuals.

EMS Software is being used by several of the schools at the University of Rochester. EMS Software is used to manage spaces used for instruction, athletics and our Memorial Art Gallery.

We are a conference center that purchased EMS Campus to replace our reservations system. Since EMS Campus includes unlimited users, we began to roll out EMS to other College/Schools/Units. We have sold 8 shares of EMS throughout campus and have onboarded units with unique spaces such as Parking and Transportation and Marine Science Institute. the roll out has been a tremendous success and we'll continue to expand our reach.
  • EMS is extremely flexible for different use cases
  • EMS support via sales/marketing is particularly good. Technical Support, at times, very good and not so good at other times.
  • EMS Kiosk/room signs app has improved tremendously, the look and feel, with the most recent release 27.1
  • We are excited to begin with Outlook plug in
  • Releases and Upgrades are a nightmare. We routinely feel as if we are their QA team vs the other way around
  • Perhaps naive on our part, we jumped into 44.1 immediately upon install and have been routinely applying updates. However, each time we release an update, new bugs are introduced thus requiring more debugging.
  • EMS developers don't provide "hot fixes" thus requiring to install yet a new release in order to correct one problem i.e. most recently, the kiosk clock was off and couldn't get this fixed until we rolled out 27.1, which was deployed a couple of days ago.
EMS is well suited for high education since your customer based is primarily in that sector. It fairly intuitive, we love the web app since that's how our customers are used to reserving space.

EMS room displays (Glance) was NOT a good experience at all. We we told to buy iPads to roll it out, we ran into a lot of issues with iPad/wireless connection because of the University's fire wall. Once we figured out how to pass the wireless/security issue, we began to notice the iPads were melting, probably because they were on 24/7. Now, we are in the process of replacing these iPads with Memos.

McCombs School of Business has been using EMS for over a year now and has had tremendous success with the product. EMS replaced a home-grown system and has allowed us to scale our space requests more efficiently to accommodate our new graduate building. We would not have been able to quickly quintuple the number of reservable spaces without the help and ease of EMS.

EMS is being used in multiple operations on campus all managing space and physical resources in different ways. EMS allow us to provide a flexible option for managing individual operations on a shared license to reduce costs.
  • Provides communication tools that help with customer emails and workflows within an operation.
  • There are many wizards and tools that help make processes very simple and easy.
  • The product is very flexible and allows for multiple use cases.
  • There are always updates to the software and they are continually working to improve the product.
  • Strategic customer training and support could be better offered and made more accessible
  • Customer support has room for improvement and there is usually a lot of back and forth to get a question answered.
  • The Desktop Client looks very dated and could be modernized and easy to navigate.
EMS is a great resource for higher education groups that offer meeting space to known and unknown populations. In our application, we use EMS to manage regular conference spaces that require approval processes and contracts as well as walk up reservations for study spaces that have no charge associated. EMS however can be overkill for some groups that need only simple bookings.

EMS schedules all of our facility space for Carmichael Complex. It is a 350,000 square foot wellness center that houses informal recreation, academic classes and varsity athletics. All facility spaces are in EMS for users (internal and external) to reserve space. EMS helps us reserve, schedule and bill organizations for utilizing Carmichael Complex.
  • Web Requests: Our organization uses web requests from two different groups (1. Academics 2. Programming). It allows the user to easily find and request space. On the back end it is easy for our Reservations Manager to view, modify and confirm the requests.
  • Dashboard: The Dashboard feature has been a great resource for our organization. We have built work flow processes and integrated them into the Dashboard. This allows our Reservations Manager to know where all the requests or changes to requests stand.
  • Room Availability Navigation from Desktop Client: Carmichael Complex is comprised of 350,000 square feet (3 indoor buildings) and 18 acres (3 outdoor complexes) we have to manage. The Desktop Client allows to easily see what is available and navigate through days, weeks and months at a time.
  • Visually Intimidating: As the supervisor of the staff utilizing EMS on a day-to-day basis, I only am in the system 2-3 days a week. Therefore, I am a novice user and I do not have the experience of using the product a lot. When I first started using the software, it was visually intimating with all of the tabs, drop downs, and options. It seemed very complex and not easy to navigate. It has gotten easier with more experience, but it is not my favorite interface.
  • G Suite Integration: Our institution is a G Suite client so we are excited about the possibilities once the G Suite Integration happens later this year! We had difficulties with individuals reserving space on Google Calendar and not reserving it through EMS.
  • Tutorials: It would be helpful to have access to tutorial videos to help individuals who do not use the software everyday. I am a fan of the 24/7 customer service support. It has been helpful.
EMS Software has been well suited for our reservation process. It has helped simplify the process for academics to reserve teaching spaces within our organization. Additionally, it has allowed our internal programming staff to look up, request and reserve space for their programs. It has taken a lot of pressure off of our Reservations Manager who could have up to 150+ requests every day.

  • New to the system but am looking forward to the reporting aspects.
  • New to the system and hoping for less repetitive entry than what's in our current system.
  • Looking forward to implementing the tips that we have learned at the EMS Conference.
  • Wish we could add our Visio Diagrams to the system and be able to make changes without having to create and reattach PDF’s.
  • Being able to invoice through EMS and have the charges automatically sync with our current accounting department systems.
  • Have our deposit form attached to EMS while prepopulating deadline dates.
Being a new user and still in the implementation process I am unable to completely respond to this question, but am looking forward to seeing what the software brings to our organization. I appreciate hearing other users share scenarios of how their organization is using the software and their hopes for the future.

We use the software for academic scheduling and event management. We currently have EMS deployed in three major event venues with the plans to bring others on board in the spring semester. The software addresses the utilization need for the academic side, and a centralized point of reference for the events side.
  • User Defined Fields- this allows you to capture additional data that is not in EMS
  • Unlimited confirmations - You can create as many confirmations as you would like for each area.
  • Ease of confirming an event!
  • HRTK- This is a tool that is awesome when it functions! This allows you to upload users to the system for them to make reservations.
  • Language can be a little confusing at times.
  • Invoicing- could use additional functions within the invoicing area.
  • Some information is not captured by EMS automatically, but UDF's (User Defined Fields) allow for additional functionality!

It is used across the whole campus mainly for registrar and event scheduling.
  • Using the web app to have students and departments submit request to reserve a room
  • All locations are easy to see
  • Multiple storage managers can communicate
  • User defined fields could do with more flushing out. Like being able to have a multi leveled dependency and have user defined fields appear basic on the room selected by the everyday user
  • Categories could have the option to be made required
  • Possible to have the option for a status that can hold the space but also allow the everyday user the option to request the space and be added to a wait list
Obviously scheduling is where EMS is well suited. Less so is to track member information

The software will be used across the whole organization for events, and academic classes. We will import courses into EMS and our event staff will create events in EMS as well. Our service departments will utilize it as well.

Can’t Beat EMS

At the University of Wisconsin it is being used by multiple departments but not everyone (School of Business, Intercollegiate Athletics, Student Unions, Student Activity Center, School of Education). These groups (including us) mainly use this this system for event reservations. Academic scheduling is done through another software. In the Division of Recreational Sports we use the system to schedule all of our facilities (indoor and outdoor) for basic usage, internal programs (intramurals, fitness), academic classes that take place in the gyms along with facility rentals. We use the Web application, invoicing is done through the system and we use the API for specific parts of our organization's website for schedules (building hours, todays schedule of group fitness classes, etc). EMS helps us stay organized and helps us maximize the use of our spaces. It takes away a lot of human error with scheduling and invoicing.
  • Reporting. EMS has amazing report features. You can get data and reports on almost everything. Data driven decisions is huge for our organization and EMS helps us with gather data in a couple of clicks.
  • Reservations: EMS is great for stopping the human error with reservations / contracting / invoicing. There are many tools that can be used to prevent booking space outside of building hours or auto calculating rental pricing, etc.
  • EMS is always growing and expanding. They keep adding groups into their software for integrations. HVAC for example. Many groups are starting to implement this integration because the return on investment can be as little as 1 year.
  • It would be nice to add multiple people on a support ticket. Would love to be able to have our IT person and myself on work tickets as some areas are IT areas that need the adjustment and other areas pertain to my admin side and not the IT side.
  • The integration and all of the different add ones. Understanding which ones work the best for you but understanding the pricing for each one.
I have been talking with a colleague at another university about EMS. They do not use it, and when asked what is the number one reason to have it, I told him that the reporting is the number one reason to use it. I know the software they are using and our industry (intramural / recreational sports / wellbeing on campus). I explained to him how I can put together budgets for the upcoming year or adjust budgets in less than 5 minutes with the reporting EMS has. I can also put together information for our leadership team on attendance, space usage in less than 5 minutes when they start talking to potential sponsors or donors for projects. It is hard to find that in any other software. EMS has such robust reporting features. No group can match it.
