What is EPAY Systems?

EPAY Systems is an HR and workforce management solution. It can be configured to meet the needs of complex labor environments. The vendor says this helps users stay in compliance with labor laws, while reducing labor costs by up to 5% or more.

The system can accommodate unique business requirements including (but not limited to) complicated overtime rules, shift differentials, multiple pay groups, and union contracts.

Time collection methods can be mixed and matched to track an hourly, spread-out workforce. Biometric time clocks, mobile time tracking, telephone time tracking and online time tracking aim to help reduce labor costs by eliminating time rounding, buddy punching, and manual calculation errors.

At Fortis Lux, EPAY is how we are automating the financial planning and paying process. Each client is distinct and so are the financial plans. The financial planning department at Fortis Lux sends financial planning invoice emails via EPAY. The first step is to enter the client's name, email address, and the amount charged. While many clients pay the entire financial planning fee all at once, some clients prefer to pay half up front and half at plan delivery. The EPAY system allows for one-time manual or reoccurring payment plans. EPAY is ideal because credit cards are accepted. Occasionally, a client will need to change their credit card information. In this case, there is a simple walkthrough to update the payment method information.

I am able to track which of my clients have paid their invoices and which have not. The number of days that the EPAY invoice is outstanding is easily accessible. The date the original invoice was sent is displayed. The initial form to complete in order to send the EPAY is so simple a caveman can do it. Just need the client's name, email, and the amount of the invoice. The automated follow-up emails to the clients who have not paid are helpful.

  • The total planning fee is increasing partly because of the concierge style of the invoice system.
  • White glove service is improved because of the layout and performance of EPAY.
EPAY is completely digital. There are no paper documents used. EPAY has a platform for the client. The client can actually log in and see their invoice and make changes to their payment method. Originally, we were using our internal company fee-charging service. This service was paper-based and required manual entry into the tracking system. There were no automatic follow-up emails to unpaid accounts. Tracking the total fees charged was arduous and EPAY makes it simple and clean.

In my opinion, we made the disastrous mistake of choosing EPAY Systems as our software for all HR-related areas: HCM, ATS/Recruiting, Payroll, Time and Labor Management (TLM), LMS, Performance Management (PM), Benefits. I believe we were lied to so much; it is hard to believe. In my experience, they told us they could do everything and have done nothing we needed. We were never able to use the TLM, LMS, Benefits, PM, or Analytics because they were unable to make the system work for TLM. In my opinion, there was no point in bothering with or paying for LMS, PM, or Analytics because we realized almost as soon as we went live that we would have to find a different vendor as quickly as possible. I believe you can't even file documents in EPAY Systems. In my experience, you just watch the circle spinning endlessly until the system times out. In my opinion, support is nonexistent. It was outsourced by EPAY Systems to another company - "support" person [removed] absolutely clueless. I believe this system is nothing short of a disaster. I have never worked with anything so bad in any capacity, in my experience, run.

In my experience, EPAY Systems is a nightmare. Glitches constantly occur and make no logical sense, and I believe no one can help with corrections. I feel the system design is awful; it is archaic, slow, and useless. Due to my experience, I expect constant errors and having to deal with fixing everything yourself manually. In my opinion, the people who work there don't know what they are doing; it is unbelievable.

  • After investing a year in implementation by our team, we have to find a new vendor and go through a new selection and implementation process. We also had to continue paying over 10K a month to ADP for historical information as in my experience, EPAY Systems could not import employee records and history.
  • I believe EPAY Systems has been a tremendous waste of time and money.
  • We are still having to pay for our old TLM & LMS systems since EPAY Systems wasn't able to make theirs work.
  • In my experience, because the EPAY Systems Implementation team was so slow, completely unconcerned about missing our deadlines for months on end, and I believe, deliberately putting off our ability to do a side by side with our old system, we literally did not see how the system worked until we went live. Had we been able to see it for what it was before go live, and the end of our ability to use our previous HRIS system, we were forced to use them and lost the ability to stay with the old system, which at least functioned. Now we have to find a completely new system.
In my experience, EPAY Systems is the worst possible HR/Payroll system you could possibly select. I believe it's a scam.
I feel the support is terrible. We have an outsourced support purpose who doesn't understand the EPAY Systems or our company, [removed], will only answer the first thing mentioned even if there is an entire list. Then the answer does not solve the 1st problem on the list or any other and has no idea how to help us. We have requested a replacement and were told we would get one, then told later we would not. I believe while the support person is nice, I believe they were not trained or supported on their end, and effectiveness is probably 1% or less, takes forever, and is only on the minor issues.
No. Even if support were better, which I don't believe would be since the company doesn't care about providing a functional service, in my experience, the product itself would still be terrible. I feel the system is the worst-designed computer system I have ever seen or worked with, and I believe I am the most proficient end-user of business software I know.

Because I can't give it a Zero, I believe EPAY Systems is the most senseless system I have ever used. I worked on systems over 25 years ago that were better. In my opinion, there is no logic to the programming; the system is unbelievably SLOW, and there and hundreds of problems every week. And major ones that they will not or can not correct. For example, we can not file or access employee records in the system as it can take longer than 10 minutes to view or load one document for one employee - IF the system allows you to get that far, which it usually doesn't.

We use EPAY Systems as our Labor & Time management software which directly interacts with the Employee time clocks at each of our workforce locations. It seamlessly handles all of our employee punches, breaks, and PTO management used to create the employee paychecks. The Overview function allows us to track all current hours in real-time from anywhere. The reports that are produced communicate directly with WorkDay and are rolled into the Operating Statements for Facility Labor vs the projected budgets for both total hours and total dollars.
  • Great Customer Service.
  • Real time Performance analysis.
  • Tracking of employee total hours and PTO.
  • All-time punches are rounded to 15-minute intervals which can skew accurate break times.
  • Slow lading or occasional lags due to server overload.
  • Sync errors cause occasional overlapping punches.
EPAY is a user-Friendly interface and creates easy to read time sheets for all levels of management. EPAY leaves the taking of breaks up to the staff member on break required shifts, leaving the company to have to micromanage the enforcement of correct punching by clock users.

This tool is a very efficient and effective tool for Workforce Management Software that we have employed in some of our company’s departments. We have been using it to manage all our employee handling work like time and attendance plus scheduling, planning, and even optimization. I use this product for different things and it works pretty well in catering to all of them. There is very good navigation and there is a good layout for employees to understand as well. I find their interface to be very user-friendly as well and many functionalities of the tool just work the same throughout the platform so this gives users the ability to anticipate how some functions are supposed to work.
  • The software has a pretty easy-to-use interface that is very user-friendly and offers a clean and basic experience to all of us.
  • Their customer support is good and responsive with some very informed level of assistance that I highly appreciate. The customer support of Blueforce is just incredible. Whenever you need an immediate resolution on any area of concern this tool is right there to help you. You can even put a ticket via the portal in the software and that I think is quite cool.
  • This program is also very adaptable and flexible as we have been able to deploy this system for all our problems to be overcome.
  • I feel that this product needs more standard reports for looking at different kinds of applicant data.
  • There should be an easier and better way for employees to see different PTO when they are working with a timesheet.
This platform is great and it requires a more hands-on approach towards it. The entire gamut of the software is very nice, simple and quite effective. I found the platform to be quite helpful and very well suited in all the respective Workforce Management requirements. It has been a great help in our organization as a Workforce Management Software and I would highly recommend it.

Our main reason for switching to Blueforce is that we found the platform to be pretty promising and interactive than other alternatives. With other alternatives, there was one issue or another which just used to not give us a very smooth and subtle experience. Thankfully, this tool has solved all our problems and has been a godsend gift that does its job quietly and lets the final results make the noise.
