As an employee, I use Expensify to log and get reimbursed for expenses. It couldn't make the process easier; in most cases it's as simple as forwarding an email, and in the rare case that I have to enter an expense manually, it's quick and straightforward with plenty of options but without being overcomplicated.
  • Allows automatic entering of expenses via email forwarding
  • Sends notifications when expenses have been approved for reimbursement
  • Allows for full customization of expenses
  • Allows for easy duplication of expenses
Cons
  • In reimbursement notification emails, would be good to see the breakdown of which expenses make up the total reimbursement.
  • Would be good to have a way to automatically generate certain manual expenses on a regular schedule rather than having to enter them individually.
  • Might be nice to have reimbursed and pending expenses in different sections.
The best feature of Expensify in my opinion is the email forwarding to generate new expenses. I don't know much about other expense management software so I'm not aware of whether this is a common feature, but for most cases this makes expense recording basically a mindless process. Expensify also communicates thoroughly and clearly when relevant.

Our team travels a lot, usually twice a month to meet with clients and such. We use to do expenses by entering line items into an Excel form and manually submitting these for approval by our manager and then to finance for reimbursement. Since bringing in Expensify, my time spent doing expenses has been significantly reduced and it actually made it this task an enjoyable experience. First off, the mobile experience is clean and powerful. I now enter expenses on-the-go by using the app's built-in camera function to snap a picture of the receipt and using the "SmartScanning" function which uses an OCR-like software to read and complete the expense fields from the receipt. I've found it to be very accurate and I've rarely had to adjust any of the auto entries. Another great function of the app is the ability to generate a receipt for mileage by selecting two points on a map and letting it calculate mileage. Between the "SmartScanning" or receipt and automated mileage entries, this alone makes Expensify the tool to have to bring your expenses into the 21st century. The web portal is also very easy to use but I am mostly a mobile user.
  • Powerful mobile experience, truly designed for professionals on the go. The mobile app isn't just a data entry tool, it scans receipts, generated mileage receipts and manages expenses. You can also do it all from the app, from creating reports to submitting them for approval and seeing the status of your reimbursement.
  • The interface on both mobile and the web is clean, well laid out, easy to use and a breeze to navigate. My team and I needed zero training on how to use this, it is THAT simple. I tend to have several expense reports going at once and they need to be segregated as they're billed back to clients, the ease with which I can classify my individual expenses is a great timesaver.
  • The help feature within the app is easy to use, articles are available through a built-in search and you can also start a conversation with support.
Cons
  • The OCR algorithm for the "SmartScanning" isn't always right and it seems to make the same mistakes, I wish it could learn from user corrections.
  • When entering receipts manually or through "SmartScanning", I ALWAYS have to enter my department although it never changes. I wish I could set this in my profile and have it entered automatically into every receipt.
  • The app and web interface should allow for 2FA given the confidential nature of the information stored on their systems.
Expensify is very well suited for professionals on the go, the mobile experience is fully featured and there's no need to even use the web portal unless you're tired of looking at your phone screen. The ease and speed with which I can enter, organize and segregate my expenses have allowed me to spend more time on other tasks as I now enter m expenses in real-time as soon as I get the receipt by using the built-in camera. In the event that I lose a physical receipt, I already have it in the app and this is now a non-issue.

Expensify is used across the company. It directly addresses the problem of managing expenses including categorization and ensuring that receipts are attached.
  • Excellent mobile app makes scanning new receipts quick and easy.
  • Relatively flawless smartscanning reduces the need to manually enter data for receipts.
  • Centralized rulesets allow enforcement of company policy.
Cons
  • Managing multiple expenses at once can be slow and cumbersome
  • Occasionally, the receipt images are lost.
  • Web interface can be sluggish at times.
Expensify excels at collecting expenses as you accumulate them and collating them into a report to be submitted to the accounting department. But, it only does this well if you're consistent with scanning the receipts as you collect them, and creating the reports as you go. Mass scanning and report generation can be slow and cumbersome.

Overall, this is a must-have tool for anyone dealing with expense reports on a regular basis.

I travel for work, and I started using Expensify to submit my expense reports. The app makes tracking expenses so much easier. It can automatically identify so much of the information that I typically would have to manually enter- and receipts that I receive via e-mail (like hotel/car rentals) are easily forwarded to Expensify and added to my expense report. This app has made submitting expense reports so much easier- and as a result I am also getting reimbursed far faster than our old fashion option using excel spreadsheets and scanning receipts one by one. The app is relatively easy to use- and it has shifted from something I dreaded (having to do something different) to something I wish I had embraced earlier.

  • makes tracking mileage far easier
Cons
  • send expenses to specific reports using a keyword in the subject line
  • keep a list of recently used customers to make adding expenses faster
  • show all options when submitting receipts instead of having to hit the toggle button (or have a way to default to show all)
so far it works well for the sort of travel I do- I have had 3 trips over the past 3 weeks- and it has made it super easy to track and I have been able to submit the day I return. This is reducing my stress and increasing my productivity.

Great Product! Helps our business in more ways than one. Great for traveling business personnel.

We are currently using Expensify across our company. My services as an assistant is shared by both Century Bridge and Sweetwater Capital. We use this for Sweetwater which; owns, trades, slaughters, sells cattle all over the world. (Dubai, Turkey, Tanzania, Dar, and more) The men have to travel to different regions of the country often. Losing receipts, incomplete expense reports were a major problem. A problem that lead to a not so positive audit. Expensify allows our guys to take pictures of their receipts and quickly type in the needed info before the information is lost. My CFO and I manage and keep track of expensify online, while our CPA can easily generate reports and keep track of expenses. We are so much more efficient and can spend time on more urgent tasks at hand. The expenses were such a mess before it was causing us to be un-organize in other areas. Expensify has helped us be more organized all around.
  • Is easy to see which reports are processing, open, and approved. If you are waiting to be refunded it's assuring to know that it is being worked on. If you forgot to 'submit' your report it is always good to see that it is still open. On the flip side, if someone is behind it makes it easy to keep track of what is being done so your bothering someone for good cause, and not to hear 'I'm working on it.'
  • Shows the receipt in the individual expense. If you have any questions about the information in the expense you just click the picture and bam! There is the receipt.
  • Love the mobile app. You take a picture of the receipt, just enter the basic information, click the report you're adding it to. Done! If you lose the receipt or it goes through the wash, no worries it's there.
Cons
  • When looking at a report I think the receipt thumbnails at the bottom are distracting and unnecessary. I like things to be simple and there is already a separate bucket for un-tagged receipts, so why are some random thumbnails for the report there? Typically they have some missing info or are "past due"? Perhaps a different name than report thumbnails.
  • I've had problems inviting people on the same 'group'. (like a new employee) For some reason it's hit or miss for the invite to go through to their email.
  • Really enjoy expensify better since the update. It's more user friendly as far the admin is concerned.
How much do you travel? How often are employees in the office? -Better suited for companies that have employees that travel often, or office away from each other. Some of our employees live in separate parts of the US AND travel internationally. It's hard to get expenses settled the old fashioned way when everyone are very often in separate time zones, or even driving a lot. Do you have to re-reimburse employees often? If you only have to reimburse an employee or two a few times a year it's not enough to validate paying to use something such as expensify.
