We use Hotschedules at all four restaurants for all of our scheduling needs. We have been a customer since 2009. Hotschedules has given our team members easy access to schedules, requests, swapping shifts and much more. Our managers use Hotschedules for budgeting, store wide communication and tracking good handler certifications.,Scheduling - Makes scheduling large staffs much easier and gives our team members 24-hour access to their schedules. Budgeting - Provides the tools and information for writing schedules that show your budgeted labor dollars. Communication - Allows you to communicate with individual team members or with your entire staff. Food Handlers Cards - Tracks expiration dates of all team members good handlers' cards.,More Seemless Connection with Aloha - It would be nice if linking Aloha and Hotschedules was an easy process. Job Codes and Permissions - I have always struggled with setting permissions and job codes for team members. It's a confusing process.,10,We have streamlined our scheduling process allowing our managers more time to focus on our guests and other tasks. We have also seen with Hotschedules we can control our labor costs with proper budgeting and the tools provided.,We have opened 4 restaurants with Hotschedules in the past 7 years. Every time the training and support were on point.Hot Schedules is a Managers DreamHotSchedules is used company wide to schedule daily shifts for the Front of House and Back of House. The HS platform allows for convenience and efficiency to communicate effectively with employees for scheduling, mass email, employee availability, and shift trades. HS eliminates confusion with its centralized communication center. Furthermore, the connectivity with our POS system assists with budget projections and labor costs.,Centralized Scheduling System Mass Email Communication Shift Trades,Functionality was improved greatly with last update!,9,I had a great experience with the initial setup of the product. I do not recall a specific instance where I have requested support although I know it is available when needed.,HotSchedules has significantly decreased the time it takes to create a schedule. Sending the schedule immediately to employees is a benefit to my employees. There is certainly increased communication between employees using the messaging function. Lastly, the forecasting tool assists the Kitchen Manager in scheduling daily shifts to optimize labor costs and hit our targeted benchmarks.Stay in the know with Hotschedules!!We use HotSchedules for the daily in and out operations of a big restaurant. It cut our time creating schedules in half.,Clearly provides a full proof solution for employees to get their schedules. Provides great reminders for any type of certifications. A great way to manage requests for time off.,I would like to know who requested a certain date off first. It was a function you used to have. I feel like there should be a easier way to plug in missing shifts.,9,This past couple of situations arouse when a particular bartending shift we were filling was not being saved for some reason. It ended up being a job code thing but it got resolved quickly.,The stress and time it used to take to create our own spreadsheets was unbelievable now were just a couple of clicks away.Quality ProductWe are currently a stand alone restaurant and have used HS for about 5 years at the location. With over 75 employees thats important. Communication via the logbook is also a big help with management engagement.Hot Schedules ReviewIt is used across the whole organization. We are an amusement park and we use it for scheduling as well as a log book. We have found it to be very helpful in allowing us to reach our employees. I also find it to be helpful in making sure employees are taking constant effort to check and trade shifts.,The digital app works great. The time off/shift trade applications work well. The digital logbook is helpful and syncs well with the app allowing managers to quickly and easily report issues.,I would like employees to be able to change their availability with approval from a manager. They are doing a better job of not allowing employees to pick up shifts that overlap with other department but that is still an issue. The time off/shift change screen is pain. I would prefer they allow you to select all instead of clicking each employee.,9,Any time that I have had issues I've been able to get them taken care of in a quick and professional manner. However what I like even more is that I've rarely needed support because the product for the most part has worked pretty seamless for our employees and managers.,We have seen a better buy in from the staff as Hot Schedules allows them to be more pro active in taking time off, picking up and/or trading shifts. I find that they feel more optimized when they can directly contact managers and resolve their own scheduling issues. We find it works great for our 16-22 staff.You should be using HotSchedules!We use HotSchedules for our Front of House Employees: Servers, bussers, bartenders, hosts etc. We have also implemented it for our musicians that play nightly at the restaurant. It frees up time for management by allowing employees to cover their own shifts (with approval) and is a great platform for company wide communication as well as employee to employee communication.,Excellent customer service/ tech support Clean mobile app Clean and Easy scheduling interface,App can be glitchy on sign-in Allow attachments to messenger Color code job codes,10,HotSchedules support team was very helpful in assisting me getting our musicians Job Codes and contact information imported and set up a specific schedule for them to use.,The ProForma, forecasting and budgeting tools work really well to guide my scheduling. The interface is simple to use and intuitive. The scheduling alone saves me 3 hours per week and the ability for staff to release and swap shifts saves me the time and hassle of having to answer phone calls and texts from employees to cover shifts.Business on FIRE?!? Try Hot SchedulesI like the accessibility and the layering of security. I also like the integration with our POS system. I am the administrator over several of our stores, and the way HotSchedules allows me to give access to each manager and employee is awesome. I know there are a lot more features than what I am using right now, but I do plan on expanding the usage of HotSchedules in the future.,As I mentioned, POS integration was top of my list. Customer service has been great. Security and accessibility are seamless.,The only issue I have had, has been the changing of personnel with HotSchedules. Getting the new person "up to speed" takes time.,8,As of now, the biggest outcome has been the tying in of our point of sale system. It is in preparation of our letting HotSchedules take over and control the labor and hours of out payroll. By controlling the clock in and clock out times of each employee, that should free up the time doing payroll.,My best experience with HotSchedules is usually on the initial calls I make. The phones are always answered, and the care of the customer service person seems genuine.Can't live without itWe use it for scheduling, forecasting, and communication. This software allows ease of access and up to the minute communication between staff and management. It is easy to use and convenient, as I don't have to be at work to use it. I love the app for my iPhone. We currently only use it at 1 of our properties. Also use it to communicate with staff. You can reach out to multiple staff [members] at once which is great. Staff can also use it to request days off and availability. It also has a great format for printing schedules. It's easy to use and read.,Copy and pasting a schedule. Great if there are no changes for the week. Great for requesting a day off. If approved the manager making the schedule will not be able to schedule you that day without a GM override. Great for sending a message to all staff. You can message all the staff at once.,Once you have a posted schedule you can back out or go to the next if you change it without reposting or putting it back exactly the way it was. When working on the next week it's easy to change the current schedule without realizing you're not on the following week. It would be nice for management to be able to edit the schedule from the hotschedules app.,10,I have not had to use customer support at all. So I would have to say when I initially started hotschedules we had a webinar. It was informative. It was somewhat boring, though. I almost fell asleep waiting to move on to the next parts.,Able to control labor with calculating hour worked per day and per week. We are able to increase comunication as well. We get a better response from staff.HotSchedules Makes Restaurant Management Easy!In 2013, we purchased and opened our second location. Our first location was already busy and our managers used the paper Redbook. We knew we would have a challenge to keep both locations communicating with several managers across three shifts. I originally discussed the online tool at the NRA show and we knew this is what we truly needed to keep everyone in the loop of what was going on. Our first need was that of communication but after being shown the other modules, we knew we could benefit from most of the others. Scheduling was a major issue. With over 60 FOH employees, the little stack of shift change slips was getting out of control. My managers could never look back and go back to paper scheduling. For the record, we do have a backup spreadsheet that still documents all shifts, in case the internet ever goes down. Our Employee Handbook specfically addresses employee accountability to only use HotSchedules as the way to communicate and manage shift changes. Even last minute requests are allowed as long as they are done through HotSchedules. On the communication side for my managers, we use the LogBook and the Staff Journal. Every shift manager is required to put in shift notes and communicate all issues. My kitchen managers use the LogBook to communicate to the FOH any new specials to run, inventory issues, or other kitchen information that all managers need to be aware of. We use the Staff Journal to keep track of employees who are tardy, have performance issues as well as noting positive things such as great customer feedback or going above and beyond. We have used the Staff Journal as evidence in Unemployment disputes on how and why an employee was terminated. It's all documented. We also use HotSchedules Train, which we still refer to as Schoox. Our employees first day is spent watching videos we have created for orientation.,Communication Tool - if you are struggling with keeping your managers or staff apprised of every little detail, then HotSchedules covers your communication needs. You can check all of this information on your phone, so you're never away from the store! Scheduling - if you are constantly trying to manage a paper schedule with many requests off, shift exchanges and accountability of when they made the request, scheduling is beneficial as it leaves an electronic trail of when the employee made the request. Train/Schoox- holding your staff accountable to ensure that information is distributed evenly to everyone is a great feature of Schoox. You have a record that the employee watched a video and they take a test to ensure that they understand the knowledge.,The Staff Journal is an all or nothing area. As the GM I have to use a separate tool to document things on my managers, as they can see everyone in HotSchedules. Having a way to not have a manager see other manager's Staff Journals would be extremely beneficial to me. Being able to cherry-pick individuals' access. Right now I have about 5 managers access levels. Some levels don't allow managers to make approvals. One stops the notifications from popping up because that got annoying. Having 2 logins for ASC. I have 2 logins, one to login to HotSchedules and one to go to ASC. But then somehow my ASC login, is now a staff member in scheduling. On occasion when I do work the floor, my staff cannot schedule me as my ASC login is not a scheduled person. It's all confusing and no one can fix it. Plus then it never shows on my calendar that I have to work. I would like for both locations to somehow be integrated where if we grant access to the other location to a specific employee, they can see the schedule for the other location and easily pickup shifts.,10,I sometimes feel that certain support people might not be fully trained. I then escalate the issue to my customer service rep to confirm the answer I was given, especially if I feel that it doesn't make sense.,When using the reporting features for labor, our managers have been able to cut about 5% of labor due to the reports being able to drill down the problem.Love HotSchedules... Not their updates sometimesHotschedules is being used across the whole organization with each department writing their own schedules. The logbook feature is also being utilized multiple times per day as a way for management and owners to document the shifts. The biggest problem that it addresses is communication. We are able to instantly share vital information with employees and between management.,The ease of use for the staff members. Documentation from the logbook has been the biggest advantage.,The latest update for scheduling was extremely difficult to use. The older way was much easier for our chefs who aren't exactly tech savvy. The template system never really worked for us as there were too many outside factors effecting a cookie cutter schedule.,10,Writing a schedule has definitely improved the time it takes to write as well as make it easier for staff to swap sections with full management knowledge. Communication has vastly improved. Being able to share all information instantly with entire departments or between the management team has been vital. It has definitely helped with labor costs. Not having to calculate on our own when someone is going to hit overtime has been a great life and time saver.It's GreatHotschedules is used to make all the schedules in our restaurant. It makes it very easy to control labor. Also makes it very easy to make sure all employees have their schedule.,Communication with Staff Control Labor Easy access for employees to get their schedules,I wish the AM shift was separate from the PM shift per employee. It should show you what time the employee requested off. This way if you have 2 employees who requested off the same day and you can only give one of them off, then it makes it easier for you to decide who gets the day off.,10,All the time.,Decrease time in making the schedule and easier to control laborFew years of HotSchedules, an honest opinion.We use it for scheduling labor and to provide labor cost analysis as well as sales projecting/forecasting. Obviously, it helps the restaurant manage schedules - good tool for helping us identify those who did not take breaks with the SSC report. We print out rosters daily to help us plan and assign staff accordingly.,Scheduling, although I am not a fan of the update. Different and took some getting used to. Good for managing labor as in identifying costs and helping report hours worked - projected vs. actual. If team buys the app it's a great tool for communicating with staff - in-app messaging and broadcast messages.,The cost of the app - should be free with limited functions as many of our staff do not wish to buy an app. Scheduler - new update with the auto posting changes is a bit annoying. Liked having a draft in place and revisiting several times before final post. The recruiting part - should be open to people outside of hotschedules.,8,At my previous job when we first rolled out the application they hosted a webinar with how-tos on all the functionality which was very helpful to a lot of staff who were not tech savvy. Also helped highlight some of the shortcuts like saving reports and settings to help streamline use.,HotSchedules has helped to decrease the time it takes to create a schedule, increase communication, or optimize labor costs - exactly what the blurb says. Although I am only a manager who uses the tool I am not aware of the costs associated with using the application. But again make the app free to use with limited functions, like checking schedule and messaging. All the extras like shift swaps and etc., can be upgraded into a premium app.Hot Hot HotSchedulesHotSchedules is used to staff the entire stadium by area, stand and job position.,As a stadium it gives us instant connection and ability to adjust staffing on good or bad weather days. We also have the payroll portion of hotschedules which allows us to control early clock-ins in a very large facility plus it made payroll a 3 click process. Scheduling can be done as if you were scheduling 10 different locations. Which in a stadium we are. It's easy. Communication between staff and overall year round has helped with annual retention rates. I have a 90 % return season to season for staffing.,Ability to add photos and attach videos to messaging would be great. I send out a refresher on register use on every season prior to our customer service training schedule. Combine with a partner and combine liquor and food training that automatically adds that to the employee's profile when completed. And notify the employer when it is due. Preferred old scheduling of cut and paste into scheduling and not having to hit a letter to paste a shift into place.,10,Kim Gerlich is always the woman to the rescue and is a true asset to HotSchedules. Honestly, in over 8 years I really do not have many issues. There have maybe been 4 crashes I can remember due to a server issue. But it was well communicated and resolved. I was one of the first for the payroll module and the few issues there were changed and resolved quickly with no issue and they appreciated the input.,I could not run this place without HotSchedules. Seriously it's a time saver. There are too many variables and 20 different jobs and areas to schedule in a stadium. Not mentioning the payroll segment which is so easy to use. We use the communication even though we are seasonal year round, keeping team members feeling like part of the team whether it be a happy holiday or an update on menus or countdown to opening day to a cleaning day in the middle of winter. The roster sheet posts who is close to overtime and because it is scheduled by stand or location we know who and how to make our cuts as the game progresses.HotSchedules, our best tool!!!We use most of what it has to offer. GoHire for onboarding, interviewing, recruiting, etc., and we also use it for all scheduling and labor management. We also use the messaging feature quite a bit. All of our employees are reimbursed for the cost of the app as well so we know they use it. Main problem it addresses is making sure the building is staffed properly. We use the forecasting and projections a lot which really helps us manage our labor.,I really like the forecasting, we only started using this a few months ago but I already see the difference. Also like how easy it is to communicate with your staff through the messaging app. I also like how easy a manager can manage shift changes and see staffing levels at any time anywhere. The templates are a great help as well.,The assessments on gohire could be a bit more efficient, they take a long time. Would like to have the onboarding be a little easier. The lack of training received when signing up, constant follow up with new products.,8,I kept a good line of communication with a few HotSchedules employees and they have been very helpful whether over the phone, email, or even at a restaurant show in Chicago. When getting into forecasting and projections we got some good help from support. Otherwise we haven't had too many issues,TIME, it saves so much time, which in turn saves a lot of money. The onboarding rather than filling out a bunch of paperwork or the scheduling vs. filling out a different Excel sheet all the time. The communication is great with a smartphone app. And the integration with Micros is key, saves us time for transferring info from computer to paper.HotSchedules Review[It's] used across the whole organization by our ops teams for all scheduling and online hiring purposes.,User-friendly - easy to use, great copy and paste features, short cuts to other functions while using scheduling functions. Web-based - mobile integration, shift swap/change approvals done electronically, can access the program anywhere. Labor and sales reporting, labor budgeting/forecasting.,Program seems to have issues that prohibit access more often than I'd like. No emergency back up plan when rosters aren't available. Doesn't export the email addresses from Aloha into HotSchedules for new hires.,10,Not specifically because they all seem to get the issues resolved quickly. In addition they do a great job keeping you informed on the progress.,Improved labor, better record keeping and increased communication to the staff.HotSchedules ReviewWe use HotSchedules to coordinate scheduling for our roughly 40 employees. It allows us to schedule far in advance which allows our staff to manage their schedule constraints (vacation, appointments, etc.) far in advance as well.,It gives us convenient visibility into how many hours each employee is scheduled to work each week. This allows us to avoid overtime when employees are swapping shifts. It allows employees to swap shifts without input needed from a manager. Managers are still required to approve changes. It allows everyone to see their schedule on their phones in real time instead of referencing a paper schedule in a particular location.,Every now and again it seems like a shift I posted goes missing. It's very possible this is user error but I'm very diligent when I'm scheduling and it surprises me when this happens. I wish I could send a mass text to all people with a particular job. For example, I book a party and I want to let all our servers know there is a party available for them to pick up. I've never had a large issue with hotschedules as its functionality is super user-friendly. The support given/demonstrated through the free webinars and newsletters has been pretty great.,It has definitely reduced the time in creating a schedule. The copy feature is really great and at times where you can drag and drop a shift or copy/paste. It has been extremely helpful with the labor summary given by week/by day and the ability to assign labor each day/shift and be able to enter actual wages. It would be nice if it would tie to actual sales usually though a POS system to better manage real-time sales.

Hotschedules is well suited for larger operations that have more employees. It's especially good for budgets and communication.

I don't think Hotschedules is suited for small businesses where the cost is probably not worth it. Those smaller businesses may not see the savings.
We have streamlined our scheduling process allowing our managers more time to focus on our guests and other tasks. We have also seen with Hotschedules we can control our labor costs with proper budgeting and the tools provided.

HotSchedules is used company wide to schedule daily shifts for the Front of House and Back of House. HotSchedules is linked with our POS system. This connectivity assist greatly with forecasting sales and labor costs. Managing a staff of 25-30 employees can be daunting. For our size organization, HotSchedules is a fantastic platform to organized scheduling and communication. I have no scenarios where it is less appropriate.
HotSchedules has significantly decreased the time it takes to create a schedule. Sending the schedule immediately to employees is a benefit to my employees. There is certainly increased communication between employees using the messaging function. Lastly, the forecasting tool assists the Kitchen Manager in scheduling daily shifts to optimize labor costs and hit our targeted benchmarks.

HS is great for employee request off management for daily and or vacation etc. The employee gets a quick response time and its beneficial for both management and employees. Unless the software is attached to the POS system, the forecasting of labor isn't all that useful.
Definitely the time to impliment the schedule. With over 75 employees thats important. Communication via the logbook is also a big help with management engagement.

It is used across the whole organization. We are an amusement park and we use it for scheduling as well as a log book. We have found it to be very helpful in allowing us to reach our employees. I also find it to be helpful in making sure employees are taking constant effort to check and trade shifts.

Hot schedules works great for us as the bulk of our workforce is under 21 years old. The app does a wonderful job of allowing them to check their schedules, request time off work and contact managers in the case of an emergency. We find that with our less tech savvy employees they still prefer the old Excel print outs but for the younger employees it works really well.
We have seen a better buy in from the staff as Hot Schedules allows them to be more pro active in taking time off, picking up and/or trading shifts. I find that they feel more optimized when they can directly contact managers and resolve their own scheduling issues. We find it works great for our 16-22 staff.

We use HotSchedules for our Front of House Employees: Servers, bussers, bartenders, hosts etc. We have also implemented it for our musicians that play nightly at the restaurant. It frees up time for management by allowing employees to cover their own shifts (with approval) and is a great platform for company wide communication as well as employee to employee communication.

The scheduling alone saves me 3 hours per week and the ability for staff to release and swap shifts saves me the time and hassle of having to answer phone calls and texts from employees to cover shifts.

I like the accessibility and the layering of security. I also like the integration with our POS system. I am the administrator over several of our stores, and the way HotSchedules allows me to give access to each manager and employee is awesome. I know there are a lot more features than what I am using right now, but I do plan on expanding the usage of HotSchedules in the future.
  • As I mentioned, POS integration was top of my list.
  • Customer service has been great.
  • Security and accessibility are seamless.
  • The only issue I have had, has been the changing of personnel with HotSchedules. Getting the new person "up to speed" takes time.
If you have a point of sale system that does labor or even payroll, the integration of HotSchedules to control and track your labor is great. It took a little tweeking at the beginning to figure it out, but once I had it in line, everything started looking great.
As of now, the biggest outcome has been the tying in of our point of sale system. It is in preparation of our letting HotSchedules take over and control the labor and hours of out payroll. By controlling the clock in and clock out times of each employee, that should free up the time doing payroll.

We use it for scheduling, forecasting, and communication. It is used at the store level with my 4 corporate stores and at the owner top level to communicate more efficiently with all stores.

HotSchedules is used by multiple departments at the resort. This helps with changes of schedules made at the last minute, call offs, and requests for added shifts all within the last minute. Employees are able to contact each other through hotschedules and they're all notified of any changes made.

It's perfect for departments with multiple employees with the same job level and capabilities (particularly duties that heavily rely on timely employees). This system wouldn't be fully useful if it was used for a department with a smaller number of employees or those who have different, more specific, job duties.
We've been able to optimize labor costs; increase communication about schedule changes and upcoming sales for increased staffing, and we've been able to fill schedule gaps for employees that are unable to make it to their scheduled shift.

HotSchedules has made my 3+ hours a week of scheduling into a modest 30 minutes a week to do all 3 schedules! Front of house, back of house and MoD! I don't know where we'd be without it. Plus its messaging app keeps all of us up to speed and on the same page!

I use HotSchedules daily to schedule employees in the restaurant. It is easy to use and convenient, as I don't have to be at work to use it. I love the app for my iPhone. We currently only use it at 1 of our properties. It makes scheduling easy and makes my job as the scheduler for 4 different departments much easier.

We use it to generate and post our weekly schedules. Also use it to communicate with staff. You can reach out to multiple staff [members] at once which is great. Staff can also use it to request days off and availability. It also has a great format for printing schedules. It's easy to use and read.
  • Copy and pasting a schedule. Great if there are no changes for the week.
  • Great for requesting a day off. If approved the manager making the schedule will not be able to schedule you that day without a GM override.
  • Great for sending a message to all staff. You can message all the staff at once.
  • Once you have a posted schedule you can back out or go to the next if you change it without reposting or putting it back exactly the way it was. When working on the next week it's easy to change the current schedule without realizing you're not on the following week.
  • It would be nice for management to be able to edit the schedule from the hotschedules app.
Appropriate if you have a business of 20 plus employees.
Able to control labor with calculating hour worked per day and per week. We are able to increase comunication as well. We get a better response from staff.

In 2013, we purchased and opened our second location. Our first location was already busy and our managers used the paper Redbook. We knew we would have a challenge to keep both locations communicating with several managers across three shifts. I originally discussed the online tool at the NRA show and we knew this is what we truly needed to keep everyone in the loop of what was going on. Our first need was that of communication but after being shown the other modules, we knew we could benefit from most of the others. Scheduling was a major issue. With over 60 FOH employees, the little stack of shift change slips was getting out of control. My managers could never look back and go back to paper scheduling. For the record, we do have a backup spreadsheet that still documents all shifts, in case the internet ever goes down. Our Employee Handbook specfically addresses employee accountability to only use HotSchedules as the way to communicate and manage shift changes. Even last minute requests are allowed as long as they are done through HotSchedules. On the communication side for my managers, we use the LogBook and the Staff Journal. Every shift manager is required to put in shift notes and communicate all issues. My kitchen managers use the LogBook to communicate to the FOH any new specials to run, inventory issues, or other kitchen information that all managers need to be aware of. We use the Staff Journal to keep track of employees who are tardy, have performance issues as well as noting positive things such as great customer feedback or going above and beyond. We have used the Staff Journal as evidence in Unemployment disputes on how and why an employee was terminated. It's all documented. We also use HotSchedules Train, which we still refer to as Schoox. Our employees first day is spent watching videos we have created for orientation.
  • Communication Tool - if you are struggling with keeping your managers or staff apprised of every little detail, then HotSchedules covers your communication needs. You can check all of this information on your phone, so you're never away from the store!
  • Scheduling - if you are constantly trying to manage a paper schedule with many requests off, shift exchanges and accountability of when they made the request, scheduling is beneficial as it leaves an electronic trail of when the employee made the request.
  • Train/Schoox- holding your staff accountable to ensure that information is distributed evenly to everyone is a great feature of Schoox. You have a record that the employee watched a video and they take a test to ensure that they understand the knowledge.
  • The Staff Journal is an all or nothing area. As the GM I have to use a separate tool to document things on my managers, as they can see everyone in HotSchedules. Having a way to not have a manager see other manager's Staff Journals would be extremely beneficial to me.
  • Being able to cherry-pick individuals' access. Right now I have about 5 managers access levels. Some levels don't allow managers to make approvals. One stops the notifications from popping up because that got annoying.
  • Having 2 logins for ASC. I have 2 logins, one to login to HotSchedules and one to go to ASC. But then somehow my ASC login, is now a staff member in scheduling. On occasion when I do work the floor, my staff cannot schedule me as my ASC login is not a scheduled person. It's all confusing and no one can fix it. Plus then it never shows on my calendar that I have to work.
  • I would like for both locations to somehow be integrated where if we grant access to the other location to a specific employee, they can see the schedule for the other location and easily pickup shifts.
I was the person who advocated for HotSchedules and I truly believe in the product. It has 100% helped in the communication area. There just needs to be some refining of functionality in order for it to be a top notch program.
When using the reporting features for labor, our managers have been able to cut about 5% of labor due to the reports being able to drill down the problem.

Hotschedules is being used across the whole organization with each department writing their own schedules. The logbook feature is also being utilized multiple times per day as a way for management and owners to document the shifts. The biggest problem that it addresses is communication. We are able to instantly share vital information with employees and between management.
  • The ease of use for the staff members.
  • Documentation from the logbook has been the biggest advantage.
  • The latest update for scheduling was extremely difficult to use. The older way was much easier for our chefs who aren't exactly tech savvy.
  • The template system never really worked for us as there were too many outside factors effecting a cookie cutter schedule.
It's been great for writing schedules, communicating with staff and the entire management team and for documenting incidents. Being able to pull up incidents that justify firing someone to the unemployment office has been a life saver.
Writing a schedule has definitely improved the time it takes to write as well as make it easier for staff to swap sections with full management knowledge. Communication has vastly improved. Being able to share all information instantly with entire departments or between the management team has been vital. It has definitely helped with labor costs. Not having to calculate on our own when someone is going to hit overtime has been a great life and time saver.

We use it for scheduling labor and to provide labor cost analysis as well as sales projecting/forecasting. Obviously, it helps the restaurant manage schedules - good tool for helping us identify those who did not take breaks with the SSC report. We print out rosters daily to help us plan and assign staff accordingly.
  • Scheduling, although I am not a fan of the update. Different and took some getting used to.
  • Good for managing labor as in identifying costs and helping report hours worked - projected vs. actual.
  • If team buys the app it's a great tool for communicating with staff - in-app messaging and broadcast messages.
  • The cost of the app - should be free with limited functions as many of our staff do not wish to buy an app.
  • Scheduler - new update with the auto posting changes is a bit annoying. Liked having a draft in place and revisiting several times before final post.
  • The recruiting part - should be open to people outside of hotschedules.
Great for scheduling, we used to use Excel sheets with God knows how many formulas embedded into it, giving us different labor percentages and costs and tons of other data that were dependent on certain data inputs. With Hotschedules linked to a pos system, it does all the work for you.
HotSchedules has helped to decrease the time it takes to create a schedule, increase communication, or optimize labor costs - exactly what the blurb says. Although I am only a manager who uses the tool I am not aware of the costs associated with using the application. But again make the app free to use with limited functions, like checking schedule and messaging. All the extras like shift swaps and etc., can be upgraded into a premium app.

HotSchedules is used to staff the entire stadium by area, stand and job position.
  • As a stadium it gives us instant connection and ability to adjust staffing on good or bad weather days.
  • We also have the payroll portion of hotschedules which allows us to control early clock-ins in a very large facility plus it made payroll a 3 click process.
  • Scheduling can be done as if you were scheduling 10 different locations. Which in a stadium we are. It's easy.
  • Communication between staff and overall year round has helped with annual retention rates. I have a 90 % return season to season for staffing.
  • Ability to add photos and attach videos to messaging would be great. I send out a refresher on register use on every season prior to our customer service training schedule.
  • Combine with a partner and combine liquor and food training that automatically adds that to the employee's profile when completed. And notify the employer when it is due.
  • Preferred old scheduling of cut and paste into scheduling and not having to hit a letter to paste a shift into place.
I have used it in a full-service restaurant and now at a baseball stadium. Two very different locations. It is perfect for all locations.
I could not run this place without HotSchedules. Seriously it's a time saver. There are too many variables and 20 different jobs and areas to schedule in a stadium. Not mentioning the payroll segment which is so easy to use. We use the communication even though we are seasonal year round, keeping team members feeling like part of the team whether it be a happy holiday or an update on menus or countdown to opening day to a cleaning day in the middle of winter. The roster sheet posts who is close to overtime and because it is scheduled by stand or location we know who and how to make our cuts as the game progresses.

We use most of what it has to offer. GoHire for onboarding, interviewing, recruiting, etc., and we also use it for all scheduling and labor management. We also use the messaging feature quite a bit. All of our employees are reimbursed for the cost of the app as well so we know they use it. Main problem it addresses is making sure the building is staffed properly. We use the forecasting and projections a lot which really helps us manage our labor.
  • I really like the forecasting, we only started using this a few months ago but I already see the difference.
  • Also like how easy it is to communicate with your staff through the messaging app.
  • I also like how easy a manager can manage shift changes and see staffing levels at any time anywhere.
  • The templates are a great help as well.
  • The assessments on gohire could be a bit more efficient, they take a long time.
  • Would like to have the onboarding be a little easier.
  • The lack of training received when signing up, constant follow up with new products.
For our business, it's perfect for what it does. Restaurants and hotels should love this I can't think of many other industries that would use it as much, maybe some bigger retail places or sports venues would like it.
TIME, it saves so much time, which in turn saves a lot of money. The onboarding rather than filling out a bunch of paperwork or the scheduling vs. filling out a different Excel sheet all the time. The communication is great with a smartphone app. And the integration with Micros is key, saves us time for transferring info from computer to paper.

Sorry, but as far as scheduling for restaurants, it is a must have tool. You can have a daily manager log, labor budgeting tool, and web-based scheduling all in one. Not to even mention your GoHire Platform which we use for online hiring processes.

We use HotSchedules to coordinate scheduling for our roughly 40 employees. It allows us to schedule far in advance which allows our staff to manage their schedule constraints (vacation, appointments, etc.) far in advance as well.
  • It gives us convenient visibility into how many hours each employee is scheduled to work each week. This allows us to avoid overtime when employees are swapping shifts.
  • It allows employees to swap shifts without input needed from a manager. Managers are still required to approve changes.
  • It allows everyone to see their schedule on their phones in real time instead of referencing a paper schedule in a particular location.
  • Every now and again it seems like a shift I posted goes missing. It's very possible this is user error but I'm very diligent when I'm scheduling and it surprises me when this happens.
  • I wish I could send a mass text to all people with a particular job. For example, I book a party and I want to let all our servers know there is a party available for them to pick up.
  • I used to not like the functionality of the old scheduler (it was tedious and cumbersome to use...still better than a paper solution) but the new scheduler is awesome.
HotSchedules is great for restaurants of our size. I could see it being great for multi-location restaurants with lots of employees. I could see it being overkill for smaller restaurants.
HotSchedules allows us to schedule far in advance and reduces the amount of time managers have to be involved in schedule changes.

Hotschedules is being used throughout our retail store locations (13). It allows us to not only release/post a schedule for our team members but more so, for management to be able to better manage labor hours. Most team members also use the app to more easily view their schedules/make swaps etc.

Hotschedules is great for any retail/restaurant setting for team members to easily update availability, make trades or swaps with other team members, and see their schedules. The text/messaging feature is pretty great too for upper management who may not have their information but need to communicate. It would be nice if there was a group messaging feature or way to send a mass communication.
It has definitely reduced the time in creating a schedule. The copy feature is really great and at times where you can drag and drop a shift or copy/paste. It has been extremely helpful with the labor summary given by week/by day and the ability to assign labor each day/shift and be able to enter actual wages. It would be nice if it would tie to actual sales usually though a POS system to better manage real-time sales.
