From my perspective it comes down to budget. If you have enough sales or enough capital raised as an early stage, I would almost always pull the trigger on it if you have any expectation on significant percentage of your sales growth coming from inbound marketing leads. If the majority of your leads will not be coming in through marketing channels, then HubSpot's value versus cost goes down significantly.

HubSpot is particularly well suited for marketers who want to quickly start having success in marketing automation. What's fantastic about HubSpot is the depth of its product - you can use its tools at a basic level and have a great deal of success, but you can also get far deeper and more advanced with its tools.

HubSpot is well-suited for those looking to create landing pages and emails. However, as a reporting tool, it has come to our attention that sometimes it's not as customizable as we'd like. Additionally, it has been a bit of a pain during implementation. For instance, we initially expressed our pain points regarding a previous marketing automation tool and its connection with our CRM, Salesforce. Unfortunately, we are STILL experiencing some of the same issues as with the other MA tool. A better, more refined implementation process would be greatly appreciated.

As said before, we have not been using HubSpot for very long, but we have been generally quite impressed with it, its processes, and the way everything is implemented. I can't think of any specific scenarios as far as where it is inappropriate, but it has addressed all of our obvious needs for inbound marketing.

  • Email marketing they do this amazingly well. Adding and removing contacts is very easy, automated communications are a life saver and I love the sending test email feature.
  • Lead Nurturing, I love the workflow builder for lead nurturing and how easy it is to set it and forget it and have a really wonderful automated campaign.

HubSpot is expensive as is (I know cost is relative, but generally speaking it's expensive). For very small businesses or startups with little to no cash flow, HubSpot may not be in the budget. Additionally, the larger your contact list, the crazier the numbers (price) gets. In our case, we needed room for a minimum of 60,000 contacts with the likelihood of exceeding 100,000 within the course of one year. Onboarding and monthly costs rise as your contact list rises.

The client needs to be looking for the full, integrated marketing platform - for one or two pieces of functionality there will be cheaper options available. They also need to be willing to commit to consistently creating the content that feeds the inbound marketing process.

If the client fits our company's criteria and we can work well together, HubSpot can be a great choice to manage marketing activities, capturing leads, using work flows, and helping the sales team move the prospect through the buyer's journey. It is not always appropriate for a one person company with a small budget unless they have funding and plan to grow.

If you are prepared to invest time into creating content and living in the software each day then there's nothing standing between you and your goals. If you're not prepared to have your team live in the software and become intimately familiar with everything it offers, then you might want to wait until you are. You are only going to get out of it what you put into it.

As I've said before, I think HubSpot is particularly well-suited to SMBs that are committed to inbound marketing using a content marketing strategy. You must ensure you have sufficient content to drive the HubSpot engine and see results. If you're just interested in lead generation and lead scoring, there are more appropriate solutions.
