HR employees are the only internal users who access the system. We're using it for applicant tracking and job posting. Solves the problem of reporting for AAP/EEO and OFCCP requirements. Also streamlines recruitment efforts in terms of our integration with JobTarget for aggregation.

Our entire company uses iCIMS as our Applicant Tracking System. It's also our repository for our job profiles. We rely on the recruiting and pre-hire workflow data for performance metrics of both our recruiters and our hiring efforts. It is one of the primary tools our Talent Acquisition department uses on a daily basis.
  • It provides and tracks a wealth of data, as much or as little as we want.
  • Profiles are highly customizable.
  • Once set up properly, its approval processes are quite easy to operate by all users.
  • Entrance criteria allow us to create a workflow that cannot be circumvented by users, ensuring we're tracking every step of our process.
  • Visual reporting functionality is somewhat limited, and we often need to export data to other reporting tools to get the granularity and insights we need.
  • Limits on the If/Then logic create roadblocks to some of our automation goals.
  • Seemingly-arbitrary limitations on security rules make it difficult to create the access-control environment we need.
  • The interface can be a bit overwhelming for some users. The fact that the job, person, and workflow profiles look so similar does not help this.
As an ATS, this tool is very useful. As a database, again, fantastic. As a means of communicating with candidates and hiring managers, it's quite good, with perhaps a few caveats.

As a data visualization tool, there's functionality, but I'd recommend they have an additional solution outside of iCIMS. There's lots of data to work with, but data "storytelling" isn't iCIMS' strong suit. The user learning curve can be steep, as well.

We use iCIMS in our recruiting efforts throughout North America, by multiple recruiters. We are able to uniformly advertise our positions and to communicate effectively with our candidates. This software also allows us to schedule candidates for interviews across the country and communicates with our Outlook calendars.
  • iCIMS allows us to email and store any exchanges with candidates
  • It also provides a standard process for all applicants to be treated equally.
  • iCIMS allows us to create reports of the source and value of the recruiting spend, identifying what path a candidate took to our site, providing us with the ability to trace the value of our advertising dollar!
With iCIMS Talent Acquisition Software Suite, we are able to track the fall out of our candidates in the application process and identify which resources have more success.

It is used throughout the organization to help streamline the application, screening, selection, and first phase of onboarding for all new hires in the company. We use Connect, Recruit, and Text Recruit. We also have a video screening option.

Overall, I have been very happy with the iCIMS Software Suite. The team is helpful and the Help Desk staff are always helpful and responsive whether the request is on the phone or via the work order. The reporting component is the only thing that has been discouraging because you don't know what to ask for to get your information.

  • You can customize/personalize everything to fit your company's needs!
  • The reporting function is amazing! You can create any type of report that you want!
  • You can create different login groups for specific types of managers and have them see only what you want them to see!
  • I wish that the system administrators would be able to update the iForms on our own instead of having the help desk make the changes.
I love that you can create any type of report that you want! No limitations! I wish that the system administrators were able to edit the iForm documents instead of sending them to the iCARE center.

We use iCIMS for recruitment, hiring, and offer letter generation for our admin professionals and staff around the world. It is the ATS for this population and is the system of record for recruitment purposes. It provides a more consistent, legal, and compliant model than our previous system.

  • Excellent support model.
  • Very good analytics and can be audited.
  • User administrators have a lot of control of their platform.
  • Reporting can always be easier for end-users (but it's on the road map).
  • Offer (their module for building and managing offer letters and the offer process) is a separate module and additional cost.
  • Currently, applicants can only upload 1 resume for all their jobs. If an applicant replaces their current resume, it applies to all positions (retroactive and going forward) which can confuse applicants and recruiters alike.
The flexibility and control they afford to clients is hands down great. Their customer support for applicants and for the clients is better than most vendors. It can adapt to your process not the other way around. Applicants get a consistent and compliant application process.

While at any time we might be hiring or onboarding across departments, heavy users include our recruiters and our onboarding specialists. We have also customized dashboards for various teams so they can pull real-time information they need from this system without needing us to pull a report or intervene.

iCIMS prides itself, and with reason, on being cutting edge and innovative; best in breed. iCIMS is on the front lines of ATS innovation and continues to improve with every release as well as listen to the customers on what is needed. With how busy it is in the HR world, it is necessary to have the system doing the research and improving with time. iCIMS is well suited if you have complex needs as an organization and if you want to cater specific dashboards to different types of users in the system. It's possibly less appropriate if you're incredibly small and don't do much recruiting/onboarding though I'd still find it helpful.

My metrics have improved greatly since adding iCIMS. I didn't know what I was missing. I do now!

  • I love that I, as the system administrator, can make changes to the platform myself. There are only a few things that I need to have iCIMS manage for me when it comes to making system changes.
  • iCIMS listens to their customers and makes changes and improvements based on customer feedback.
  • The "source" tab that displays whether or not the job is posted could use some improving. It is configured oddly.
  • You cannot search by phone number in the system, meaning if someone calls, you can't look them up by their phone number.
  • The platform does a good job of linking email from person to person within the system, but I wish there was a way to link all correspondence around a job to the job within the platform.
iCIMS is great talent acquisition software that can be tailored to meet almost any organization's needs.

The iCIMS Talent Acquisition Software Suite is being used across the organization by hiring managers and recruiters only. It helps us manage our external and internal recruiting processes. The only challenge I have as a recruiter is managing candidate notes or iForms when they apply for multiple positions. You have to go into each position they apply for to research any history of previous interviews.

Integration with our background check and assessment vendors is a huge benefit in expediting our hiring process, as well as the iCIMS Onboarding module.
  • Helps manage the talent pool
  • Helps manage communication to applicants throughout the entire process
  • Helps to automate manual processes such as offer letters
  • We have iForm interview guides on candidates. I'd like to be able to see them when an applicant applies to other positions instead of having to click in each position they applied to.

Out of all the ATSs I've had the opportunity to work with, iCIMS Talent Acquisition Software Suite so far exceeds and provides more features to help with the recruiting process.

We use iCIMS for full-cycle recruiting from the sourcing phase through on-boarding. iCIMS is primarily used by our HR Team, however, select hiring managers and EVPs do have access so that they can provide interview feedback (via iFORM) and approve requisitions and offers. The biggest business problem addressed by giving hiring managers and EVPs access is approvals. It streamlines our approval process and helps to ensure we are within budgeted headcount.
  • Reporting is excellent! You can build and customize reports very easily.
  • Customer Service/Support is very helpful in customizing software to meet individual organization needs.
  • Training programs are excellent, some of the best I have attended.
  • Search features in system: even allows resumes to be a searchable field—some ATS I have used previously do not have this feature.
  • Connectivity to LinkedIn is extremely helpful.
  • iCIMS Offer Center has a few kinks that I would like to see worked out. For example, you cannot edit a spelling/grammar error on an offer letter without sending back through for approval. There is no way around this, needs to be more flexible with offer approvals.
  • The reporting center is great, however, one improvement that in my mind is a MUST HAVE is point in time reporting, which iCIMS does not have as a functionality yet.
I have worked in multiple industries from finance to construction and I do not see an industry that could not benefit from the software since it is able to be customized to your needs. At the same time, if your company does not want to spend time customizing, there are plenty of options already available to you to utilize.

We utilize iCIMS within HR for applicant tracking and recruiting purposes. All resumes that come into the organization are routed to iCIMS, and this keeps us from having to track manually.
  • Allows for easy Boolean searching of talent in the database.
  • Keeps jobs separated and applicants tied to the role they applied to specifically.
  • Makes it easy for clients to communicate to job applicants.
  • The reporting features can be confusing at times.
  • It could be easier to modify options in drop down menus.
  • I miss the feature where you could hover over someone's name and their resume would pop up.
iCIMS has been a great tool in my career because of how easy it is to use and how well it organizes data. I have used cheaper platforms and they just do not compare. They are not as organized and comprehensive in their options.

Pier 1 Imports uses iCIMS for our corporate, stores, and distribution center hiring. Each business segment has different hiring needs, processes, and requirements, and iCMS allows us to customize the application and workflows to accommodate those differences. It also provides us with the data we need to make the most effective use of our recruitment advertising dollars and to ensure a good candidate experience.
  • The customization of the application process allows our corporate applicants to apply in less than 5 minutes and store associates to apply quickly without a resume. This ensures we are capturing interested applicants.
  • The reporting functionality is easy to use and allows access to any data you need.
  • We can easily develop custom reports and set up weekly, monthly, and annual reports to automatically be created and emailed to anyone in our organization.
  • iCIMS is very intuitive, user friendly, and easy to learn. We completed implementation in 950+ stores in 120 days. We used online self-directed training and had very few calls to our help desk.
  • The offer letter functionality is not good. It is not able to customize the offer letters with variables in vacation time, benefits, etc.
iCIMS Talent Acquisition Software Suite is a great system where you need flexibility in your hiring processes. It also allows you to easily pre-screen and rank applicants, saving time.

  • Better way to identify internal transfers. Currently, we have one profile for employees and other profiles with personal emails. Internal employees can't easily access the internal portal when at home because we use single sign-on. Also, not easy for managers to see who is internal, if someone uses external email to apply, even though they are a current employee.
iCIMS Talent Acquisition Software Suite has wonderful reporting capabilities. We can create reports on the fly, use previously saved reports, and schedule reports to go to particular users on predefined cadence. Also, it allows us to integrate with other vendors so we do not have to access so many different systems to get the work done.

  • System configuration page is not very intuitive.
If you have a large organization, iCIMS Talent Acquisition Software Suite suits well. It is easy to configure for various user groups. Reporting functionality is top-notch. It takes time to get used to but it is very easy to understand. Creating a dashboard solves this issue for most users.

iCIMS is being used across the organization. A primary goal of ours was to make the agency paperless. This has been achieved. It also gives us the ability to use our own ATS data for sourcing purposes.
  • Highly configurable
  • Incredible tech support
  • Constant product development and innovation
  • Implementation requires a consultant.
  • User interface can be complicated--highly configurable, but also overwhelming for some.
  • Out-of-the-box reports not really useful because you can't standardize outputs with such a complex, configurable system.
  • Duplicate record management is difficult.
iCIMS Talent Acquisition Software Suite is particularly good for companies that want a highly configurable system to meet many complicated needs. Keep in mind that you will need an in-house expert system administrator or a consultant for implementation and optimization. I love how configurable iCIMS is...I could play around in the backend all day long! I also really appreciate the customer support. All of their tech support people are highly skilled and easy to work with.

We utilize iCIMS for a few different purposes: CRM, ATS, and HRIS for staffing and corporate. We do not use iCIMS organizationally but instead, we have our Staffing Sales, Recruiting, HR, and Payroll teams. Use of iCIMS as a CRM and HRIS is a stretch but we've made it work. Our purpose in utilizing this for all these teams is to track a candidate across the life cycle, starting with a prospective client to terming an employee (looping them back into the recruiting team).

Well suited is harder to come up with because it's always easier to think of the negatives, so I'll spend more time here to keep productive but please know, iCIMS works really well for us in so many ways.
Right now where we are finding a little frustration is we implemented iCIMS so many years ago and by a team who doesn't use iCIMS, and we aren't using functionality that maybe we should have been and/or technology updates in general with how we work. We also run into some difficulty in that we use iCIMS for our staffing population (staffing sales, recruiting, staffing HR) and our corporate population. Two very different groups with very different needs. We are working to make things more cross-functional, which goes back to the comment that the implementation we did didn't take into account corporate.

Fields are always problematic, trying to utilize the standard fields so as not to take up too many of our customizations. We are always running up against the field limit (probably our #1 complaint for the entire contract time). Categorizing clients as Active--there is a limit of active clients before reporting is messed up. This is a constant training for our sales team and clean-up for the admins so reporting is intact.

Our company does complete staffing and recruiting, for both commercial hires and government contracting ... everything from temps to executive direct hire placements. We use iCIMS to track all our job orders, job posts, candidates, applicants. We also use the Onboarding suite to onboard employees across the country, in many states.

We are able to customize onboarding our employees for any special State requirements. We are able to customize the recruiting process for any special needs of our commercial clients and allow external hiring managers to interface at various levels. We are able to customize the internal reporting/tracking that our Program Managers need for federal contracts ... not simple or easy!
  • Highly customization of reports/searches, able to export to Excel. Allows all levels of management to make use of on-demand, real-time data.
  • Professional layout and ease of use - great interface with most all user devices. Gives our company instant credibility and quality for our brand.
  • Can't outgrow it. iCIMS has many very large customers, and excellent interface with other services and new technologies. They even acquired a texting manager platform we were hoping to start using.
  • The platform is not well oriented for the fast paced staffing agency, as it requires going in/out of various levels to manage accounts, hiring managers, etc. While it could be argued that that is a CRM function (not ATS), we feel it is a area that iCIMS should look at next.
  • More ready-to-use templates, dashboards, etc. that can allow new users to dive in and use it quickly. If someone has a DBA background, they'll love getting started and learning all the tools/tricks, but if they are the typical manager ... not so much. Have had problems with buy-in for some managers, as it can seem too complicated.
  • Some of the recruiting and hiring processes could be assisted by some ready-to-use features (like the Offer creation/approve/acceptance feature they are starting to work on). New clients have to create a lot of workflow processes on their own.
  • Gives you great reports, charts for real-time status of your recruiting processes.
  • Highly customize-able structure to allow for unlimited variety of application, screening, and onboarding processes.
  • Not user-friendly to non-database oriented people ... not always obvious where to navigate, how to use features.

The Human Resource Department uses iCIMS Talent Acquisition Software for posting positions, applications, interviews, testing, and onboarding. All applicants and employees apply via online applications, using the software. All supervisors utilize during the evaluation, interview, and selection process. It helps us recruit and communicate with applicants and supervisors during this process.

I have been forced to use iCIMS at two different companies, once while leading a team of corporate recruiters (one employer), once with a staffing firm (multiple employer clients.) It doesn't address our business problems, it just causes problems.
  • Nothing.
  • It's unnavigable, not at all intuitive.
  • It doesn't allow us to capture passive candidates easily.
  • Can't figure out how to do things, no easy way to look up the answer (no time for blogs or articles when I just have a simple question).
  • It's built for ACTIVE candidates (people who APPLY); as a search firm most of our candidates are PASSIVE candidates: no email/contact info, which iCIMS requires.
If you are a staffing firm, or if you deal with hard-to-find passive candidates, or if you don't want to spend hours trying to figure out how to do the simplest things, or if you hate wasting time building Excel spreadsheets to track candidates (not metrics) for your clients, FORGET iCIMS.

We're primarily using iCIMS within our Recruiting department and then our HR team uses it as well. We are using it for sourcing candidates, moving candidates through the application process, scheduling interviews, and then notifying all those candidates that have been hired. Our HR team uses it to initiate the onboarding process as well.
  • Keeps you organized with your candidates.
  • Helps you store all communication with candidates.
  • It takes a lot of clicks to get to a candidate's application.
  • The offer letter section is very out-dated.
iCIMS is well suited for reporting features since it is a very robust system, but it is sometimes overly complex and difficult to navigate throughout the system. It's difficult to see where your candidates are in the application process at first glance. It's also very complicated to add a candidate to the software if they did not apply directly. You have to attach each candidate to a specific "workflow" and it's overly complicated to get to the candidate's actual application.

We use iCIMS Talent Acquisition Software Suite to manage our entire hiring flow across the organization. Each hiring manager has access to iCIMS Talent Acquisition Software Suite to post the job, review candidates, and schedule interviews. We also use it to track where candidates are in the hiring process (from submitted, to phone screened, to interview, to offered). It addresses the challenge of managing multiple open positions with several different groups of interviewers.
  • Schedule multiple candidates across multiple interview times.
  • Interviewers can put in their notes on candidates in an easy and transparent way.
  • Adding new candidates to existing interview slots to choose from can get clunky.
  • Time zones are often off between users.
