Keap is the lifeblood of our business. It's the central organisation for leads, customers, and all business processes that we couldn't do without. It helps us save time, convert more leads and manage complex automation that we just wouldn't be able to do without it.
  • Marketing Automation.
  • CRM Management.
  • Email Marketing.
  • Database Segmentation.
  • Member Management.
  • Sales Pipeline.
  • Email Deliverability.
  • Certified Consultant Access.
Keap is well suited for managing small businesses. You can't go past its extensive features and programmable campaign builder to get the job done.

Keap helps us manage our sales, client onboarding, and fulfillment for our company as well as the small business clients we support. For us, it's more than a sales and marketing automation tool. We use every single feature that Keap Pro/Max has to offer, including but not limited to Checkout Forms, Landing Pages, Lead Capture Forms, Invoices, QuickBooks Online integration, Email, Phone, Text, and more. Literally, every single feature. For us, Keap addressed the fact that we were using multiple apps to manage basic processes, we lacked visibility into our operations, and we didn't really have a seamlessly integrated sales and client onboarding process. Now, we have all of those things and it's all bundled in one pretty cool app.
  • Checkout forms.
  • Invoices.
  • Workflow automation.
  • CRM pipeline.
  • Phone.
  • Texting.
  • Forms.
  • Reporting.
  • Landing Pages.
  • CRM Views and Filtering (e.g. list view).
Keap is perfect for solo CEOs and businesses with small teams. We've found that it works really well for service-based business owners and not as well for product-based or e-commerce businesses. It's also not great for large sales teams that want to work in one app. Solo CEOs and teams of 2-10 really see the benefits and power of Keap, and it's able to really take their business to the next level.

We use Keap across our organization for sales and marketing automation -- delivering the right email content, including sales offers, to the right people at the right time. With Campaign Builder (Advanced Automations), we're able to automate the lead follow-up steps that we know work for our business -- and Keap makes it easy for us to accomplish this task.
  • Marketing Automation.
  • Sales.
  • Customer/Lead Analytics.
  • Keap is robust but has multiple support options to help make sure you can accomplish your goals.
Keap is great for lead capture and for building complex nurture sequences to help convert those leads to customers. From landing pages and intake forms to timed email follow-up sequences and sales forms, Keap is able to handle the full cycle.

Keap helps us promote sales to our email list, collect leads from our website, and onboard new customers with ease. Our entire organization uses the platform. Our marketing uses it to create successful promotions. Our account managers use it to bill our current clients. Our admin team uses it to track sales and clients across the entire company.
  • Email sequences.
  • Billing automation.
  • Lead capture.
  • Affiliate links.
  • Landing pages.
  • Lead reporting.
Keap is perfect for small business owner who wants to streamline their operations with automation. It is easy to make a quick landing page, connect it to a series of emails, and have a lead magnet ready to collect new leads for your business. It is also super easy to build a sales page so that customers can purchase your product or service!

We use Keap ourselves and we recommend, set it up, and running it for/with clients every day. We use it for automated lead follow-up; trade show promo and follow-up; software trial sign up and follow-up; white paper delivery and follow-up; lead scoring; appointment booking; webinar promo, registration, and follow-up; customer experience, and NPS campaigns, automated testimonial and referral campaigns.
  • Automated lead follow-up.
  • Trade show and event promo campaigns.
  • Webinar promo, registration, and follow-up campaigns.
  • Lead scoring helps salespeople know where to put their time.
  • See which people and companies are most engaged which helps salespeople know where to put their time.
  • In some versions of the software, it's hard to see the company name along with the contact name.
For companies that need a system for tracking prospects and customers/clients, need a way to prioritize which leads are hot and who to call, need to promote trade shows, products, services, events, white papers, and guides, need automated follow-up so that leads don't get lost, and need the most bang for their buck when purchasing software, Keap is it! Perfect for small B2B companies in high tech and small companies in any market.

I use Keap for all aspects of prospect and customer relationship management. From organizing and sorting contact data, email communications, deal tracking, quoting and invoicing and reporting to internal processes, and automating the customer journey. Keap allows me to establish and repeat my sales strategies to scale using automation. If it weren't for Keap, I'd be spending hours of time trying to remember who to reach out to, when, [and] with what messages. There is no way I could operate at the scale that Keap allows me to.
  • Segmenting and personalizing email marketing - even though it's automated!
  • Has many features built-in but also integrates well with other tools.
  • Flexible campaign builder to account for all possible scenarios in your customer journey.
  • Works better for service-based businesses than e-commerce.
  • Dashboard reporting is simply numerical.
  • Primarily built for English speakers in North America.
Keap is for you if you are a small business owner who is looking to grow your business with organization and automation. It works best if you bring your strategy to implement with the tool. If you are a business owner who knows what you do inside and out, you know and care for your clients, and you have sold your services before. Keap is not ideal for you if you have not yet sold the thing you are intending to sell. If your business is still in the ideation phase, it may be too soon for a CRM tool such as Keap.

Keap is used across our entire organisation from marketing and lead generation, through the sales process to reporting and referral. As our core CRM and sales and marketing automation tool, Keap acts as our business hub and source of truth for data-driven decision-making. It has allowed us to increase revenue, save time and increase team productivity as well as automate our customer experience in a way that feels highly personalised for our clients.
  • Sales pipeline and lead tracking.
  • Email nurturing with automated email marketing campaigns and manual broadcasting.
  • Integrating with other third-party tools to create a customised systems ecosystem.
  • Landing page builders could benefit from being able to handle more customisable sales funnels for businesses keen to implement digital marketing campaigns.
  • Some appointment features such as appointment date and time could be better stored in a custom field to trigger automation based on field timers.
Keap can be implemented in most businesses to manage and track sales, improve marketing and save time. The only limitation is the implementer's ability to customise the tool to the unique needs of the business they are implementing it for. I am yet to work with a business that couldn't benefit from the CRM and sales and marketing automation features of Keap.

I use Keap to manage contacts, run all my invoicing, email/text marketing, and scheduling. I have my employees set up and manage contacts through the program too. I also have clients that I help to set up marketing campaigns, landing pages, and email follow-ups through Keap. There are more features too that I don't use as frequently.
  • Automation.
  • Recurring invoices.
  • It can be hard to set up and start implementing automation.
  • Not able to customize user permissions.
  • More options with landing pages and forms.
For small businesses that would like to integrate a back-office system, it is a great option. If they are using multiple programs that aren't integrated, Keap can make it simpler and probably save them money. If a company has a proprietary program or industry-specific CRM, it probably wouldn't be used to the full capacity and then may not be worth the money.

I used Keap for automation, sales funnels, making appointments, broadcasting emails, and my sales pipeline. It's like a CRM but has some helpful automation too.
  • Automation.
  • Easy to Use.
  • Customer Service.
  • It's expensive.
  • Aspects of their automation could be better. For example, stopping automation when someone responds.
  • Removing people who have already unsubscribed would be helpful.
It's good for a small business needing some automation. I'm starting to work more in sales funnels, and while this is possible in Keap, it's not as good as other software for this. Additionally, there are caps on the number of people in the database before there is an upcharge, and that can get expensive as the sales list grows.

We utilize Keap for everything in our office. We use it for email marketing (weekly newsletter with updates, events, and offers), client intake (webform features and create drip campaigns to nurture the leads that schedule an appointment), text message marketing, monthly campaigns to create landing pages, tag where clients and leads come from, and monthly reporting to track our return on investment.
  • Contact tagging.
  • Email marketing.
  • Client intake.
  • Landing page builder.
  • SMS campaigns.
  • Lead source tracking.
Keap is a great tool to use in any kind of business that is wanting to track where their revenue is coming from and stay top of mind of any leads that either did not engage with your product or service or continue to nurture existing clients and customers. Keap would be very beneficial to other law offices and other private practices.

Keap meets many of my needs - as a CRM Management tool, Landing Page Builder, Appointment scheduling. The greatest advantage of Keap is that the Automation of many different tasks is easy and covers all my needs at this time. I changed to Keap as I was tired of paying multiple monthly subscriptions to achieve these tasks and having to use a Zap to link everything - Keap manages my business needs in one place and has many of the integrations (eg: Zoom / Quick Books / SMS / Stripe) that are essential for my business. I like to be able to set things up and do it once then know everything is going to work as it should, I am no IT person - I find Keap logical, and when I know what I want and I can't make it happen - I have 24-hour chat support available.
  • Advanced Automation - that includes decision-making ability in a campaign - very very valuable - as I can have multiple sequences with multiple options in a single campaign - makes setting up & updating things very easy.
  • Appointment Scheduling - my business is a client service, global consultation 1 to 1 using Zoom. With the ease of scheduling an appointment for my clients - both via my website or invitation in an email with automatic follow up, automated with my Zoom Account so I am not wasting time doing basic tasks repeatedly.
  • Easy to use forms - checkout forms are simple to create and are easy to link repayment processing.
  • Improvement in Integrations - rather than having to use something like Zapier to link different software - I struggle with how integration with Zoom works and how to set that up.
  • Short video tutorials online for specific steps - rather than documents and then trying to figure out how to do things - like yesterday I was struggling with a decision diamond and how to create that and use it - I am a visual learner so a quick 4 minute tutorial under help would have been amazing.
  • As a user I find the help documents very difficult to comprehend at times - as I think it is like an assumption is made that the user understands how everything beyond the basics fits together - again rather than webinars - short videos on specific tasks - eg: wanted to remove a client from Pre Webinar section of the Campaign - as they registered the day of the webinar and attended - but were still active in the email sequence pre-webinar - needed them to be taken out of the pre-webinar sequence I searched 'remove the client from the sequence in a campaign' I struggled with the documents, I contacted chat - they told me I couldn't do it - then when I said there must be some way they talked about adding a Goal - tag and then creating a rule that put them in the next post-webinar sequence - and ticked the box to take them out of the current sequence.
Despite the difficulties I have with Keap I still believe it is the best multi-purpose tool for small business that does not have the ability to hire others to do all of the stuff Keap does - only need to learn 1 package - and reduces the number of software packages you need to learn.

I use Keap to manage my client relationships and my email marketing. It's a great way to manage leads as well and the dashboard gives you a great view of your company each morning when you log on. By automating many of my systems, it allows me to stay connected to my clients and prospects.
  • Email Marketing.
  • Lead Generation.
  • Client Relations.
  • Appointment Scheduling.
  • The marketing structure can be complex.
  • Text-based marketing is being introduced soon I think.
  • More flexibility could be helpful with the contact records.
It is a great way to stay connected to your customers and leads. If you are just starting your business, it can be a great foundation to build your marketing upon. But there are a lot of features that you may not need right away that can be confusing to new users.

Keap was implemented in my company last year to manage the influx of leads and track the customer through the sales process. We also use Keap to onboard the new clients to acclimate them with how we do business and the culture of the company. We use this across the company to help keep us organized and informed.
  • Keap organizes and tracks our leads.
  • Keap allows employees to use the pipeline feature to meet their goals.
  • Keap informs new clients through automations.
  • The email feature seems to send well, but emails do bounce frequently.
  • Automations sometimes send too fast and if accidentally triggered, you can't cancel in mass.
  • Slightly difficult to learn.
This is an excellent software/system to use on the front end of leads and tracking through the sales journey. It also is nice for onboarding new clients. Once clients are established with your organization, we find it a little cumbersome to use in that aspect. We move clients once they are established.

We use Keap to help automate our lead gen follow-up system which has helped convert cold/warm leads into paying patients over the years. Most recently we had a new patient who was getting our emails for over 24 months before ultimately making a $4000+ purchase! Keap is the cheapest yet most valuable "staff member" on payroll!
  • Lead generation.
  • Follow-up email sequences.
  • Online purchases.
  • It would be nice to be able to delete a contact from the task notified section when it is spam.
It's perfect for following up with cold/warm leads over the months/years. It also is great for creating evergreen online business solutions.

I use Keap for ongoing communication with current customers, drip campaigns for prospective customers who have downloaded website resources, onboarding campaigns for new customers, and communication with people who have recently purchased my book. Most of these utilize automation. I also use the Keap calendar to let people schedule appointments with me. I have also used landing pages and product purchase capabilities.
  • Bulk email.
  • Automation.
  • Landing Pages.
  • Scheduling.
  • It would be great if there was more functionality around structuring products that you can sell. I was doing an in-person event and wanted to sell the first admission for X and the second for X + Y. That was not supported and I had to use a workaround.
  • There was one part of creating automation that wasn't intuitive. I wanted an email recipient who clicked through to a landing page but didn't complete the goal (register for an event) to get the next email in the sequence. I had to work around to get the functionality I wanted.
Great for a solo operator because of the automation. Keap can continue to contact customers and prospects while I'm doing other things. It's a good robust tool for small businesses with lots of functionality. I haven't been able to find anything that I want to do but can't.

To track training leads and how we manage training with those leads. We also send broadcasts that are mass emails. We use the report function as well. It is helpful to maintain our contact list and send mass emails to those lists. We send invoices and it is helpful to communicate and organize with our team.
  • Organize.
  • Contact.
  • Communicate.
  • On-boarding.
  • Intuitive design.
  • Expanding functionality.
Keap is very appropriate for when we need to reach a large audience. It is appropriate for tracking the course of a client's lifespan with our company. We do not find it appropriate for keeping lists, calendars, or for evaluation or sign-ups. It is not good for tracking data.

Our entire organization uses Keap to organize our customer records, make notes to other team members, create order forms, product purchase links, follow-up campaigns, and more. By using Keap, we are able to serve our customers better. All team members can be on the same page about a customer's history and experience with the company. When an employee starts a conversation with a customer, they already have an understanding of that customer's journey. We also use Keap to tag customers by their specific product interests and create automated follow-up campaigns based on their interests. This saves our team time and money.
  • Tagging customers by interest.
  • Integrating with other customer softwares.
  • Handling customer follow-up campaigns.
  • Creating tasks to assign to other team members.
  • Not super user-friendly.
  • Not intuitive.
  • Can be complicated to find a feature.
  • Customer support doesn't always understand the product fully.
Keap is great for companies with complex goals for customer management. If you're trying to track specific customer interests in detail, create follow-up sequences that integrate with other customer contact software, or have your customer records and product order forms handled by the same software, Keap is fantastic. Keap would be less useful for a small business with a less complex customer management goal. It can be over complicated and not super intuitive, so smaller or more basic needs might be better suited for a different solution.

Keap is being used mostly by myself, as I manage our company's accounts and marketing communications. I work in Keap daily and without it, my day-to-day responsibilities would take much longer. Keap addresses the issue of having to manually keep track of campaigns and updates. The automation inside this system is unreal, and if you create a campaign the right way, sometimes you won't even have to do anything other than schedule when you want it to begin and end. Of course, if the campaign requires calls and follow-up communications, you will have to do that as well, but you can create a widget that will prompt you to do so if needed. A feature that is new, and super helpful for marketing or sending out important company updates is the "Analytics" feature. This will analyze everything in your Keap system, from emails, deliverability, revenue, and invoices to make your decision-making easier with knowledge backing up your every move. Highly recommend Keap and wouldn't ever think of switching to another company.
  • Automation.
  • Analytics.
  • Data Keeping.
  • Campaign Building.
  • Email Broadcasts.
  • Interface Learning Curve.
If you are a company that handles upwards of 500 contacts in your system, you need Keap. You can easily export any information you need to an Excel sheet for data keeping, you can track email opens and click on links, you can schedule broadcasts with a click of a button, and the new Analytics feature is extremely helpful. Great for any industry that wants automation to make their everyday operations more productive and streamlined.

We are using Keap across the whole organization to capture leads, run marketing campaigns and track performance of these, nurture incoming leads with relevant nurturing, send weekly updates, our onboarding processes, sales pipeline, and followups, and report to see how different processes are performing. We are able to better measure which pieces of marketing material and campaigns are the most effective and use these learnings to also improve other communication including our website. We can also keep full track of all leads and tasks to ensure nothing falls through the cracks.
  • Marketing Automation.
  • Sales Automation.
  • Business Process Automation.
  • Sales Pipeline.
  • Checkout Forms.
  • Mobile Features are available in more countries.
  • More Payment Processors built in.

We use Keap internally and also implement it for other companies. Keap allows us to have a single source of truth for all the tools we use. The start with, the all-in-one nature of Keap gets the job done. As time goes on, we can use add-on services that have more capabilities. It's by far the best CRM out there to support the marketing automation of a Membership site or client portal. It allows us to deliver an exceptional and customized experience to many customers. It allows us to conditionally upsell and offer the next steps based on what they have and have not done.
  • Being able to visually map out if/then experiences for customers.
  • Integrating with membership platforms.
  • Providing a great base level all-in-one and allowing for the integration of specialized software as a business grows.
  • The email builder needs love but they are in the process of releasing a new one.
  • Pulling reporting data on money running through Keap can be challenging.
  • Reporting, in general, takes more time than I would like to understand what's happening.
Keap is very well suited to information-based businesses as well as service-based businesses. I don't think it's as well suited for product businesses that do a lot of shipping.

PLS Consulting has been using Keap since '16 and I've been using the software since '08. All employees use it regularly. We use across our whole business: Offer R&D, Marketing, Sales, Fulfillment, Operations, People, and Money. The system is so much more than just a marketing and sales platform.
  • Automated customer journeys.
  • Centralizing the business into a source of truth.
  • Getting paid and collecting money.
  • Social media functionalities.
  • Better text messaging automation.
  • Expense management.
Keap is well suited for creating individual customer journeys across Marketing, Sales, and Fulfillment and managing those relationships. While it can be used for simple project management, we have a formal project management tool that we use in concert with Keap. If you are doing account-based selling with lots of contacts under one company, depending on what you need, you might need an enterprise-level tool to manage those.

The support is far and beyond all others, the system is amazingly robust and once you get past the initial curve, which they've made easier over the years, is very user-friendly.
  • Multi-channel, multi-step follow-up automation.
  • Email newsletter.
  • Sales and Marketing CRM.
  • Integration with social platforms.
  • SEO tracking.
  • Sales Pipeline User Interface could be more intuitive.
Infusionsoft/Keap is great at response-driven email marketing for small businesses. I also like its lead tracking combined with automation. It keeps a variety of robust marketing tools all in one beautifully integrated suite. Being able to collect payment makes it a complete start to finish product for client acquisition through ascension.

This software is so destined to uplift a business. It is an excellent CRM tool. In my organization, it is being utilized for sales and marketing automation and is amazing in providing direction to our business. And it provides the best of experience to our customers and we can conduct email marketing. IT is assisting us in sales as well as in managing customer relations.
  • The way it assists in automated emails is very accommodating.
  • It is a highly reliable tool and helps in tracking.
  • It has chat and phone support that is highly valuable for us.
  • It has multiple tools to assist CRM which basically includes affiliate marketing, sales automation, email marketing, multi-media marketing and this all makes it all–in–one package.
  • Its reporting is not so intuitive and we don’t like it at all, and there should be more details.
  • It doesn’t really provide many customizations and there need to be more options.
  • Setting this tool up is not our cup of tea and should be made less complicated.
It has the capability to not only uplift a business but also to strengthen a bond between the organization and its clients. We have been using it for a year and to our surprise, it has all the tools we needed in it to make our work easy. The most important of them is email marketing for us. What I don’t adore about this tool is its reports that are quite blunt.

We use Keap for all our marketing, sales, and process automation as well as CRM for outstanding relationships with our customers, email marketing, quotes/invoices, and pipeline reporting. We also love the integrated calendar and business line with texting capabilities. It’s made our company much more efficient and given me as the owner tons of time back - I have the freedom I started my business for because of Keap.
  • Keeping in touch with my customers so I’m not "outta touch, outta mind.”
  • Quote/invoicing and automating sales processes and on boarding.
  • Keeping it all in one place - I don't have to go through multiple SW or files to find what I need.
Small entrepreneurs who are trying to grow - and have a life to enjoy their successes.
