It is being used by our project management team to make sure we are staying on track. It helps our project managers make sure their sales campaigns stay on track

We are using Insightly across the whole organisation, since it has a great amount of features both from a business and productivity perspective. Actually it works great for receiving new leads (messages) and we can watch the status of these contacts. Also, it helps us keep track of our partners and clients (organisations) all in one place. It really adds intelligence and organization for all our processes.
  • Task management made simple, but we're using it for management purposes, since we have another tool for projects, time tracking, etc.
  • It really shines when we need to manage our contacts and relationship with customers and business partners.
  • We also love to keep track of new business opportunities through Insightly, since we're able to set a status and even value for this particular case.
  • The feature which enables us to choose user permissions is also very welcomed, so we can really define what each person can do inside the system.
  • The user interface is not that friendly, so there's a steep learning curve for new users.
  • We just can't use the website on mobile, although it's required to download their app (iOS and Android). It's a serious issue in terms of accessibility.
  • The project management is treated like other kind of feature, but I think it could be improved to justify it's use.
It's perfect for organisations in need of a solution to better organize internal processes and minimize the risk of errors. Also it's very effective to keep track of new business prospects and contacts (partners and customers as well).

I think you cannot count on it as a project management tool, but if you need a simple task management solution, it can work in your case.

We use Insightly to enter all new leads that we find in the market. With multiple sales people, it helps to have a home base when you find a new lead to make sure another member of our sales team has not already contacted the lead. It is great to be able to use custom fields so we can define a lead and categorize them by our specific products.
  • Pull social data. I love that when I add a new lead into the system, it will provide social media links to those contacts. It helps to have that background data on who you are calling on.
  • Activity feed. On the main page of the site, you can see what everyone on the team is working on at a glance. As a VP of Sales, I like to see others progress at a glance.
  • Instant messaging. It would be great if there was a built in instant messaging feature so you could be more efficient in dealing with others on our team. We use another company for that, but would be much easier to have one system for everything.
Great for teams that need to manage contacts.

I own an IT company and I use it to keep track of sales opportunities through the sales process. Once a sale converts to a project, I keep track of all tasks with Insightly as well through the development process.
  • Task Sync to Google Calendar. This is especially strong and helps to keep a daily agenda on point for me.
  • Task notifications. This helps me keep on point as it keeps me locked into my timeline of development. I'm extremely busy, so having this reminder system on my phone and in emails is helpful.
  • Notes: I love the notes feature, which helps keep my projects well organized for others that might step into them. I stopped using Google Keep once I got a handle on Notes in Insightly.
  • Linking. When I link a company to a project, it should bring up a screen or balloon to select which members of the company you want to link. Instead, you have to link each individually. Using the integration into GMail, this is a very repetitive function.
  • Gmail integration. For the most part this works, but it's clunky and not very streamlined at all. Too many clicks and links to add each email to a particular project, organization or contact. When a contact email is part of a project, it should automatically be recorded to that project without any user intervention required.
  • The sales forecasting is, like with most CRMs, easily manipulated and nothing more than guessing.
For a small business that has multiple projects going on at once, it is VERY well suited. I would think for a huge company with 20 sales people and extensive call volume, it might be extremely cumbersome and would miss valuable data gathering if the sales people didn't work 100% of the time from within the product (as most don't do). It's strong for a tiny business - easily the strongest of those I've tried.

It's being used across the whole business, primarily as a sales and customer service resource so we can have all of our customer and prospective customer information at our fingertips. We also use it to assign workflows in the business particularly the ability to assign tasks across the departments. We also now sync our data with MailChimp so Insightly is making a big contribution to our email marketing function.
  • Database management - It's very easy to filter and slice up the information for various purposes. Sales and marketing find this particularly useful.
  • Mobile app - The Insightly app is great, easy to use and is a very powerful data capture tool for our field sales team. Especially the ability to record voice notes on the go.
  • Work flow - being able to assign tasks, manage projects and automate workflows creates efficiencies within our small business.
  • Visibility of task assignment - It would be good to be able to assign a task and link it to a colleague so they can also track the progress of the task.
  • A more customizable home page.
Insightly is very well suited to capturing inbound enquiries. Hot leads such as this can often be lost or not followed through. By encouraging all aspects of the business to embrace insightly we are now able to immediately capture customer data and assign the enquiry at the point of contact.

Insightly is less well suited to managing ecommerce. It would be better if it could sync even more seamlessly with ecommerce and accounting software.

I am a Freelance Director/DP (video/film/photography). I use Insightly as my primary database for client contacts and more importantly, project management. Insightly allows me to track projects, and is the starting point for anyone I reach out to, or any project I work on.
  • Simple, one point access for clients, organizations and projects. Use Insightly more for PM than sales/Biz Dev. I can enter a new projects and quickly see a list of what projects are in which stage of the process, from not started to completed.
  • I can easily save emails (with attachments) directly back to its related projects. The attachments are automatically pulled and placed into the "files" area of the project.
  • The level of modification to fit difference business needs is great...there is so much I haven't even tapped into yet.
  • I just started using the new UX so there might be a way to do these things I'm about to state: Lock in the width of the columns so I don't need to resize each time I go to the projects page.
  • In Projects - the Project status WAS color coded. In the new UX its not! Why not? With Color Codes I could easily find and see where the projects are in the process. Yes, I know you can sort, but that's not the same.
  • In Organizations - I'd really like to see a tab/column for "Category". It was a no-brainer for me to see what categories the different organization fall under.
  • Change your Logo/font - The little heart make this look like a dating site, not a CRM platform. I like the color though.
It's difficult for me to say [where Insightly is well suited and/or less appropriate] being a freelancer. Admittedly, I use much less of Insightly than companies who use it for true CRM.

Insightly has become a part of my DNA. I use it every day. I have multiple businesses that have different sales funnels and sales processes and Insightly helps me track all of that in one place.
  • I can track my leads and track them by their group.
  • The ability to have emails in one place for me to see a record of how projects are moving forward is particularly helpful.
  • I also like the tasks option so I don't forget what I am supposed to do and when. The function of setting a task that fits my calendar is VERY helpful. For example, Call So and So at 10:30 next Thursday means at 10:30 I have scheduled office time for sales follow up. Getting a task reminder while I'm at another meeting can be distracting and scheduling a specific time for tasks is very helpful.
  • There needs to be a cleaner way to manage data and contacts and leads. Being able to have all my contacts in alpha order as I want them (last name, first name, organization name, etc.) would be so helpful.
This is an excellent sales tool.

We use insightly to aggregate and nurture prospective investors in projects to raise capital. The ability to automatically link to social media profiles and other external sources is worth gold. At any time we know the status of a raise and where each of the prospective investors are at. Interactions with them are registered and updated so you always know what has transgressed.

  • Very user friendly.
  • Zapier is too expensive as a link for some applications as you only seldom use them.
  • Is too Microsoft focused for Apple users.

We use Insightly across our sales organization both internally and externally. This allows us to sync our efforts and increase efficiency with time and resources. This allows all users easy access to customer information and to see real-time into the sales cycle process without needing information pulled or pushed to them by another teammate.

  • The mobile app needs work. It frequently freezes up and has to be closed and re-opened.

We use Insightly as a way to manage client activity from sales through to active account management. Primarily we use it as a project/task management tool. It starts with Business Development but it is mostly used by account managers to help manage their workflow and keep track of tasks. Management also uses it as a way to keep on top of the multiple client programmes.
  • Task view across all projects
  • Google like look and feel
  • Integration with Gmail and Outlook
  • Can be fiddly to navigate
  • Customer support requests are not dealt with quickly
  • Fields are not as customizable as they could be
It is not a task management tool. It may be better for CRM but I have not used it in this way.

We were using this tool organization-wide and have used Insightly in a variety of different ways:
  • Track leads (from initial call to contract closing)
  • Able to understand and analyze our sales cycles.
  • Consolidation of documents and sales-enablement material (allow team members to easily access documentation on features, capabilities, partnerships, etc.).
  • Easily able to search for contacts information of vendors, partners, customers, etc.
  • Intuitive UI/UX. Very easy to navigate throughout the tool (short learning curve)
  • One-stop shop for all information pertaining to a specific customer or audience. Easily able to track status, look up notes/information, etc.
  • Variety of different integrations that we can connect with (i.e. Gmail)
  • Freemium features provide a wealth of capabilities and tools, however; some features you would think would be standard, you have to pay for.
  • Reports to analyze sales can be fairly hard to create. Out of the box reports provide are nice, but we need to buildour own reports to get the information we need (like any data tool)
  • Customer service could use some improvement

We are a Veteran Service Organization/non-profit and use Insightly for client case management and as a catalog of partner employers and service providers. Insightly is used organization-wide and across our three geographically-distributed offices and virtual team. We were looking for a cloud-based database that was affordable, flexible, and could be maintained internally.
  • Insightly can grow as the organization and the organization's needs grow. We started with only 25 custom fields and now have 125.
  • Insightly has proven to be reliable. We only have had a couple of brief periods with the servers were down.
  • The Advanced Reporting capability was a huge step forward. Creating customized reports is a pretty straightforward process.
  • The Tech Support team provides quick response even though I often don't like the answer to my questions.
  • Not having a complete roll-back capability i.e., the ability to reset my database to midnight the night before is a huge shortcoming. I don't think customers realize just how vulnerable an organizations data is. My backup system administrator accidentally deleted a custom field and with one keystroke, over 8,000 records were impacted. With over 90 hours of work, we were able to recover only about 80% of the field data and with questionable accuracy. I realize that flat.ly is being touted as a partial fix, but with that backup, all of the custom field names are lost. It is better than having me manually backing up each record type (i.e., Contacts, Contact Notes, Organizations, Organization Notes, etc) into Excel manually, but still not the answer. This really needs to be fixed.
  • Not being able to join tables when doing queries/reports is a real limitation. As an example, I would like to be able to read the notes for contacts/clients who meet specific search criteria i.e., show me all notes for Veteran employment clients serviced by the Huntsville office since 1 January 2018.
  • Lack of a multi-choice drop-down field choice. I believe that this is a marketing/business driven decision, not a technical one as has been suggested on the community page. I should have one question which asks "What Wars?" and let me choose as many as apply rather than having to waste multiple custom fields listing each war OID/OEF/OND? Gulf War? Vietnam? Korea?
  • The rating system for technical support. I would like to be able to distinguish between the rating of the individual tech support provider and the answer. I may be very satisfied with the service and completely dissatisfied with the "party line" answer. I would like to be able to rate both service and answer.
When I found out that our database could not be rolled back to a given point in time, I quit recommending Insightly to others. Prior to that I had been widely touting Insightly as a viable alternative to SalesForce for non-profits and had done several product demonstrations. This awareness of the lack of roll-back/back-up has also caused me to stay with the older user-interface because I am afraid to try to the new one in case it doesn't meet our needs and I wanted to revert to the old one. No matter how much I would like to experiment with the new interface, I cannot put an operational database at risk. I really do not want to abandon Insightly, be we cannot afford to be this vulnerable.

We use Insightly company-wide. It integrates with QuickBooks, so our finance department uses it. It organizes our project management team and our sales team. Instead of having multiple platforms, ranging from project management, excel, another CRM, we now just use Insightly and it has cut our number of files down greatly.
  • File Management. It helps keeps all of our files that we link with our customers in their particular records so we don't have to go hunting for them.
  • With the integration to QuickBooks it allows us to get a 30,000 foot view of our finances.
  • The project management feature is nice as it allows us to keep manage our deliverables a lot better so tasks don't fall through the cracks.

Insightly is a great CRM system allowing for organization of prospects, clients, and company partners. The interface is great and it allows for easy sorting of tasks, projects, and opportunities. It does, however, need a lot of work in the reporting aspect of a CRM. When having a report sent it to you it comes out in an Excel sheet, and if you have your report total up the sum of a number (I.e. the total number of opps, some of the opps,) it doesn't translate into that Excel sheet. Also, there needs to be a reporting dashboard.

I use Insightly as my primary CRM and Project management tool. It allows me to keep track on deal progress as well as the progress on customer projects. I can keep all the notes and the email regarding a lead, contact, opp, or project in one place. I also use the IOS mobile app and really like that.
  • The mobile application is really helpful.
  • The new design is great.
  • The report generation is very useful and easy.
  • Insightly needs to link up with Skype so calls can be made from inside insightly and recorded there.
For smaller and midsized companies, the price point and the functionality are great.

We use Insightly across our whole company, It allows us to be very productive and organized. It has plenty of amazing features like assigned tasks & email notifications. The GUI is very beautiful and easy to use, and the reporting features have lots of options which makes the process simple and painless.
  • Very good price for a CRM solution.
  • Beautiful GUI with lost of customization fields.
  • Very easy to use, great customer support.
  • Integration with third party apps does not work properly in some cases ex: Outlook
  • The mobile app is not very user friendly
  • No backup options
If your company is looking into purchasing a CRM solution look no further, Insightly is the best CRM program on the market. Easier to use than other solutions, great GUI and tons of features and options. Customer support is outstanding and pricing is just right. For those of you currently using another solution please check this one out, you won't regret it!

We use Insightly as a database for our customer base throughout our company by, managing task, creating reports, setting reminders, just to name a few.
  • For our, Department Insightly helps us to manage both new and current programs by keeping up to date information.
  • Insightly helps to manage tasks with our Programs.
  • Insightly helps us to keep up with the most current contact with our customer.
  • After entering a facility into Insightly, and trying to converge them with Quickbooks, the name of the organization automatically defaults to the person entered as the primary, and not the organization. It would be nice if the organization appeared as the primary.
  • To have the ability to create a map and pin all of our programs
  • Automate reminders from a certain date
I do not think that we use Insightly to its fullest capacity. It is very helpful in keeping up with contacts. Creating tasks, and keeping track of communication with our customers. I also think Insightly is also very helpful in running reports. These reports help us to manage many aspects of our business, one of the most helpful is to be able to be able to send out reports, and certificates to our organizations. We use leads when there is potential for maintenance projects, inspections, and training. This helps drive business and relationships with potential clients. In projects, we are able to utilize showing when a project has been completed, as well as when a report has been sent.

The email system is a nice feature for sending emails out in small batches to various groups of clients. We can utilize campaigns to target clients and schedule how regularly the campaign should go out. We are a small business in our first year of using Insightly. We recognize that there are many more tools that can be helpful for our business. We look forward to continuing working with Insightly, and we appreciate the request for feedback on how you can better serve your customer base.

Insightly is used for lead management to start not-for-profit clubs in businesses and communities. The corporate relations and global marketing departments use the software within the company. It is our exclusive lead-management system for our users to record and monitor their 100's of leads globally. It allows the world headquarters office to streamline the records and tracking to ensure our users are fulfilling their roles and doing it as effectively as possible.
  • Give support, technical help, assist with minor and major issues, educate users and admin.
  • Tidying major tabs and lists to effectively "hide" them for users who do not need to utilize these functions.
The first glance at Insightly was a bit baffling given issues with streamlining the overall display, which has improved a bit since the most recent updates. The scrolling function on drop-down lists was previously an issue, as were similar other (seemingly small issues) which contributed to more than a few frustrated users. Many of these concerns have also been improved with the recent update. Given this, I am reserving further opinion until using it further. All aspects of detailed explanation, support, and information available have been fantastic. The great community surrounding Insightly.

Our sales team is using Insightly to track inbound and outbound sales opportunities. It helps us understand potential income at any given time, as well as stay on top of our many different leads to ensure the highest success rate. Our main goal for bringing it on is to make sure no lead slips through the cracks!
  • Outlining potential income (both in monthly volume and length of time)
  • Providing detailed reports that show status updates for all leads throughout the stages
  • Easily transitioning a lead to an opportunity, and an opportunity to a project (to demonstrate the lifecycle of a lead)
  • The new interface is more difficult to use. I can't see the names of all of my inputs like I used to; I now have to spread all the columns out manually in order to read it all. Very tedious.
  • It doesn't provide a lot of options for customization within each "form". It would be nice to eliminate information that isn't pertinent to our company, or tailor wording to better suit what we do.
  • I wish it would allow me to add in notes easier. The current functionality does not make it easy to add in notes and they don't appear readily on a lead/opportunity/project which would be helpful to see when I click into one.
It is helpful when you have a ton of incoming business, in order to manage it. I would say it is less helpful when a lead is still very new and you aren't sure if you are going to move forward with them or not. That functionality is weak so it often isn't worth the time it takes to input it.

Insightly has proven to be an efficient CRM to manage our customers and the ongoing or future projects. With a user-friendly interface, its features are quite straightforward and anyone with a basic notion of CRM is able to make use of it. There are tons of very useful tools that speed up the sales process and enables a closer follow-up of all the opportunities and projects. There still are other features requested by the users around the world, but step by step Insightly team seems to catch it up and implement new items on the platform.

  • Full Backup of data not yet implemented. Everything has to be exported individually and separately to CSV files, which does not save rich data (images, attached files, e-mails, and so on.)
  • Exported Notes can't be imported back.
  • Exported/backup data can't be imported back in a single way. All has to be exported/imported separately (opportunities, projects and so on), which breaks the links between them. Also, the export format is not always the most useful.
  • Images linked to contacts/companies can't be exported/imported.
Insightly is wonderful for small- and medium-sized companies that have relatively simple or not-so-complex projects and opportunities. In this scenario, Insightly fits like a glove. However, as the complexity of projects and sales opportunities scale up, it tends to be less effective.

Insightly is been used across the board in our small organization. It helps us to first have all information about our clients in one place, and to ensure that everyone is on the same page. It helps us to lead our clients through a pipeline leading to eventual sale, and thereafter we use the project management capabilities to deliver service to our clients.

If you are looking for a centralized location to have all your clients' information, then Insightly is the way to go particularly for small businesses. In addition to functioning as a viable CRM, Insightly has also proven to be very useful for project management. The integration is Quickbooks is very helpful as well.

We use it as a lite CRM to keep track of contacts, leads, and opportunities. We also use it to keep on top of client work so the executive team can quickly see high-level what's going on with each client.

Insighly would be good for a medium size organization that is looking for affordability over functionality. Insightly is my everyday companion. It not only helps me to organize and manage my relationships with other businesses and organizations, it does a hell of a lot more. To me, Insightly is a fundamental building block of the lifestyle I am living - planning my next vacation; setting goals, and more importantly, staying focused so they actually become achieved; going on dates and remembering those little, but utterly important details she mentioned on the last date like her cat's name was Nala, her brother likes the Ninja Turtles and she loves the colour blue, but not in winter, because...

Furthermore, people are happy because I remember their birthdays and on top of that, gift them the thing they actually desire and enjoy, because I remember what they said six months ago. And last, all my documents, letters, contracts... are stored and managed within Insightly, so I won't forget to cancel my gym membership on time.
  • Easy to use & learn/Interface design

  • Down to earth tutorials
  • Making use of big-data to gain a deeper and more detailed look of a customers unique situation (like showing local news from where the customer lives, using FB, LinkedIn, instagram etc. to get a better picture of the customer, show me a google street view photo of their office -- just anything that would help me to feel what my customers are feeling right now
  • Better reading email signatures and making use of their website data. There wasn't a single time were Insightly filled out the form by itself correctly.

For people who wanna focus on what is important to them in life. For people who wanna free-up brain power so they can create the things, they love and enjoy. We use it to keep track of current customers and when we have to service the accounts. It helps us to get emails with our information to leads, as well as keeping track of everything that goes on with that client (calls, service, equipment change, billing). It is used by me as the owner of the business, and when the moment is appropriate we want to have a specialized person in charge of this.
  • Recurring tasks.
  • Keep track of conversations, equipment service, etc., through notes.
  • Mass email is a plus.
  • Would be nice to be able to put graphics in the emails.
  • Case studies would be great to see.
  • Somewhat confusing at first on what or where to put information.
It is well suited for our rental business as we can track what happens with all of our accounts as the equipment is in our clients' location. I am sure there are more features that we can use but we are still learning the ropes of Insightly. If there are cold calls to be made and keeping track of existing clients I believe it gets the job done.

It is being used by the account management team to ensure that our managers have insight into the status of our accounts and the activities that we are pursuing for clients as part of these accounts.
  • The recent activity feed is sometimes helpful for getting ideas for activities being pursued by others.
  • The ability to forward periodic emails for storage in a central place is also great.
  • When accounts are transferred from one account manager to another, Insightly is a great way to manage the facts which the new account manager needs to know.
  • The tasks UX is sort of a disaster. The old UX was much better. The filters and display need work.
  • The system should automatically populate more options regarding connecting tasks to projects. Tasks frequently get lost currently.
  • It seems overly difficult to disconnect from accounts that you no longer manage. I don't need updates each time the new account manager updates my old project. I really don't.
I think if there is a lot of technical information that needs to be stored, Insightly works well. However, for simple task and account management, I'd sooner go with something like Trello.

We use Insightly as a CRM type software. We keep track of all of our clients and what activity goes on with them. This allows us to be on top of all necessary tasks for the clients.
  • User friendly
  • Offers great detail on a client-specific basis
  • Can integrate nicely with other services
  • I use some of the options less often, so they just take up some space on the page.
I think in similar situations, as a CRM it is quite helpful. We as a team of account managers are the main users of Inisghtly at our company, but I think it would be very useful for sales teams as well.
