Solves almost any process your business may have
- Task management made simple, but we're using it for management purposes, since we have another tool for projects, time tracking, etc.
- It really shines when we need to manage our contacts and relationship with customers and business partners.
- We also love to keep track of new business opportunities through Insightly, since we're able to set a status and even value for this particular case.
- The feature which enables us to choose user permissions is also very welcomed, so we can really define what each person can do inside the system.
- The user interface is not that friendly, so there's a steep learning curve for new users.
- We just can't use the website on mobile, although it's required to download their app (iOS and Android). It's a serious issue in terms of accessibility.
- The project management is treated like other kind of feature, but I think it could be improved to justify it's use.
I think you cannot count on it as a project management tool, but if you need a simple task management solution, it can work in your case.
Good System for Sales Pros
- Pull social data. I love that when I add a new lead into the system, it will provide social media links to those contacts. It helps to have that background data on who you are calling on.
- Activity feed. On the main page of the site, you can see what everyone on the team is working on at a glance. As a VP of Sales, I like to see others progress at a glance.
- Instant messaging. It would be great if there was a built in instant messaging feature so you could be more efficient in dealing with others on our team. We use another company for that, but would be much easier to have one system for everything.
Insightly for Small Business is a winner!
- Task Sync to Google Calendar. This is especially strong and helps to keep a daily agenda on point for me.
- Task notifications. This helps me keep on point as it keeps me locked into my timeline of development. I'm extremely busy, so having this reminder system on my phone and in emails is helpful.
- Notes: I love the notes feature, which helps keep my projects well organized for others that might step into them. I stopped using Google Keep once I got a handle on Notes in Insightly.
- Linking. When I link a company to a project, it should bring up a screen or balloon to select which members of the company you want to link. Instead, you have to link each individually. Using the integration into GMail, this is a very repetitive function.
- Gmail integration. For the most part this works, but it's clunky and not very streamlined at all. Too many clicks and links to add each email to a particular project, organization or contact. When a contact email is part of a project, it should automatically be recorded to that project without any user intervention required.
- The sales forecasting is, like with most CRMs, easily manipulated and nothing more than guessing.
Small business review for Insightly after 1 year
- Database management - It's very easy to filter and slice up the information for various purposes. Sales and marketing find this particularly useful.
- Mobile app - The Insightly app is great, easy to use and is a very powerful data capture tool for our field sales team. Especially the ability to record voice notes on the go.
- Work flow - being able to assign tasks, manage projects and automate workflows creates efficiencies within our small business.
- Visibility of task assignment - It would be good to be able to assign a task and link it to a colleague so they can also track the progress of the task.
- A more customizable home page.
Insightly is less well suited to managing ecommerce. It would be better if it could sync even more seamlessly with ecommerce and accounting software.
Solid tool for a variety of businesses, small to large.
- Simple, one point access for clients, organizations and projects. Use Insightly more for PM than sales/Biz Dev. I can enter a new projects and quickly see a list of what projects are in which stage of the process, from not started to completed.
- I can easily save emails (with attachments) directly back to its related projects. The attachments are automatically pulled and placed into the "files" area of the project.
- The level of modification to fit difference business needs is great...there is so much I haven't even tapped into yet.
- I just started using the new UX so there might be a way to do these things I'm about to state: Lock in the width of the columns so I don't need to resize each time I go to the projects page.
- In Projects - the Project status WAS color coded. In the new UX its not! Why not? With Color Codes I could easily find and see where the projects are in the process. Yes, I know you can sort, but that's not the same.
- In Organizations - I'd really like to see a tab/column for "Category". It was a no-brainer for me to see what categories the different organization fall under.
- Change your Logo/font - The little heart make this look like a dating site, not a CRM platform. I like the color though.
INdightly is in my DNA
- I can track my leads and track them by their group.
- The ability to have emails in one place for me to see a record of how projects are moving forward is particularly helpful.
- I also like the tasks option so I don't forget what I am supposed to do and when. The function of setting a task that fits my calendar is VERY helpful. For example, Call So and So at 10:30 next Thursday means at 10:30 I have scheduled office time for sales follow up. Getting a task reminder while I'm at another meeting can be distracting and scheduling a specific time for tasks is very helpful.
- There needs to be a cleaner way to manage data and contacts and leads. Being able to have all my contacts in alpha order as I want them (last name, first name, organization name, etc.) would be so helpful.
Great at aggregating and nurturing contacts, leads and customers
- Links to social media profiles.
- Has the ability to accept many API's.
- Very user friendly.
- Zapier is too expensive as a link for some applications as you only seldom use them.
- Is too Microsoft focused for Apple users.

- Able to understand and analyze our sales cycles.
- Consolidation of documents and sales-enablement material (allow team members to easily access documentation on features, capabilities, partnerships, etc.).
- Easily able to search for contacts information of vendors, partners, customers, etc.
- Intuitive UI/UX. Very easy to navigate throughout the tool (short learning curve)
- One-stop shop for all information pertaining to a specific customer or audience. Easily able to track status, look up notes/information, etc.
- Variety of different integrations that we can connect with (i.e. Gmail)
- Freemium features provide a wealth of capabilities and tools, however; some features you would think would be standard, you have to pay for.
- Reports to analyze sales can be fairly hard to create. Out of the box reports provide are nice, but we need to buildour own reports to get the information we need (like any data tool)
- Customer service could use some improvement
-Searching for specific contact information (customers, vendors, partners, etc.)

Insightly 90% Great - But the 10% is a Killer
- Insightly can grow as the organization and the organization's needs grow. We started with only 25 custom fields and now have 125.
- Insightly has proven to be reliable. We only have had a couple of brief periods with the servers were down.
- The Advanced Reporting capability was a huge step forward. Creating customized reports is a pretty straightforward process.
- The Tech Support team provides quick response even though I often don't like the answer to my questions.
- Not having a complete roll-back capability i.e., the ability to reset my database to midnight the night before is a huge shortcoming. I don't think customers realize just how vulnerable an organizations data is. My backup system administrator accidentally deleted a custom field and with one keystroke, over 8,000 records were impacted. With over 90 hours of work, we were able to recover only about 80% of the field data and with questionable accuracy. I realize that flat.ly is being touted as a partial fix, but with that backup, all of the custom field names are lost. It is better than having me manually backing up each record type (i.e., Contacts, Contact Notes, Organizations, Organization Notes, etc) into Excel manually, but still not the answer. This really needs to be fixed.
- Not being able to join tables when doing queries/reports is a real limitation. As an example, I would like to be able to read the notes for contacts/clients who meet specific search criteria i.e., show me all notes for Veteran employment clients serviced by the Huntsville office since 1 January 2018.
- Lack of a multi-choice drop-down field choice. I believe that this is a marketing/business driven decision, not a technical one as has been suggested on the community page. I should have one question which asks "What Wars?" and let me choose as many as apply rather than having to waste multiple custom fields listing each war OID/OEF/OND? Gulf War? Vietnam? Korea?
- The rating system for technical support. I would like to be able to distinguish between the rating of the individual tech support provider and the answer. I may be very satisfied with the service and completely dissatisfied with the "party line" answer. I would like to be able to rate both service and answer.
Insight into Insightly
- File Management. It helps keeps all of our files that we link with our customers in their particular records so we don't have to go hunting for them.
- With the integration to QuickBooks it allows us to get a 30,000 foot view of our finances.
- The project management feature is nice as it allows us to keep manage our deliverables a lot better so tasks don't fall through the cracks.

- For our, Department Insightly helps us to manage both new and current programs by keeping up to date information.

- After entering a facility into Insightly, and trying to converge them with Quickbooks, the name of the organization automatically defaults to the person entered as the primary, and not the organization. It would be nice if the organization appeared as the primary.
- To have the ability to create a map and pin all of our programs

The email system is a nice feature for sending emails out in small batches to various groups of clients. We can utilize campaigns to target clients and schedule how regularly the campaign should go out. We are a small business in our first year of using Insightly. We recognize that there are many more tools that can be helpful for our business. We look forward to continuing working with Insightly, and we appreciate the request for feedback on how you can better serve your customer base.
New Admin
- Give support, technical help, assist with minor and major issues, educate users and admin.
- Tidying major tabs and lists to effectively "hide" them for users who do not need to utilize these functions.
Very helpful for managing sales opportunities!
- Outlining potential income (both in monthly volume and length of time)
- Providing detailed reports that show status updates for all leads throughout the stages
- Easily transitioning a lead to an opportunity, and an opportunity to a project (to demonstrate the lifecycle of a lead)
- The new interface is more difficult to use. I can't see the names of all of my inputs like I used to; I now have to spread all the columns out manually in order to read it all. Very tedious.
- It doesn't provide a lot of options for customization within each "form". It would be nice to eliminate information that isn't pertinent to our company, or tailor wording to better suit what we do.
- I wish it would allow me to add in notes easier. The current functionality does not make it easy to add in notes and they don't appear readily on a lead/opportunity/project which would be helpful to see when I click into one.

- Full Backup of data not yet implemented. Everything has to be exported individually and separately to CSV files, which does not save rich data (images, attached files, e-mails, and so on.)
- Exported Notes can't be imported back.
- Exported/backup data can't be imported back in a single way. All has to be exported/imported separately (opportunities, projects and so on), which breaks the links between them. Also, the export format is not always the most useful.
- Images linked to contacts/companies can't be exported/imported.

Using Insightly to Manage My Life
Furthermore, people are happy because I remember their birthdays and on top of that, gift them the thing they actually desire and enjoy, because I remember what they said six months ago. And last, all my documents, letters, contracts... are stored and managed within Insightly, so I won't forget to cancel my gym membership on time.

- Better reading email signatures and making use of their website data. There wasn't a single time were Insightly filled out the form by itself correctly.

Insightly Insight
- Recurring tasks.
- Keep track of conversations, equipment service, etc., through notes.
- Mass email is a plus.
- Would be nice to be able to put graphics in the emails.
- Case studies would be great to see.
- Somewhat confusing at first on what or where to put information.
Good for some purposes, less so for others.
- The recent activity feed is sometimes helpful for getting ideas for activities being pursued by others.
- The ability to forward periodic emails for storage in a central place is also great.
- When accounts are transferred from one account manager to another, Insightly is a great way to manage the facts which the new account manager needs to know.
- The tasks UX is sort of a disaster. The old UX was much better. The filters and display need work.
- The system should automatically populate more options regarding connecting tasks to projects. Tasks frequently get lost currently.
- It seems overly difficult to disconnect from accounts that you no longer manage. I don't need updates each time the new account manager updates my old project. I really don't.
