We mainly use it for project management, monitoring and capturing lead info and for the CRM aspects of the program, in particular email storage and sharing. We find that the email links are useful so everyone knows what has happened with a particular client and can pick up where the other person has left off.

Very good for project and task management as tasks can be assigned to the appropriate team or person with ease. The ability to view a project’s progress could be improved however as only when you dig deep into the project can you see how it’s progressing. Better viewing functions would help for this scenario.

Insightly is used by everyone in our operations team however due to the complex UI, it’s not used as much as I would have liked. It’s a great tool, but in our organisation, under-utilised. I feel if Insightly improved the UI and integration it would offer better value for money to its customers.

We use Insightly to maintain records of our communities membership and relationships. It helps us track community members' growth, demographics, relationships, fundraising opportunities, and much more. It is also used to help us organize member data and organized tasks amongst our team.
  • I think it's highly customizable and allows us to be very specific.
  • The customer service and professional support is great.

  • I think some of the functionality between its marketing and CRM platforms is a little complex.
  • There are some bugs that make using it on different web browsers difficult.
I think that Insightly is best as a CRM. It has been exceptionally useful in allowing our organization to organize, evaluate and measure our impact on our members. I really like the ability to create reports which have been very helpful in organizing and maximizing efficiency for programming. Reports allow us to pinpoint the exact demographics of a unique subset of our community members quickly and with ease.

I use insightly to help me do inspections on scheduling and always allows me to update notes and keep everything organize which is very helpful. Insightly allows everything to be organize and puts things in catergories to help other user in my company to find and see dates and data when needed and to see it off to the next employee. It also address communication when you need to find information on certain projects. Also allows you to link to google which is a huge help.

Having all client activity and profiles is of incredible help to us.
  • Adaptability to existing workflows.

I really don't have much experience with other tools, so it's hard to judge the scenarios where it's less appropriate, but Insightly has been a very useful tool overall when you understand the limitations (and are ok with them).

Our team uses Insightly to manage, track and update all of our Solar installation projects. It offers a wide range of tools for data analytics and workflow automation, which streamline our day-to-day processes without having to write any code. Once fully customized to our workflows, the ease of use and amount of time saved have been substantial!

  • Adding new cards to a dashboard will occasionally interfere with the entire layout.
  • Dashboard auto-refresh only occurs every hour, meaning the data shown can be up to an hour old rather than live (but the data can be refreshed manually from each card).
Dashboard views are more effective than reports for viewing and updating projects, as the pop-out window feature that appears in the dashboards means that new tabs don't have to be opened and closed to view and edit a project's details.

We use Insightly in our organization on a daily basis: it is my home page & my default for when a new tab is open. I live and breathe Insightly. We are a solar company that has grown a lot during the past few years, and with that, the need to use a CRM with unlimited settings and integrations became extremely important. We use Insightly to manage projects, check the status of projects, and keep track of our KPIs. I love how easy it is to navigate, create reports and integrate with other software making our lives easier.

Insightly is well suited for all types of companies since you can literally create anything you want - from a project report to a contact report - without losing any functionality. It helps us to keep track of thousands of projects at the same time and allows different employees to make changes for the same project simultaneously. Insightly also allows us to create "custom objects" pages that use pointers to point out information from the project into a more detailed page which can be beneficial for several teams.

I use it to integrate with AutoCAD. Fields are input through the designer per job case basis. And AutoCAD will populate all the correct fields and the correct visibilities within that block. The business problems are minimal. We want to be about to use more than 500 fields per custom object.

The use of AutoCAD from Insightly is perfect for my use. This allows me to not have to use Excel and can have multiple projects open and populate multiple jobs at once. I honestly can't think of a scenario where it is less appropriate. I love the configurability of using code to be able to populate blocks with multiple visibilities using tables in dynamic blocks.

We use Insightly as our internal CRM. Although there are small features I would like to be able to use in Reports, overall I would say that Insightly is great, and continues to improve each year. We can typically use AppConnect, or utilize exporting reports in order to accomodate the features we lack. I would recommend Insightly as it's easy to use for both the individual users, and the admin. <br><br>The biggest thing I would like to see improved (or changed back) is the reports being updated instantly instead of hourly.

We run sales and marketing campaigns for 40 different clients. Each client campaign has it's prospect list in Insightly and we use Insightly to track activity and report back to our clients on progress. It is used mainly by our Business Development team.

  • Reporting is challenging. Depending on the report type you're building, you can't pull in all fields. For example, if I'm pulling a contact report, I can't pull in data from an account page.
  • We use account based selling as a company. The lack of integration between "Contacts" and "Accounts" is challenging. We've had to do some of our own development to link contact activity to show under the account page with not a lot of help from Insightly.
  • Logging activity isn't as efficient as it could be. It takes a lot of clicks and some of the required fields are tedious to fill out because it doesn't relate back to our process.

We were in need of a database in which to store client information (and which could be easily accessible by all team members), track various client "journeys," and send emails to mailing lists. We also wanted to keep an email trail for each client in a centralized location.

  • Client journeys - being able to track and capture the stage that a client is in
  • Lack of ability to edit certain categories (for example, including multiple email addresses for a client)
  • Text editing - limited functionality in terms of style options (highlighting text, etc.)
  • Lag between CRM and marketing sides - have to get an admin to update the crossover
  • Marketing calls clients "prospects" - unwieldy and doesn't make sense, since we also have a category for "prospects" in our CRM that means something else
Overall, I think Insightly works well for offices/businesses who have relatively simple and straightforward client processes (ours is not entirely this way - there's a lot that's so complex it cannot be encompassed by the modules Insightly offers). Also well suited for businesses who are sending out regular marketing emails and want to streamline the process.

We use Insightly for managing Contact information, Organization information, working Opportunities, completing Projects, creating Quotes, sending Invoices via their QBO integration, sending documents via their PandaDoc integration, and automating processes via their Workato integration. There isn't a division within our company that doesn't use Insightly in some form or fashion. It is a very flexible CRM that can do just about anything. We even manage products within it.

Insightly is well suited to automate tedious functions that a sales person would do day to day. It also excels at data integrity with it's robust permission levels that administrators can manipulate. These permissions can go all the way down to the field level. You can also use C# to set validation rules to prevent users from filling things out as you had intended. Insightly doesn't do so well when quoting which is surprising. You can create basic quotes but for additional cross-object functionality you will need to make a very technical merge document. This has pushed our company to look elsewhere for customizable Quotes. We plan to integrate it with Insightly via Workato.

We use Insightly to manage all levels of the book publishing process. It helpfully compiles information across various departments (sales, media, etc) and presents them in an easily accessible format. I use Insightly primarily to catalog media appearances that I secure for authors, and to look at upcoming events they have so I can promote them. Insightly also creates reports that I can show to my superiors to demonstrate my success and area for improvement. Some occasional lag is the only issue I have with Insightly.

Insightly is well-suited to scenarios requiring organization of lots of complex data — presenting it a clear, easily manageable way that's not overwhelming and is simple to navigate. Insightly is also well-suited to documenting progress on certain projects, with its various tools to create graphs and reports. Insightly (at least the CRM platform) is not as well suited to sending out mass emails to contacts, and it requires users to be unafraid to get involved in adding data and organizing appropriately — the number of folders could get overwhelming if not properly explained.

Our company uses Insightly to track and manage our myriad projects and those projects' authors, designers, leads, communication, and files. We publish upwards of 100 titles per year and also use Insightly to track sales and generate reports based on a project's performance. Insightly helps us manage our book publishing from start to finish, all the way through a book going out of print.
  • Integrates a project with all of the necessary details, perfect for "one-stop shopping for information
  • Generates reports that are customizable and contain anything you can think of
  • Creates a clear, organized sales funnel structure
  • A very small item, but I'd love to see Insightly remove the underscores from the file name after download!
  • Another small hiccup, but sometimes when I click things on Insightly, the page shows a very basic HTML layout but once refreshed works
  • Some changes aren't always instantaneous, which can be a problem as we move very quickly at our company. But we've learned to work with "Insightly time!"
Insightly tracks our projects and everything connected to them—from the contacts to marketing leads to sales performance—from start to finish. I can't think of any type of company that couldn't benefit from having Insightly.

I mainly use Insightly to keep track of books and the editing process. It helps maintain organization and is an easy way to see which stage of editing each book is in and holds important details about the book like dimensions, author names, etc.

Insightly helps streamline our workforce by effectively keeping all of us in constant communication. We no longer use "Post It Notes" or a Dry Erase Board as Insightly offers "Tasks" which is a more efficient way of delegating tasks and assignments. As a result, our projects are completed faster and without the usual chaos.

Insightly is well suited for a small to mid-size company. Before purchasing Insightly, we have used a couple other "big brand" CRMs and it was not useful because it was too extensive and a lot went to waste. Another program we use is QuickBooks Online. Insightly is not an accounting program. It does not send out invoices or keep track of paid bills. But, Insightly can show the same information but in a different context. For us, we use Insightly to store all of our Quickbooks transactions and job profiles. While Quickbooks Onlne keeps track of Profit and Losses, Insightly does that AND shows another level of our company which is our marketing and community outreach.

We use on a daily basis to check, update and manage accounts for all of our clients on the solar industry. We have dates and information for the whole solar process for each customer, the Insightly keeps it all in one place, in a way all of our agents can see and edit the information, with some restrictions, of course. Insightly is also a great tool for the leaders, in the way that you can track the work other agents are doing on the accounts.

  • Platform could be faster. It struggles loading things like charts sometimes.
  • A good thing to implement would be a more in depth individual customization. It would be mostly cosmetics, but maybe it would help each user/agent to rearrange things in a way they would be more confident with.
From my start on the company, to the point where I advanced on it and had to help other agents, Insightly has helped me keep track of all the things I had to do. It has been a great tool to keep me competitive and effective on my job, and to assist the company's customers on their accounts. It can always be improved in the future, but so far is has been the best CRM tool I have used.

We use for customer relationship management and opportunity management to serve the customers via a defined pipeline. Also, we found it so friendly to keep circulating the tasks within the organization for all the in-time solutions. The data is on-board with a complete history saved.
  • Reports and charts are a quick-go to visulize the statistics.
  • Built-in email feature is very handy. It allows the templates too.
  • Bulk editing while using big data is the most useful addition to the tool.
  • Admin access should be transferrable to some extent.
  • Finance and Marketing features can be added as user friendly for big datas.
1- Using this as a CRM makes the software the best and very comprehensive as compared to the other CRMs in the market.
2- Access levels to keep the team's privacy are a great feature.
3- Report makings give a quick insight into the activity in place.
4- Looking forward to an update adding some calender reminders inside the CRM.

The Insightly software is being used by our whole organization. We are a relatively small business with less than 10 employees and we all utilize the platform. We use it to help us maintain out contacts and develop out "lead" pipeline with notes and comments about our customer interactions. We needed a structure to help us organize our client base as well as our business suppliers/partners.
  • Task creation: The ability to create and assign tasks for our team has been very useful.
  • Integration with GMAIL, we use Gmail for some of our business solutions (Calendar, email, etc). It's very easy.
  • Again, the ability to leave detailed accounts of our contacts and leads. Specifically the pipeline, we can assign deadlines and points of progression to move a task forward.
  • If you utilize Insightly for more than one organization, it would be nice if there was a convenient location to swap between the sessions.
  • Maybe some integration with Slack or some other chat platform.
  • Maybe a sync feature with work email?
I think it is well suited for small businesses on a limited budget. Maybe not so much for a larger organization with more proprietary needs.
