We have integrated Insightly with QuickBooks to manage CRM. We are a small business and it is primarily used by me. It allows me to document any conversations with clients regarding service, AR, or sales. It is nice that we can see the information already entered in QuickBooks in the Insightly screen.

  • Email templates do not save changes if the "to" field is changed after the copy is edited. Not realizing this, I have been burned on a few correspondences with clients. Why should it automatically revert back to the template? There should at least be a warning.
Insightly is great for keeping track of client contacts and the results of conversations. From the business management side of things, it is great that it integrates with QuickBooks Online (QBO). It is also great for conversations that the driver has face to face with clients during their route.

We selected Insightly originally as a project management tool. The entire team uses it to assign and track tasks on projects. Project managers are immediately aware of changes and requirements from the production team and vice versa. The contact management tool was a bonus. We are delighted to be able to collect all our contact information, important emails and tasks in one place. We frequently log in using mobile devices to check for contact information.
  • We loved the ability to easily create standard pipelines and assign and track tasks. It has made us significantly more productive

  • Notifications of completed tasks don't work well. I get notified when I complete a task, but not when someone else completes a task I assign to them

  1. This is a great project management tool. If that is your primary requirement this is a great choice.
  2. The scheduled email is a nice tool. I don't use it as often as I should. This is a great way to create a standard auto responder campaign for leads. if you sell the same thing over and over again this is a great feature.

Insightly enables me to keep track of customer opportunities which I would otherwise forget. I set tasks for contacting the customers on a regular basis and keep track of emails, notes and contact info. It is commonly accepted that customers need multiple contacts with a vendor before making a purchase decision.

  • Automatic linking of new emails or Tasks to an Opportunity. This is a manual process. Once you send an email, or copy Insightly on an email, you need to remember to find the contact record for the person's email, then manually associate the email or new task with the Opportunity. It seems that Insightly could be improved by making this process automatic.
Insightly is well suited for keeping track of prospects who may actually become paying customers. It requires time and multiple contacts with a prospect to make this happen. It is extremely helpful to click on an opportunity and see all of the activities which have occurred with the opportunity: Contacts, Emails, Notes, Tasks.

I have not found Insightly to be that useful for managing projects.

We had a team that was made up of account managers, production managers and a project manager and no CRM tool to manage our accounts and campaigns. We were using a very popular project management tool as a CRM and paying for it as well. We were constantly "jerry-rigging" this platform to meet the needs of every function on the team, and it never did. NO GOOD!

In evaluating a CRM system, cost was very important as we would in theory be paying NOT only for a CRM but continue paying for the project management platform as well which made no sense. Insightly was the last CRM to "fall" on my radar, and thank goodness because not only was it very cost effective for us but it also included a project management component so ideally we would be able to stop paying and ineffectively using the PM tool, manage our accounts as well as managing our campaign builds. The plan had always been to use it within our group get it up and running well and then extend its use to the sales team so we could manage the full life cycle of all sales from lead to final reporting. The biggest business problem it addressed was that it gave the account managers the ability to actually manage their accounts, from beginning to end, all aspects, in a meaningful way.

  • BIGGEST: Initial ease of use without needing a "Dev Tech" to build it out for use.
  • Incorporation of the project management into the account management process.
  • Pricing.
  • It seems that in making this platform as simple as possible, some very obvious things were overlooked/missed. One of the biggest ones that was a bit of a pain point for us, were the pipelines. We really wanted to use them, but the problem is that there are too many not-so-obvious clicks involved to get to the next step in project pipeline. And especially when you are talking about automation, if it is tied into the tasks associated with an activity set, well once you "COMPLETE" those tasks it should automatically advance to the next step in the pipeline. But even considering that you want a user to click on something, even the click-thru path is unnecessarily cumbersome.
I can't really think of any where it is "less appropriate" because I really love this platform.

My team uses insightly to manage our transactions. Specifically, we have checklists in there to manage a transaction from a new lead, through buying/listing a home to closing, then to nurture the relationship after closing as well. It allows us to stay on top of everything, and allows multiple people to work on the transaction and still know what's going on without confusion.
  • I think the note tab is a great way for our team to write updates on the file, so that we can all be up to speed.
  • I enjoy the checklists, they are easy to create and change, and really keep things simple in our complicated real estate world.
  • Insightly really encompasses everything, it manages our transactions, our people, our bigger projects. They've thought of everything.
  • One thing that is good and bad about insightly is that it is so broad. It allows for detailed personalization, but that takes time. The setting up of insightly is probably the worst part, but once it is set up, it is a dream.
  • I dislike that when on a specific project, when checking off a task, you have to wait for the page to reload before you can check off another task. Also you can't mass check off tasks.
  • The email integration is a great tool, but there is no way while in the email pages of insightly, to check off that it's been tagged/linked to a certain project or to see what project it is linked to. Also there is no way to automatically link it, unless sent from inside my actual email. This just takes a lot of time and effort on our part that we don't have.
It is well suited for real estate transactions, however, it's not great for being the front end of things. We have tried other programs, such as Brivity, which is the back end and the front end for real estate. It keeps clients aware of what is going on with their project, and provides direct marketing and even a website for each listing that we have.

I used Insightly as a CRM to keep track of all my clients and tasks. I am the only employee so I was the only one that used the service. I loved how easy it was to keep my clients and tasks organized, not only by client but by importance as well.
  • Keeping things organized.
  • Keeping track of each client and the tasks for each client.
  • Making sure when I used it every day it was very easy to see what all needed to be done.
  • Just because someone was low priority I don't believe it should be pushed so far down on the list.
  • It should be a little more organized by date instead of by importance first.
  • I think there should be more email options for the free version.
If you can only afford the free version to start, you need to make sure you're not planning on wanting too many email selections. Other than that I love pretty much everything else about the service for free. I'm sure if you are willing to pay for versions you would be more than satisfied with the service.

We use Insightly as a CRM to track leads and opportunities, and also as the company's main customer database (aka official Rolodex). It is used by the CEO and the management team which is the main sales force of our firm. Since we use Insightly we don't lose track of any business opportunity as happened in the past. We are evaluating using the project module.
  • Allows [for] great database management to keep all customer data among users.
  • Great integration with mobile platforms. I personally use IPhone and IPad.
  • Useful notification functionality.
  • Reports have improved, like funnel report, opportunities by department, etc.
  • The "built in" reports should allow using the creation date and not the closing date for reporting.
Insightly is well suited for small to medium size teams.

We use Insightly across our organization. It has helped streamline operations and sales with its integration with Google. The ability to create projects and track them inside the CRM has been great. The dashboard and reports in the sales module have provided transparency and the ability to more accurately forecast our sales pipeline.
  • The quick-view of a project dashboard is great - lets us see immediately where a project is, who is connected to it, and all of the associated notes and documents.
  • The ability to create and add tags to just about anything has been a huge resource. Now we can quickly run a search for any of the categories that we track.
  • The integration with Google has been helpful in tracking customer communication within the CRM.
  • It would be great to see all communication with an organization - through the people connected to it. Going to the organization's landing page and see that would be very helpful.
  • It would be great to have a help desk module attached to this. We already have all of our prospects and current customers in the database, but we have to go to a 3rd party to track issue tickets.
Small to midsize businesses could gain a lot of leverage and insight by using Insightly. But they would have to be committed to using it and take the time to set it up correctly (just like any other good business tool).

We are a very small business, but all employees in all "departments" use Insightly. The main reason we started using Insightly was for contact management -- keeping tabs of all customer contact data and sharing between all employees. We also use it for project management and tasking. It helps us keep track of up to 20-30 projects that we produce simultaneously.
  • Contact Management - Having a single database with all of the customer's information is very helpful. We use it in combination with PieSync to push the contact info to my Google account, therefore into my mobile phone.
  • Task Management - Use it for assigning tasks to various employees and keeping tabs on their progress. I sometimes go days without seeing any of my employees face to face, so it's very useful to maintain progress on a project.
  • Opportunities - We get inquiries every day from people that need to know availability and price immediately. Once we qualify a lead, we assign the project to the "Opportunities" category and that helps us keep track of proposals, emails, estimates, and other correspondence leading up to the contract.
  • Projects - Once the opportunity becomes a contract, it's copied to a project within Insightly. From there, we assign tasks, manage deadlines, and keep track of correspondence.
  • I am frustrated that various tasks aren't linked together. For us, we have a process, and the task due date represents more of a "goal" sometimes. When that due date can't be met (usually for reasons associated with our client, not with us) we have to move it back to a new completion date. Well, especially when we have an activity set, I have to manually change the date for each task -- sometimes a dozen tasks for more -- because they aren't linked together like typical project management software can do. This is time-consuming and frustrating.
  • We have to pay PieSync to sync our contacts to our Google accounts. This seems like it should be a feature built in to Insightly, and not a third-party app and service that we have to pay for.
  • Insightly puts everything into tasks. So if I want to track a phone call that I made to a client, I have to actually assign myself a task and mark it complete. I wish there was more of an "activity log" or something to quickly just push "phone call" or "meeting" to just keep track of those interactions rather than tasks.
For simple tasking and basic project management, it's a good tool. For organizing contacts and keeping track of potential sales, it would be great, but we don't really use it for that. If it had a little more advanced project management features, I'd be telling everyone that they need to check it out.

We use it to track clients, schedule follow ups for prospective clients, manage potential leads, track sales, send emails, sync calendars, add information to pipeline and file documents. Insightly helps with company inner office organizational issues. It allows all users to work within the same database which makes it easier to track the progress of your employees and clients.

I am the only one currently using Insightly in my office. I work daily to schedule meetings with external health care providers to be intentional about the practices we include on our referral lists, and during those meetings I also share information about our health care services in order to encourage referrals to our qualified providers. We are a four-state affiliate, so tracking all of the practices I'm meeting with in all of those metro areas was very challenging. Insightly has not only streamlined the record keeping process for my job, but has also allowed me to pull detailed activity reports to illustrate the amount of work I'm doing to my supervisors. It's been very useful in providing the executive team and the board updates on the number of providers and organizations I've touched, and in tracking patient referrals both in and out of our organization.
  • Inter-organizational and inter-contact tagging has allowed me to keep track of who knows who, and keep track of helpful connections when working to schedule meetings with new providers.
  • The reports feature has been very beneficial. You can be very specific while pulling reports, as long as you are actively tagging organizations and contacts in your daily tasks and events and notes.
  • The note-keeping feature is very beneficial. I can add notes about my meetings and correspondence for later reference.
  • My company uses Outlook software. I am always envious of companies using Gmail & Google Calendar, mostly because the Insightly integration looks like it would be wonderful, but I just simply don't have that option so I have to do a lot of data entry manually.
  • I wish the organization and contact tags were a bit more user friendly. It would be great if I could pull reports and export data just based on the tags organizations have, but I haven't determined how (this could be because I'm currently using the free version - we can't budget for a paid version of this software until our next fiscal year).
  • The technical support for the free version is nonexistent, which is understandable. That said, I don't have the budget for the paid software and right now I'm in the position of having to try and troubleshoot any bugs by myself.
I am not a sales representative, so I am just using Insightly to fit my relations work needs. It's not really designed for use with my kind of work, but I'm making it work because it's so easy to use and we don't have any other options at the moment. I think it would be great for a sales rep, but for my work, sometimes it feels like I'm just using some features and ignoring others to make it fit my needs (e.g. the opportunities, projects, etc.). I've bent some of these features to work for me, but I'm not exactly using it as intended.

As a company we have been using Insightly for 8 months. We looked for the system which could contain not just customer details but small and large projects. Insightly met these needs and has proved itself to be an invaluable part of our processes now. As we have only been using the system for a short amount of time we have not seen the full benefits of some parts of the system yet. However, we are looking forward to utilising all parts of Insightly in the future.
  • The amount of information which can be contained in each contact - emails, tasks, notes and contact details is easily available which assists in following up with customers.
  • The ability to create projects and assign tasks to individuals has benefited us as some of our work force work remotely.
  • The ability to link Insightly with the processes of our website - automatically creating contacts, saving emails etc. This speeds up and enhances current processes.
  • Some processes could be sped up although functionality is good.
Our company has a combination of individual customers, channels and agencies. Insightly allows us to keep data relating to everyone easily and efficiently. I am yet to find search functions to collate certain groups of customers. However, I can imagine that there is some sort of functionality for this which I am yet to uncover.

We use Insightly every day to manage client information, track prospects through the sales process and to manage simple projects. Many of our team members work remotely, so we needed an easy to use cloud based application to ensure consistency across our company.
  • The tools available to build and track the sales pipeline are awesome. Inquiries from our website are automatically input as Leads, then as we qualify them they become Opportunities and eventually Contacts/Clients.
  • LOVE! the Gmail/Insightly gadget. Such a great way to save emails to existing contacts or create new ones right from email.
  • The Advanced Reporting functions are great. We use these reports in our Client Care process and to track closed/lost/abandoned sales, etc.
  • We are thoroughly satisfied with Insightly at this time.
We really like it for sales/pipeline management. We use it for simple project management, but find it a bit too cumbersome for complicated and/or intricate projects.

I had investigated Insightly as a CRM for my company before I left. After leaving, it was my choice to best track customers, potential customers and key contacts. The integration into Outlook is big to me, as I use Outlook exclusively for my business communications. The ability to import and export contact lists was easy and quick. I like that I can create custom fields to add to attributes that I use that might be unique to me. A great product that I recommend to others on a regular basis.
  • Import of contacts from Outlook and export into Outlook
  • Relational connections between the organization and the individuals within the organization
  • Ability to create custom fields for tracking and classifying contacts
  • I would like to see the ability to create a hierarchy within an organization. For example, a retailer that has regions within the corporation.
I think Insightly works great in a small business environment, I never had a chance to test it out in a large scale, corporate environment.

Insightly is being used by our sales, operations, estimating, accounting and service departments, not company wide but office people only.
  • Great New Reporting. Easy to use & quick to pull from the system.
  • Integration with Gmail. We use the Insightly sidebar which allows us to quickly capture new emails into our system by the click of the IN send button. We also love that you can easily save emails and contacts that are sent to you by the click of a button.
  • We use the tasks section for many things - opportunity pipelines, activity sets in contacts and leads and for creating tasks in projects. It has come in very handy when assigning to others.
  • To be able to pull notes into any reporting for (contacts, opportunities, contacts, tasks, projects).
  • To deny any duplicate entries in contacts or naming conventions of anything.
  • To allow Task description notes to be pulled into reporting.
  • The ability to see what specific contact, or opportunity with an automated task is tied to the task in your Gmail calendar without logging into Insightly.
[It is well suited] in any sales or project management environment. Not appropriate in any industry that doesn't use sales or project management. Maybe not suited for large sized business.

It is being used by the sales department. It is our CRM too and helps our organization communicate and be on the same page with one another. It allows us to pull up information about our clients and see every thing in one location including the history of that client and tasks.

I use Insightly for the CRM features, email templates and task management. It's helpful to have one place where I can store all contact info and correspondence about my prospects.

  • Connections between Contacts and Companies are clunky I find. It would be nice if that could be ONE interface with a clickable link that would easily show all people in the one company.
  • It would be nice to be able to duplicate all fields when adding a new person to an existing company
Small companies looking to manage sales leads would do well to try Insightly.
The free version is still very powerful and the paid version is well-priced vs some other CRMs.

We use Insightly to track our interactions with customers, our customer database, and our open opportunities. We only use Insightly in the engineering department; there is no company-wide system. It addresses the problems of sharing points of contact across disciplines. It also allows us to track our opportunities much better.
  • Insightly allows you to organize contacts well. You can link contacts with multiple organizations and other things within Insightly.
  • It does a good job of tracking opportunities and what stage they are in. You can utilize various fields for this.
  • It allows customizations for almost all aspects of the system. This allows you to organize things how you would like.
  • The advanced reporting lacks some features.
  • The merge of organizations does not always work.
  • Sometimes it's difficult to tell what is coming up in the auto-populate when searching.
Insightly is good for medium sized companies with lots of opportunities and room for growth.

I am a solo attorney without support staff. I particularly like the Insightly Gizmo that appears at the bottom of my incoming Gmail. It allows me to "touch it once" and make a Task List item when I first read the incoming email. I can then file the email in the client folder and remove it from my inbox. Similarly, I am able to set up a new "Opportunity" or potential new client from the initial email contact from that prospect. Then, I can attach links to the Opportunity to reference the Referrer, the Owner, etc. Also, when I send email to a representative of the potential client, particularly when I have attached documents, I use the unique bcc email address to direct that email to the Opportunity file within Insightly. The same process is true if/when the Opportunity is turned into a "Project" or new client. When a client telephones I can then click on the Project and see the history of our email communication and document delivery.
  • The Gmail Gizmo is a differentiating factor for me. Of most importance is the ability to set a Task with a reminder and details to describe what needs to be done.
  • I like the ability to have email that I send to a client linked to that client's contact or Project.
  • The are strengths for Insightly because they are efficient. I am operating without support staff. I chose to avoid hiring employees. Therefore, I replace people with technology. I can manage Tasks, Due dates, Contacts and Client Prospects through Insightly and its integration with the Gmail platform.
  • The only issue that I have experienced is that occasionally the Gmail gizmo does not appear at the bottom of incoming email. Not sure whether that is an Insightly issue, a Google server issue, or a bandwidth issue at my office. But, it is rare.
My experience is limited to a single user. I don't use the collaborative elements or user management elements. I can see that they would be great for a larger organization. But, as a solo practitioner I find the technology wonderful to increase efficiency.

Insightly is being used as a CRM and to project manage across the whole organisation. It integrates well with our G Suite emails and calendars so that all communications with our clients are organised in one place. Insightly also addresses setting up and using systems and processes within our organisation which saves time.
  • Tasks - setting tasks with deadline dates that are easily linked to any aspect of a client: name, company name, project. This makes it easy to know what tasks are a priority.
  • G Suite integration - easily link an email to a client: name, company name, project so that all the details are in one place. This makes it easy to know where to go to follow up or check up on a client's status.
  • Processes - setting up processes and activity sets so that there is no time wasted on figuring out how to do something.
  • Time tracking. This is a major downfall of the software. I currently have to use Toggl but it would be great if time tracking was integrated within Insightly.
  • Xero integration. I don't use this feature at all which is a shame. It's clunky. I think because the time tracking is not integrated I tend to use Toggl and create the invoice within Xero manually.
  • Calendar - the way that Insightly integrates with Google calendar is less than ideal. I tried it and it didn't work for me so I now don't use it.
Insightly is well suited to managing leads, opportunities and recording client details.
Insightly is not well suited to managing projects because it lacks time tracking and the Xero integration is clunky.

We use Insightly to manage our customer base. All customer communications and activities are run through Insightly from projects, to emails to day to day management. We only have 5 team members so everyone in our company is using the system.
  • Data and customer management
  • Activity logging
  • Managing files and integrating with data
  • The BCC option for multiple projects and opportunities
  • Although I like the BCC option, I think having a fully integrated two way email communication is the way to go. I manage sales for my company through Pipedrive and they have this option.
  • Sometimes the process of opportunities, projects and all the available options are a bit difficult to navigate. We work on improving these processes for our company daily but we are small. Companies with teams that support this product are probably more successful.
  • More social media integration as built in options (so you can turn them on and off at will) So for example a link to a company Facebook page or LinkedIn page as an available option on organizations.
Not sure. Maybe very large orgs might have a hard time implementing but for companies under 100 I like it.

It is used by our sales department as our CRM tool and a way to follow our accounts and contacts within those accounts.
  • Allows for a nice way to capture all pertinent information regarding the accounts and the individuals within those accounts that we call on.
  • I think it works fine, there's not a lot that I'd try to fix.
It is well suited to adding LinkedIn profiles and other pertinent information on the individuals that we add.
