- Task creation: The ability to create and assign tasks for our team has been very useful.
- Integration with GMAIL, we use Gmail for some of our business solutions (Calendar, email, etc). It's very easy.
- Again, the ability to leave detailed accounts of our contacts and leads. Specifically the pipeline, we can assign deadlines and points of progression to move a task forward.
- If you utilize Insightly for more than one organization, it would be nice if there was a convenient location to swap between the sessions.
- Maybe some integration with Slack or some other chat platform.
- Maybe a sync feature with work email?

Insightly: The Only CRM You'll Need
- Reverse information search to find customer accounts.
- Quick and efficient data upload/download.
- Getting edit updates on specific accounts to my personal email can be achieved at the touch of a button. This helps avoid escalations.
- Direct account search will sometimes bring up unassociated accounts.
- User interface could be more customizable.
- Editing accounts requires a few seconds of waiting that can cause frustration when handling a large number of accounts.

- I like that you can save Activity Sets for repeatable task sets that are needed in different project types.
- Insightly has so many more features and custom reporting that I personally have not used; it is great because as our company has evolved, so have the ways we use the tool.
- My main concerns are with the "small" things, such as if I link a Project to an Organization, and then I create a task under the Project, it doesn't also automatically link to the organization.
- When I open an Org or Project tab after a search, it only takes up less than half of my page. Not sure how to make it show as full page.
- When I save the width of a column on the Relate or Activity tabs (so that I can read the full title for instance), it does not hold that size the next time I return to that view. I have to re-size it each time.

- Tone down the colour scheme
- Search within Insightly was great. Drop a name or school or email template into the search bar and you'd typically surface the thing you wanted quickly.
- You couldn't connect people to programs within a business well enough. It's like we needed one more level of abstraction. We had the schools and the "employees" and their roles, but then we could separate by program easily. We had to do all these manual sorts of list things, and it was a pain to keep track of things once we had hundreds of schools and a thousand people in there.
- You can only send emails to 50 contacts. That was so annoying. I should be able to send an email to hundreds, and Insightly should handle the job and perhaps just time delay the send 50 people at a time or something. I would have to send the email to 50 people at a time, and it was so annoying to deal with. My number 1 reason for seeking comparative products.
Insightly: Good-value CRM

- The pipeline needs some refinement, a better UX.
- Checking off tasks needs improvement.
- Organization merge could be done side-by-side to help users determine what information is associated with which organization.
- Insightly is being used by the whole organisation
- Leads arrive from the website or entered by the person responsible for first contact (phone, online chat). Online Chat automaticly creates new contact via integration
- Contact is created from the lead and tags are used to segment the database. Zappier adds new contacts to ActiveCampaign. I know that now Insightly can do it all, but in order to upgrade we will need to upgrade all users and we have way to many CRM users.
- The sales process is tracked by using Opportunities and Opportunity is created and linked to the contact
- All Xero proposals are attached in Insightly, all pricing calculations saved as notes.
- When a contract is signed all interactions with the customer are tracked via Insightly, including critical information. All contacts and org info is available to the whole team and contacts synced to their phones. It makes all communications very personal and very recognizable. Clients love it when you call them by their name when they call the second time. Due to poor integration with PABX formats, we have to manage phone numbers ourselves.
- I wish it could just generate Yealink phonebook automaticly based on hashtags (we had to programm it ourselves). For mobile phones we use Gmail integration.
- New clint Organisation custom fields are used to create new client folders and subfolders in Google Drive and Google Docs processing documents (inserting in the document all the info for the custom fields) via Zapier
- We manage complex relationships within Insightly: who is a client of whom: professional relationships, personal and etc. So for our client, we can see: who is their accountant, lawyer, business mentor, relatives, spouse; their key suppliers, sometimes their key clients; insurance brokers.
- Complex relationships. Majority of CRMs out there can do only one company per person.
- All contacts in the phones, very quick and reliable synchronisation via GMail. That syncs to all our Mobile phone devices and some Android Based VOIP desktop phones.
- Reports are good, however, we would love a PDF to be sent to us in an email with the reports, at the moment we have to log in to download a CSV every time, which is annoying and unnecessary.
- Xero Integration is good. But do not expect too much.
- Zapier allows us to do a lot of process automations.
- Login is a pain in the left ear: we have to do 4-7 clicks to log in and enter domain name every time. Why when we click on the open app via G Suite it does not just open and log you in (like hundreds of other apps do)? This has not been fixed for over 5 years now.
- Marketing module is way too expensive for a small business like ours. 599 USD per month. I don't know what kind of business can consider it reasonable. We use ActivaCampaign instead.
- Task management: takes a lot of time to enter a task, it needs to be quicker with some default fields prefield. I had to use Gravity Forms integration to make Task creation easy, otherwise task creations in Insightly is a bureaucracy nightmare with all the fields that you have to fill over and over and over and over.
- Ability to attach an image to a task in an easy way. Not just upload it as a comment only. Just copy paste into description from the buffer should work, that would make our work so much more efficient. We used other apps that can do it, it really takes a lot of time from our day to attach images.
- Your subscription price is constantly going up for functionality that you are not using or not even provided. And when you ask them: "what extra functionality am I paying for, I cannot see any" they just ignore you.
How Insightly has helped Argenta Thrive
- Anytime a client calls in needing technical support or assistance, their entire system design is visible to anyone in our showroom so even if we don't know specifically that client, we can look at what equipment they have to help diagnose and resolve issues.
- When we put together designs, proposals, save pictures or house plans, if a client can't reach his particular designer or account manager anyone is able to review his design, answer questions about proposals, or talk about specific items or pieces of equipment.
- Sharing the information with our technicians gives them addresses, phone numbers, emails, all right to their phones or field computers. They can self manage and find information pertinent to installs and construction.
- I would like to see tasks auto generate once other tasks are completed.
- It would be nice if the dates for task sets could be customized before implementation rather than once the task is in place.
- Get contact information off of my phone rather than just sharing with my phone.
Insightly has great Gmail integration
- We use the Gmail widget to easily save emails from clients.
- You can easily select a specific client from the search bar on their website.
- The Gmail widget doesn't always load.
- It seems like I have to merge contacts that the system should know are the same.
Insightly has improved our efficiency
- Tasks - it helps us track tasks that are special projects and keeps us alerted and on point
- CRM - the tags for the contacts are extremely helpful
- Prospects/Opportunity - very easy to keep track of open proposals
- Tasks - the way that the tasks are added to my Google Calendar can be better
