The Insightly software is being used by our whole organization. We are a relatively small business with less than 10 employees and we all utilize the platform. We use it to help us maintain out contacts and develop out "lead" pipeline with notes and comments about our customer interactions. We needed a structure to help us organize our client base as well as our business suppliers/partners.
  • Task creation: The ability to create and assign tasks for our team has been very useful.
  • Integration with GMAIL, we use Gmail for some of our business solutions (Calendar, email, etc). It's very easy.
  • Again, the ability to leave detailed accounts of our contacts and leads. Specifically the pipeline, we can assign deadlines and points of progression to move a task forward.
  • If you utilize Insightly for more than one organization, it would be nice if there was a convenient location to swap between the sessions.
  • Maybe some integration with Slack or some other chat platform.
  • Maybe a sync feature with work email?
I think it is well suited for small businesses on a limited budget. Maybe not so much for a larger organization with more proprietary needs.

I use I slightly daily at work. We are a provider relations and case management company. I use it in my role to chart on practice meetings, keep track of tasks I need to complete, and track and run reports on my work. It is a great, easy to use system and I was able to learn how to use it very quickly. Everyone I work with loves using it! I would highly recommend this to anyone!!

I think this is used best for charting practice meetings in a business setting and being able to track tasks, link email to my practice to be able to look at them easily, and to run reports etc. This system is easy to use and learn and is very straightforward.

Insightly keeps track of the most pertinent lead data, including a detailed activity schedule of emails, calls, meetings, and tasks as well as the source of a marketing campaign. Real-time lead routing that is automated will allow sales representatives to follow up on leads while they are still warm. To email only one lead or contact, choose Email This Lead or Email This Contact from the Actions menu when you are viewing a lead or contact. Send emails to up to 50 leads or contacts at once by selecting them from the Leads or Contacts objects and clicking the Send Email button.

Very well suited to keep track of everything. It can be used as a staff management system as well as CRM giving accountability to tasks set and deadlines being adhered to. The system will update users via email and this in turn gives that accountability mentioned in the words above.

I use Insightly on a daily basis, and it has changed my life. Now that we have every candidate in the same place, we are more organized, we work better, and our response time has lowered. Each coworker can enter the same place and manage the same information. It is amazing!

Insightly is great for report-making. You can personalize your own reports. Each user can have their own reports and share them with the rest of the users, which allows us to work on different points of view at the same time and not interfere with someone else's job. On the other hand, it should improve the new opportunity log, sometimes it doesn't work well and you have to refresh the page several times.

We use the CRM for 3 years now and the main use is to administrate every candidate that makes a consultation at school, it is very useful to organize every consult and separate between the different pipelines according the school year they are interested in. Before Insightly it was everything a mess, now we can make reports, follow each candidate stage and use the list of contacts for mailing and promotion

it is really good when you have to manage a great quantity of products or service sales, you can use the reports to focus directly on different matters, you can filter between pipelines, and the different parameters you use for your product or service. What I think they should improve is the new opportunity layout, it doesn't work well sometimes and its get stuck

We use Insightly as our CRM to manage contact information for our partners, external vendors, and prospects. Insightly allows us to organize as much or as little data as we need for each group with the ability to modify, run reports, and visualize the data as needed. Its integration with Outlook allows us to track every email that goes out, making it easy to preserve account history with each partner.

Insightly offers a lot of customization and support under the Enterprise plan, so it can get a little costly. The Professional plan offered a lot of features, but its limitations with regard to storage made it difficult to maintain. The support team is top notch and between the general support queue and our account manager, I know I can get help when I need it.

This is a wonderful platform for keeping notes and communication between multiple sources organized and easy to locate. In our organization, we utilize different templates for different departments and appreciate the ability to seamlessly interact between departments. I keep track of bids our department submits for various construction projects. Insightly let's me input multiple bids for the same project with different scopes of work. It also allows me to change the status of any project right on the opportunities home page without having to actually open the opportunity itself.

I can only speak to the projects that I use Insightly for: I can keep track of multiple scopes of work for the same construction project. It allows me to convert opportunities to projects easily. It also allows me to input deliverable dates and status changes easily. I love how I am able to easily see where each project is in the completion process.

Communicating with our teams and having different touchpoints of communication through various team members have been beneficial to create the company culture we are seeking. We have also solved the problem of seeing various communications for certain individuals in one consolidated place. It helps us to review various communications throughout the year to help us with year-end decisions. Insightly is a perfectly sufficient CRM to keep any sized business organized. I've been using it for the past year, and there's no website I've come to navigate faster. Customers don't always have the information I'm looking for to find their account, but Insightly's intuitive search system has made it easy to reverse search any information found on the account. I'd recommend this CRM to anyone.

  • Getting edit updates on specific accounts to my personal email can be achieved at the touch of a button. This helps avoid escalations.
  • Direct account search will sometimes bring up unassociated accounts.
  • User interface could be more customizable.
  • Editing accounts requires a few seconds of waiting that can cause frustration when handling a large number of accounts.
I would say Insightly is best suited for storing customer data and finding said data in a quick and efficient matter. I wouldn't recommend it for non-customer service businesses. If you're getting a lot of contact from customers and need somewhere to store data without hassle, this is the CRM for you.

We implemented Insightly to better manage our client relationships. The system allows us to seamlessly link our valued clients to lead, opportunities, and projects. Our clients are important to us and we don't want them to get lost amidst all of the data that we gather so Insightly has been a huge asset to our client relations initiatives.

I use Insightly to manage all the projects we currently have in our pipeline. Our business problem is how to effectively manage all the 5k+ jobs we have. With several stages and phases, it is really hard to keep tracking all of them in a safe manner, and Insightly provides this for us. We use Insightly as project reports and have created custom objects to fill even more reports with important and relevant information.

I believe there aren't major problems that I have encountered while using Insightly. We used to use a weird CRM made of sheets that would force us to open several tabs. I only think there could be more fields on the project page that will allow us to add more relevant information. Each department has its needs for fields that end up not being created due to the lack of remaining fields available.

We use Insightly as our CRM tool – both for tracking new business sales leads as well as documenting all information related to our current clients. We also use it to track all projects and refer tasks to internal departments for provisioning, invoicing and reporting. It's our main location to house client-specific information, and multiple departments access and use it.
  • It's great as a central place to house customer information, where all internal teams can access it.
  • I like that you can save Activity Sets for repeatable task sets that are needed in different project types.
  • Insightly has so many more features and custom reporting that I personally have not used; it is great because as our company has evolved, so have the ways we use the tool.
  • My main concerns are with the "small" things, such as if I link a Project to an Organization, and then I create a task under the Project, it doesn't also automatically link to the organization.
  • When I open an Org or Project tab after a search, it only takes up less than half of my page. Not sure how to make it show as full page.
  • When I save the width of a column on the Relate or Activity tabs (so that I can read the full title for instance), it does not hold that size the next time I return to that view. I have to re-size it each time.
I can envision Insightly being useful in a wide variety of company types and situations.

We use all the features in CRM, Contacts, Org, Leads, Oppty, and Projects. We are doing marketing, sales, and operations from Insightly. We need to keep in contact with our leads and follow up on our pipeline.
  • Easy use of CRM.
  • Easy to configure/modify.
  • Easy to report.
  • A little confusing between "System Settings" and User Settings.
  • Help could be a little better. It was tough to solve the email connection issue.
  • Is there a feature to scan a business card and it automatically loads in contacts?
I think for small (probably medium also), Insightly is GREAT. Fair price for what we get.

I use Insightly to track various opportunities; it is great for allowing me to keep a journal for each prospect which allows me to add and edit various contacts at these companies. This ensures everything I do is up to date and ensures that I am using the correct information when contacting prospects.

Insightly has been very useful for myself and my colleagues when it comes to our ability to keep track of various opportunities and contacts. We are easily able to categorize each type of business and their size to allow us to go for the best opportunities first. The UI is very minimalistic, which means I never have to go through unnecessary steps when adding/removing/editing tasks on the system.

Our entire company uses Insightly. It allows us to stay on task and communicate about our projects, prospects, and conversations had with over 200+ clients with each other. It allows us to manage tasks and our employees productivity. Before we used insightly we had a difficult time knowing who was doing what with whom. Less headaches all around.

Insightly enables us to manage enquiries, store relevant data, and enables quick access to the information we need to manage our client accounts. It allows alerts for renewal periods and the ability to attach email correspondence means we can keep all the information together in one safe directory. There are 4 staff that use Insightly on a daily basis.

We kept track of schools, administrators, and teachers' information, contacted them via email, and tracked the program we created through a sales CRM process with Insightly.
  • Search within Insightly was great. Drop a name or school or email template into the search bar and you'd typically surface the thing you wanted quickly.
  • You couldn't connect people to programs within a business well enough. It's like we needed one more level of abstraction. We had the schools and the "employees" and their roles, but then we could separate by program easily. We had to do all these manual sorts of list things, and it was a pain to keep track of things once we had hundreds of schools and a thousand people in there.
  • You can only send emails to 50 contacts. That was so annoying. I should be able to send an email to hundreds, and Insightly should handle the job and perhaps just time delay the send 50 people at a time or something. I would have to send the email to 50 people at a time, and it was so annoying to deal with. My number 1 reason for seeking comparative products.
If the need was relatively simple use cases. Under 100 clients and such. Once it breaks into hundreds of people or companies to keep track of, I think Insightly breaks down quickly. But for the smaller verticals where a CRM solution is necessary, this works okay enough. But I'd probably also say "Maybe look at Hubspot".

Insightly helps me keep track of outreach tasks and acts as a contacts repository. As soon as I meet a new contact, I enter those details into Insightly and create a task to follow up with that person. I work with people across the banking industry and keeping a diary of where you met a person and under what circumstances helps me perform better outreach.

The outreach tracking component (where those prospects are in the sales pipeline) could be more refined/easier to use. Overall, it's a nice CRM that helps you get and stay organized.

  • Insightly is being used by the whole organisation
  • Leads arrive from the website or entered by the person responsible for first contact (phone, online chat). Online Chat automaticly creates new contact via integration
  • Contact is created from the lead and tags are used to segment the database. Zappier adds new contacts to ActiveCampaign. I know that now Insightly can do it all, but in order to upgrade we will need to upgrade all users and we have way to many CRM users.
  • The sales process is tracked by using Opportunities and Opportunity is created and linked to the contact
  • All Xero proposals are attached in Insightly, all pricing calculations saved as notes.
  • When a contract is signed all interactions with the customer are tracked via Insightly, including critical information. All contacts and org info is available to the whole team and contacts synced to their phones. It makes all communications very personal and very recognizable. Clients love it when you call them by their name when they call the second time. Due to poor integration with PABX formats, we have to manage phone numbers ourselves.
  • I wish it could just generate Yealink phonebook automaticly based on hashtags (we had to programm it ourselves). For mobile phones we use Gmail integration.
  • New clint Organisation custom fields are used to create new client folders and subfolders in Google Drive and Google Docs processing documents (inserting in the document all the info for the custom fields) via Zapier
  • We manage complex relationships within Insightly: who is a client of whom: professional relationships, personal and etc. So for our client, we can see: who is their accountant, lawyer, business mentor, relatives, spouse; their key suppliers, sometimes their key clients; insurance brokers.
  • Complex relationships. Majority of CRMs out there can do only one company per person.
  • All contacts in the phones, very quick and reliable synchronisation via GMail. That syncs to all our Mobile phone devices and some Android Based VOIP desktop phones.
  • Reports are good, however, we would love a PDF to be sent to us in an email with the reports, at the moment we have to log in to download a CSV every time, which is annoying and unnecessary.
  • Xero Integration is good. But do not expect too much.
  • Zapier allows us to do a lot of process automations.
  • Login is a pain in the left ear: we have to do 4-7 clicks to log in and enter domain name every time. Why when we click on the open app via G Suite it does not just open and log you in (like hundreds of other apps do)? This has not been fixed for over 5 years now.
  • Marketing module is way too expensive for a small business like ours. 599 USD per month. I don't know what kind of business can consider it reasonable. We use ActivaCampaign instead.
  • Task management: takes a lot of time to enter a task, it needs to be quicker with some default fields prefield. I had to use Gravity Forms integration to make Task creation easy, otherwise task creations in Insightly is a bureaucracy nightmare with all the fields that you have to fill over and over and over and over.
  • Ability to attach an image to a task in an easy way. Not just upload it as a comment only. Just copy paste into description from the buffer should work, that would make our work so much more efficient. We used other apps that can do it, it really takes a lot of time from our day to attach images.
  • Your subscription price is constantly going up for functionality that you are not using or not even provided. And when you ask them: "what extra functionality am I paying for, I cannot see any" they just ignore you.

Insightly allows our custom electronics integration company to manage our 150+ open projects simultaneously. It keeps us on track during the sales and design process with each client, allows us to link necessary builders, contractors, and managers to each client and add notes, files, and full emails after each interaction with a client. Even though some in our company haven't personally worked with a client, they have all current information on that client and can more than adequately help or service them, even answer their questions about a design or plan if they didn't design or plan their system or home.
  • Anytime a client calls in needing technical support or assistance, their entire system design is visible to anyone in our showroom so even if we don't know specifically that client, we can look at what equipment they have to help diagnose and resolve issues.
  • When we put together designs, proposals, save pictures or house plans, if a client can't reach his particular designer or account manager anyone is able to review his design, answer questions about proposals, or talk about specific items or pieces of equipment.
  • Sharing the information with our technicians gives them addresses, phone numbers, emails, all right to their phones or field computers. They can self manage and find information pertinent to installs and construction.
  • I would like to see tasks auto generate once other tasks are completed.
  • It would be nice if the dates for task sets could be customized before implementation rather than once the task is in place.
  • Get contact information off of my phone rather than just sharing with my phone.
Insightly is well suited for managing pipelines, long sales or project timelines.

We have three employees. Two of us use Insightly. We use it for two purposes: to keep all of our customer contact data and to record our client interactions.
  • We use the Gmail widget to easily save emails from clients.
  • You can easily select a specific client from the search bar on their website.
  • The Gmail widget doesn't always load.
  • It seems like I have to merge contacts that the system should know are the same.
The reason that we picked insightly was the low cost and the Gmail integration. If those are things that someone is looking for, I would recommend it.

We are using Insightly across our entire organization. It is acting as our CRM program, our Prospects/Opportunity tracker and as our marketing software to help us with client mailings.
  • Tasks - it helps us track tasks that are special projects and keeps us alerted and on point
  • CRM - the tags for the contacts are extremely helpful
  • Prospects/Opportunity - very easy to keep track of open proposals
  • Tasks - the way that the tasks are added to my Google Calendar can be better
As an all around product for a service business it is a great product
