Insightly is being used by my personal sales department, comprised of 8 individuals. It allows us the opportunity to navigate our sales and ongoing projects all in one portfolio. Comparisons of data and [analysis are] necessary for the continuation of further sales and successes.

Insightly is the perfect option to utilize in a multi-staff project management team that requires organization of deadlines, tasks, and active projects. It allows the group to work on items simultaneously while also having access to [the] current workings of their colleagues. It is the perfect software for those working remotely that still need to stay connected. This would not be as necessary [for] a small/ single group due to such minimal project capacity that may be present.

I use Insightly to manage our implementation pipeline. We have anywhere from 70-100 accounts in our pipeline at any given time. Insightly helps us stay organized and identify each account's onboarding stage. It also allows my team to meet its key performance indicators successfully. We're easily able to keep track of customer experiences and communication through the activity section of the project.

Insightly is great for pipeline management! Our team has run into trouble with the search feature. There is definitely room for improvement in the search functionalities as well as linking accounts (projects) together. It can be difficult to find an account (project) if you haven't already searched the project before. We've given this feedback to our Account Manager and are hoping it will be updated soon.

I use Insightly regularly and have experienced great results. It is the first thing I log into every morning to determine where I am with my sales and management. Although I mainly use it to track sales opportunities, I also use the notes feature to track conversations I have with current clients. This is the best CRM I have found in terms of functionality and affordability.

Insightly is great for CRM for tracking sales opportunities and leads. The notes feature is particularly helpful when tracking conversations and followup. Whenever I'm on a call I can pull it up and it helps me to recall where we left off in the conversation and any personal topics we discussed. Notes are a great way to reconnect with a customer and to stay on top of things.

Insightly helps our department better understand the needs of customers, by helping to track their inquiries with us and the associated products they are interested in. It also helps us to email them directly from Insightly, or we can have our emails feed directly into Insightly. It also serves as a reminder for which customers are due for a follow-up.
  • Track leads. Adding contacts and sorting them based on the lead stage is clear and easy to do.
  • Clean interface. It's easy to use Insightly and show someone else how to use it.
  • Integrating with email. Emails are stored with the associated contact, making it helpful to view all communications inside Insightly
  • Task/sorting stages. Adding tasks creates a little banner and you can also change the stages. I found them a little redundant as a user
  • Uploading contacts can be a little slow when done in bulk
For medium or smaller businesses or teams, Insightly is great. It is easy to use and it's clear as opportunities to run various stages. The email integration is strong. For my team we use Insightly frequently to collaborate, we're all on the same page on what next steps need to be done when communicating with customers, and my various team members can access Insightly if someone is out and another team member needs to step in. It makes our team much more efficient.

We use Insightly CRM to keep track of our client contacts including public agencies and partners. Every pursuit that we follow has a corresponding opportunity record in CRM, marketing, business development, and project management staff are linked to those opportunities and follow related activities including follow-up emails and phone calls, proposal preparation, and keeping track of delaines and win/loss results.

One of my clients manages a group of influencers and we use Insightly as our database to keep track of everyone. Not only are we able to add common details such as contact information and demographics, but we are also able to create groups and tags to note specific groups or subjects we can search in order to come up with a nice pool of candidates for a specific campaign.

  • Allows you to create groups or add tags to your contacts for more organization
  • Gives the option to upload current contact lists into the database rather than manually entering
  • Allows for adding social media profiles
  • Allows you to create "custom" fields within your contact that are specific to your company
  • It pulls profile pictures from Twitter profiles and they aren't usually good quality within the profile
  • It would be nice if there were more "standard" social media profiles included in the main contact portion-rather than creating custom fields for others
  • When creating tags, it would be nice if they weren't case sensitive-which allows for duplicates to be created
I think Insightly is a pretty good option for anyone looking for a database for their contacts. The different plans allow for a small number of contacts to a larger number for bigger companies. I'm not sure that really is a database that is completely perfect for everyone, but Insightly does a great job of covering at least a little bit of everything which makes it relevant to a lot of industries. I would say that if you are a really tiny company, this probably isn't the best software for your contact.

It helps handles sending emails to cutometers to help engage with wider audience and track KPI metrics to help in process improvement. It helps understand customer preferences really well and map their journey that help identify buying patterns, trends analysis and machine learning to help predict their behavior. This in turn helps create and design impactful events and campaigns and track metrics to see engagement with the customers. This can be done through social media , digital and offline campaigns as well. It is being used by the marketing department and will be scaled to the whole organization. It helped reach to customer and client by targeting them well and ensuring more revenue conversions. It also provided better integration to our clients that ensures better services.

Insightly is well suited for an organization that requires to grow its outreach and has a defined market. It cannot be put into use where people don't know what market to capture and where the product won't perform. We use Insightly on the Program (Operations) side of our organization. We track our constituents and constituents on the waiting list. We use Insightly to track funding, activities and contact information for each of these constituents. We use it for communications and to track the frequency of our outreach to them.

Doesn't seem quite right for a full donor database - not as many of the capabilities we look for in that type of system.

I previously used Insightly within my business to manage both my sales opportunities and ongoing client projects. It meant I had visibility across all of the pre and post sales activities relating to customers. It was invaluable in helping me to manage my time and record things I had done and needed to do. Don't actively use it now but still have a basic subscription as I still implement it with some clients. Basic subscription is no longer available to new which is a bit of a shame as it was a good entry level price for new CRM users - The new higher base price puts off a lot of CRM newbies as they can't justify the cost compared to other products on the market.

Insightly is used across our whole company. It helps keep track of all projects and at what stage our projects are in, as well as all contact information for our customers/clients. Insightly is used on a daily basis and we update it regularly as contacts/jobs/emails often change. We love using it and it is so easy to maneuver around to find whatever we are looking for.

It is being used by some departments in Business Operations to keep a record of all customer and partner data. The most defining part of this CRM is definitely its seamless integration with G Suite, which is why it is one of the most popular CRMs on the market. In my experience using Insightly, I have found it to be a robust CRM with almost all the basic features and functionalities to help you effortlessly manage customer and partner relationships. It is flexible in terms of customization according to your requirements and is easy to use. It has helped us manage our leads, customer interactions, and opportunities all in one place while having visibility in the entire process.

  • Reporting features are quite comprehensive
  • Integration with G suite and other sales tools
  • Workflow management is easy to set up and makes collaboration simple
  • It lacks proper technical support. There aren't enough technical resources online and their support team isn't any help.
  • It takes months for their team to get the bugs fixed and is incredibly slow coming out with updates.
  • Lacks advanced features for contact management and opportunity management.
Insightly is better suited for growing companies and startups looking for an inexpensive CRM. It even has a free version to play around with. It is flexible in terms of how you want to configure it. It is well suited for areas like lead management or project management, but if you're looking for advanced features for reporting or opportunity management then it is a very average tool.

We, the entire team of AML/KYC use Insightly as our CRM and needless to say, it seems to be a gem of a software to use amongst the team members. The contacts, leads, and tasks are all available to be used; however, we use the contacts module only as the leads module is used by another team at my organisation.

It also provides us with real-time information from multiple perspectives, which helps us increase our productivity and sales. We can automate the exporting of contacts, allowing us to create unique marketing and lead generation, offering a solution to virtually all of our sales problems.
  • It is a great CRM tool that is very intuitive and makes it easy to manage opportunities.
  • I like that it can clearly show activity on projects, schedule tasks, and effectively manage directory contacts.
  • I can automatically subscribe my leads to the email list through the web forms provided by Insightly.
  • They should add more variety of task and sales functions, which has to be at the forefront.
  • Although its price may seem a bit expensive, it is pretty affordable compared to other programs and much more for what it offers.
Insightly is recommended to any company that wants to manage sales opportunities; it is much easier to use. It also has an excellent graphical interface. It is a reliable tool to keep the contact base organized and updated. It is one of the best CRMs on the market; it can create, launch and analyze numerous email marketing campaigns.

We sell machinery to multiple industries ranging from breweries to biofuels. We are frequently working with dozens of potential customers with a sales cycle that can measure from 3 months to a year or even more. With these long cycles it is very helpful to have a tool to manage the often multiple contacts at a company and multiple events from trials to proposals.

It's a repository of project content, communications, scheduling, follow up, contact management and more that is utilized throughout the office, on and off-site, to better keep all players in the loop as to project status, materials, etc. It's improved our access to where a project is at regardless of who is available to provide input.
  • It's a simple place to archive and organize communications and materials for easier access down the road.
  • We have a project type for ads in our publication - so we're able, at glance, to see all the ads in that publication in the order of their status – from not started to OK'd. It helps in not overlooking an ad and potentially failing to include it in the publication.
  • It gives us ONE spot to find the best contact info for a client that we can update for everyone's access whenever there's a change.
  • Conversion of an Opportunity to a Project doesn't bring the content of the Opportunity to the Project. It does put a link to the Opportunity in the Project – but I would find it more helpful to see everything in one spot under the project.
  • It's helpful that an email linked to a project automatically puts file attachments under files...I just wish it wouldn't also bring over all the innocuous media icons/logos that oftentimes make up the signature of an email.
  • Clicking on a project link to an email opens a screen for me to choose which Google account I'm using and then it opens a new browser tab for that project. It would be preferable if it would simply punt and go with the Google account associated with the email AND not open a fresh tab...that makes for lots of tabs after a while. Not a big deal.
I haven't found a less appropriate scenario yet...I use Insightly to help organize projects at work and as needed to create personal/private projects to manage non-work activities. It's just a great archival tool.

I run a small recruitment business. For customer relations, I have been used Insightly for about 5 years now. It covers the main basic needs for storing customers' data and handling customer relations including sales and manageing projects' info.

  • Quite of comprehensive overview/statics of different metrics.

  • It's quite frustrating how slow Insightly implements even simplest suggestions, if at all.
  • The inteface and user logic could be lot better and userfriendly
  • Doesn't give an overview of a contact or customer data as it could - needs excessive clicking between different views/tabs.
I can't provide a profound answer as I haven't used other CRM's, thus it's complicated to say in comparison to other options why one should or shouldn't use it. But I think it will do whenever you need some solution to better handle your clients and prospects and do it in a more contemporary manner, where your data is accessible on the internet wherever you are.

It is used amongst the sales team; there are 3 full time reps, 1 part time rep, and 1 person who uses Insightly to manage the inside sales and run reports. It gives us a place to track opportunities and move them along. We are also beginning to use it more for e-mail campaigns.

The ease of use and customer service has been great, so I would recommend it to anyone who wants a CRM for a small business.

It is really very useful for when you need a CRM solution with very moderate commercial applications. With this platform I can follow high-value accounts with the ability to have a constant follow-up and be able to effectively guarantee more future purchases by our clients and potential customers. I have been able to eliminate those spreadsheets that turned out to be a very confusing and heavy work. With Insightly I can have more detailed and complete information in a single work area, which could be more interesting and lucrative for the business environment.
  • With this platform I can get a clear vision of the sales that are made within the company.
  • It has an excellent project management tool that allows me to organize my clients and sort them by categories.
  • It has Gmail integration, thus being able to send emails and assign personalized tasks to people without the need for the platform
  • It adapts to work needs, covering user requirements since it is very easy to manage and track sales.
  • I only find the integration with the Google application practical, with other platforms it is a bit complex to understand.
  • The mobile version lacks many functions which are necessary to have a full port of this platform on the mobile.
  • Keep data in a public cloud, this can be a security risk. They should be able to give a tool where you can store the data privately and thus keep everything safe.
It provides real-time updates on the campaigns and projects that are carried out within this platform. It is simple to use, but I recommend it for small projects because it lacks certain tools that would define it as a professional CRM tool.

We're using this CRM to track our high-value accounts and keep track of them. The software is interesting and has an intuitive, as well as attractive UI. Our marketing team uses it as well for some of their tasks and loves it too. Different integrations they offer make the work easier and I would love to see more of them.

There can be so many different industries where Insightly CRM can be used. Not completely sure about the marketing though. This CRM well suits product companies, startups according to me. I believe, if they support more and more integrations, these guys would lead the market soon. Streamlining our business process is an awesome thing that these guys have offered us. It was a mess earlier.

We initially started insightly with the whole organization but have scaled it back to use in just our sales department. It works great for putting information about new leads in one central location and tracking them. We use it to follow the process from initial contact to sales and beyond. Insightly helps us know where we are currently and more importantly what to do next and when. It's fairly intuitive and seems to function well for this.
  • It helps us keep track of new contacts.
  • Share information with multiple users so if the contacts are updated we are able to open insightly and see where a potential customer is in our sales process.
  • Assigning tasks is simple to do and check in insightly.
  • We've had issues with contacts in insightly. We have trouble integrating it with Google contacts and I'm not sure which is the bigger problem.
  • We use a plan with limited data and have had some issues with running out of space. As we've learned to use insightly better that problem has disappeared, but when it hit us it was a big problem.
  • The activity sets option is a nice feature but I found it difficult to learn. The rest of insightly is fairly straightforward but this took more time and functioned differently. It's worth taking the time to learn but I'd guess the process could be simplified.
We've really liked it for tracking the sales process, as well as a great place to keep information on new leads where we can weed them out and determine if it's likely to become a sale or not. I really like the activity sets as well. These allow you to set up a repeated activity and use it over and over again with a bit of tweaking. As I stated I had trouble figuring it out initially but it was worth the effort. I would stay away from the contacts if you want to sync it with Google contacts as the two haven't worked well for us.

We're using Insightly primarily for our sales team as a CRM system, tracking organisations, contacts, opportunities and in the future, projects.
This information is coupled with our budgets to provide the proverbial "BIGGER PICTURE"
  • Organizational, contact and opportunity management. We're able to store relevant data about all three specific information areas. In particular, the progression of opportunities through custom phases is a big plus for us.
  • Great reports that are customizable to my department's needs.
  • The easy user interface made the transition from our previous product relatively pain free for our users. Not to say what we used, but you had to be a wise old 'sage' to use it...
  • Integration to Xero should allow us to quote directly from Insightly, or be able to view our Xero quotes in Insightly.
  • It would also be great to be able to track quotes against a budget or target!
Well suited to client management.

It was used in the whole sales department and some of the people in Customer Success. We had a process to manage Inbound Leads and another process to do Outbound by prospecting based on Cold Emails. The problem for us, was that Insightly didn't have good tools to do prospecting with cold emails, so every salesman had to create their own tasks to do the follow-ups. That's the main reason why we changed the CRM. For Customer Success we used the "Project" tab that allowed the Project Manager/Account Manager to communicate the process of the implementation to the salesman.

Insightly is well suited when you are on a low budget and you have a small sales team that can work with most of the tasks manually. It's much better than working with a spreadsheet as you can have a history of all the leads but it doesn't have lot's of integrations and it doesn't scale when you grow.

Insightly is currently being used as a client management system that mainly focuses on accounts/clients and new business development but also a bit of applicant tracking. It’s imperative for me to be organized especially when I’m wearing multiple hats. Insightly provides that for me.

Honestly there is no harm in trying out Insightly as they offer a free trial. I feel that there are so many platforms out there that you have to use what works for you, your business and team.

So, in the entertainment field, we are always looking for leads. We are a quarterly magazine and really need a way to follow-up with our contacts and keep information in order. Our social media team used Insightly for these needs for a little over a year, starting from the free trial version, then switching over to Pro.
  • Simple point and click lead creation.
  • Although most people use Insightly for sales, we use it to keep a list of contacts and notes. A lot of these contacts have been featured in our magazine, when we may have met at a festival or event. Easy to keep notes and individual information.
  • The mobile app is lacking.
  • You need to study the system a bit before you know how to use it.
I would recommend Insightly because it is a great project management tool for large or small businesses. I can't speak on the sales side of this software, but as far as project management, it is great. The reason I would give it an 8 out of a 10 is that the email from mobile didn't work for what we were seeking. You could not, at the time, send an email from the mobile app. Since we are always on the go, that feature is a must.
