Great software for small businesses!
- Outlook connector - easy button to add emails sent to clients to Insightly
- Client profiles - comprehensive storage of client data
- Client journeys - being able to track and capture the stage that a client is in
- Lack of ability to edit certain categories (for example, including multiple email addresses for a client)
- Text editing - limited functionality in terms of style options (highlighting text, etc.)
- Lag between CRM and marketing sides - have to get an admin to update the crossover
- Marketing calls clients "prospects" - unwieldy and doesn't make sense, since we also have a category for "prospects" in our CRM that means something else
Great Platform for Small Businesses
- Task creation: The ability to create and assign tasks for our team has been very useful.
- Integration with GMAIL, we use Gmail for some of our business solutions (Calendar, email, etc). It's very easy.
- Again, the ability to leave detailed accounts of our contacts and leads. Specifically the pipeline, we can assign deadlines and points of progression to move a task forward.
- If you utilize Insightly for more than one organization, it would be nice if there was a convenient location to swap between the sessions.
- Maybe some integration with Slack or some other chat platform.
- Maybe a sync feature with work email?

- Insightly is being used by the whole organisation
- Leads arrive from the website or entered by the person responsible for first contact (phone, online chat). Online Chat automaticly creates new contact via integration
- Contact is created from the lead and tags are used to segment the database. Zappier adds new contacts to ActiveCampaign. I know that now Insightly can do it all, but in order to upgrade we will need to upgrade all users and we have way to many CRM users.
- The sales process is tracked by using Opportunities and Opportunity is created and linked to the contact
- All Xero proposals are attached in Insightly, all pricing calculations saved as notes.
- When a contract is signed all interactions with the customer are tracked via Insightly, including critical information. All contacts and org info is available to the whole team and contacts synced to their phones. It makes all communications very personal and very recognizable. Clients love it when you call them by their name when they call the second time. Due to poor integration with PABX formats, we have to manage phone numbers ourselves.
- I wish it could just generate Yealink phonebook automaticly based on hashtags (we had to programm it ourselves). For mobile phones we use Gmail integration.
- New clint Organisation custom fields are used to create new client folders and subfolders in Google Drive and Google Docs processing documents (inserting in the document all the info for the custom fields) via Zapier
- We manage complex relationships within Insightly: who is a client of whom: professional relationships, personal and etc. So for our client, we can see: who is their accountant, lawyer, business mentor, relatives, spouse; their key suppliers, sometimes their key clients; insurance brokers.
- Complex relationships. Majority of CRMs out there can do only one company per person.
- All contacts in the phones, very quick and reliable synchronisation via GMail. That syncs to all our Mobile phone devices and some Android Based VOIP desktop phones.
- Reports are good, however, we would love a PDF to be sent to us in an email with the reports, at the moment we have to log in to download a CSV every time, which is annoying and unnecessary.
- Xero Integration is good. But do not expect too much.
- Zapier allows us to do a lot of process automations.
- Login is a pain in the left ear: we have to do 4-7 clicks to log in and enter domain name every time. Why when we click on the open app via G Suite it does not just open and log you in (like hundreds of other apps do)? This has not been fixed for over 5 years now.
- Marketing module is way too expensive for a small business like ours. 599 USD per month. I don't know what kind of business can consider it reasonable. We use ActivaCampaign instead.
- Task management: takes a lot of time to enter a task, it needs to be quicker with some default fields prefield. I had to use Gravity Forms integration to make Task creation easy, otherwise task creations in Insightly is a bureaucracy nightmare with all the fields that you have to fill over and over and over and over.
- Ability to attach an image to a task in an easy way. Not just upload it as a comment only. Just copy paste into description from the buffer should work, that would make our work so much more efficient. We used other apps that can do it, it really takes a lot of time from our day to attach images.
- Your subscription price is constantly going up for functionality that you are not using or not even provided. And when you ask them: "what extra functionality am I paying for, I cannot see any" they just ignore you.
Insightly has improved our efficiency
- Tasks - it helps us track tasks that are special projects and keeps us alerted and on point
- CRM - the tags for the contacts are extremely helpful
- Prospects/Opportunity - very easy to keep track of open proposals
- Tasks - the way that the tasks are added to my Google Calendar can be better

Insightly as a valuable project management tool
- It's a simple place to archive and organize communications and materials for easier access down the road.
- We have a project type for ads in our publication - so we're able, at glance, to see all the ads in that publication in the order of their status – from not started to OK'd. It helps in not overlooking an ad and potentially failing to include it in the publication.
- It gives us ONE spot to find the best contact info for a client that we can update for everyone's access whenever there's a change.
- Conversion of an Opportunity to a Project doesn't bring the content of the Opportunity to the Project. It does put a link to the Opportunity in the Project – but I would find it more helpful to see everything in one spot under the project.
- It's helpful that an email linked to a project automatically puts file attachments under files...I just wish it wouldn't also bring over all the innocuous media icons/logos that oftentimes make up the signature of an email.
- Clicking on a project link to an email opens a screen for me to choose which Google account I'm using and then it opens a new browser tab for that project. It would be preferable if it would simply punt and go with the Google account associated with the email AND not open a fresh tab...that makes for lots of tabs after a while. Not a big deal.

- Our organization started on the free plan, upgraded to a paid plan, and then couldn't downgrade again. This wasn't immediately clear to us when we signed up as most of the information said you can upgrade and downgrade as necessary. Apparently not true if you want to move away from paid service.
- Insightly does a great job of storing customer data, including contact information.
- Insightly has a lot of flexibility and customization options.
- Insightly has great pipeline options that allow you to track your customer journey in the CRM app.
- Insightly's mobile app could be designed better for mobile interfaces.
- It takes a while to get Insightly setup in the beginning.
- Training users on Insightly can be cumbersome, the user interface isn't always easy to figure out.
Project Management made easier and efficient!
- Backs up all the important documents and data.
- Importing of contacts is a very helpful tool which I cannot forget to mention.
- A project can be expressed in a simple, detailed and informative manner.
- The sidebar navigation is also very helpful and comes in handy most of the times.
- It is $99 per month and we found it to be a little expensive.
- The e-mail feature is a little bit confusing.
- It has bad customer service.
Good and Cheap CRM
Managing projects, opportunities, and lead. It enables me with all of this added functionality.
- I think that it's simple monitoring every one of the 'activities' and errands e.g. messages, calls, recommendations, connecting those to errands and making openings.
- It is valuable to have this connected to singular contacts with the prospect/customer. It's extremely instinctive and simple to utilize, notwithstanding when you don't have much time to spend on business improvement. Not certain what else as I'm not utilizing it regularly.
- It is much cheaper than Salesforce and better than it.
- The web browser app interface is great, looks pleasant and is really responsive (quick).
- The navigation is tricky and cumbersome. It takes too many clicks to get to my projects. They could have made it more simpler and quicker by giving quick tabs or an option of favorites or something.
- It is $99 / user, per month (billed annually) for the enterprise so if you are a startup, you probably can't afford it.
Insightly - Exceeds Expectations
- User-friendly database set up via import of contacts from multiple sources
- On-going support and training: live webinars, recordings or on-line Q&A are invaluable
- Reporting flexibility and ease of adding custom fields
- Accessablity from multiple platforms: I use it daily on my desktop, laptop & Android
- Recurring task management could use more flexibility on the triggers
- Emails are kept in one repository & don't link directly to the project/person referenced
- QuickBooks not accurate if multiple projects/subcontracts for one client
- Customer support is non-existent: no phone help, online chat or ticketing helpdesk system. Just post a question & wait to see if someone answers it!

Insightly - An Easy-To-Use Small Business Powerhouse
- E-mail classification based on BCC from GMail
- Ease of use - the system is the easiest one we have ever used and we have tried several
- The link between records - organizations and contacts can be linked and you can define the link relationship (think referral partners)
- More customizations although those have improved a LOT with the new UI.
- More integration points to other systems

- Within GMAIL - the sidebar is an amazing tool and has so much potential!

- Needs more links available for items in calendar. It should also prompt to delete an event that is linked to an opportunity or project.
- Needs to have better custom-ability of default viewing for user
- Needs to have better "anchoring" and remembering when user moves back and forth pages/views
- Would be WAAAAAY better if it had a built in mail-client software. I don't want to use an outside program. It would be great if it just had it's own as an option.
Insightly is great, if you're bigger than we are....
- Integration with gmail. It was super handy to create opportunities right from gmail - inbox integration never happened but the gmail interface was handy. Same with signing in right from google apps.
- The ability to link opportunities, contacts, organizations, correspondence, and documents easily.
- Their sign up and cancel process was really great. Not to badmouth the competition, but we came from Salesforce who put us through hell trying to cancel. I really appreciated this.
- Easy reporting - we could schedule those automatically and easily.
- There were too many steps/too much time to create reports. So we generally just used the list and saved filters. So we didn't end up using the reports functions as much as they probably intended.
