I use Insightly daily to manage my tasks, update client contact information, and to track opportunities. Insightly offers users from different departments the ability to pass work and opportunities throughout our enterprise. I also use Insightly for client prospecting, marketing, and e-mail.

I work in an Admissions Office at a boarding school. We have used Insightly to market to, and manage, our potential student applicant list. Insightly has helped us to market to a wider range of potential candidates than before, as well as streamline our outreach. Insightly has enabled us to contact potential candidates through various employees at our school.

Insightly is a useful marketing tool, especially to a more traditional sales organization. It wasn't quite geared to a school admissions office -- perhaps more professional than we need in a heavy face-to-face industry. Insightly would be very useful in a larger organization as, although we have more than 50 employees in our school, only 7 employees used Insightly - it was very specific just to admissions and marketing.

We were in need of a database in which to store client information (and which could be easily accessible by all team members), track various client "journeys," and send emails to mailing lists. We also wanted to keep an email trail for each client in a centralized location.
  • Outlook connector - easy button to add emails sent to clients to Insightly
  • Client profiles - comprehensive storage of client data
  • Client journeys - being able to track and capture the stage that a client is in
  • Lack of ability to edit certain categories (for example, including multiple email addresses for a client)
  • Text editing - limited functionality in terms of style options (highlighting text, etc.)
  • Lag between CRM and marketing sides - have to get an admin to update the crossover
  • Marketing calls clients "prospects" - unwieldy and doesn't make sense, since we also have a category for "prospects" in our CRM that means something else
Overall, I think Insightly works well for offices/businesses who have relatively simple and straightforward client processes (ours is not entirely this way - there's a lot that's so complex it cannot be encompassed by the modules Insightly offers). Also well suited for businesses who are sending out regular marketing emails and want to streamline the process.

The Insightly software is being used by our whole organization. We are a relatively small business with less than 10 employees and we all utilize the platform. We use it to help us maintain out contacts and develop out "lead" pipeline with notes and comments about our customer interactions. We needed a structure to help us organize our client base as well as our business suppliers/partners.
  • Task creation: The ability to create and assign tasks for our team has been very useful.
  • Integration with GMAIL, we use Gmail for some of our business solutions (Calendar, email, etc). It's very easy.
  • Again, the ability to leave detailed accounts of our contacts and leads. Specifically the pipeline, we can assign deadlines and points of progression to move a task forward.
  • If you utilize Insightly for more than one organization, it would be nice if there was a convenient location to swap between the sessions.
  • Maybe some integration with Slack or some other chat platform.
  • Maybe a sync feature with work email?
I think it is well suited for small businesses on a limited budget. Maybe not so much for a larger organization with more proprietary needs.

Insightly keeps track of the most pertinent lead data, including a detailed activity schedule of emails, calls, meetings, and tasks as well as the source of a marketing campaign. Real-time lead routing that is automated will allow sales representatives to follow up on leads while they are still warm. To email only one lead or contact, choose Email This Lead or Email This Contact from the Actions menu when you are viewing a lead or contact. Send emails to up to 50 leads or contacts at once by selecting them from the Leads or Contacts objects and clicking the Send Email button.

We use the CRM for 3 years now and the main use is to administrate every candidate that makes a consultation at school, it is very useful to organize every consult and separate between the different pipelines according the school year they are interested in. Before Insightly it was everything a mess, now we can make reports, follow each candidate stage and use the list of contacts for mailing and promotion

it is really good when you have to manage a great quantity of products or service sales, you can use the reports to focus directly on different matters, you can filter between pipelines, and the different parameters you use for your product or service. What I think they should improve is the new opportunity layout, it doesn't work well sometimes and its get stuck

  • Insightly is being used by the whole organisation
  • Leads arrive from the website or entered by the person responsible for first contact (phone, online chat). Online Chat automaticly creates new contact via integration
  • Contact is created from the lead and tags are used to segment the database. Zappier adds new contacts to ActiveCampaign. I know that now Insightly can do it all, but in order to upgrade we will need to upgrade all users and we have way to many CRM users.
  • The sales process is tracked by using Opportunities and Opportunity is created and linked to the contact
  • All Xero proposals are attached in Insightly, all pricing calculations saved as notes.
  • When a contract is signed all interactions with the customer are tracked via Insightly, including critical information. All contacts and org info is available to the whole team and contacts synced to their phones. It makes all communications very personal and very recognizable. Clients love it when you call them by their name when they call the second time. Due to poor integration with PABX formats, we have to manage phone numbers ourselves.
  • I wish it could just generate Yealink phonebook automaticly based on hashtags (we had to programm it ourselves). For mobile phones we use Gmail integration.
  • New clint Organisation custom fields are used to create new client folders and subfolders in Google Drive and Google Docs processing documents (inserting in the document all the info for the custom fields) via Zapier
  • We manage complex relationships within Insightly: who is a client of whom: professional relationships, personal and etc. So for our client, we can see: who is their accountant, lawyer, business mentor, relatives, spouse; their key suppliers, sometimes their key clients; insurance brokers.
  • Complex relationships. Majority of CRMs out there can do only one company per person.
  • All contacts in the phones, very quick and reliable synchronisation via GMail. That syncs to all our Mobile phone devices and some Android Based VOIP desktop phones.
  • Reports are good, however, we would love a PDF to be sent to us in an email with the reports, at the moment we have to log in to download a CSV every time, which is annoying and unnecessary.
  • Xero Integration is good. But do not expect too much.
  • Zapier allows us to do a lot of process automations.
  • Login is a pain in the left ear: we have to do 4-7 clicks to log in and enter domain name every time. Why when we click on the open app via G Suite it does not just open and log you in (like hundreds of other apps do)? This has not been fixed for over 5 years now.
  • Marketing module is way too expensive for a small business like ours. 599 USD per month. I don't know what kind of business can consider it reasonable. We use ActivaCampaign instead.
  • Task management: takes a lot of time to enter a task, it needs to be quicker with some default fields prefield. I had to use Gravity Forms integration to make Task creation easy, otherwise task creations in Insightly is a bureaucracy nightmare with all the fields that you have to fill over and over and over and over.
  • Ability to attach an image to a task in an easy way. Not just upload it as a comment only. Just copy paste into description from the buffer should work, that would make our work so much more efficient. We used other apps that can do it, it really takes a lot of time from our day to attach images.
  • Your subscription price is constantly going up for functionality that you are not using or not even provided. And when you ask them: "what extra functionality am I paying for, I cannot see any" they just ignore you.

We are using Insightly across our entire organization. It is acting as our CRM program, our Prospects/Opportunity tracker and as our marketing software to help us with client mailings.
  • Tasks - it helps us track tasks that are special projects and keeps us alerted and on point
  • CRM - the tags for the contacts are extremely helpful
  • Prospects/Opportunity - very easy to keep track of open proposals
  • Tasks - the way that the tasks are added to my Google Calendar can be better
As an all around product for a service business it is a great product

Insightly is used across our whole company. It helps keep track of all projects and at what stage our projects are in, as well as all contact information for our customers/clients. Insightly is used on a daily basis and we update it regularly as contacts/jobs/emails often change. We love using it and it is so easy to maneuver around to find whatever we are looking for.

It's a repository of project content, communications, scheduling, follow up, contact management and more that is utilized throughout the office, on and off-site, to better keep all players in the loop as to project status, materials, etc. It's improved our access to where a project is at regardless of who is available to provide input.
  • It's a simple place to archive and organize communications and materials for easier access down the road.
  • We have a project type for ads in our publication - so we're able, at glance, to see all the ads in that publication in the order of their status – from not started to OK'd. It helps in not overlooking an ad and potentially failing to include it in the publication.
  • It gives us ONE spot to find the best contact info for a client that we can update for everyone's access whenever there's a change.
  • Conversion of an Opportunity to a Project doesn't bring the content of the Opportunity to the Project. It does put a link to the Opportunity in the Project – but I would find it more helpful to see everything in one spot under the project.
  • It's helpful that an email linked to a project automatically puts file attachments under files...I just wish it wouldn't also bring over all the innocuous media icons/logos that oftentimes make up the signature of an email.
  • Clicking on a project link to an email opens a screen for me to choose which Google account I'm using and then it opens a new browser tab for that project. It would be preferable if it would simply punt and go with the Google account associated with the email AND not open a fresh tab...that makes for lots of tabs after a while. Not a big deal.
I haven't found a less appropriate scenario yet...I use Insightly to help organize projects at work and as needed to create personal/private projects to manage non-work activities. It's just a great archival tool.

It is used amongst the sales team; there are 3 full time reps, 1 part time rep, and 1 person who uses Insightly to manage the inside sales and run reports. It gives us a place to track opportunities and move them along. We are also beginning to use it more for e-mail campaigns.

Insightly is well suited for a small business that wants to track sales with individual customers that aren't part of a bigger group. With our customer base, which is professors at colleges, it has been working well although we would like to have more ways to target all faculty at an individual school without having to tag all of them. The ease of use and customer service has been great, so I would recommend it to anyone who wants a CRM for a small business.

  • Our organization started on the free plan, upgraded to a paid plan, and then couldn't downgrade again. This wasn't immediately clear to us when we signed up as most of the information said you can upgrade and downgrade as necessary. Apparently not true if you want to move away from paid service.
If you need an automated sales solution, Insightly may not be for you. It's worth trying the free option to see how it fits in your company, but Infusionsoft might be more your speed if you're looking for more automated sales help.

Insightly CRM is used in our organization to keep track of customer relationships, sales, quotes, sample check outs, phone contact, e-mail contact, and more. We use it in the Sales department, as well as the Marketing and Operations departments. The primary business problem it helps us solve is tracking our customer's activity in our showrooms and over the phone.
  • Insightly does a great job of storing customer data, including contact information.
  • Insightly has a lot of flexibility and customization options.
  • Insightly has great pipeline options that allow you to track your customer journey in the CRM app.
  • Insightly's mobile app could be designed better for mobile interfaces.
  • It takes a while to get Insightly setup in the beginning.
  • Training users on Insightly can be cumbersome, the user interface isn't always easy to figure out.
Insightly is a really affordable and feature rich CRM program that works across desktop, laptop, tablet and phone devices. This makes it a great option for many companies that are trying to learn how to integrate Customer Relationship Management applications and processes into their daily workflow. Small businesses and others just starting out with CRM would be a great fit for Insightly.

We had a very efficient use of the software in a project that our company had. We were able to have a total track of the project and never missed a chance of improvement. The results came out to be very satisfying and very efficient. It has very user-friendly project management features which are very helpful and effective. We were able to optimize our project in a very timely manner and got very convincing results out of it, all thanks to Insightly.
  • Backs up all the important documents and data.
  • Importing of contacts is a very helpful tool which I cannot forget to mention.
  • A project can be expressed in a simple, detailed and informative manner.
  • The sidebar navigation is also very helpful and comes in handy most of the times.
  • It is $99 per month and we found it to be a little expensive.
  • The e-mail feature is a little bit confusing.
  • It has bad customer service.
The most appropriate scenario would be where you want to keep tracking the project and reporting it to the client for better and efficient results, It can also be used to save the important documents and data in a secured manner as mentioned earlier. Its extraordinary features come in handy most of the times. This software can be very helpful for small business or midsize business organizations looking for consistent improvement and seeking efficient and convincing results.

In our organization, this software program is resolving to optimize the agenda of our clients and allies that our agency manages. As a user, my main aim is to keep each client satisfied, what Insightly with its CRM framework enables me to do effectively and a little organization that advances great development is the thing that everybody is searching for. It enables me to take notes effortlessly and therefore not miss anything. Also, there are some other features for which it is used in our business:

Managing projects, opportunities, and lead. It enables me with all of this added functionality.
  • I think that it's simple monitoring every one of the 'activities' and errands e.g. messages, calls, recommendations, connecting those to errands and making openings.
  • It is valuable to have this connected to singular contacts with the prospect/customer. It's extremely instinctive and simple to utilize, notwithstanding when you don't have much time to spend on business improvement. Not certain what else as I'm not utilizing it regularly.
  • It is much cheaper than Salesforce and better than it.
  • The web browser app interface is great, looks pleasant and is really responsive (quick).
  • The navigation is tricky and cumbersome. It takes too many clicks to get to my projects. They could have made it more simpler and quicker by giving quick tabs or an option of favorites or something.
  • It is $99 / user, per month (billed annually) for the enterprise so if you are a startup, you probably can't afford it.
Extraordinary for sales group and sales teams. Easy to utilize and is exceptionally savvy particularly for bigger groups simply beginning or workplaces intending to scale rapidly. We can hold customer information in one spot for everybody to utilize, it spares us time and enhances correspondence inside our group. We're ready to explicitly target customers for existing and new deals. This program is helping us profit and monitor all the work we do.

We use Insightly across the organization for customer relationship management at each stage in the sales funnel: from potential leads to proposal to executed contract. Streamlines access to all contacts and links to organizations for a visual of each person's role in the organization. User-friendly workflow for task and project management, as well as assigning tasks to remote users for transparency when needed or privacy options for specific tasks or projects.
  • User-friendly database set up via import of contacts from multiple sources
  • On-going support and training: live webinars, recordings or on-line Q&A are invaluable
  • Reporting flexibility and ease of adding custom fields
  • Accessablity from multiple platforms: I use it daily on my desktop, laptop & Android
  • Recurring task management could use more flexibility on the triggers
  • Emails are kept in one repository & don't link directly to the project/person referenced
  • QuickBooks not accurate if multiple projects/subcontracts for one client
  • Customer support is non-existent: no phone help, online chat or ticketing helpdesk system. Just post a question & wait to see if someone answers it!
Well suited for service-oriented businesses using the software for CRM, as a sales tool and for project management. Not suited for in-depth program management in certain industries where there is specific software addressing document and cost control issues, e.g. construction management.

It makes it so much easier to assign tasks to my employees. I always prefer to have tasks written down to verbal tasks, so this program helps so much in that aspect. I also really like the clean, efficient look to this program. It makes it very easy to use and is not as cluttered as other similar programs. I loved the training videos that helped my employees learn the ins and outs of the program. The fact that there is tech support readily available is also a plus. I hate having only email or only phone support available, but Insightly has both!

  • Wonderful opportunity to scale the software as the company grows from startup to height unknown.
  • CRM and project management together in the same application.
  • Can't send HTML emails from within Insightly.
  • Responsive customer service that doesn't seem well informed to deal with anything beyond the most basic of questions.
It's relatively easy to use and good if you are a startup / small uncomplicated business. The Google mail integration and auto contact creation is a real time saver. Very simple, non-intimidating interface. Tries to be homey and welcoming to very small businesses. Earnest effort to serve up helpful hints. Looks like it doesn't require a lot of time to use.

While we may use official CRM within our organisation, I have been using Insightly for individual CRM purposes for a short while. It has a light touch interface that allows management of mails very easily and you don't have to be too tech savvy to get to grips with it. As it is just me, I can use the free version which is a bonus.
  • Interfacing with Gmail
  • Large amount of third party integrations
  • Low cost
  • Expansion of features within free version
  • Reporting features are lacking
In order to keep track of deals and progress, the effort required is low. While the detail may not be easily reportable, the overall progression of the sales can be monitored. Communications with the clients are then also easier to deal with and I can verbally give co workers updates when required.

We use Insightly as our primary CRM. One of our favorite features is the ability to blind copy e-mails into the system so that each account in CRM is tagged with that e-mail address. We also like how Insightly recognizes the domains for e-mails we forward in so that it automatically assigns it to an organization. Definitely excited about some of the new customizations possible (new field types) in Insightly to start tracking client anniversaries and follow-ups. We also like how contacts are automatically added to both Insightly and Google when we forward a new e-mail in. Definitely a system we should be using more. We have recommended this system to several colleagues.
  • E-mail classification based on BCC from GMail
  • Ease of use - the system is the easiest one we have ever used and we have tried several
  • The link between records - organizations and contacts can be linked and you can define the link relationship (think referral partners)
  • More customizations although those have improved a LOT with the new UI.
  • More integration points to other systems
  • Better e-mail marketing capabilities included in the standard package
Insightly is perfect for small business owners who are not that tech savvy. It is also well known for its ease-of-use so if you aren't sure how to use a full-blown CRM this is a great place to be. Overall my business partner doesn't want to go back to a complicated system like Zoho CRM that was difficult to understand.

Insightly is used to manage all our customers, look at opportunities and is integrated into our website. I have had many experiences with CRM systems such as Salesforce and always found them to be extremely difficult to use. I was impressed by the simplicity of Insightly.
  • I think Insightly is extremely easy to use
  • I think it integrates nicely into our website platform
  • I like the ease of mailing customers and template emails
  • I cant put out Logo onto template emails
  • This has been our only problem
I think Insightly is such an easy system to use, this is why we choose it. I have found the interface very easy to set up and I do not have a background in technology? I have enjoyed the way it has progressed over the years adding features and integrations whilst still maintaining its ease of use

It adds a tremendous amount of support to my day. I am able to function as my own assistant, alleviated thousands of dollars in yearly cost to maintain a good, reliable, executive assistant.
  • Follow up reminders
  • Email templates
  • Appointments
  • Customer support- Live would be nice
  • Tutorials- A Subject-based starter guide would be nice
  • Email- It would be nice if it worked as an email platform to alleviate the need for an email app. Also, if not a platform then allows Apple users to use a different app other than Apple Mail application I.E Airmail.
In sales, follow-ups are the most important part of the day. Insightly keeps those on track for me, this alone is a life saver!

We are a small non-profit organization and I have been implementing Insightly for use as a CRM as well as a process flow. I have on-boarded our Founder and Executive Director and I have been trying to get them to see the potential time saving and client assistance Insightly can be. The problems Insightly can address is the phases of our program from proposal to final invoice. I believe that the potential of Insightly is completely underutilized within our organization but it is due to the lack of knowledge of some of our team members.
  • Within GMAIL - the sidebar is an amazing tool and has so much potential!
  • Within GMAIL - so save into Insightly and link is very very helpful
  • Insightly's search is very good
  • Being able to tag the contact is helpful
  • The corroboration with Mailchimp is awesome
  • Within Opportunities and Projects: EMAILING clients!
  • Deleting Activity Sets
  • Allowing more bcc's and cc's within Insightly emailing

Insightly was chosen as a replacement for Act. We're a team of 3, running a record label plus booking and promotion of a few bands. The primary user is not tech savvy. It hasn't been as intuitive for him as hoped, be we support him in getting things done.
  • Visually clear contact records
  • Flexible with tagging
  • Ease of emails recorded to contacts
  • The search feature has caused some challenges for the less tech savvy
  • Input fields for contacts are limiting
  • Historical tracking of previous employers for contacts
It's been good for simply tracking contact info. But we have challenges with our primary user adding tags after mailing out promo materials. We've tagged a contact that they were mailed the newest record so that we can always see that they received Album1 when it's time to send new Album2. It would be great to be able to create the list, do the export and be prompted to immediately add a tag to the contacts in the export.

We try to use it with everyone. Some sales, convert jobs to projects, etc. We make it available for everyone including our drivers so they have access to all of our contacts as needed.
  • Organize tasks with employees

  • Setting up the process for operations and accountability
  • Needs more links available for items in calendar. It should also prompt to delete an event that is linked to an opportunity or project.
  • Needs to have better custom-ability of default viewing for user
  • Needs to have better "anchoring" and remembering when user moves back and forth pages/views
  • Would be WAAAAAY better if it had a built in mail-client software. I don't want to use an outside program. It would be great if it just had it's own as an option.
It's probably best as a system for sales teams. We use it holistically for our company. I'd like to see it be more geared for all aspects of a company's operations better.

We used it as a CRM. Full disclosure we cancelled our subscription last month. We used it across the organization with I believe 4 users maybe 5? We tracked customers and opportunities from first conversations up to closing or losing deals. We did not use it to send emails, connect with mail chimp, any of that. Simply as a way to have everyone look at the same database of opportunities.
  • Integration with gmail. It was super handy to create opportunities right from gmail - inbox integration never happened but the gmail interface was handy. Same with signing in right from google apps.
  • The ability to link opportunities, contacts, organizations, correspondence, and documents easily.
  • Their sign up and cancel process was really great. Not to badmouth the competition, but we came from Salesforce who put us through hell trying to cancel. I really appreciated this.
  • Easy reporting - we could schedule those automatically and easily.
  • There were too many steps/too much time to create reports. So we generally just used the list and saved filters. So we didn't end up using the reports functions as much as they probably intended.
  • Integration with google inbox
It would be my choice if we had a sales team and someone to organize it. We were too small and didn't need the functionality it clearly has. I think we were just a bit too small, with no dedicated sales people - it's just us. So I'd say it is great to for an organization that's bigger than us, with salespeople who need to track their work.
