We use Insightly as our CRM to manage contacts, leads, and opportunities and build sales pipelines and dashboards. The ease with which Insightly manages our contacts and leads is incomparable. We haven’t found another CRM that can give us the same results with such ease! We’re beyond happy and confident with Insightly and the performance it’s given our team, and the price point is second to none.

I supervise a program that makes follow up calls to persons leaving residential treatment for substance use disorder.
As our clients discharge, they sign a consent to contact. We enter them into the 'pipeline' as new 'Leads" and after they complete the initial survey they are converted to an "opportunity". We are able to track them through Insightly. We are able to add notes about each contact call made to keep a record of our contacts with them. It has been extremely useful for our program. The initial set up of the program went smoothly and we have been happy with the tech support. If there was an organization who wished to set up a program like ours I would definitely recommend Insightly. This have made our program a success from the documentation to the monthly reports and the ability to work with all the data elements.

My team uses Insightly to manage intellectual property licensing and training program management within our association management company. Doctors, researchers, students, and pharmaceutical companies submit permission/licensing request forms which are connected to Insightly. We use Insightly requests to manage each step in the licensing process. We also use Insightly projects to manage clinical trial training services.

  • The customizable objects and fields are very useful but the System Settings interface could be more user-friendly
Insightly is very well suited to track steps in a particular process. It is also very easy to connect contacts, organizations, requests, and projects. It is great for storing data in a way that is easily referenced. It is a helpful tool for facilitating team collaboration. The connectivity to our website forms is also very useful. It is less appropriate for tracking financials as far as invoicing and payments.

Insightly was already leveraged by our sales team and in the past 3 years we adopted it as an operations tool. Data Driven analytics and visibility were a company priority. Because our teams are now using the same primary tool, we now can go to one place to review several different aspects of the business for several different teams.

  • Customization>The ability to customize with custom objects has allowed us to utilize Insightly in unique ways.
  • Customer Feedback>They very much are interested in soliciting client feedback when it comes to product planning.
  • Project object expansion>Adding more customizable/project management functionality to the project object would be beneficial
  • Custom objects have some limitations, would be great to have the same customization as you do with the standard objects
  • Enhancing the team/queue functionality would be great for large teams
Insightly can be customized to hit on several business objectives even outside of the standard CRM tool. Operations and departments can create custom objects to better automate processes/communication internally. This would allow for data driven insight and reportable numbers via reports or dashboards.

While Insightly does offer a basic projects standard object, it needs some enhancing when it comes to managing larger projects.

We use Insightly to manage all aspects of our clients and candidates, including biographical information for all parties, tracking appointments, and keeping track of billing. We also use Insightly for lead management and as a tool for sorting through prospective candidates.

We use Insightly CRM primarily to manage prospective sales of our small group product line. Our leads come in either directly from groups or through agents that we work with so the CRM allows us to stay on top of the opportunity and close the sale. Using Insightly CRM allows us to fully optimize our resources and sell as many groups as we can. It also shows us trends in the data so we can identify populations and niches that we should target.
  • A modern CRM that is very organized and easy to use
  • The dashboards are very easy to put together with an unlimited amount of customization which allows you to have a clear snapshot of the state of the business objectives
  • The Insightly support team, is there to help at the drop of a dime and want to do everything they can to help you succeed. They will not only help you with your asks but make suggestions from their plethora of intel.
  • There are some minor glitches such as the screen freezing up. You can fix this by refreshing the page and it doesn't happen often but when it does, it does disrupt the flow.
  • Pulling a report from multiple objects is limited. You have a lot of options but there are some things you want to be able to pull in together and you can't.
  • Items such as Contacts and Organizations don't always link together.
Insightly just about checks all the boxes for what we need to manage our small group sales. It allows us to work the small group opportunities that come in as well as manage the groups once they are actually sold. Having a database that can be completely customizable allows us to pull reports on just about any data points that we want. We can also set automated tasks such as a reminder to check in with a sold group a month into the sale to ensure we are providing great service. Everything is very well connected.

  • A bit confusing to differentiate between the Pipeline Stage and the Project Status.
I have found this too to be effective and useful, although there is room for improvement, particularly on how it communicates with other technologies. I am interested to use it for more purposes and see additional functionality.

Our organization uses Insightly as our centralized CRM for all business activities.

For us, we needed:
  • A place for Sales to log their pitch calls and closes in one location.
  • A way for marketing related email cadence to be sent out to prospective and active clients
  • A centralized space for our Client Success team to see a client's journey and log client interactions
  • A system to track individual coaching sessions and activities offered by our contractors
  • A centralized location for payment dataA data reporting and dashboarding tool to give leadership insight into the functions of the business.
Within the Insightly platform, we track our sales cycle, contacts, products sold, as well as the administration of the coaching products we sell. Insightly allows us to have a one stop central location of information for all of the teams within our organization and also allows for customization based off of business need.

If you are looking for a platform which allows you to be able to create your own modules based off of your business case, Insightly provides great functionality and capabilities within the platform. We have been able to create several sections, called custom objects, which allow us to tailor processes based off of our business functions.

It may not be well suited to individuals who want to have a built out of the box or module based CRM system. Unless you purchase additional modules, you may have to be creative in finding solutions within the limitations of the Professional level. Many of the features we would look for are available at the Enterprise level, but the cost is prohibitive.

I work in an Admissions Office at a boarding school. We have used Insightly to market to, and manage, our potential student applicant list. Insightly has helped us to market to a wider range of potential candidates than before, as well as streamline our outreach. Insightly has enabled us to contact potential candidates through various employees at our school.

Insightly would be very useful in a larger organization as, although we have more than 50 employees in our school, only 7 employees used Insightly - it was very specific just to admissions and marketing.

We use Insightly to track users in our CRM as well as use it to evaluate and see the entirety of our sales pipeline from leads to acquisitions. Insightly is useful for being able to see exactly where you are in your sales cycle as well as track income earned.

We use it as our database for customers, prospects and for records of deliverables with the media outlets. All employeess track and record activities and we use this for marketing outreach as well. This allows our teams to collaborate and share information among departments. It also has been customized for our industry and and streamlines our processes.

We mainly use it for project management, monitoring and capturing lead info and for the CRM aspects of the program, in particular email storage and sharing. We find that the email links are useful so everyone knows what has happened with a particular client and can pick up where the other person has left off.

Our team uses Insightly to manage, track and update all of our Solar installation projects. It offers a wide range of tools for data analytics and workflow automation, which streamline our day-to-day processes without having to write any code. Once fully customized to our workflows, the ease of use and amount of time saved have been substantial!

  • Adding new cards to a dashboard will occasionally interfere with the entire layout.
  • Dashboard auto-refresh only occurs every hour, meaning the data shown can be up to an hour old rather than live (but the data can be refreshed manually from each card).
Dashboard views are more effective than reports for viewing and updating projects, as the pop-out window feature that appears in the dashboards means that new tabs don't have to be opened and closed to view and edit a project's details.

We use Insightly in our organization on a daily basis: it is my home page & my default for when a new tab is open. I live and breathe Insightly. We are a solar company that has grown a lot during the past few years, and with that, the need to use a CRM with unlimited settings and integrations became extremely important. We use Insightly to manage projects, check the status of projects, and keep track of our KPIs. I love how easy it is to navigate, create reports and integrate with other software making our lives easier.

Insightly is well suited for all types of companies since you can literally create anything you want - from a project report to a contact report - without losing any functionality. Insightly also allows us to create "custom objects" pages that use pointers to point out information from the project into a more detailed page which can be beneficial for several teams.

We run sales and marketing campaigns for 40 different clients. Each client campaign has it's prospect list in Insightly and we use Insightly to track activity and report back to our clients on progress. It is used mainly by our Business Development team.
  • User friendly
  • Easy to train new employees on
  • Reporting is challenging. Depending on the report type you're building, you can't pull in all fields. For example, if I'm pulling a contact report, I can't pull in data from an account page.
  • We use account based selling as a company. The lack of integration between "Contacts" and "Accounts" is challenging. We've had to do some of our own development to link contact activity to show under the account page with not a lot of help from Insightly.
  • Logging activity isn't as efficient as it could be. It takes a lot of clicks and some of the required fields are tedious to fill out because it doesn't relate back to our process.

We use Insightly for managing Contact information, Organization information, working Opportunities, completing Projects, creating Quotes, sending Invoices via their QBO integration, sending documents via their PandaDoc integration, and automating processes via their Workato integration. There isn't a division within our company that doesn't use Insightly in some form or fashion. It is a very flexible CRM that can do just about anything. We even manage products within it.

Insightly is well suited to automate tedious functions that a sales person would do day to day. It also excels at data integrity with it's robust permission levels that administrators can manipulate. These permissions can go all the way down to the field level. You can also use C# to set validation rules to prevent users from filling things out as you had intended. Insightly doesn't do so well when quoting which is surprising. You can create basic quotes but for additional cross-object functionality you will need to make a very technical merge document. This has pushed our company to look elsewhere for customizable Quotes. We plan to integrate it with Insightly via Workato.

We use Insightly to manage all levels of the book publishing process. It helpfully compiles information across various departments (sales, media, etc) and presents them in an easily accessible format. I use Insightly primarily to catalog media appearances that I secure for authors, and to look at upcoming events they have so I can promote them. Insightly also creates reports that I can show to my superiors to demonstrate my success and area for improvement. Some occasional lag is the only issue I have with Insightly.

Insightly is well-suited to scenarios requiring organization of lots of complex data — presenting it a clear, easily manageable way that's not overwhelming and is simple to navigate. Insightly is also well-suited to documenting progress on certain projects, with its various tools to create graphs and reports. Insightly (at least the CRM platform) is not as well suited to sending out mass emails to contacts, and it requires users to be unafraid to get involved in adding data and organizing appropriately — the number of folders could get overwhelming if not properly explained.

Our company uses Insightly to track and manage our myriad projects and those projects' authors, designers, leads, communication, and files. We publish upwards of 100 titles per year and also use Insightly to track sales and generate reports based on a project's performance. Insightly helps us manage our book publishing from start to finish, all the way through a book going out of print.
  • Integrates a project with all of the necessary details, perfect for "one-stop shopping for information
  • Generates reports that are customizable and contain anything you can think of
  • Creates a clear, organized sales funnel structure
  • A very small item, but I'd love to see Insightly remove the underscores from the file name after download!
  • Another small hiccup, but sometimes when I click things on Insightly, the page shows a very basic HTML layout but once refreshed works
  • Some changes aren't always instantaneous, which can be a problem as we move very quickly at our company. But we've learned to work with "Insightly time!"
Insightly tracks our projects and everything connected to them—from the contacts to marketing leads to sales performance—from start to finish. I can't think of any type of company that couldn't benefit from having Insightly.

Insightly was used as our CRM as well as order and customer management. We pulled reports from Insightly multiple times a day regarding product frequency as well as sales orders.

  • have multiple users able to add new products
Insightly has been helpful in order management and pulling sales history. I am in operations and it was convenient to be able to pull multiple sales reports as well as keep track of customers.
