Insperity Workforce Optimization offers a range of features that cater to various HR needs. Users have found the platform useful for payroll onboarding, managing I-9 processes, and facilitating employee handbook signing. Additionally, it assists in benefits management, time and attendance tracking, and HR record keeping. Some users consider Insperity Workforce Optimization as a strong alternative to having an in-house HR team since it effectively handles tasks such as employee time tracking, payroll processing, and vacation management. Moreover, the platform provides access to a wealth of resources and information on legal matters specific to different cities and states.

However, it's important to note that users have encountered challenges with the product. The tools provided by Insperity are often described as slow, outdated, and difficult to use. The user interface is considered outdated as well, making navigation an arduous task for many users. Some have also expressed difficulties in generating reports, requiring certification in Insperity to do so. Furthermore, the cost associated with using Insperity is deemed expensive both in terms of monetary investment and the time spent on payroll processing. Small and medium-sized businesses might find that they don't receive the level of care and support they expect from the platform.

Despite these challenges, some users have found value in certain features offered by Insperity Workforce Optimization. The learning and development feature has piqued the interest of users exploring ways to enhance their employees' professional growth. The platform also benefits from responsive account managers who provide timely assistance when handling payroll tasks and other HR department needs. Overall, while there are areas for improvement, Insperity Workforce Optimization presents itself as a comprehensive solution for businesses looking to streamline their HR processes.

Low Healthcare Costs: Several users have mentioned that the healthcare costs provided by the service are low. This indicates that customers appreciate the affordability of healthcare benefits offered through the platform.

Reliable and Efficient Payroll Processing: Users have consistently praised the payroll processing service for being on time and compliant with regulations. This suggests that customers find the service reliable and efficient in handling their payroll tasks.

User-Friendly Onboarding Process: Many users have stated that both new hires and HR administrators find the insperity onboarding process to be easy to navigate. Additionally, it is mentioned that tracking pending documents and completion status is a smooth experience for HR admins. These comments highlight that the onboarding process is user-friendly, providing a streamlined experience for all parties involved.

Expensive Pricing: Some users have found Insperity to be one of the most expensive services available, indicating that the cost may not align with the value provided. They believe that the pricing is expensive for the value offered.

Lack of Customer Service: Some reviewers feel that there is a lack of customer service and respect for small and medium businesses when dealing with Insperity. They mention having a negative experience with the HR 'Team' rarely answering the phone numbers provided.

Outdated Software and Tools: Several users have expressed their belief that the software and tools used by Insperity are outdated. They think that there should be an easier way to make changes without having to submit an employee change form, suggesting a need for technological updates.

Insperity's marketing team miscommunicated a deadline for benifits open enrollment. As a result, I missed the enrollment period by 4 days. After being instructed to file by paper, they denied me coverage! Every attempt to work with their benifits team to rectify the issue has been unproductive. I was instructed a benifits manager would call me... they never did... and have since stopped responding to my emails.

We were promised an HR team, and we received a few phone numbers for team members who were nearly impossible to reach...

Our biggest complaint though is that, in my opinion, the user interface is very outdated and extremely difficult to use.

To be fair, we were not using the POE model that they offer but were using the self guided option.

In my opinion, the ease of use offered by basic industry names like Gusto and OnPay far outweighs any benefits you receive from using Insperity Workforce Optimization.
  • Onboarding Processes
  • In my opinion, user Interface is terrible
  • In my experience, HR "Team" very rarely answers the phone numbers that you are given
  • I think it is very expensive for what is offered
We would consider using Insperity Workforce Optimization's POE model, but, in my opinion, their model that isn't POE is terrible. We're in the process of changing payroll companies to one that is way cheaper, more simple, and the UX is much easier for our GMs to use...

Small and medium size businesses beware. I don't normally write reviews, but my experience was so poor I felt obligated. In my opinion, Do NOT invest any time into investigating Insperity. They will require you to submit all of your current pricing for all of your services. They sell you on the fact that healthcare will cost less. In the end, healthcare will cost less, but they will REQUIRE you to sign-up for other services at exorbitant prices. Ultimately, it will cost you about the same. If you include the fee that goes to the salesperson it ends up costing you thousands more ($5k in my case). There tools are slow, outdated, and hard to use. The demo does not do this justice. Getting any kind of report requires a certification in Insperity. I run a tech company. I know how to navigate online tools. Insperity does not function well. Read the other reviews. In the end I left after about six months. Ultimately this will cost me more money in the short term, but I could not, in good faith, continue to give them money. In terms of cost, it is probably the most expensive option available. In terms of time, it is the MOST EXPENSIVE option. Before Insperity payroll took 30-seconds. Now payroll takes a couple of hours every week. I feel they do NOT care about you if you are a small or medium size business. They will give you hours to respond to emails or decide randomly to mail PAPER checks to your employees. The people behind the scenes DO NOT care about you from my experience, or your employees and will show you ZERO respect.
  • Healthcare costs are low.
  • Everything but healthcare is expensive.
  • Surface level service is acceptable, but behind the scenes service is terrible!
  • Pricing. Insperity is probably one of the most expensive services.
  • Lack of customer service.
  • Lack of respect for small and medium businesses.
  • Zero flexibility.
  • Software and tools are outdated.
If you are a large organization with tons of money and time to spend, Insperity is the company you need. If you are a startup and you have raised too much money, and your investors require you to burn as much capital as possible in two years, Insperity is the right company for you.

If you value time, money, or service, you need to look elsewhere. If you are a small medium-sized business, DO NOT use Insperity.

Our company uses Insperity Workforce Optimization as an incredibly strong HR team alternative. It also helps us keep track of employees clock in and out, payroll, vacation days and requests, and plenty of resources for every employee. It is used on a daily basis and it has been nothing but helpful.
  • keep track of clock in and out
  • request leave of absence
  • provide mental health care
  • if it were easier to clock in, more simple click of button
  • random glitches on portal
  • too fast on requiring log in again
Insperity Workforce Optimization is well suited for specific scenarios such as when you are requesting time off. Rather than having to speak to your supervisor, you can request it so easily on Insperity with one click of a button. Since I began working, it has been easy to navigate and user friendly.

They handle a lot of items - benefits, separation agreements, payroll, etc for our US entity. If we are unsure of any legal-related items for specific cities and states, we would go to Insperity and they would have the resources to share with us that we should be aware of. They also have a learning and development platform that we are currently looking into.
  • Payroll Processing - they are always on time and very compliant with everything
  • Onboarding - new hires find it easy to complete their insperity onboarding and for the HR admin, its easy to find out what docs are still pending and what needs to be complete
  • Benefits - they offer a lot of options for employees. Their videos are useful as a high-level summary and their ALEX tool is REALLY great to use. Helps employees know what benefits is best suited for them
  • Compliance related questions - whenever we are unsure of anything in regards to compliance, they always are responsive via email and provides lots of details
  • When it comes to any sort of changes, we are expected to always submit an employee change form which can be a big hassle. If there was a way to change some details on the platform directly, that would save us more time. Also, some forms require wet signatures and we only find this out after we submit the first form that was e-signed. If it was made clear earlier that they had an alternative to the wet signature (such as their DocuSign), that would have saved us a lot of hassle and frustration on the employee's end.
  • Timeline of when to expect benefits - often new hires are ocnfused on when they have the option to enrol in their 401k. If there was a timeline given on when to expect all their benefit related info, that would be nice.
  • Pulling reports - I find the website hard to navigate and not as intuitive when looking for reports to pull from the system.
It's great for a company who doesn't have a strong knowledge in the US side and has a group of employees that work from the US. I think it is perfect for a non-US company who also has a small operations in US. Insperity helps us handle anything HR-related on the US side, so we don't have to stress about compliance and liability etc. They have a dedicated team to help us. Their customer support is also pretty useful too.

Insperity Workforce Optimization was being used for all HR functions upon my arrival to the company, including but not limited to: payroll onboarding, I-9 process, employee handbook signing, benefits including medical, dental, STD and LTD, time and attendance and HR record keeping. Prior to my assignment as an HR Consultant (Generalist) for this small company client, they were utilizing Insperity and Insperity's specialists for all of their administrative HR needs.
  • Payroll Administration
  • Cost of overall product
  • Cost of benefits (medical, dental, LTD, STD, other)
  • Sales process
  • Small business HR Support (State law administration and knowledge, etc)
If you are a mid-sized company and have other HR support, Insperity may work for your administrative HR needs (ex. payroll, onboarding, etc). Insperity is a well known brand name and the price reflects that. However, in my opinion, there are many lower priced alternatives providing the same administrative HR services with more knowledgeable specialists.

We have been using Insperity for a few years now. They handle all of our payroll and HR department. We have great account managers that are always ready to help and respond in a timely manner.
  • HR issues
  • Making sure policies are legal
  • Payroll
  • Lower prices LOL.
  • Different format on website.
  • Sending newsletters.
As we grow as a company, Insperity has been there for us, guiding us, supporting us, making sure we are in compliance, and keeping everything legal. Insperity has been very valuable to us in our growth. Even when we make a mistake in payroll, they are quick to fix the issue for us.

I would say the user interface with Insperity is poor. I've used several softwares for HR and this is by far the hardest to navigate and use. The layout is off and when trying to do something as basic as viewing a pay stub is not easy. The information housed is everything you need, just hard to view it when you do.
  • There is a single dashboard that is filled with a lot of information in one place.
  • When trying to request off you click on time & attendance and it feels like you go back in time with the layout of the site. The words used and number of clicks to get something as basic as a request off is more than usual.
  • Getting information that is more than what is displayed on the dashboard is not easy and takes a lot of clicking.
I would say to keep searching if you find yourself considering Insperity. In the past several companies I've been at, every single HCM software has been better. I find myself not looking at information as often as I used to. I would view a paystub or look to see how many days off I have left in other roles. Here, I find the time needed to navigate that information is not worth it.

This software is used across multiple companies across the organization. The goal of use is to have a single expense reporting software system. Usage spans all employees, and both the website and the app are part of our implementation and planning.
  • Expensable provides tracking information so that you can see the progress of an expense report, from draft through to payment completion.
  • Ability to take a picture of expense and upload via your phone, which gives you a head start on your expense report, and allows you to not accumulate/sort through a lot of paper.
  • The website is not intuitive at all. It is confusing how to add additional expenses, how to invoke the hotel breakout product.
  • The app defaults to today's date. This results in not noticing this, and the upload having an incorrect date, that needs to be changed. Cumbersome.
  • The web app seems kind of clunky and should have more drag and drop features, additional menu structures, and easier ways to link to different expenses and functions.
With a web and app product, it is easy to implement across a large company. The system provides dropdowns (for the various types of expenses) that seem to be customer customizable. This probably provides a seamless interface to a company's internal accounting system. I think for companies that want to provide a really good and easy user experience, and considers that in their selection process, may not be good candidates for implementing this software.

Expensive is being used across the US portion of our business. We moved to ExpensAble from an extremely outdated expense application written in the 1990s that was mostly manual and expenses had to be printed and mailed. It allows us to submit our expenses digitally and on mobile devices.
  • It is easy to submit expenses.
  • It is easy to view past expenses and where they are in the process.
  • It is (relatively) to attach receipts and other expense verification.
  • It is not very intuitive how to use it at times. Fellow coworkers (less tech savvy) have had trouble submitting expenses on the desktop version.
  • The "image bin" for expenses is not intuitive/difficult to use.
  • The application could be smarter/connect to other applications such as Concur.
It is well suited for companies not willing to spend much money on an expense app and who are moving off of antiquated software or spreadsheets. However, there are far better alternatives in the market.

All of the employees in our firm use ExpensAble to enter their own expense reports and then a manager approves them. After that approval, I review and approve the reports again a second time. The next step is exporting them to QuickBooks to process the payments. It's a simple process and expense reports get paid on a timely basis this way. The initial set up that involved coordinating which of the general ledger accounts to include took time, but was easy to do.
  • It's was easy to set up and begin using the system immediately.
  • The system is easy to use and doesn't require much training for employees to understand and be able to use the system.
  • It's a very fast and efficient way for expense reports to be processed which makes the employees happy.
  • The way our firm uses ExensAble has not led to any problems or complaints. We set it up years ago and it's been running smoothly ever since. If others who use the system have had any complaints I am not aware of them.
I only use the system to process expense reports and it works great for us.
