SciQuest, a procurement software used by various organizations, has proven to be an essential tool for streamlining purchasing processes and improving efficiency. Users have reported that the software is user-friendly and easy to learn, making it accessible for the whole organization. One of the key use cases of SciQuest is its ability to centralize and automate purchasing activities. For example, at University Hospital in Newark, NJ, SciQuest is used for all purchases that go to outside vendors, ensuring competitive pricing and significantly reducing paperwork and man-hours. The software also offers a comprehensive solution for managing vendor contracts, allowing users to create and store contracts within the system. Additionally, SciQuest's Spend Director module enables users to track spend against these contracts, ensuring compliance and optimizing procurement decisions.

Another valuable use case of SciQuest is its integration with other systems and platforms. The software seamlessly integrates with financial ERP systems, such as Ellucian's Banner, enabling users without access to the financial ERP to shop for products and assign them to others who do have access. This integration ensures a smooth procure-to-pay process for users in multiple departments and locations. SciQuest also facilitates e-procurement on campus by offering an online catalog and automating the requisitioning process. This allows faculty and staff at universities to easily purchase items needed for labs or other purposes.

Furthermore, SciQuest has been widely used across different industries beyond healthcare and education. For instance, Promega utilizes the SciQuest applications to provide product and price information to customers in the Academic, Biotech, and Pharmaceutical industries. The software acts as a central hub for procurement needs, supporting various functionalities such as creating punchouts, hosted catalogs, non-catalog POs, and check requests.

Although there have been some challenges reported with certain workflow features not fully aligning with existing approval policies within organizations, overall, SciQuest has revolutionized manual procurement processes by automating tasks and providing efficient solutions. It has become the go-to tool for various organizations, enabling them to optimize their purchasing activities, save costs, and improve overall productivity.

Highly Customizable User Interface: Users have expressed that the user interface of SciQuest's Spend Director is highly customizable and user-friendly. Many reviewers have stated that they appreciate being able to easily personalize their interface to suit their specific needs and preferences, allowing for a more tailored and efficient experience.

Extensive Documentation: The availability of extensive documentation has been praised by users as it allows them to easily find information on how to perform certain tasks within the system. Several reviewers have mentioned that the comprehensive documentation provided by SciQuest helps them quickly troubleshoot issues and learn new functionalities, enhancing their overall usage of the software.

Convenient Repository Feature: Users commend the convenience and easy access provided by the repository feature in SciQuest's Spend Director. Multiple reviewers have highlighted this feature as a valuable aspect of the software, consolidating all contracts in one place, making it effortless for users to locate and manage important documents related to procurement and purchasing processes.

Cons:

  1. Limited integration capabilities: Some users have expressed frustration with the limited integration capabilities of SciQuest, particularly in terms of integrating with other software such as Crystal Reports or MS Access. This has led to the need for building a shadow database for ad-hoc reports, which adds complexity and effort to the reporting process.
  2. Lack of intuitive features: Several users have found certain features of SciQuest to be lacking in intuitiveness. For example, the Supplies Manager module is considered rudimentary and the current report functionality is viewed as manual and lacking comprehensive data elements. Additionally, some users feel overwhelmed by the numerous options provided by SciQuest, making it difficult to navigate through the system efficiently.
  3. Inadequate customer support: A number of users have mentioned issues with customer support provided by SciQuest. While acknowledging that support help is still generally good, some users feel that it has lost its edge over time as the company focused on emerging products. Furthermore, there are concerns about the technical help desk's management of outstanding tasks decreasing as the company grew, resulting in slower response times and potentially unresolved issues for customers.

Users have provided several recommendations to improve the experience with Jaggaer. These include obtaining the manual and seeking help from the Technical support team, getting a demo before purchasing, and keeping an eye on orders for occasional mismatches. Additionally, users recommend that suppliers and customers utilize Jaggaer as a central platform for exporting usage, vendor ratings, quality certifications, and environmental certifications. Another suggestion is to understand business requirements before determining if Pool4Tool is the right solution. Overall, Jaggaer is praised for its functionalities and excellent Technical support team.

We use JAGGAER as a Requisition to PO solution and we also process invoices through JAGGAER. JAGGAER helps automate parts of our procurement system through the approval structures we have setup over the years with our staff. It has taken out much of the manual work behind requisitions and invoice processing.

SciQuest is being used for creation and management of all vendor contracts. We will be implementing it for our provider contracts as well. It has provided transparency to all contracts and helps us manage expiration and renewal of contracts.

Our entire campus is using SciQuest to procure items and services. Also we store and maintain our purchased contract services using the Contract Compliance Manager and process invoices with a sync to Ellucian Banner, using the AP Director. Entering receipts in the system creates a three way match that will allow accounting to release payment.

SciQuest Spend Manager was used by the whole university campus for contracts, purchases, punchout suppliers, central invoicing, payment, and interfaced with our ERP financial system. We had it running smooth as silk. But the powers that be at central headquarters, made the decision to bring in another product and rolled it out to all of the campuses system-wide. We were very satisfied with SciQuest, but we did not get a vote down at the university level, even though at the flagship campus it was running great.

SciQuest is currently being used by our procurement services department here at our university. Although not all of our vendors are currently linked as Sciquest vendors, we continually add these as we are able. SciQuest currently allows our procurement users to choose from select vendors, items in which they may create requisitions in our PeopleSoft product.

SciQuest is being used across the whole organization of state agencies in two environments. We are using PCard Marketplace (also open to municipalities and the universities) and eCatalog in conjunction with ERP PeopleSoft. It addresses the use of contracts and reporting on spend.

SciQuest is used here at University Hospital in Newark, NJ for ALL purchases that go to outside vendors. In addition, we also use the supplies manager module for our in-house warehouse, which is used to bring consumable supplies to the various nursing stations throughout the hospital, and also to the OR. We also store our contracts within the system, and use the Spend Director module to keep track of our spend against our various contracts. All of our approvals, at the department, budget and purchasing levels, are done within SciQuest. It addresses the whole procure-to-pay cycle in an exemplary manner. We are in the process of renewing our deal with them.

SciQuest is used in conjunction with our current ERP system, Ellucian's Banner. We do not have it implemented into our entire organization, for we have been bringing departments online one at a time. We currently have around 10 departments using the system, with IT, Facilities and Athletics being our highest purchasing departments.

The best part about SciQuest is being able to punch-out to a supplier, purchasing an item, and then have it create a PO in our ERP system.... it's really one stop shopping. Also, the workflow/approval process is very easy. We can usually get the approvals needed in a day or less, and this has been a huge improvement over our ERP system.

SciQuest is the end to end procure to pay solution at our organization. It is used by all staff to purchase goods and services through catalogs and forms and route requests for purchases and payments through the University's workflow process. We also use Sourcing Director to manage our requests for proposal processes.

SciQuest is used across the whole organization encompassing the complete procure to pay system. The software was chosen to help automate a manual and at times redundant processes at the university. SciQuest is now the only way to procure and pay for goods and services on campus. Manual processes have been completely changed and streamlined.

We use it to Shop for products, make service purchases through forms, implement a workflow for approvals based on amount of purchase, use it to create requisitions, purchase orders and vouchers that feed into the PeopleSoft ERP. Makes sure that all purchases have checks and balances and approvals in place for all orders. It is used across 80% of the organization. Our Athletics Department does not use it yet. We are able to run reports on cycle time regarding how long it takes for a cart/requisition to become a purchase order and to be paid. We can load our state contracts into the system.
