The platform functionality of this product has been widely criticized for its flaws and need for improvement. However, it has proven to be a great and easy-to-use software for those who have taken the time to understand it. It may not be suitable for high-volume practices with multiple practitioners or a large number of patients, as it is not efficient or helpful in those cases. Despite these limitations, the software does provide good reporting capabilities and can serve as a functional copy and paste tool. It has worked well for smaller companies, offering beneficial shortcuts within the system. While there are some minor improvements needed, the company is actively working on updates. The customer service has received mixed reviews, with some finding it terrible and unhelpful, while others have found the support team to be usually very helpful. The software does have its limitations, such as the inability to support prescribing controlled substances and outdated technology. On the positive side, it is easy to navigate, input, and search for information, making it quite user-friendly. Overall, users have reported improved efficiency and positive changes through the use of this software.

One user's husband noted that the software brought about positive changes and improved efficiency in their organization. However, there have been frustrations with glitches in the software, leading to loss of revenue and time consumption. The lack of response to questions and complaints is concerning to some users. The EHR and billing features are used throughout organizations, with electronic client charts facilitating easier billing processes. When signing up for the product, some customers opted for a trial period before committing to a one-year contract. We are a small to medium size telehealth clinic offering psychological and psychiatric services primarily within the state of Alaska. We moved to Kareo as we thought it would consolidate our needs for both an EHR and a billing service into one.

Kareo is not an appropriate application for any real-world clinical need. It is highly unreliable, crashing frequently, and often becomes frozen. It also cannot ingest data from Therapy Notes, which was a promised feature of the platform according to the sales team. Additionally, when we ran into reliability issues (every day, with every clinician at the practice, across a dozen different office locations with different internet service providers) we were not offered the ability to cancel our contract. Until the reliability issues are fixed Kareo is not well-suited to any use case because it does not work.

Kareo EHR is less reliable than Therapy Notes. Therapy Notes is less feature rich, for example, it is not as good for generating PDF bills to send to customers (we had to write our own code for this), but it always works.

Kareo's telehealth platform is less reliable than Doxy. It frequently crashes and freezes. Doxy always works.

Kareo's billing system seemed to work reasonably well for us overall.

Notably, Kareo's sales team explicitly promised they could import health data from Therapy Notes, but this is false. When they were unable to do so we spent thousands of dollars having all our data imported manually. And then Kareo simply did not work -- it routinely froze or crashed -- and Kareo refused to refund us.

Kareo was a massive waste of money. It's an unreliable product without promised features and sold by a disingenuous sales team. We will stick to reliable services like Doxy, Therapy Notes, etc.

We chose Kareo because it was meant to replace Doxy, Therapy Notes, and our billing service, all at once. But it did not do so successfully.

The most important consideration was that we could pay 1 subscription for effectively 3 services (records, billing, and telehealth). But it failed to provide this reliably (if at all).
We would not provide credit card details until after the free trial was over. We would not sign any promise to use the product until we had evaluated it for a month ourselves.
The user interface is fine but it the app constantly freezes or crashes.

We use the Kareo EHR throughout our entire company. It is used for medical records and we use the billing side as well. Everyone in our organization has access. We are able to have all electronic client charts which makes it easier for our billing team.

I believe that Kareo is easy to use for any business small or large. Especially with Kareo University installed to give all employees a brief overview of how the system works. We have some doctors on staff as well and they love the simplicity of it.

I selected Kareo EHR because it was a lot simpler to use and the customer service was definitely better. Every representative I have spoken to has been super friendly and helpful.

We started out with this company in 2020 with the understanding that we would get a trial service for 2 months before signing on with them. The EHR package is pretty solid however if you are transferring over from another EHR be careful to be specific on what you are looking for. We didn't find out until after agreeing to try the product that they charge a fee to migrate your data into their system.
  • User Interface is strong for the less technical folks
  • Patient/client portal features are very helpful for the client to get registered
  • Their tutorials are amazing in helping you get started
  • Provides a success coach to walk you through the process of launching their product
  • Sales representative needs to know the product. We got tied into a miscommunication on the package (contract vs trial) when we decided to work with them
  • Tutorials are good but can be overwhelming because there are a lot of features to learn
  • Charging to migrate client data was a determining factor on whether we wanted to continue with the company. If we knew this upfront it would've allowed us to say "no thanks". And to add the charges are not cheap and they charge a la carte (i.e., demographics, billing, progress notes, forms/intake info)
Their product is well suited for what I was able to see. The screen and features are very user-friendly. The challenge for enjoying the product was going from a sales rep (presentation, promises, and perks) to EHR team/success coaches. One thing is promoted upfront but changes once you sign on. When we tried to pull out during the trial period which they later said it was not it was 2 free months they told us we couldn't leave because we signed a contract for 12 months. When we stated false advertisement they pushed back. The customer service rep specifically said, "you are wasting your time because they won't budge on this". So all I can say is if you proceed please make sure they are clear in what they are offering. Write down all of your questions. In fact, if you can record the call do so especially when you decide to commit. We shared with them if they are so bent on locking you into a 12 month when they couldn't confirm the initial conversation it may be in the best interest to record the customer's commitment to prove who said what. Some companies do that. You don't have them listed but TheraNest and CounSol are two excellent EHR products to consider for small businesses.

  • We have negative reviews as we were sold a product that left out some key variables. Things we really needed to make the transition.
  • I don't think KAREO is good for small business (0-10 employees) because their prices for additional or standard features is steep. They charge by the therapist to boot and it is steep!
  • Again ASK questions; do a test run; ask about the migration of your data and its charges.
  • You sign with them you will be locked into a 12 month contract with no out clause. If they are costing you the money you have to stay with them.
You don't have them in your lineup but TheraNest and CounSol are two awesome EHR software services for small practices and/or startup businesses. If you are a new owner or have 0-10 employees then give them a try. CounSol provides an excellent success coach to get you started. TheraNest has all the bells and whistles that KAREO has but not the high price tag. And how do they stack up.....They don't too expensive for small practices. You may get another story from mid to large-size practices but they are not well suited for beginning and/or small-size groups. Before signing make sure you clearly know the following (1) contract start date (2) is it trial or free months, (3) migrating data, (4) expected monthly chgs, (5) RCM billing how does it factor in, (6) cancellation process can we get out if KAREO is underperforming. These are just a few questions to ask in addition to your own experiences.

Kareo EHR is very good in the sense that if there is anything missing on a claim Kareo is good in catching that, so in return fewer denials because we have proper patient registration.

I have used QuickEMR and Kareo hands-down is just more appealing and easier to enter all patient information. I did find that QuickEMR for administrative staff is more user-friendly. Kareo provides more patient information and is very good about seeing what is missing in order to file a claim.

We love the system. Very user-friendly and any level of user can pick up the system without training. Being a trainer myself, this is an awesome selling point. I have not found a specialty that cannot pick up and run with the program. Kareo has eliminated our "wasted" time and given us new avenues to use our resources more productively.

  • NextGen Healthcare Practice Management
Kareo the exact same thing that NextGen does but for the fraction of the cost. NextGen is not the best system for a smaller practice. Kareo supports a large patient base to a small patient base. NextGen is not user-friendly and it not an asset [due to] the money you have to put into place to handle the system. Kareo is a winner hands-down.
