Kareo, a practice management tool used in small medical practices, has several key use cases based on user experiences. Primarily used by the billing team, Kareo helps schedule patients, manage recalls, bill patient services, and handle accounts receivable. Its functionality is essential for streamlining administrative tasks and ensuring smooth operations within the practice.

However, despite claims from Kareo sales representatives, the Medical Billing features of the software have not always lived up to expectations. Some users have accused the sales reps of misrepresenting the product's capabilities during the sales process. This has led to disappointment and frustration when the actual features did not align with what was promised. As a result, some users have had to cancel their Kareo agreements due to this misrepresentation.

One challenge that some users face when canceling their contracts is an early cancellation fee imposed by Kareo. These users feel that this fee is unjustified and may even consider legal action to dispute it. This situation highlights the importance of clear communication between sales reps and potential customers to avoid misunderstandings and prevent unnecessary complications down the line.

In conclusion, Kareo's primary use cases involve managing various aspects of a medical practice's operations, such as scheduling patients, handling recalls, billing services, and managing accounts receivable. However, it is important for potential users to thoroughly evaluate the product's features and ensure that they align with their specific needs. Clear communication with Kareo's sales representatives is vital to avoid any misrepresentation of capabilities or unforeseen fees in order to make an informed decision about using this practice management tool.

Smooth transitions with insurance updates: Users have noted that Kareo actively stays up to date on insurance changes, ensuring that healthcare providers can smoothly adapt to any industry updates. This demonstrates Kareo's commitment to keeping track of evolving insurance requirements and facilitating seamless transitions for its users.

Responsive customer support: Many reviewers appreciate the various channels of support offered by Kareo, including help ticket submissions and phone calls. They also commend the prompt follow-up from the customer support team, highlighting Kareo's responsiveness and dedication to addressing user queries and concerns in a timely manner.

Reasonable pricing for small practices: Some users find Kareo's pricing reasonable and cost-effective, particularly for small healthcare practices with limited resources. This suggests that Kareo offers affordable solutions without compromising on quality, making it an attractive option for smaller practices looking for budget-friendly software solutions.

Cons:

  1. Formatting and formulas not retained when importing reports to Excel: Several users have expressed frustration with Kareo's report exporting feature, stating that the formatting and formulas are not retained in Excel, requiring manual changes and redoing of work.
  2. Custom report function does not work: Some users have mentioned that they have never been able to get Kareo's custom report function to work despite needing it for their specific requirements, leading to frustration and dissatisfaction.
  3. Lack of date range option in available reports: Many users have stated that while they often receive requests from patients for a summary of charges and amounts paid for tax purposes, the available report in Kareo does not offer a date range option. This limitation makes it difficult for users to provide the necessary information within the desired timeframe.

Small medical practice emr/billing platform
  • reasonable pricing for small practice
  • In my experience, customer service is outsourced overseas with LONG hold times for everything other than Sales.
  • In my opinion, unethical business practices. For example, they will FORCE you to pay fees they "accidentally" add to your bill from time to time and advise they are issuing you a credit which will be reflected on next months bill. Hoping you will forget to contact them when they accidentally fail to credit your bill for last months accidental fees. Immediately issuing a refund for the fees they agree were incorrectly charged is never an option.
  • In my experience, routinely inflate their bills relying on the fact that most physician owned small practices do not have the time to go through their bills each month with a magnifying glass identifing bogus charges and fees.
  • No mac support despite their website stating it is
  • In my opinion, tech support is clueless, and will often say their escalating the issue and provide you a "ticket number" and promise a call back from their escalated tech dept
  • Kareo changed their merchant ID resulting in the autopay cc I had on file flagging their charge as fraudulent. Instead of contacting my practice to get it sorted out their software automatically logged out and would not allow any access until monthly invoice is paid. Classy move.
In my experience, problems with them adding incorrect fees to pad their bills coupled with their unethical business practices such as locking you out from accessing your EMR at the drop of a hat prevent me from recommending Kareo to any practice. Reliability is paramount. Kareo's use of unethical business practices (locking you out from your EMR or disabling your EMR all together) can result in a physician being sanctioned by the medical board (inappropriate medical record keeping) or financially destroy a small practice leaving them with NO ACCESS to their ERAs/patient billing accounts etc leads me to NOT reccomend their products or doing business with them.
  • Reliability is paramount and Kareo is unreliable! Proceed at your own risk.
  • Wasted our time, since we will have to switch software vendors.
  • Kareo is NOT recommended.
Kareo was the first and only software I have tried.

We do not use Kareo Medical Billing because, in my experience, despite Kareo sales reps claims, it did not provide the features we had been told it has. In my opinion, the sales rep blatantly lied to me about the Kareo Medical Billing features, and based on those lies; I signed a one-year agreement. And before signing the agreement, in my experience, the Kareo rep provided significant hurdles to properly testing the software. After signing the agreement and determining I had been lied to about the features, I canceled the agreement, yet in my experience, Kareo is billing me an "early cancellation fee" which is, in essence, the full one-year price. I will be seeking legal counsel to invalidate this agreement.
  • Nothing
  • In my opinion, hire honest sale staff
  • In my opinion, make it corporate policy not to lie to prospective customers
See the above regarding, in my opinion, Kareo's unethical sales behavior.
  • None
  • I feel there is negative impact of needing to use my lawyer to invalidate the "agreement"
Despite their limitations, at least, in my experience, SimplePractice reps don't lie to customers.

Kareo is used at our practice as a practice management (PM) tool. Kareo is among three different practice management tools that we currently use—each system maintains a different range of patient dates of service. We would use Kareo to schedule patients, manage recalls, bill patient services, manage accounts receivable, etc. The software is used primarily by our billing team, but the majority of the company has experience using the software.
  • Kareo feels like it is a pretty quick tool.
  • The scheduling tool is pretty dang easy to use.
  • This item could show up as a pro/con. They offer an Excel add-in as a tool for building reports. The tool has potential but leaves something to be desired.
  • I've spent hours on the phone discussing various issues with regards to data variance between two different source documents within the software. At one point, I could not reconcile the A/R balance on one of the dashboards to the A/R balance pulled from the Excel add-in. Unfortunately, their support teams were not able to help out with this.
  • The Excel add-in falls short in a few key areas. Specifically, they do not provide a simple method of joining data fields from the "charges," "payments," and "transactions" tables. One is left to attempt to join the data sets via VLOOKUP or INDEX(MATCH).
  • At times, we have had issues with the API providing information that would not tie out to figures reported elsewhere within the software. Unfortunately, their support teams were not able to help out with this.
Kareo is far better suited for smaller companies. Also, it is better suited for a company that is not as keen on seeing their data reconcile perfectly to the practice management software. The product will probably provide an adequate custom reporting tool (via Excel add-in). However, a practice should be well aware that the reporting is all done through the Excel interface and does not provide any aesthetically pleasing dashboards.
  • Kareo had an overall low return on investment.
  • Despite the software being active at our company, we were forced to transition to a different solution within 6-months of implementation.
  • The time spent attempting to reconcile the system to itself was rather wasteful.
Nextgen PM < Kareo < AdvancedMD

Fortunately, Kareo was a significantly better solution than Nextgen. Part of this was due to Kareo being cloud-based. We have found that AdvancedMD is a far-superior product relative to both of the other solutions we are currently using. Kareo's reporting has a long way to go in catching up to AdvancedMD.
