Keap is being used in several different ways. Primarily in lead nurture. We use a Keap form to collect lead contact info. From there, we have automated email sequences to build a relationship with the lead. We also use Keap for customer testimonials. After a lead has been purchased, we send them an automated sequence that asks for feedback.

Keap is good for businesses that build email lists. Keap will manage the leads and makes the lead nurture easier to manage. Keap is not suitable for small companies where someone is unable to dedicate the time to use the application. There is a slight learning curve required in order to use the application effectively.

We used Keap for email campaigns to customers in our e-commerce business. We integrated an outside app to help us remind customers when it was time to reorder and replace product.

In my opinion, the price for what you get with Keap is not worth it. We switched this week to a new ESP. We never really used the CRM functionality and there are much better platforms for email than Keap. Now that we're on a new platform, I think Keap's logic and setup seems so antiquated.

We have been using Keap for three and a half years now in our own business: to send invoices, accept payments, send emails and make calls and texts. The Pipeline in Keap Pro has been super helpfun for us to visually see where each of our leads is at in the sales process. Being able to automated follow up has enabled us to grow.

Small to medium sized businesses who need an all-in-one system are best suited for Keap, in my opinion. There is a lot of value in being able to start collecting leads (with landing pages or forms) and payments (using quotes and invoices) all in one platform. Any business that can scale using email and text follow up would benefit from Keap.

In our organization, we utilize Keap to streamline our customer relationship management (CRM) processes. Keap helps us address business problems such as managing leads, automating marketing campaigns, and organizing client communication. Our use case with Keap encompasses capturing and nurturing leads, tracking sales activities, and maintaining personalized customer interactions, ultimately enhancing our overall efficiency and customer satisfaction.

Keap is very good at contact management and automation creation but weaker at email campaign creation. I was particularly interested in a function where when manually entering a new contact, you are then able to email that contact using a premade HTML template. It will currently not do this. There is a workaround, but it is unnecessarily ponderous.

Keap was our CRM solution to ensure we had consistent outreach to clients and potential clients. We also used Keap to send out email campaigns.

Keap was great for tagging people in different segments such as geographic locations, interests ect and then being able to reach out to that segment. It had intuitive and quality email campaigns.

Keap was not as user friendly as I thought it would be. It often ran slowly and had overly complicated interfaces. It was clearly designed for larger corporations and then retrofitted for a smaller enterprise.

We use Keap as our primary CRM for both prospects and current customers, housing data about the marketing and sales process as well as current plans, team members, invoices, subscriptions, and anything needed to describe a customer account. We also use it as our primary email marketing and automation tool building evergreen campaigns, one-time campaigns and blasts, or triggering 3rd party integrations for things like direct mail and text messaging.
  • Highly customizable - fields in contact records can be created and integrated with many different tools
  • Automation - this takes a learning curve to do really well but is very powerful if you know how to use it. Well beyond cheaper email campaign solutions
  • Reports (mostly) - There are probably hundreds of reporting options in different parts of Keap, and the most useful ones can be highly customized with all custom fields, saved, and used on a recurring basis. Some reports I wish had more capabilities like their main ones, but for the most part it works very well.
  • Integrations
  • Detailed logic building in campaigns can be somewhat challenging for new users. After 5 years I don't feel limited by this but when it's time to train new team members they're prone to mistakes for quite a while.
  • Some reports lack the ability to combine with custom fields/other search parameters which requires some work arounds like tagging the results of one report to open in a different report and narrow down.
  • Change history on company records, contact records, subscriptions etc is difficult to see. This doesn't come up often but sometimes we need to see who changed a setting or subscription and can't find that right within Keap
  • Quickbooks integration. This applies mainly to Keap Max Classic, but connecting invoices to quickbooks now requires a Zapier connection which is not as simple as most Zapier connections to make work cleanly, especially with multiple products on an invoice.
Keap's advanced tools can power a seriously complex marketing team / CRM team. Its deliverability rate seems pretty high which is helpful and I've yet to find a challenge we couldn't do something to address. That said, those advanced features also mean you need someone or a small team that is well-trained to really use it to its full potential. If you're going to pay for it, you should be prepared to train up and utilize it well otherwise there may be a cheaper option if you need something simple.

We use Keap as our CRM to keep track of our current sales pipeline. Keap makes it easy to actively engage and keep track of all of your marketing going out. The biggest take away I can say about Keap is the AUTOMATION it provides. This will save you a lot of time and money! We have emails going out every day to our database with drip marketing and it's all automated! 99% of our campaigns are automated by a click of a button!

Keap is as close as you can get to have 2 core services in one. The CRM is powerful and useful, but the automation mail delivery is really where the magic happens. You can create as many layout you want for as many situation you may posible need and for our business, this tool is the one that we keep because addresses also invoicing and schedule meetings. Really is a all in one solution for SMBs.

If you are starting a business and need to create your initial list with automations, keap works really good. Better than Mailchimp for example. But after you start collecting mails, the CRM included, works as stated. The CRM is great and features a pipeline where you can count on. The idea of having a phone line to receive call, works only in the states and this feature should be extend worldwide. Clients are everywhere. Also having more languages available other than english, will be a plus. One thing thow. Keap do not work well when trying to comunicate in other language than english.

As a non-profit and for profit fundraising and sales consultant I use keap to manage my list, send my blog, track my client work, register workshop attendance, promote program sales, create email marketing sequences, and serve as my shopping cart. With a list of 15k, I use keep to segment my list to provide the best fit for list members. It's also served me well as a cart.

From email to product orders, leads to past patients, if someone that doesn't work for the business comes in contact with it then Keap is likely the underlying system that made that interaction happen.

We use Keap/Infusionsoft Max Classic to automate the customer facing side of our business. We use Keap for email, SMS, landing pages, funnels, orders, subscriptions, and customer relationship management. The software is robust and powerful if you have the full functionality available through Max Classic.

I can't ignore the reputation the software has as "confusionsoft." I think this stigma was attached to previous versions of the software, or by people that didn't have or take the time to learn the software. Ultimately I always prefer software that is limited by power, not design.

Infusionsoft let's you squeeze every bit of power out of it that you possibly can, if you take the time to learn how to use it properly. On the other hand, I've used software like GHL and Active Campaign that have a lower learning curve but also limit the capability of the user by design and it is a frustrating experience for someone like myself.

I've used a lot of different software and software suites, but I have yet to find one as robust and complete as Keap/Infusionsoft. There is a steep learning curve, but it isn't impossible to learn and it is a skill that will pay dividends for your business if you are willing to make the time to learn it. The one thing that I do wish they would improve on is the analytics functionality.

Overall, Keap/Infusionsoft has taken our business from a daily hassle of followup and reaching out to an automated business that tells us what customers need attention and where they are at. This gives us time to focus on what really matters to us, the customer. Not the systems.

If you need a place to store customer information, handle email marketing and automation, build landing pages and funnels, and take payments and orders then I couldn't suggest Keap/Infusionsoft more.

If you are looking for any single slice of that pie, such as only building funnels or only storing customer information, then there may be better suited software with a lower price tag. I also think that if you rely heavily on SMS marketing then they are probably better solutions out there.

But if you are looking to fully and seamlessly automate your business then Keap/Infusionsoft delivers the best bang-for-your-buck value on the market in my experience.

Keap has been crucial to our organization's success and longevity, while allowing us to deliver mass amounts of personalized content at an astoundingly easy rate.

I use Keap in my organization mainly as a Customer Relationship Management and as a database for our prospects, referral partners, and active clients. It is a software that is essential to the daily operation of the business as well as the role I play at Credilife, which is primarily sales-oriented. We use FixYourFunnel as well, which is integrated with Keap and it makes it easy for me to make calls and texts that are automatically tracked and recorded which makes marketing very easy. It also is a database where every one of our leads or clients is in, and it directly addresses our need for information management.

Keap solves many problems in our business, but the ability to serve our audience 24/7 is a key benefit. This takes the form of collecting leads from various inquiry types on our website and people being able to book online themselves, to clients being able to pay online whenever it suits them. It allows me to capture and convert more leads, save hours, and get a competitive edge over my competitors.
  • Campaign Builder - as I’m a visual person, the ability to map out and build automation on not only sales and marketing funnels, but internal processes as well. This has been a game-changer to setup automation and we continue to reap the rewards years later.
  • CRM - using it as a CRM has allowed me to have a single source of truth for my leads and customers to collect info on, add notes, track and trigger automation savings hours every week, and help prevent leads from falling through the cracks.
  • Innovation - they were one of the first in the market and are still innovating to make the product better.
  • Version Options - There are 3 different versions of the software now (we use 2 different versions across 3 businesses). Depending on your needs - you can grow with the platform if you want to access more functionality, or keep it simple and have an easier user interface
  • Text Messaging - they just released this in the US. It will be good when this is available for other international users for text broadcasts and automation.
  • Business Line - this will also be good when it's available in Australia.
Keap suits a service-based business, such as a coach, consultant, professional services, speaker, or educator. The platform helps automate the sales and marketing processes for these by capturing leads, nurturing prospects, managing sales pipelines, appointments, selling online, membership courses, affiliates, and more. It's probably not best used as fulfillment for a business selling hundreds of physical products. Although you could still use it for front-end marketing, it wouldn't be the best for backend delivery.

Keap is being used by my entire organization. It has allowed us to manage our business processes using the pipeline feature, streamline our communication with campaigns, and broadcast and organize our customer database using tags and groups. It has solved many challenges for our team by eliminating repetitive responses by using templates, saved us time with easy quotes and mass communication with targeted broadcasts, and helped us streamline our engagement with our leads and clients using campaigns. We love it so much it has become a staple in the way that we approach helping our clients. We assess their business software and are able to eliminate unnecessary and expensive software and replace it with Keap. With Keap, we are able to help them get the business strategy and processes that are stuck in their heads into sales and process pipelines that allow them to duplicate delivery and provide consistency in client services and the overall client experience. With Keap, we help them get away from the never-ending task list by helping them automate and provide efficient follow-up. We even show them how to organize using the task list in Keap to ensure visibility to deadlines and tasks that can not be automated. Finally, as we work with the client on business challenges and help them prioritize needed improvements, they are able to see the light to their happy place where they can be owners and visionaries that can truly focus on creating value for their clients and growth for their company. We use Keap to help small businesses get out of the box and back to the business they love!

We are a coach training organization, specializing in business, executive, and personal coaching education. We use KEAP Max Classic for:

  • Product ordering with good promotion capability
  • Complex auto-marketing and prospect nurturing features
  • Hiding, but retaining, archived campaigns, promotions, products, etc.
  • An ACH debiting option in payment collection
It does what we want in nearly every instance. I am particularly impressed with the level of customer service when I call with an issue. I am rarely disappointed, and that is usually when a feature does not exist. Almost always, the tech rep will offer to pass the question re a "missing" feature on to development for consideration.

I discovered KEAP partner Greg Jenkins and Monkeypod Marketing earlier this year, and have found Greg and his team and followers to be a tremendously valuable resource. If KEAP can do it, Greg and his folks know about it and can provide a lot of time and labor-saving support.

Keap is the hub of the customer-facing aspects of our organization, and it also helps us automate and organize a bunch of internal processes as well. Some problems we've solved with Keap are: lead collection, sales pipeline management, general CRM (notes on interactions with prospects & customers), automated follow up, long term nurture, appointment reminders, renewal reminders, revenue and churn tracking, and a bunch more.

Here is just one specific example: We wanted to start holding live webinars. To start simple, we decided to have a weekly webinar at the same time and day of the week, every week. In Keap, we set up a single campaign to handle all webinar registrations and reminders, forever. If it's before Wednesday at 10am, the campaign is short, reminding them of the webinar happening very soon. After Wednesday at 10am, any new registrants will receive reminders about the following week's webinar. With Keap Max Classic's campaign builder, it's easy to build an evergreen campaign that follows up appropriately depending on the timing of the registration. All we do now is run the webinar once a week.

For a new business growing toward or through 6-digit revenue stages, Keap is great. If the "business" is really just an idea without much substance yet, or if the business is well into the millions in terms of annual revenue, then the business is probably outside of Keap's sweet spot.

I use Keap to automate almost every customer-facing interaction after the point of opt-in. So, once a lead signs up for something, they're added to my Keap CRM, and then the automation kicks in to fulfill the expectation that was set and to guide them forward. I've designed an intentional customer journey, which helps systematically turn prospects into customers - and Keap's automation is the backbone of this experience. The automation not only delivers what the prospect has requested but also follows up with them to help them continue making process. It guides them toward a purchase, and after they've signed up as a customer, the baton is passed to a different set of automation that welcomes the new member and helps them feel comfortable with what to do next. The peace of mind I get from having my CRM, marketing automation, and e-commerce features all under one roof is unrivaled. It helps me feel confident that I know the experience my leads, prospects, and customers will have is exactly what I've designed.

Keap is a good fit for any business looking to do more of what they do best. It helps you systemize your processes and deliver a consistently positive customer experience over and over. At a more detailed level, I think it's best suited for small businesses with 1-25 employees. I've seen it work for larger organizations too, but usually, they have a handful of individuals who actually log into the software. Ideally, the company would be earning 100,000 or more - that's not to say it can't benefit a smaller company or a start-up; I just find that more established companies seem more willing to invest in their marketing budget, and using Keap successfully requires an investment of time, money, or both. As far as industries go, it works well for any business that generates leads and wants to automate the follow-up with their new prospects - this could be coaching businesses, agencies, consultants, local service providers, or more formal professions like dentists and lawyers.

Keap is the marketing automation software that has run my last two companies.

My digital marketing agency uses it for everything from the online shopping cart to the delivery of services, reports, tracking, CRM, and even collecting testimonials. I have been using it there since 2010.

My live events company used it for three years (Until the pandemic) when we were running 14 live events per month--and it again processed all orders, registered event tickets, supported our membership portal, supported our ticketing portal, tracked speakers, contracts, projects, and all renewals. We did a case study of that use case here
  • Manage new leads and nurture them until the convert into clients
  • Track all client engagement opportunities and activities taken in the CRM
  • Provide followup information in a timely and customized format for events, webinars, and other lead-generating activities.
  • Webform needs to be updated for style and layout
  • Landing pages could be more robust in options and variations
  • Analytics needs better tracking
Great tool for marketing automation around events, live or online. Great for working with coaching clients or managing membership portals. Excellent at tracking things like recency, frequency, and monetization of products or platforms and reminding clients to buy. Not as great for complex contact relationships like parent and child tracking.

We use Keap to capture our incoming lead information, then we leverage Keap's automation to move our prospects to buyers. Because of Keap's powerful segregation and decision features, we're able to deliver a bespoke experience to all of our clients. Additionally, we use Keap to automate and track service delivery and collect most of our payments. We also use Keap to automate many of our internal processes like recurring weekly assignments and the hiring process for several different postions.
  • The ability to enter a form directly into a webpage thus eliminating the need for additional WordPress plugins.
  • Built-in order form and shopping cart functionality including payment processing.
  • Easy-to-use task management allows us to trigger different automation depending on the completion goal of the task.
  • There are 2 different mail builders as they upgrade the system which can be a bit challenging but the builder in the newest version is extremely easy to use.
  • The landing page builder is not quite as robust as some 3rd party landing page builders but improvements and feature enhancements are added regularly and have made it very easy to use.
For a small business that's crossing the $100k sales barrier, Keap is an ideal option for automating many of the tasks that used to be done manually. Best of all, it never calls in sick, never has a bad day, and never asks for a raise! It's the ideal employee! We also recommend Keap exclusively because the interface is easy to understand and you don't need to hire an expert programmer of 95% of the automation you need to build.

I use Keap in all aspects of my business, from invoicing to appointment setting to referral requests to long term nurture. It saves me tons of time, reminds me who I need to follow-up with, notifies my customers when they need to update their info or book call with me, and provides me the reporting I need to understand where my business is today, so that I can plan for tomorrow.

  • Occasionally, clients with some complex needs for sales management can have difficulty with Keap, but generally most needs can be met after discussions and thoughtful planning.
  • Email inbox placement can sometimes be an issue, but I've found that proper planning, utilizing best practices and careful list hygiene management takes care of this in nearly all instances.
  • For my use, the ecommerce functionality is fine, but I do have clients who need more robust reporting and taxation functionality, which has been improving, but is still an area that needs additional attention.
It would depend on their needs and where they are in their business growth. Keap is a fantastic tool, but just as a hammer is not the right tool for every job, Keap is not the solution for every business. All businesses should carefully weigh their needs and compare several products to ensure that what they select with be the best option.

We use Keap for email automation and other tasks. What keeps it high is it can be integrated with many applications, which is very much useful for small businesses. They also have many training materials available to help small businesses like us to train ourselves to get more output.

Keap serves as our CRM, our email communications platform, and a place to manage our e-commerce. We previously had an ineffective patchwork of cheap tools, and Keap has been worth every penny in preventing all the loss of information translation between those. I love the automation available as it provides us with plenty of opportunities to streamline our processes, nurture campaigns, and follow up. It provides us with better ways to track our income as well as the effectiveness of our marketing. Along with AccessAlly, we have recently been able to integrate Keap into our website processes as well, further automatic our customer journey for both members of the organization and new leads.
  • Pricing: Keap Max Classic (formerly Infusionsoft) is affordable for nonprofits and small businesses and includes all the automation features we need!
  • Customer Support: Our onboarding and success coaches have been so helpful, taking into account some unique processes we have and finding solutions.
  • Updates: Keap is constantly providing more and better solutions!
  • Analytics: They have recently added some analytic reports and dashboards, but I believe they still have a lot to be desired here. Because they are still rather new, I do have faith these will be updated.
  • Membership: Our organization and e-commerce include membership to our Institute, which isn't quite something that Keap was designed to support, so we have to get creative to automate processes or are stuck with some manual things.
  • Shopping Cart: The Keap shopping cart leaves something to be desired with UX, especially for our international customers.
I've worked with many CRMs, and Keap is by far my favorite. Its unique Campaign Builder provides an easy visual for your automation and helps you know what questions to ask to Support if needed. It's a great price point for small businesses and nonprofits, and they are constantly updating their offerings without extra charge. It might not be the perfect fit for nonprofits that rely on donations (you'll need an integrated software to do that well) or organizations that are solely membership-based, as we've had to design our own workarounds for these.

Keap is good for setting up automatic campaigns based on user activity. However, it's a very complex software that can easily become overwhelming if not implemented correctly. I would tell anyone interested in it that it's great software but you really need to have a dedicated team member whose main focus is implementing and training team members to ensure you're taking advantage of all the different aspects and things aren't getting out of hand.
