We use Kofax PaperPort to work towards a 'paperless office'. We scan in receipts, invoices from other vendors, etc. It helps us keep everything organized and 'searchable'. We can then shred the paper copies allowing for a lot less filing cabinets. Kofax PaperPort also allows us to edit any PDF Documents, stack multiple documents, etc.
  • PDF Editing.
  • PDF combining/stacking/unstacking.
  • Adds Search-ability to documents.
  • Organization of scanned documents.
  • A little clearer indication of which document gets stacked on which when stacking documents.
  • PDF editor sometimes messes up PDF formatting.
  • Program sometimes completely crashes for no reason.
Kofax PaperPort is great for any office that has paper documents - seriously! We have set up multiple businesses to use Kofax PaperPort to cut down their storage of paper receipts, invoices, documents, etc by nearly 90%! Their office is much better organized and they have the ability to edit PDF Documents for a lot cheaper than buying Adobe Acrobat.

Kofax PaperPort is considerably cheaper than Adobe Acrobat (Pro) and includes so much more than just PDF editing. It allows us to scan, organize, search, and manipulate our documents on the computer instead of in physical filing cabinets. The time saved doing document management is unbelievable.

Just some basic computer skills above the ability to type are all that is necessary to support Kofax PaperPort. Some organizational skills are helpful in creating folders, etc in Paperport to keep documents organized.

  • We have been able to completely rid ourselves of the expense for Adobe Acrobat Pro.
  • We have been able to remove filing cabinets from our office due to the major reduction in paper necessary to keep around.
  • When a document does need to be on paper for whatever reason, we can simply reprint the document right from within Paperport. Saves on copy machine wear and tear.
PaperPort has a few quirks, but it is the only program of its kind that actually does what it claims to do. The power of it is so much more than they claim especially when it comes to trying to achieve a truly paperless office. With PDF editing built-in, it also saves considerable investment in other PDF editing programs.

I have a whole on-line filing system using PDF documents sent to me, or scanned into PaperPort. These documents can be easily obtained for reference, or emailed to a third party. I also use many of the editing features that are available. It's a very powerful program.
  • Scan documents directly into PaperPort.
  • Filing system makes document retrieval easy.
  • Powerful PDF editing tools.
  • It should have a back button, so if you go from one folder to the next, it would be simple to get back to the first folder.
  • When you combine two PDFs, it should retain the title of the one that's on top.
  • The send to bar should be easier to change.
  • Scan directly into folders.
  • Edit PDFs when necessary.
  • Easy OCR of portions or all of PDFs.
  • It saves me a lot of time - incalculable.
I've been using this for years, had many different versions of it, so I just kept upgrading and I didn't try any other software.

Kofax PaperPort is used by everyone in the organization but primarily used by Administration, HR and Finance functions as they need to deal with a lot of physical documents. It is also used by a lot of operation teams handling clients' Accounts Payable processed. It enables an organization to create a digital filing system with search and indexing capabilities to find the information easily. Also, with its inbuilt OCR capabilities, it also helps extract unstructured information from the documents and convert it into structured information.
  • With Kofax PaperPort, documents can be merged, pages can be extracted from multiple documents and combined to make a new PDF document. It is an important feature as one needs to do it very often and more ubiquitous pdf readers like Adobe Acrobat Reader DC lacks functionalities like these.
  • Kofax PaperPort scans the documents and using it's OCR, converts these scans to searchable PDF documents so that these documents can be searched based on the text content in them.
  • Functionality to convert other formats to PDF and PDF to other formats. This is important as many times , we need to upload certain documents only in a specific format and conversion is required to and from PDF format.
  • Only compatible with Windows. Has no support for Mac based devices.
  • Support needs to be improved as it's currently not up to the mark.
  • Hangs a lot which should not happen considering the kind of hardware being used.
It's a good tool for the organization which still send or receive a lot of paper documents. Keeping a track of paper receipts and documents is messy and not sustainable beyond a point. With Kofax PaperPort, the documents can be digitized and stored and even the information can be structured and the processes can be automated.

  • Files indexing and search capabilities.
  • Multiple options like passwords and encryption to secure the documents.
  • Less amount of money is spent for filing purpose as less number of people and space are required for filing purpose now.
  • Information retrieval has become way faster as documents can be searched based on labels or on the basis of their content.
  • Lot of options to improve the quality of the scanned image.

Scanning to a computer system for archival purposes is fairly easy, but the ability to "clean up" a scan, and to save just portions of a scan is only possible with a tool like PaperPort.
From PaperPort's entry into the business world via Visioneer's Scansoft and Xerox Corporation's OCR push in the mid-1990s to today's PaperPort Pro have been the most useful tool in my office.
  • The editing of a PDF or image by cleaning up an image are most important to me.
  • Ability to remove scanning artifacts from difficult to scan items at the actual pixel level.
  • The ability to set scanner profiles makes workflow easier.
  • Default to Image View in opening a scanned PDF. For my work, I have other tools to just view a PDF. I would like to see a setting to default to Image View or Adobe Reader to open a PDF.
I see none.
In moving from OS to OS, the first thing that I search for is to purchase PaperPort for the device.
  • I don't know of another document manager with the same features as PaperPort.
  • PaperPort allows me to scan, clean scans, and file scans in a meaningful order.
I was ecstatic to see someone moving PaperPort away from Nuance (Those in my circle of friends refer to them as Nuisance). The lack of customer involvement by Nuance made finding answers to things that sometimes irritate a user to being downright frustrating.
Maybe the purchase of Nuance by Microsoft will allow the company to focus more on the customer.
