A one-stop-shop for databases and reporting

Our team is involved in many asset management projects, particularly projects that deal with physical assets. We manage multiple databases and portfolio with single clients and Microsoft Access solves the problem of not being able to keep up and maintain all the databases at once. This program is used among the whole organization for a number of other projects as well.
  • No internet connection needed to make any database.
  • Importing into images, spreadsheets, & documents is easy.
  • Quick and easy tool to create databases, don't have to use SQL.
  • Great for storing large amounts of information.
Cons
  • Limited storage.
  • Wish there was a way that macros from Excel can be imported.
  • Loads a bit slow.
It's a great program for certain house projects and can help automate workflow. It's great for repetitive tasks to be automated. It's great to use when your end deliverable to clients will be a physical report because it's easy to export it. We use it to conduct our analysis, and it's easy and quick to export a report!

Microsoft Access is used by most of our organization. It is the back end of a medical billing application that our users access for reports, do input and export into other formats for sharing that data with providers and payers of medical billing. I directly access the databases to use data for complex reports that the application cannot provide and to repair the databases when there is a problem.
  • For small databases it stores and handles the data well
  • Exporting of data is easy and allows manipulation outside of the database
  • Formatting of fields is easy as in most Microsoft Office applications
Cons
  • The developer needs to watch how fields are formatted, poor design of a database leads to poor data
  • Limitations to the amount of data able to be stored, if Access is tried to be used for things its not meant for, data corruption can occur
  • Tools to manipulate the data while in the database could be improved
Access is well suited to a relatively small database where the number of tables and data will be limited. If the data will continue to grow for a long term, another database is better suited, like a mysql, which can be obtained for free. Easy to make lists, small business product and sales databases, input forms and reports are easy to create. Also table locks can create some problems if abnormal closing of database occurs.

We use Microsoft Access to pull payment reports from our Verisign/PayPal account to track and record all of our online receipts. Our online system has a variety of invoices that we need to book to the appropriate general ledger accounts and using Access to pull reports allows us to enter the revenue by account as a summary rather than by individual payments. This report is pulled daily using a time stamp that matches the credit card processing times so that our cash receipts entries match the bank deposits for all credit card transactions. Our organization also pulls membership reports through Access to send on to our fulfillment company.
  • Ability to pull reports from internal and external sources by date and time stamp queries. This is useful for tracking cash deposits in our bank account.
  • The reports can be customized to meet our needs. This is a very easy process as editing tables is simple in the system.
  • Once a report is built, it can be accessed on demand. Saving these reports as excel worksheets makes searching and sorting a simple process.
Cons
  • I don't have any comments on this topic.
Microsoft Access works well to pull reports from an external source and translate into internal reports that are useful. In our non-profit setting, we use the reports on a daily basis to record all credit card payment activity from our website. The payments are made through Verisign/PayPal and pulled into Access then into a daily summary report used to book cash receipts by revenue source.

Access allows for customized reporting and to bridge the gap in reporting needs not provided by other BI solutions at my company.

  • Error Messaging isn't very clear
I would say storage and backup of Access data is an issue so I would make sure the data is stored and backed up elsewhere.

[It's] Used across the organization for a multi-site database to collect, organize and report on behavior and incident reports. Also used as a company-wide database for password storage.
  • Database - extremely powerful . Simple, easy to use front end for the user - with extremely pwoerful database in back.
  • Good reports.
Cons
  • Database is very powerful. Front-end user-friendly menus can be developed with lots of "power" behind the scenes.
  • Security of information.
  • Large capacity to hold multiple years data.
Must be familiar with Access to set up database. Not for the casual user. However, once the database is established and menus developed, it is extremely user-friendly for the non-technical person.
