On premise Exchange is the email platform for the enterprise. We do not setup it up for all users, only those who have a legitimate business need for email communication. As you would expect, Exchange provides a reliable method of business communication with both internal and external users.
  • Email delivery
  • Email storage
  • Email archival
  • Support for non-Windows clients
On-prem Exchange is well suited larger organizations. Due to the cost of licensing, hardware, and the expertise required to maintain, it's not necessarily a good fit for small to medium sized companies. O365 would be a better option for those types of organizations.

Microsoft Exchange is used as the groupware server backbone for a set of collaboration experiences connected to the Microsoft Office 365 product suite. Specifically, it provides the server infrastructure for managing email traffic and calendar events. For accessing applications powered by Microsoft Exchange, individual company users can access locally-installed Windows applications or web experiences via browsers.
  • Routing emails to the appropriate individual or group.
  • Providing advanced email management options, such as filtering and routing.
  • Providing calendar collaboration, with the ability to control who can see my calendar.
  • Exchange spam filtering can be inconsistent at times.
  • Exchange task integration is lacking key features such as schedule integration.
  • According to IT colleagues, Exchange servers are tedious to manage and upgrade from a set-up administration perspective.
Many organizations have standardized on Microsoft Office as a productivity suite, so employees can access applications such as MS Word, Excel, and PowerPoint. For these companies, MS Exchange is the ideal infrastructure choice to support email, calendar, and task collaboration. Especially for companies who still require or desire an on-premise implementation of MS software.

Our company's preferred method of corporate communication is Microsoft Exchange. It can be used on both mobile devices and personal computers because of its multi-media capability. It assures that all of our communications, whether internal and external, are safe and uninterruptible. Using Microsoft Exchange, the whole institution's communication may be managed from a single location.
  • Thanks to group e-mail, you don't require project stakeholders' contact details. Project managers may quickly give comments and information by e-mailing that group.
  • It simplifies mailbox management.
  • Favorite feature: calendar. This function shows which meeting rooms are vacant or full. Meetings are easy to organize.
  • In grouped emails, you can't limit the list when you open it.
  • Slow page loads. Needs work.
  • Email synchronization can be sluggish, and there's no permanent solution.
Sending and receiving emails, as well as keeping track of them, is a breeze with this software. It's a fantastic tool for organizing meetings, sending out group emails, and setting up appointments. It's a tool that's ideal for organizations with a high number of projects and employees to use. As a result, small firms are able to take use of it with little difficulty. The product's various features and user-friendly interface make it a product that can be utilized by everyone.

When setting up a meeting or calendar sharing to see when other members are free or available, we utilize Microsoft Exchange for our daily work email. Also, we use it to keep track of our project-related discussions and to exchange papers with other members of the company. If you're looking for a way to get to know other members of the community, Microsoft Exchange is a fantastic place to start. It saves a lot of paper since you don't have to print everything, and the information is easy to access.
  • Supporting devices can be simply connected
  • The product is Outlook-friendly
  • Microsoft Exchange streamlines communication across Microsoft-based programs and devices
  • It only works with Microsoft products. Google applications are more generic. Oracle Linux is better.
  • Recent changes aren't trustworthy, and many email issues aren't fixable
  • Real-time connectivity requires a server
For our clients, the switch to an entirely independent (parallel processing) Microsoft Exchange Server was a lifesaver because previous software versions frequently crashed. The clever viva add-on informs me of any things that are still uncompleted in my large email to-do lists. Migrating to Office 365 has never been easier because to the meticulous preparation that has gone into it. Web applications will load more quickly.

We use Microsoft Exchange to contact our end customers and providers daily, then it is an essential tool for us to keep the communication up to date. Some day we decided to migrate from Exchange to Exchange Online because it seems to be more accessible for the end-users but it didn't work, the users were able to enter the mailbox but all the email subfolders were gone, disappeared, it wasn't there anymore, then all the users got concerned because some of them use to have more than 10 subfolders to organize their emails (customers, providers, warranties, contracts, etc.), we tried to execute a script to migrate the accounts including the subfolders but it didn't work, then they switched back to Exchange On-Premise.
  • Ease of use.
  • Clear interface.
  • Easy integration between desktop and mobile devices.
  • Wizard to migrate a mailbox from Exchange to Exchange Online keeping subfolders.
  • Wizard configuring a Microsoft 365 mailbox in a mobile device.
  • The Online version has not had the same options for customizing the interface as On-Premise.
I think Microsoft Exchange is well suited when you can set your customized subfolders for one or more mailboxes, it is a very clear interface for end-users and it makes easy email management. The native integration with Teams and calendar is so good because at least 50% of our customers use Microsoft Teams for meetings, then we don't need to create a specific event in another calendar (like Google) to schedule the meeting. The interface is very customizable to make it more friendly for the end-user. I think Microsoft Exchange is less appropriate when you need to configure a new email account and doesn't have some technical knowledge. It is also a problem when you need to integrate a plugin (like Google Calendar) to connect to other platforms because most cases it becomes a very slow performance of Exchange, then you need to uninstall the plugin.

We use Microsoft Exchange as our main email server which is now hosted online - Office 365 Suite
  • An excellent email server
  • Spam filtering system
  • Shared mailbox across multiple departments
  • In-built firewall for inbound and outbound emails
  • Integration with other mail server/services
  • Archiving can be better implemented
  • Online web interface appears crowded
  • Settings options slightly confusing
Microsoft Exchange is an excellent email server with inbuilt spam filtering for junk emails. It also integrates easily with your calendar from different vendors. The main email client Outlook works well most of the time but only on Windows machines. It appears to be a half-backed software on macOS

Exchange is used extensively within the organization for email, calendaring, and resource bookings such as rooms and conferencing facilities. We operate in Hybrid mode because we have both on-premise and cloud presences. Therefore our source of authority(SOA) comes from the on-premise Active Directory (AD). This makes life a little more complicated as we need a process to connect both presences and keep them in synchronization which is done with a service called Azure AD Connect. We will eventually remove our on-premise Exchange service and move completely to Exchange Online but because of other dependencies, we cannot do this at the moment.
  • As we have a large user base of 11,000 users we use MailTips to avoid people getting confused with people with similar names in the organization.
  • The integration between Teams Meeting and Resource booking is generally very good. The Scheduling Assistance makes it easy to scan calendars and find free periods to provisionally scheduled events.
  • Marking yourself as Out of the Office and busy is easy, as is sharing your calendar within the team/organization or individuals.
  • Voicemail integration and the ability to receive missed chats in your inbox are highly used and useful.
  • Exchange Online has a limitation of only being able to send a message to 500 recipients within a 24-hour period. Bulk emails may therefore require batching.
  • Initially, provisioning users can take a little while due to mailboxes being created and policies applied. It would be advisable to give a least 24 hours.
  • PowerShell skills are recommended to perform bulk administrative operations. They may be slow and tedious from the Administrative Console.
Mailbox delegation is used extensively so that personal assistants can manage the email/diaries of high-profile members of staff. The ability to convert a mailbox from regular to shared is also beneficial when a person is on leave or absent for a period of time as it frees up a license. As Exchange is so accessible, it can be used as a filing cabinet which is not what it is designed to be. This can lead to large mailboxes which can lead to users losing the information within them.

We use it primarily for email services; however, it does get used for creating documents, spreadsheets, storage, etc. There are some difficulties with using Word, Excel, and Powerpoint since this is a cloud-based program. You have to save everything to the cloud storage, which is good to free up the computer/server storage, but it does create some more steps to be able to download and save these documents on an actual computer.
  • Access to email services
  • Teams
  • Keeps documents off your computer or server and freeing up space
  • May be more secure
  • when saving a document, it would be nice to have the ability to save in the cloud and on a computer at the same time if so desired
  • ease of downloading documents to a computer
  • not having to have anything encrypted when downloading documents
Definitely well suited for email services. It is easily accessible; however, it does take several windows to go through to get to your email. We also have it set up for a finite amount of storage, so you have to stay on top of what you want to keep and what to delete.

We have a virtual machine running exchange and it is our email server. The scope of our use case is that this mail server is where all mailboxes are stored for end users in this hospital. The mail server is able to solve problems such as not being able to email many users at once, exchange resolves this issue by allowing us to create distribution groups, so if I email one distribution group many people will get that email if they are in the group. We have a hybrid exchange environment where some mailboxes are on the cloud but most on-prem using Microsoft Exchange.
  • Reliable access to email, calendar, and contacts including accessing these using a cell phone.
  • Very secure and can be used with third party firewalls systems.
  • Reduced Costs and Flexibility.
  • Updated a lot by Microsoft and is very popular.
  • The two main factors for the better reliability & Uptime of internally hosted Exchange Server depends on Exchange Server configuration and the level of investment the organization is willing to provide for hosting the Exchange Server On-Premise Environment. As the data is stored in the organization’s hardware, any disaster may lead to the loss of email and servers.
  • Losing data might affect business continuity and rebuilding it can be costly.
  • Security remains a major concern.
  • Security of data loss is main concern. To ensure that, organization needs to configure networks, systems and Exchange platform against possible threats.
  • Hardware and license costs are high.
I have used Microsoft Exchange at many different places I worked, it is best suited for under 1000 users and anything above that should really be using ms 365 and the mailbox sizes ( default is 2gb for a mailbox ) tend to eat a lot of storage space in an IT infrastructure and this makes costs for an IT department go up. The reliability and uptime of your in-house Exchange solution absolutely depends on how much you are willing to invest in the platform. Guaranteeing a 99.99% availability or better requires a costly infrastructure.

We use Microsoft Exchange for all of our email handling.
  • Spam filtering
  • Data loss prevention
  • Reports and metrics on email usage
  • High availability and uptime
  • Ease of access
  • User friendly
  • The documentation is not always up to date.
  • Microsoft occasionally changes things without informing us.
  • The administration interface feels somewhat clunky.
We have dozens of domains and send out thousands of emails every day along with receiving thousands more. Microsoft Exchange allows us to manage all of this easily. Any organization that needs any form of automated email system will likely benefit from Microsoft Exchange. The newer Exchange has also greatly decreased the amount of time spent on managing/administration of email which is a great benefit regardless of the business size. I feel that any business larger than a few people and without a dedicated email engineering team would appreciate Exchange.

We use this for our daily work email/ setting up a group or team meetings/Calendar sharing to view other members' free/available times. We also use it to document our own project-related communications and share documents within the organization. It's a great tool to communicate/ meet other users and keep project documentation and other communication electronic copies within your account. It's a BIG help in avoiding printing all of the documentation and easy to find/ locate information.
  • Sharing your Schedule with other users.
  • Keeping record of your communications and Project documentations.
  • Easy to find or locate the information from old History.
  • View/ locate your day schedule and setting up recovering meetings.
  • Able to review your writings with AI, for example, Grammarly which tells the level of your writing and hints the errors/other details.
  • Allow users to backup their emails and restore on other accounts.
A great tool to keep all documents/information in electronic format. Very easy to locate/search it. Allows automating the emails to send them to proper project folders.

Within my organization, we use the Microsoft Exchange Server Outlook Web Access. For the most part, I have not run into any business problems with the amount of usage I may experience. I use Microsoft Exchange for connecting with other clients through Gmail, Yahoo, and other accounts also use Outlook to set up meetings and update my status.
  • Disable new Outlook for Windows
  • Manage Recipients
  • Mobile Access for shared content
For about two years my company has been using Microsoft Office 365. I believe it has helped out a lot with communication amongst the company. While working within the 365 platforms in Outlook we are able to manage cross-team projects better. Also, we have been able to use Yammer in order to improve company-wide communications.

We use Microsoft Exchange for all our employees, at our organization level as well as the client level. Our clients usually have remote VMs with different mailboxes, most of which also use Microsoft Exchange as the primary tool to manage all work needs. It is an excellent tool to work remotely, having an in-built calendar that helps with scheduling appointments and meetings and makes sure you do not miss any of them. The calendar is also well-organized to keep your daily schedule in check. The mailboxes themselves are feature-packed with the security and efficiency that comes with a brand name like Microsoft. I love the filtering and search option which lets you sort through your emails to find the most relevant ones. Working in a remote team that manages several applications, I get hundreds of emails daily that can be hard to navigate through to find the ones relevant to myself, but the Exchange sort/search feature makes it pretty easy. It can also look through deleted emails, which is a lifesaver. The storage issue is also not a bother. We also integrate it with O365, which gives you access to hundreds of more features with the entire Office bundle of applications, all over the cloud. Attaching and editing documents within the mailboxes itself saves a lot of time.
  • An in-built calendar to manage your daily work schedule. Let's you create events, invite a particular group of people, accept invitations, and remind you of your upcoming meetings and tasks.
  • I also like the daily emails we get from Exchange that ask you to set aside time for yourself or your other hobbies to take a short break from monotonous work.
  • The email categorization feature is pretty good, especially the sort/search filtering option to navigate through your emails, which can also go through your deleted emails.
  • It has an excellent spam-filtering feature which greatly reduces the chance of malware and spam. I have hardly seen spam emails get through their filter. On the other hand, it also recognizes emails from external organizations that may be spam, but are important work emails.
  • I wish there are more options in the email filters. For example, I have been unable to find a way to look for emails from a particular date without scrolling through all the emails containing particular keywords.
  • Third-party application integration isn't very well developed. It could have been a great option to widen the scope of usage for Exchange.
  • The UI is fine, but it could be a bit more robust and intuitive. Pop-ups and dialog boxes especially have poor design, which reduces the user experience.
Microsoft Exchange is one of the best options for an integrated email platform with O365 integration because no one does Office integrations like Microsoft. It is also relatively inexpensive for large organizations. The support team is also very helpful. Although I wish the sync between devices was smoother. It may be due to security issues, but sometimes I have trouble connecting on my phone to my organizational emails. You need a plethora of apps installed, which ask you to log in occasionally, which can be a pain when I just want to quickly go through my emails. This hasn't been a problem on iPhones though. Anyways, Exchange is the best choice for when you need to work a lot with emails and meetings and need a proper system to keep them all organized.

At previous employers, I also used Microsoft Exchange, and it has always performed admirably and provided solid, dependable email access. We prefer on-premise to hosted Exchange because it gives us complete control over both the architecture of our Exchange environment and the Exchange servers themselves. VMWare ESXi is also used to virtualize all of our Exchange servers. Microsoft Exchange is simply the best email solution available, and the on-premise version of that product is the best.
  • User management is simple. Creating, deleting, and moving mailboxes and distribution lists is simple.
  • The Active Directory integration is excellent. Once again, this is the best of the best.
  • Mobile device integration is possible. Integration with Microsoft Outlook is quick, easy, and effective.
  • Troubleshooting problems can be difficult. Even for seasoned Exchange Admins, some of the issues that arise are not particularly intuitive.
  • Exchange cost is costly, both in terms of hardware and, more importantly, in terms of software.
  • It's not something you want a novice to set up or manage. You'll need administrators who are familiar with Microsoft Exchange.
For many small businesses, on-premise Microsoft Exchange may be prohibitively expensive. Office 365 is a hosted Exchange option for small businesses that want the power of Exchange but can't afford the costs of installing and maintaining an on-premise Exchange instance. Microsoft Exchange is ideal for medium- to large-sized businesses. It's sturdy, powerful, and dependable. If you want the best email in the industry, Microsoft Exchange is the way to go. In this regard, there is literally no better product on the market.

Microsoft Exchange is like the heart for communicating in our Organization. We use it for basically all our communications. Microsoft exchange is used for doing follows on pending action items, sharing status updates to clients or users, syncing up with the team, etc. This is very easy to use and has all the features that an organization needs to work efficiently.

  • Ability to create variety of rules for receiving emails.
  • Multiple folders can be created and different retention policy can be applied.
  • Better view when multiple emails are opened.
  • Better filtering of spam emails.
  • Recovery of deleted emails can have more options.
I have been using Microsoft Exchange since the start of my professional career and its user-friendliness and ease of use helped me with the transition. It helped me in making my work efficient and allowed me to keep track of the tasks I am working on and allowed me to relevant updates to the stakeholders in a timely fashion.

Microsoft Exchange was intended for ideal security and protection, with an assortment of elements at both the server and letter drop level. Microsoft Exchange Server utilizes Kerberos verification, an organization security convention that gives shared validation to an organization association. Extra security convention support incorporates Secure/Multipurpose Internet Mail Extensions (S/MIME), empowering clients to carefully sign and encode messages and connections or to get to their letter drops safely, without a VPN association, while working external organization firewalls. I use this software to manage my corporate email accounts and calendars as well as my team's calendars. My responsibilities correspond to the management processes of many people with chronological actions between them, so the tasks coordinated from the email are a great tool that allows me to do a better follow-up.
  • Email management
  • Managing shared calendars
  • Task and topic tracking
  • Integration with cloud documents
In the field of coordinating agendas, and meetings, and following up on topics of conversation by searching for emails, it is excellent. The way of joining emails in the same conversation facilitates the search when you only remember one part of that conversation. It could improve its integration with OneNote and teams which sometimes feel like 3 completely separate worlds unless you really try, like including notes from a meeting or exporting a OneNote page to email.

We are currently using Microsoft Exchange, and it has gone very well for us to manage or administer mail. All our collaborators use it and are pleased. This system offers the widest range of options for teamwork and collaboration with other areas in multiple ways, as well as tracking time, efficiency metrics, and multitasking. Commercial problems I can mention; are the multiple packages that, when making use of, the administrators or users do not always get the most out of it. The scope is the work tool or system that is among the most valued within the company.
  • Synchronize your agenda with the project, which gives you a great advantage when working on a project.
  • Manage your emails in an easy and agile way.
  • Provides a high level of security for all users.
  • It has the ability to sync with other collaborative tools.
  • As a start, if the price of licenses were lowered a little, you would help many small companies.
  • Increasing the storage space of the mailboxes in the same way if it could be increased would be an excellent plus for end-users.
  • If I could add some way that users could see the emails they have in quarantine, that would be great.
In my experience, Microsoft Exchange is ideal in all business environments, whether they are small companies or very large companies. It gives many advantages when it comes to managing mail for security, ease, or economy. I rate this system 10 out of 10 because, at the moment, all my users, including senior managers, are satisfied with this product. I recommend this system to my tech colleagues to check it out and try it out.

Exchange is used our entire organization. We do have 2 branches, one in Seattle, WA and the other in Kansas City, MO, as well as a few employees who work onsite in a variety of states. Exchange is used to communicate with these employees all at once to make sure everyone receives the same information without having to call or spend money mailing various literature.
  • We use the calendar function the most. With 8 managing partners, and 40 staff members it helps us keep track of who is in the office, who is in a meeting and which conference room is being used. It is also used to keep track of who is using video conference so we can keep the streaming down during those moments.
  • I personally love that the email files you can create to organize your emails. I am balancing several different functions so it necessary to be able to quickly access and locate emails.
  • We use group emails the most. It is a great tool to have for our project managers. When you have larger projects with several different consultants and team members, it is easier to create a contact list of all those involved than to remember each persons email ever time you need to send something out.
  • When using a grouped email list, if you want to see who is in that list you have to expand it. However, a warning comes up that tells you once you expand it you cant collapse it. So the only way to verify who is in that list is to go into the properties of it and click through the list. It would be nice if the collapse feature was still available.

The IT team uses it the most but almost everyone in the organization uses the platform for Outlook and other Microsoft functions. We don’t have many noticeable issues. The user side is fine, we have regularly scheduled updates and fixes during non business hours.
  • Easy to use.
  • Format is up to date.
  • Updates have been often but helpful.
  • Speed, there is lag from time to time.
  • Updates impact other programs which is a common issue.
Microsoft Exchange has been used for a long time with multiple companies. People are familiar with it and IT usually has an idea of a solution for problems. With a program so frequently used, people get better at self fixing common bugs. We like to use it because it’s affordable, reliable and well known.

We use [Microsoft] Exchange (both on premise and online, in a hybrid setup at this point) for an organization wide email and communication solution. It is the basis for the majority of communication both internally and with external clients and customers. It allows all of our devices, both mobile and otherwise, to have on centralized location for most of our companies communication needs.
  • [Microsoft] Exchange is the gold standard for Corporate email. It is flawless in maintaining and delivering email to all of our users. It has been around so long the thing it does the best is just work. Most of the flaws and bugs are already out of the system.
  • The GUI management tools for MS Exchange, whether Online or on-premise, are fairly well documented and for the most part fairly easy to use.
  • [Microsoft] Exchange gives you the option to have an all in one box solution. Its not recommended but for smaller shops its a nice alternative to a more extensive setup that requires multiple servers.
  • If sized correctly, MS Exchanges is fine tuned out of the box to be fairly quick and responsive as to email delivery.
  • [Microsoft] Exchange is best used with MS's Outlook Email client. Trying to use it with third party options, including mobile possibilities, limits some of the capability a use may have.
  • If an on-premise [Microsoft] Exchange server has an issue and data corruption takes place, the method in which MS uses mail logging to restore a system can be overly complicated and take an extensive amount of time.
  • If the admin need you have is not included in the Graphic interface one has to move to using Powershell to get some basic tasks done. This is a bit cumbersome for part time Exchange admins.
  • Setting up Exchange to be fault tolerant can be a cumbersome process.
[Microsoft] Exchange is well suited for any organization that uses or plans on using Microsoft products as part of their offering. Almost all versions of Office come with the Outlook client and that sets up the expectation that those organizations will also use Exchange, whether Online or On-Premise, for their service side needs. In addition it is used so widely in corporations that finding support is much easier than some lesser known situations so its safe to use even in smaller shops where full time IT is not on staff. If your business is one that focuses on Google or open source products, trying to shoe horn Exchange into your environment is probably not the best choice as it would needlessly complicate your infrastructure.

Microsoft Exchange is used by our organization to host and manage our mailboxes as well as a lot of our customers. It is deployed across our whole organization as a hosted server set up in multiple data centers. It address the business problems of having full control over how our email is set up and managed. We don't have to rely on another company to keep everything online.
  • Managed by us
  • Reliable
  • Central location to host all client email
  • We are responsible for upkeep
  • If one thing goes down, it effects all of our customers
  • Up to us to configure and deploy
Microsoft Exchange is well suited for larger organizations who would like to keep all of their email hosted in their own central location and have full control of how things are configured. Exchange would be less appropriate for smaller organizations who only need a few mailboxes. The cost and upkeep would be too high.

We use this company-wide for email. Previously, we also used it along with Lync 2013 for our unified communications. We had it paired with desk phones and integrated into Lync for IM. It's always been a very reliable email program. I can't recall ever running into any significant issues after applying service packs or CUs.

  • Mobile device email access
  • Integration with other software
  • Security
  • Unified communications should still be supported
  • Management interface
Probably the best bet for medium-sized businesses or larger. I don't feel it would be a good investment for smaller companies. There are good cloud solutions out there that would require a lot less initial investment in hardware and staff than getting set up with on-prem exchange infrastructure.
