We typically use MS Project for any projects that require project scheduling, task management/work breakdown, managing resource availability, and reporting on project delivery/schedule. As a project management consulting company, any time we have projects that need to be planned properly with a close eye on timelines and need reporting on to senior management, MS Project is our go-to software.

There are many Project Management software, tools, and services available. However, none can beat the planning or measurement against project baselines like Microsoft Project.
  • Project planning
  • Baseline measurement
  • Resource allocation
  • Useful report templates
Cons
  • Geared towards waterfall projects
  • Complicated to use/learn.
  • Clunky interface for report creation & modification.
  • Difficult to integrate with email and/or Sharepoint to send team alerts.
For large-scale projects that follow the waterfall method, Microsoft Project is possibly the best out there when compared to others in terms of price and functionalities/features. I've used it to manage software development projects, construction, engineering and product research, development, and manufacturing. All were multi-million dollar projects with timelines ranging from 6 months to over 3 years.

On the other hand, if you have a small software development project that is iterative or agile in nature, there are more suitable project management and collaboration tools out there.

It's an excellent tool for developing detailed project planning

I work as a coordinator of a laboratory at the University of Puerto Rico. In this role, I have to supervise graduate students to complete their research, thesis work or any particular project. Also, when we are writing proposals for research we need to provide a detailed plan of our research project. MS Project helps me manage the time these kinds of project take. In addition, it helps to elaborate on Gantt charts using task dependencies in case something unexpected occurs and the project gets delayed.
  • The Gantt chart tool has many options to manage costs and time in an organized way.
  • The file created in MS Project may be exported to be used in another MS Office software.
  • Customer support coming from Microsoft is great. There is always an article or forum to help me.
Cons
  • I would like MS Project to be more user-friendly. There are some functionalities that keep being hard to use like the time organization.
  • It should have a way of exporting a nice and well presented PDF document to be shared. Today is very hard to create a nice image showing the goals.
  • I think it should have integration with internet and social networks in order to engage other people to work together in an easy way.
Microsoft Project is well suited for creating formal documents to manage a specific project. It provides a lot of calculations that help to create a detailed plan for a project. I think that Microsoft Project is not suited for non-formal organizations like a group of friends or students because it is very rigid to be used for huge projects with costs and that kind of things. I think that it will be better if it gets easier to use with more simple projects. At least, it should have the option to select templates for different kinds of projects.

Effectiveness in planning new projects.

Microsoft Project is the right software for all companies that want to maintain a general control of the projects they handle in the various areas of the company. For us, this software has become very essential, because it has helped us to maintain an order in the planning and in the fulfillment of the tasks to be able to complete a specific project. In our Marketing work sector, it has become a very important software, since I have been able to plan projects, assign tasks for each employee in order to complement the project, review each of the tasks that my employees completed and I can also have a broad visualization of progress, performance and where my project is going. Microsoft Project is present in all areas of my company, it is the main project planning software of our entire company, and it has had a really remarkable success since it arrived in the area of marketing. With this software I have been able to track the activities that my employees are carrying out, I can know which employee is behind schedule with the fulfillment of the tasks and it also allows me to see Gantt-type charts, which helps me to know much more exactly the trend of growth or decline of my project.
  • I love the Gantt Chart that Microsoft Project offers me, because it provides me with a view from various aspects, it provides me with exact details about the fulfillment of tasks over a period of time, it also allows me to make comparisons with the necessary data and the fulfilled data. by the employees, in order to know exactly if the project's expectations have been met.
  • I love the Gantt Chart that Microsoft Project offers me, because it provides me with a view from various aspects, it provides me with exact details about the fulfillment of tasks over a period of time, it also allows me to make comparisons with the necessary data and the fulfilled data by the employees, in order to know exactly if the project's expectations have been met.
  • The alert system for the fulfillment and delay of assignments is perfect. Microsoft Project allows me to configure the task system, I can assign the necessary tasks to fulfill the project, and the software alerts me immediately if the managers are fulfilling the assignments.
Cons
  • The main drawback encountered while using Microsoft Project is that it does not allow me to modify the template or the general user design. For me, the UI that this software has is quite simple, and I would like to apply different templates or modify the layout of my MS Project workspace, currently it is not possible.
  • Sometimes the software crashes suddenly, throwing an error code, and the software closes immediately. This has happened to me when I am going through the detailed reports on my gantt chart, it is not something that affects me that much, but I think they should fix it.
  • I have not had any other problems with Microsoft Project, it has been an exemplary software that has helped me to maintain a very good project planning in general.
Microsoft Project is the perfect platform for medium and large companies. I do not recommend this software for small businesses, because all its functions in the work plans are high cost and this would cause the small business to not perform well in the use of MS Project in the long term. It is very easy to use software, it allows adding, modifying and eliminating all kinds of assignments and tasks for all employees, it allows monitoring the progress of all projects in real time and it also shows the gaps in the planned project. It has a very good performance, it does not take up many computer resources and all the information is stored in sync with the Office 365 service. It occasionally has crashing problems, but this is something that does not affect users as much.

Go with the gold standard on this one (Project Planning and Scheduling)

I use it to manage very large (>5M line) software projects with large teams. For me it's both an invaluable planning tool, as well as a status roll-up tool. If it were integrated into source code management, it would be even better. Nonetheless, it's without peers in project management, and I've used them all.
  • It's very well integrated with other Microsoft office tools. This saves me a lot of time when I'm writing up stuff for my team. I manage a lot remotely, so we rely a lot on written communication, otherwise I'm up all night with different geographies.
  • It's way too easy to get lost in the details. Microsoft Project has a great 'roll-up' view for overall projects or big parts thereof.
  • We have a number of very scarce resources, like academic advisors. While we don't control their schedules, we need to 'ration' access to them, and Microsoft Project is great at handling all sorts of resources. As we've gotten into more 'borrowed lab" engagements, we've been able to schedule and manage scarce physical resources as well. Better calendar integration would make that a lot easier, though.
Cons
  • Really good calendar integration, in all modalities.
  • A more expert-AI advisor. Each release has come with its own learning curve. I'm remiss in reading up on each new feature, as I primarily upgrade for hopefully improved security and support.
It's not particularly well suited for collaborative tasks with new or very infrequent users.

Microsoft Project is being used as the official software for creating project planning and controlling project resources across the whole organization.
  • Allows Collaboration using the File sharing option, this is very useful to share files with other members of your team.
  • Reporting is one of the strengths of Microsoft Project, allowing you to generate great reports with little effort.
  • Allows you to manage multiple Projects at the same time in the same organization; this can be achieved thanks to Master Project Plan feature.
  • Provides multiple views of the projects state, making use of Gantt Charts, resource usage charts, calendars.
Cons
  • The installation can't be done with the same Microsoft Office suite.
  • Requires significant training and experience with the tool to use it effectively.
  • Licenses cost could be somewhat expensive for little organizations.
Microsoft Project is well suited for medium projects where stakeholders need to access projects information constantly and the sharing of reports is very frequent.
