Policy Hub is used to manage our policies, procedures, and statutory training frameworks. This is managed by our compliance team on the most part, but other departments were involved in regards to updating policies, or managing documents within their particular area of the business. Our learning and development team owned the statutory training aspects.

  • Reminders of policies needing updating

  • Communication of impending developments - lots of bugs, and improvements were reported, but the communication whether these would be developed was almost non-existent.
  • Quiz output management - There is a lack of ability to report on quiz outcomes across multiple users.
  • Lack of flexibility - once something has been published there is no flexibility to make edits without retracting from everyone, and re-publishing.
It is suited to basic management of policies and procedures in a company where no flexibility is required. It isn't appropriate for companies who wish to work with blended media.

They sold a lot of capability within the platform, some of which was an oversell, and required further development (which never happened).

As an administrator of the product, it made what should have been quite simple tasks difficult. It served its purpose, but lacked any overall flexibility. My personal experience with the account manager was poor, as they were very unclear about what could be achieved on the platform.

PolicyHub is primarily used by IT and Legal departments with expansion planned for HR and manufacturing. Many of the policies that are published in PolicyHub are sent out corporate-wide. The software provides an excellent mechanism for deploying and tracking policy distribution to a large group of employees. It was purchased to help IT meet SOX, PCI and other compliance need and to provide a central location for policy storage, distribution, and user auditing.
  • Employee document compliance and acknowledgment is very simple and straight forward. Virtually no learning curve.
  • Software makes it very easy to publish to large or small groups.
  • Document retraction can be confusing. Document in the library will still show as published even though it has been retracted.
  • Reporting is lacking in some areas. We have had issues meeting compliance requirements for document review status dates.
The software is an excellent choice for basic policy reporting and tracking. If you plan to use it in a more complex way, say with SOP documents. You could find that some elements of the software are lacking.
  • PolicyHub is a cost-effective solution that allows our company to track and manage the many policies we are required to produce. It has significantly reduced the amount of time and effort it takes to distribute policies to employees corporate-wide.

A software solution that is strictly for policy management is not an absolute must-have. There are other ways to manage policies. With that in mind, the price was an important element in the decision process.

We are using it to track all of our policies within our organization. We also use it to track archived policies between different departments to ensure each and every person in the organization has received all policies and acknowledge receipt of each policy. This helps us by not adding additional work to HR.
  • Keeps track of all policies in a centralized location.
  • Single sign-on lets us be able to use our AD credentials.
  • The GUI interface is really nice.
  • The support can be a lot better. It takes a lot of time for support to get back to the user.
  • The search function doesn't work too well to find policies.
It is perfectly suited for companies that need to track policies for users that require that for compliance reasons.

It is being used across the whole organization as a cloud-based policy and procedure management tool. Employees access PolicyHub when they need to look up current policies at my organization and certain individuals have administrative access to archived policies in the event those need to be reviewed. PolicyHub helps us to ensure we have the most up-to-date policies available for our staff.
  • Response time. Anytime we have a question or comment, the team at PolicyHub is quick to respond and help us figure out next steps.
  • End-User versus Administrative Access. The End User only sees the policies they NEED to see, so an employee doesn't have to go shifting through needless policies just to find the one they want. Administrative access enables someone to see the entire system in a user-friendly manner.
  • Testing Functionality. PolicyHub not only allows acknowledgment features for policies, but we can also use the system to test our employee's knowledge base on key policies. This helps us with annual training requirements that we have as a federally-qualified health center.
  • Lists/Groups. This tab could be more user-friendly.
  • Finding the publication list. To find this list, you have to click a few times into the system. It would be nice for this to be a tab on the left-hand side where we could just see a list of what we've published recently. Given that many people have publisher rights, we need to see when things have been pushed out so we can be sure correct follow-up occurs.
  • Reporting. This is another tab where you have to click down a few times to get to the real information you are seeking. This could be more user-friendly, but this is only on the administrative side.
If you need a centralized location for policies and procedures, this system is great for the cost and effectiveness. While other systems had more bells and whistles, PolicyHub had everything one needs to maintain their P&Ps without costing a small fortune.
  • It has enabled us to maintain a central database of P&P to ensure everyone is on the same page. We were completely paper/manual before so some things didn't get updated appropriately. This enables us to review and comply with requirements we have as a federally-qualified health center. It also makes it easier for us to pull policies when we need them.

We have many users that use Mac books for computers, so it was important to see that this system had functionality in that world.

It does require some effort on whoever is the "owner" of the system for your organization, but once you have put that initial effort in place, it runs very smoothly. However, this is not a "turn-key" solution as you have to provide users and information to PolicyHub for them to implement the system.

It is a good policy distribution platform however the reporting tools could be better. If you publish something in someone's diary it shows that they are non-compliant. If you request a report it takes a long time to modify this as the system times out. The publication date is always the original date of publication and not the date people start with your organization.
  • I've had no real contact from anyone at Mitratech since they took over hitec. Except for an itro call with someone called Justin.
  • We made a number of suggestions to improve the system, like changing the publication date to something relevant. having the ability to temp disable people with a time frame etc but nothing has been done
  • You are not reminded of reviews and in order to review a document annually you have to manually set the reminder- not ideal
It is good for publishing simple documents.

We are currently only using PolicyHub with real intent. Ops Risk and Incident manager are too manual and not at all what you would want within a business. Its easier to use a spreadsheet and not at all what we thought we would get.
There were a number of calls and fixes that had to take place. we have a number of patches in places and bugs that needed fixing. we identified issues as we went along and became the company trying to test the system with no real benefit to us.
When PolicyHub was purchased the company was not aware of the other tools like SharePoint.
