What is SharePoint?

MS SharePoint / SQL refers to Microsoft Sharepoint, a web-based collaborative platform, being used in tandem with Microsoft SQL Server to provide business intelligence analytics and reporting. They can provide BI content such as data connections, reports, scorecards, dashboards, and more.

With Sharepoint, users can share files, data, news, and resources. Sites can be customized to streamline teams’ work. Team members can collaborate inside and outside the organization, across PCs, Macs, and mobile devices.

Sharepoint also supports the ability to discover data, expertise, and insights to inform decisions and guide action. SharePoint’s content management features, along with connections and conversations surfaced in Yammer, enable organizations to maximize their velocity of knowledge.

We used it across the whole organization. Sharepoint is used mainly for sharing files with teammates, as well as simultaneously editing them. We just tell each other that we have posted it on Sharepoint and that's all. Sharepoint allowed us to be efficient and saved us tons of time versus emailing the files around to each other all the time.
  • SharePoint is great for file sharing.
  • The ability to create and fill out online forms for business purposes is my favorite feature.
  • I enjoy having the ability to grant different levels of access to different members of the team.
  • Files saved can be easily tracked using your Office 365 applications.
  • Uploading documents, you can simply drag a document onto a site page in any browser.
  • It is hard to integrate sharing documents and uploading documents through my Mac.
  • Finding a specific file without a proper link can be very challenging.
  • Some of the sortings can be confusing when you are first learning the product.
  • Some of the set up is not obvious. I watched a lot of youtube to help me connect the dots.
I'm using Sharepoint to share the data across multiple entities across the organization. It is helping to share the data securely with maintaining data integrity. I don't like the quirks in the review process of a document. Sometimes, I might edit a document and can't save or delete documents because it is locked by me when it is in fact not locked.

It is a common tool for sharing data on an intranet which makes it very useful and easy to implement and show people how to use. If you can navigate a website you can navigate SharePoint.

MS SharePoint is currently the tool we use to manage all of our tasks. With SharePoint, we can lead the people we work with to one source to get information and store information. MS SharePoint provides users the ability to utilize a library to house their documentation for a limitless amount of projects while making it easy to find the information one needs. Additionally, MS SharePoint can be used in a similar way as a website, allowing people to get the information you choose to distribute to them.

[It's] currently used as a project and document repository. In a past organization, it was used to support some workflows as well.
  • It is very configurable and has lots of ways to customize views. Many options to choose from. You can do a lot of different things with the SharePoint tools.
  • Can do internal project oriented sites with many tools and capabilities. You can create an "entry site" or "working site" for your projects including things like a wiki and repository pretty easily.
  • Has separate views of the content depending on what you are trying to do. Makes customization easy.
  • Supports building some basic workflows. It's more than a repository.
  • If I want just a basic repository - that can be hard to configure given so many options.
  • I'm not quite sure what the best way to do what I want is. There are so many options.
  • Some of the ways tools are presented to the user and the language used to describe the features is not always intuitive and many times feels clunky.
Integration with Office365 is a big bonus. Complexity for return tends to weigh it down.

As the product changes, as SharePoint evolves and becomes even more mature, the reason I recommend people go to or use SharePoint in many cases is because it is a web platform. That means everyone in the organization can always access it with any browser today. So that is definitely amazing since we're seeing more and more "bring your own device".
  • Team and communication sites joined to a hub inherit shared navigation and a consistent look-and-feel, and each hub will receive its own landing page that rolls up news and important activity from its member sites.

We use this as a tool for the various divisions within the IT Department to store documentation, spreadsheets and other material that are provided to our auditors for our change management process. The security of MS SharePoint allows us to control access as well as the security of the information contained in the documents.
  • We are able to secure the documents much as we would if stored on a file server.
  • It provides a browser interface that is extremely user-friendly.
  • At times the properties (which includes the document name and URL are a bit cumbersome as one must click on part of the web site that is not intuitive.
  • The upload process is a bit cumbersome in that it does a brouse of the users PC.
Very well suited to create a browser interface for storing and retrieving documents. Security functionality is granular enough to work in large companies that have a high degree of segregation of duties. It is not appropriate if the documents must be cross-referenced with data stored in a database.

SharePoint is used across the whole organization, though each department uses it a little differently. It is a document repository for most departments; my department also uses it to track peer-review processing for quarterly case study releases. I log in to the site practically daily and monitor progress, frequently using the workflow feature to assign tasks to my colleagues.
  • The workflow process is fantastic - built-in functionality to assign tasks to your colleagues. You can even set up multi-level tasks, so that once one task is completed, the next kicks in.
  • Email alerts work well, so you don't have to log in to SP to see status unless you want to.
  • Version history is robust.
  • The search feature could use some expansion. I really wish we could limit searches to certain "libraries" or "sites" within the overall SP database.
It's great when you have a document(s) requiring review by a lot of people. They can all edit the same doc in real-time, or check it out and make updates on their local drives.

Microsoft SharePoint is being used across our Americas Division by a number of departments including Engineering, HR, Payroll, Finance, Customer Service, and Technical Support. The scope of how we used varies from department to department, but we mainly use SharePoint for document management and workflow approvals via the use of out of the box workflows and a 3rd party add-on called NINTEX Workflow.

SharePoint helped us digitize our approvals that were done via pen and paper or by email; with the use of SharePoint we were able to cut down the amount of time it takes our approvals to be completed.

  • SharePoint Workflows are one of the most useful features that can be used; setting up approval workflows is relatively easy for any user.
  • Another example of what SharePoint does well is the ability for admins and power users easily architecture the security structure of the SharePoint Site Collections. The access permissions can be setup in a way where there can be several sub sites and even document libraries that only specific users have access to.
  • Creating document libraries is another aspect that SharePoint does very well; users can use the "Open with Explorer" feature to start creating the document libraries which resembles how folders are created in Windows.
  • One improvement we would recommend is to make SharePoint work in all browsers; at the moment it only works well in a browser that has ActiveX.
  • Implementing a Visio like user interface for creating out of the box workflows would be a great feature.
  • Removing the needed local client configurations such as having the site URL in "Trusted Sites" and the need to run WebClient Service would improve the ease of use of SharePoint.
One specific scenario where SharePoint would work really well is if there's a need to digitize an approval process; SharePoint does a good job of creating approval workflows. Another scenario would be where there's a need for a central location to store a document where several users need access to work on it; that way there's only one version.

SharePoint is used as a general collaboration tool and a content publishing and management tool across the whole organization. Its ability to extend traditional IT services to a more of a self help model has greatly improved speed of delivery in many areas of our business. It has been a part of our IT Landscape since 2004

  • Many people believe it is a one size fits all and that it is a robust application framework for development. It is a decent enough framework for simpler tasks but too many people think it appropriate for more complicated applications and it is not.
  • Many think it will replace the need for NAS based collaborative file systems nut for an engineering and manufacturing organization the breadth of it file types and sizes does not make it a great use case.
  • The self enablement of business processes is a great selling point but if not carefully managed it will enable Shadow IT implementations that will make the support of the SP platform more perilous.

MS SharePoint is used as a collection point for communication of documentation and guidance within our department. The tool provides a live access to critical materials for the processing of audits and regulatory documentation. The site also provides a source for communication and tracking of training, sub-departments within the department, and methodology. We are also utilizing the Nintex workflows to reduce paper and allow tracking of various procedures and projects.
  • Workflows communicate with the process flow to keep a request moving with one click.
  • The ease to link the documentation and guidance to other software for user ease.
  • The format for the standard (non-designer) does allow a level of customization to appeal to the users.
  • The standard needs to incorporate more of the features of the designer package for greater customization.
  • All additional decision-tree capability to the Nintex workflow software.
  • Need for easier cross-reference to have a Nintex Community Site within the software.
The site is not designed to be a depository but the functionality of the communication is very useful.

  • As a document repository: This is the primary reason for SharePoint. However, it has been slowly replaced by OneDrive
  • A way to collect information: Many use it to create forms, surveys, or spreadsheets to collect information
  • As a "website": Some departments have developed websites with information.
  • To create forms or surveys so it collects information in an effective way including end-user information
  • To restrict access to specific content, folders, or files
  • As a repository that can quickly allow you to organize, filter, and search content
  • A way to have an entire organization in the same system. Using Single Sign-On makes this experience seamless
  • Sharing with others outside SharePoint. It is almost impossible to collaborate with others outside the organization
  • The tools to create "website" like experience are very outdated or hard to use. It should be easier to create for non-technical users
  • There is no seamless integration with other tools like chats or skype for business.
  • It feels like a disconnected tool from others. I have seen some improvements over the years but it still feels like it is on its own
  • There are not enough tools to create an actual community type of environment
  • To create an organized, searchable, and easy to maintain document repository
  • To collect information by using forms, surveys, or Excel files
  • If you are already using Microsoft type of services and technologies. The integrations are seamless with those products and it may be worth for you just because of the easy to use with Microsoft technologies

It was a collaboration tool used throughout my whole team. It was very helpful to share documents and presentations. Helped with version control and updated content and provides a sleek and effective way to share information across the entire organization.

  • Tons of features to choose from that you can customize to fit your business needs.

  • Time to load varies and can be a hassle when the entire company is trying to utilize one aspect.
  • Can be expensive to add features as well as customization. Each customization feature requires some the back office work to ensure that it won’t interfere with current processes.
  • Running more than one project at a time can become very messy. Projects don’t save correctly and sometimes are intertwined.
  • End bill can be extremely costly if you don’t pay attention to the customizations and extra scripting being done.
It is best suited for collaboration tools with your team and different departments. It’s not the best for a complete database of documents as it does have limits on uploads and requires special attention to it as it can become costly.

It is used primarily as an online document share, where users can view and edit documents collaboratively, both external and internal users. It solves allowing users to share spreadsheets and word documents and edit them collaboratively.
  • It has very strong Microsoft Office integration
  • It has a good document locking system (checkin/checkout)
  • It keeps a revision of all changes to allow rollback.
  • The rights management system is broken without a deny functionality. What ends up happening is that rights inheritance can be broken by anyone at any time simply by sharing a document, with no indication that they are doing it.
  • The single hierarchy is simply unnecessary. It is a holdover from file systems. There is no reason why a document couldn't exist in two folders with two different rights structures at the same time, allowing cross department and cross concern categorization of documents.
Sharepoint is fine when you don't have complex sharing requirements. Beyond that OneDrive does a better job.

We primarily used SharePoint (starting in 2012) as a file repository. Subsequently, we were able to leverage it as a business intelligence/analytics reporting tool. We likewise maximized the use of document lists and task lists by configuring these as dashboards and deliverables trackers. It addressed our need for real-time collaboration, document management, project knowledge-base and for project reporting.

Also as a KAIZEN initiative, we were able to reduce dependencies on Excel worksheets or macro-enabled worksheets and move these tasks into SharePoint also for faster and more efficient collaboration.
  • Ease of use - SharePoint is relatively much easier to use (whether end user, admin, or visitor) compared to other ECM products.
  • Ease of administration and customization - SharePoint is relatively much easier to administrate and to configure/customize compared to other ECM products, like OpenText which is quite limiting when it comes to customizing or extending features.
  • Scalable and flexible in terms of cloud-hosted infrastructure modeling.
  • Well, for Sharepoint Online, the add-on features which are free tend to expire within a month or earlier. It would be great if these free add-on features would last longer or last permanently.
SharePoint is well suited for projects involving: decommissioning of end of life systems, databases, repositories and then migration of legacy data into the new SharePoint platform.

Microsoft SharePoint is used as part of our document and project management system. We developed our own version of Project Management on SharePoint and although the effort level was very high the end result meets our needs. The team of developers needed to build and debug the system was about 4-5. It manages our publishing process (each publication is a project).

Microsoft SharePoint is good for basic intranets out of the box. Apart from that be prepared to put in a lot of effort to get the particular results you want, particularly if the outcome is complex. Although I have heard that SP is a solution looking for a problem I think it is far better than that and your imagination is the limit of what can be achieved with this product. The balance is the amount of effort to get the desired results.

MS SharePoint powers both our corporate intranet and team collaboration sites. The corporate intranet mainly consists of departmental websites and blogs that contain announcements, photos etc. The team collaboration sites are used for operation and project collaboration. We store documents, project stuff, schedules, meetings etc., in our team collaboration sites.
  • (This is for SharePoint 2013) SharePoint has many apps, web-parts that I used for collaboration. My favourite apps are the Schedule and Lists app.
  • (This is for SharePoint 2013) I used to have nightmares maintaining new, announcements, and minutes in SharePoint but after upgrading to SharePoint 2013, the editing controls are MUCH better. This editors are now better thn WordPress in ease of use because of the Word-like functions.
  • I like SharePoint for its integration to our AD. Managing permissions and access is much easier as disabled accounts are automatically locked out. Furthermore, some apps allow using the info directly from AD like the Project Task List.
  • SharePoint 2013 also works well with Microsoft OneDrive for Business. This convenience can be a lifesaver sometimes.
  • Overall, I used to have bad impression of SharePoint when it comes to the text editor but this has been rectified in SharePoint. 2013.
  • SharePoint should hide features that one does not have access to. It's kind of annoying when when you get access not granted.
  • It's also annoying when you cannot use a certain function because of its integration with Microsoft Office. Case in point would be Workflow and MS InfoPath. (On another hand, it can be a a plus point e.g. Lists and MS Access).
I am actively promoting SharePoint as project website (using a sub-site) to my colleagues. A centralised WBS list, contacts, minutes, documents (sync'ed via OneDrive) is pretty useful and convenient. In another case, I used the Lists App as a tracker of requests for new projects for my department.

As a contractor our client currently uses SharePoint to automate the process of capturing, reviewing and approving data. SharePoint is also being used for housing data regarding training and it is also being used as a help desk solution.
  • SharePoint allows information to be accessible from a central location. A customer once stated that they had a huge binder of contact information and their clients would call them for the details in that binder. If these clients needed this information in different regions it would be impossible because no one was available to ask for this information. Also for the person finding the information they'd have to look through pages and pages of binders. I created a solution where all of this data was put into a SharePoint list and created ways for clients to be able to search for the information they needed.
  • SharePoint workflows can work wonders and make day to day work efforts a lot easier. For example, I have worked for an organization that used SharePoint as a help desk site. When I needed to contact users regarding a ticket it was often a nuisance to open up an inbox to correspond with them. I created workflows that had intimations so that I could customize the message going out to the customer. It made my work life easier.
  • Branding is a beast; even for those who have been web designers for years. I'd like to see this improved in the years to come.
  • The ability to create custom actions and have them appear in the ribbon if an InfoPath form is being used.
SharePoint is great for intranet sites and collaborative sites. I don't think it's great for when end-users need to store loads of data/files and have to retain the data for over 5 years.

SharePoint is being used as a repository for all commercials throughout all divisions at our organisation. It governs compliance, risk and records management within the SharePoint farm. Records Management has also alleviated the manual task of having to manage this process manually and do the time consuming shredding of documents.

Through workflow process, we now have automated processes in place that has eliminated the risk associated to paper and the actual printing cost. Tasks are scheduled and can be tracked by user. Audit trails and versioning keeps our business compliant and transparent.

With POPI, SharePoint has allowed us to put restrictions on certain documents within the SharePoint farm, allowing us to navigate what rights each user should have right down to a read only right.

SharePoint has provided us with a company Intranet and it has been a value add in terms of a collaboration tool, when sharing and working on documents between the various departments.

I highly recommend this product. I have worked with many similar products and this for me is by far the best when it comes to license cost and customization. There is also a lot of support and IP readily available online and at various service providers. Many other products are only marketed by a few companies and restricts the after sales support to minimal options within the various regions or countries....with a Microsoft product you will always have a span of companies that can assist you, which equals less downtime and frustration at the end of the day.

With the right service provider, your repository will not land up like a glorified file share, like I have seen in so many instances with other products - like Laserfiche etc.

If you are a Microsoft client and have software assurance, you can also request deployment day vouchers and with the right accredited service provider you can get services and scoping resources for free - Microsoft pay the service provider to do it on their behalf - costing the client nothing...show me another product that allows for this!

  • Adding an OCR engine for multifunctional printers, as opposed to using third party products. Especially now that devices can scan directly to SharePoint these days.
SharePoint is well suited in all environments and you can tailor it to your needs. Office 365 E4 will give [you] this platform at no cost and would be more suitable for an enterprise client. I recommend Office 365, as it means less infrastructure costs, go cloud! I honestly cannot think of an inappropriate situation for SharePoint.

It is used by the Academic Advising centers for the whole university. It allowed us to take a lot of data and bring it into one application. It organized everything we used to advise students with.

If you have a lot of data to organize, SharePoint is a fantastic tool. Even if you don't have a ton of data, it's still useful to organize everything. If you have a lot of employees, it's an easy way to post announcements for everyone to see.

We use SharePoint as a central hub for workflow tasks, as well as a document repository. Underwriting uses it to process policies; HR uses it to track vacation requests, and agents use it to access applications and rate pages remotely. It provides quick access to processes and documentation without the pitfalls of a traditional shared-folder structure. Workflow development with SharePoint Designer is straightforward (for simple tasks).

  • Easier method of uploading documents for end-users. Some find it confusing.
  • Extend notifications to SMS.
Business processes that require workflow, approval cycles, peer review or collaboration are well suited for SharePoint. Designer is powerful yet easy enough to develop simple workflow logic.
SharePoint doesn't perform well as a file repository for things such as photos, videos, etc. More traditional file servers are better suited in this respect.

We use SharePoint as our company intranet page, it offers up typical intranet data but primarily is used as a vehicle to share information between our internal departments as well as our sister companies.
  • It allows us to display dynamic data to our internal staff.
  • Responsibility for maintenance of data and pages can be delegated to members of the company outside of our IT department.
  • We are a Microsoft only shop, and its integration with our other internal applications was unmatched.
  • It is a beast to maintain, it is definitely suited more for a medium to large organization with the ability to dedicate an employee to its maintenance.
  • It's a resource hog. We're running a dual server setup, and no matter how much hardware we throw at it, it's never been snappy (as I said above, a dedicated admin could probably fix this).
  • The major changes between versions, while normally welcome are not well documented and make for a couple of uncomfortable months during an upgrade.
For medium to large organizations with the man hours to dedicate to it, SharePoint can be a fantastic solution. For smaller departments, it's a beast to maintain and unless specific feature sets offered by SharePoint are required, I'd suggest looking at some of the newer collaboration solutions on the market.

MS Sharepoint is the central repository for all documents in our technology department. MS Sharepoint addresses business and technology needs by allowing users to create, maintain, and store all technical documents. MS Sharepoint allows users to easily share and distribute all documents and to create customized client reports. MS Sharepoint solves the challenge of sharing documents between business and technology users.

  • MS Sharepoint does particularly well at storing and organizing all documents.
  • MS Sharepoint Reporting features is compact yet powerful enough to handle creating custom client reports.
  • MS Sharepoint's presentation of documents, folders and personalized pages makes it simple to retrieve and share them scross teams and groups via URL links.
  • MS Sharepoint provides features that offer users to subscribe to particular topics or discussion groups and encourages knowledge sharing.
  • MS Sharepoint could improve on providing more features when creating personalized web pages for documentation.
  • I would like to see upgrades to the reporting tool for creating SSRS reports including advanced formatting and database utilities.

We use it as a document repository across the organization for every department. It is also used for its calender's for stuff like a vacation calendar for employees, or who is on call for each department. It also keeps a version history for every document so we can keep track of edits. This all helps us keep ISO compliant.
  • Keeps documents up to date for everyone
  • Lets us be ISO compliant
  • Calendar management is easy
  • Editing documents is a pain
  • Only works correctly in the Internet explorer browser
  • Very slow and annoying credential checking
This is basically the equivalent to having Google Drive, Dropbox, or one drive, just at a bigger scale that does not work as well. Basically collaboration is non-existent and very hard to use. You must manually check out the document, edit, save, and check back in. Plus it only works for certain file types well. Using visio diagrams is a pain. There are much better alternatives.
