Nextcloud is used as a fully flagged PIM solution (calendar, addresses, messaging) with the addition of easy file sharing. With the available desktop clients for all major operating systems and mobile clients, everything can stay in sync. As this product is open source and can be hosted on-prem, the only costs involved are resources and administration. The basic applications that come with Nextcloud offer file viewing of PDFs; if you're looking for office functions like word processing, there are various plugins.
  • Contact sharing via WebDAV.
  • Calendar sharing via CalDAV.
  • File sharing via web browser and Nextcloud client applications (desktop and mobile).
Cons
  • Sync conflicts need to be resolved manually in some cases.
  • It's not very straight forward to setup versioning for files.
  • Creating a preview of files sets the server under heavy load.
For a SOHO business, this solution is ideal. You don't need to administrative overhead of other products like GSuite, and it saves licensing costs. The maintenance effort is minimal as long as you use their default applications. Migrations to newer versions can be done with a few commands and run automatically. If you're planning on using Nextcloud in large deployments with many users, you'll start to see higher costs on your resources and maintenance. There will be a point at which Gsuite becomes easier to manage.

  • Quick setup with minimal cost.

  • User training required for cases where manual sync conflicts need to be resolved.
PIM and file sharing are the same as you get in Google's Drive/Calendar. With extensions, you can also implement web meetings (e.g., by using Jitsi), but this comes with more administrative effort. In the end, this comes down to how big of a user/customer base you are supporting. For small enterprises, Nextcloud stacks up very well against its big competitors. At a large scale, you will have increased maintenance and resource costs which you need to check against licensing fees for the cloud providers.

Nextcloud is used as a core alternative for our key services: files (internal and with clients), calendars and address book, kanban (deck) for agile development, chat and edit/comment files online.
It is used across the whole organization as a central hub which operates as a bridge between departments.
It addresses the need for:
  • Privacy, no activity or data are ever analysed.
  • Digital sovereignty, all of our data are on a server which we control 100%.
  • Single software/UI for several activities.
  • Accessible also on mobile (iOs/android).
  • Ease of installation/maintenance (sysadmins).
  • Ease of use (users).
  • File sharing (internal, public or federated).
  • One software, many activities (files, address book, calendar, chat, edit, email) ...
  • Groupware, sharing between users or groups is really easy and finely controlled.
  • Integrations and many apps.
Cons
  • Merge talk and file client apps on mobile devices.
Nextcloud is well suited in any collaboration scenario where users wants to share comments and resources as well as organize events or work together.
It is also very well suited for non-profit organizations as it is free to use and very simple even for non-tech users.
I can't imagine scenarios where it might not be appropriate as running requirements are minimal (php, mysql) so even a single user could find benefit to use it as an alternative for basic icloud or gmail use (files with desktop and mobile clients, calendar and address book).

  • We do not spend money on software license (unlike Office 365).
  • Very simple maintenance and upgrading.
  • Very simple backup and restore.
Even excluding the budget and privacy concerns, we selected Nextcloud for its simplicity of use and the UI is very clear.
It just does what it is supposed to do.
  • No license.
  • Much, much ease of use.
  • Not opening several windows.
  • No un-useful services.
  • No automatic update.
  • Control over data.
  • Open-source software.
  • Integrations.
I never needed support as everything always worked fine. The documentation on Nextcloud website is extensive and clear. The community is very active on the forum and should support you if you don't already find what you are looking for.

As a leading tourism business we need to keep the whole organization updated on what's happening and what should we do at what situation. We use Nextcloud in the whole company. It's an excellent tool to replace a team network drive, and especially for sharing files with outside users in a password-protected environment -- we use this daily. We also use additional tools such as calendars and scheduling.

  • Videoconferencing tools are resource intensive.
Nextcloud works well in a small organization where you need to quickly find an alternative to closed-source or hosted filesharing. It is very flexible for sharing documents with partners, clients, an accountant, etc. It integrates smoothly with email software such as emClient for calendar handling and for sharing large documents (a link will be shared automatically, instead of attaching the file). It is probably less appropriate for very large business environments where the database and rights model (shared folders) is too simple.

  • Reduced costs: Cheaper than hosted alternatives if you need a lot of space.
  • Professional impression on partners and clients (branding, security).
Dropbox was no longer an option due to their hosting policy. We needed an EU-based solution, preferably open source and self-hosted. There were also security leaks with Dropbox in the past. OneDrive is dreadfully slow, Nextcloud is as fast as you want it to be. On a dedicated server with 4 users, it is lightning fast.
