My organization was able to use Nintex workflows to compress processes that previously took multiple steps (with multiple points of opportunity for human and technical errors) into a single step from a user point of view. Being able to eliminate the possibility of any one step being forgotten or bottlenecked was great. Additionally, the automation allows for the system to function independent of any one employee being at work, eliminating the fear of the "person who knows how it works" to leave and take the functionality with them.

Nintex workflows are best suited for large companies with repetitive tasks. With large groups that often find their members in different physical or geographic areas, there is opportunity for group think. Tasks that are repetitive and time-intensive are often overlooked as each person thinks it's the other person's responsibility to complete said task, resulting in the task not being completed. Additionally, compartmentalization in tasks with large companies leads to subject matter experts (SME) hording their specific knowledge. When they leave, they often take that knowledge with them, setting back workflow processes and requiring "re-invention of the wheel". Since the Nintex Process Platform allows tasks to not only be automated and repeating but assign more than one employee as the owner, it eliminates those hurdles.

Regarding scenarios less suited for this platform, smaller companies where each task is highly different from the last. On any scale, automation is helpful; however with small businesses where there is a high degree of personalization and uniqueness to each transaction, automation might be more trouble than it's worth.

My current usage of the Nintex Process Platform is integrated into a Sharepoint system that my company uses to build team resources and homepage. In a call-center environment, we often have lists of questions to ask in a diverging branch design, where the answer to the previous question dictates which question to ask next. Nintex allow me to create forms that alter their questions in real time, shifting the questions yet to fill out based on the answers to answers already submitted. This real time flexibility allows for more targeted responses without bombarding people with white noise of questions that are not relevant to their individual inquiries and needs.

Another situation the Nintex Process Platform is used is in employee training tracking. We have a list of all our employees, and due to staggered hiring dates, often they are at different stages of training. Nintex allows us to build processes to track their progress and alert us of upcoming milestones, so that we can update their system access accordingly.

Currently the Nintex Process Platform is available to anyone in our organization who manages a Sharepoint site, which is quite a lot of non-IT people. Supervisors need only ask for access to be granted a portion of our servers to build their own digital playgrounds. A quick tutorial in both SharePoint and the Nintex Process Platform is necessary to get them up to speed, especially those who learned previous versions (a recent update is somewhat different from the previous version). It's almost easier to learn the new system from scratch than to approach it with habits built from using previous versions. However it's not very "code-heavy" so non-IT people can pick it up relatively quickly.
Unfortunately I have not used other products that are similar to Nintex Process Platforms so it's impossible for me to compare it to any competitors. Not necessarily because of a lack of experience, but because Nintex has thus far continued to not only meet our current needs, but prove feature-rich enough to grow along with us as our needs evolve. We've had no need to search for an alternative as of yet.

To my knowledge, Nintex Process platform is mostly utilized by the leadership team in my organization. We are very large so there might be sections that I have no line of sight in, but the functionality of Nintex PP is utilized in our call centers to automate certain administrative tasks, which allows our agents to be on the phones longer and have quicker access to relevant and necessary information.

There might be more, but I attend a monthly meeting where anyone who has questions regarding Nintex Process Platform or SharePoint can bring them before a handful of subject matter experts. If there is an urgent issue that cannot wait for this reoccurring meeting, we can outreach to the meeting leaders, of which there are about 4 people to chose from.

I use the Nintex Process Platform, encourage others to use it, and know that a non-insignificant level of functionality would be lost if the license was not renewed. There are more complicated and labor-intensive ways of simulating the work that N.P.P. does currently, but why would any company want the more complicated, labor-intensive option?

I was not present at the initial implementation of the Nintex Process Platform, so I cannot speak to how smoothly it went.

I feel the Nintex Process Platform was moderately easy to learn without formal training. A quick Google search to learn what functions the system can offer lets anyone with an imagination think of ways to apply those functions to their company and workflows. After that, a few YouTube videos on the specifics can get you where you need to be.

I have yet to utilize the formal vendor support, so I cannot speak to it's efficacy. However, I do expect to utilize them eventually, and the links to them via the Nintex Process Platform itself bodes well that the support team is open to helping and willing to assist in my issues.

I truly value the functionality that Nintex Process Platform has afforded me. It has saved me time, and ensured certain multi-step tasks no longer have portions that fall through the cracks due to my human error. Not a perfect score due to a less than comprehensive built-in training mode, but a few YouTube videos can remedy that.
The scalability is really bottlenecked by the imagination of the user. I was able to make processes for my own personal usage, making my daily tasks easier. I was also able to make processes that affected hundreds of employees, making large standardization and efficiency gains. So either way, the system is used the same way, and I was the limiting factor.
The Nintex Process Platform has never crashed or had any availability issues during my usage. However there was an issue that was of my own making that caused a slowdown of the system. I had set up a process to run once a day and check for employees on a list that had certain parameters selected, and for some reason that I had to troubleshoot, the process instead ran constantly, which filled the cache quickly. I ended up having to dismantle that process so the system didn't crash.
Nintex Process Platform is integrated with SharePoint at my company and I find it to be very responsive and quick. I've never found myself angry at the speed or limited in any way from accessing the processes or programs I needed to access. Maybe Nintex should teach Internet Explorer some tips about not being a terrible program!

Nintex Platform solves issues of pre-onboarding prospects, onboarding clients, and day to day client services. It assists in moving away from all email communication to more communication through Slack and Salesforce. It has helped us to automate business processes and has helped users to be productive even while out of the office. It is user-friendly to create forms that can be available on desktops and mobile devices.

One can run Nintex Platform as a workflow owner; you can define exactly which roles/people/groups can have access to an item at any given time during the workflow process. You're lucky to be in an organization that only has 1 regulated process in SharePoint.

The feature that I found most valuable is the deeper loops, and also deeper schedules so that you can schedule a particular workflow to a particular type.
Initially, the product was very stable, but with few isssues here and there, in any case, we are now at a point where we are trying to move away from Nintex.

  • When running a large workflow it can be very difficult to determine which action caused the issue. Also, due to the large amount of actions running, having the correct timing or sequence of update actions is also difficult to manage. To resolve these types of issues splitting the workflow is also recommended.
A good method would be to have a set of updates in the first workflow, commit the changes (with a “Commit pending changes” or a “Delay/Pause” action) immediately afterwards then use a “Start workflow” action to initiate the second workflow process. Using this method, both workflows will essentially start automatically however they will not clash and both attempt to update the item at the same time.

THE BOTTOM LINE is Nintex Workflow Cloud has arguably the best visual workflow editing and automated logic environment of all the low-code development platforms we've tested, but its basic app UI design and database capabilities need deeper integration and improvement.

Nintex has Good functionality across the microsoft platform. It has good visualization of the flow but Documentation of form customization is weak. Some features do not work as anticipated.
Unlike any other process automation product out there. Not only is it a low-code, easy to use tool for building processes in environments like SharePoint or Salesforce, they have really started to expand their tool-set by offering tools to manage other things like process mapping, RPA, mobile,etc.

Nintex Platform is used business wide alongside SharePoint. We use it in many lists with Nintex Platform forms, and we use Nintex Platform workflows to automate manual processes. We have hundreds of workflows and many forms. Nintex Platform has been instrumental in aiding different business departments to become more efficient and enable resources to be used in a more productive manner.

Nintex Platform is well suited for SharePoint. We have used Nintex Planform in several departments for lists and forms to allow for rich user experience while being able to control how the form works. The workflows have provided many instances of turning manual processes into automation, such as paper forms being filled out now use Nintex Platform forms with workflows behind the scenes that notify the owner of the document. Agents can fill out information through a form, and the information is sent through a workflow to our department, agents can request a calendar appointment through SharePoint, and Nintex Platform creates appointments on Outlook.

We use the Nintex Platform in all of our environments, as well as internally and externally. The Nintex Platform must continue to improve its product and listen to the customers because we provide support to all of our users through the Nintex Platform. If we can't offer what the users want, then the Nintex Platform would not be able to be our only option to go to.
We generally only allow IT staff to use Nintex Platform. Forms can be used by non-IT once they are trained, but because Nintex Platform allows for web service calls and logical thinking, workflows are currently restricted to IT. I think that in time, business users who are trained to use Nintex forms could implement simple forms to allow for a nicer UX.
We only use Nintex.

There are the Nintex Admin, who administer, create and build Nintex forms and workflows. There are the business users that use Nintex behind the scenes, usually without knowing it, and use the Nintex forms and workflows which have helped automate their business processes.

Nintex provides an efficient solution to automating processes within SharePoint. Customer Service at Nintex is great, I have had to reach out a few times for questions or issues and there is always a technician that responds within a short amount of time. We have been using Nintex for several years, and a lot of our forms and workflows are built with it. We are aware of the other options in the business, but we have found that working with Nintex provides the solutions that we are looking for and the customer service to back it up.

I used the Nintex training software, it was easy to watch and follow along. It didn't go too fast and was descriptive enough to understand what the steps needed were in order to produce efficient workflows and user friendly forms.
From what I have seen in Central Admin, there is enough configuration without making it too complex. We can adjust who has what workflow steps based off of groups we create, and that was one of our major concerns.
Train your users! I would recommend IT folks but if you use business users, make sure you incorporate technically inclined business users since some of the workflow steps can reach out to web services.

I have had to contact Nintex a few times regarding questions or issues about the product. I have always had a technician respond within a few hours, and they continue to reach out and ensure that the problem is resolved before closing the request. The technicians are knowledgeable and helpful.

I had a question about the Nintex Outlook step that I could not figure out. The workflow was failing and I did not understand the message it was giving me. I reached out to Nintex, thinking it was a workflow issue, and the technician continued to discuss the issue and do the research necessary to fix it. The issue wound up being Exchange permissions, which we would not have figured out without his help.

Nintex is great to use as I've stated before, and I implement it for business users company wide. It has allowed for automation of so many manual processes and created ease of use while maintaining a nice user interface with the forms. The business users enjoy the forms that they work on and the automation that takes place.
Nintex allows for several things to be used in making manual processes automated. It can be used for simple things such as small SharePoint lists to large scale projects such as extensive workflows and forms.
I have never encountered a Nintex outage.
I give this a 9 because Nintex overall has been exemplary, except for responsive design forms seem to be a little slow when getting complex.

Yes, the process went smoothly and there were no major impacts. We updated the software through Central Admin and tested it first on our Development and Staging environment, and then rolled it out to Production. We did testing through our SharePoint lists and workflows and established that the upgrade had gone according to plan.
