What is Notion?

Notion blends everyday work tools into one. Use cases might include a product roadmap, a company wiki, meeting notes, and other use cases.

With Notion, they're all in one place, and customizable to meet the needs of any workflow. It is designed to be a workspace for teams, or entire companies. The goal with Notion is to make it possible for everyone to shape their tools to suit the use case.

Notion can be pre-configured with a wide array of templates to meet various use cases. Many templates are free, and others are available for a one-time fee. Notion can also be customized by hand using a drag-and-drop workflow builder. Everything appearing on a Notion page is a block. These blocks allow users to add various kinds of content, like text blocks, checklists, graphs, etc., without needing to code.

Notion is a hub for asynchronous communication. Collaborative docs make everything go faster. Notion helps users to never miss a message, always know what's next, and edit docs without stepping on each other's toes.

Notion can be tried free, and is available on a perpetually free plan for personal use. When we talk about Notion, I love to use the book analogy. Notion is like a page that is easy to manage thanks to the block content. We can arrange those blocks based on our needs, and also, we can have a full search across other pages.<br><br>We basically use it for our internal documentation, like the HR handbook, to explain how the recruitment and onboarding process goes and technical documentation about our software development process. But when you're familiar with the <a href="https://www.notion.so/guides/types-of-content-blocks" target="_blank" rel="nofollownoopener">Database block Type</a>, you can turn Notion into anything. For example, some departments use Notion as task management because the database block type can be viewed using Kanban, Calendar, or Timeline view. You can always look for inspiration on how to use Notion from their <a href="https://www.notion.so/Notion-Template-Gallery-181e961aeb5c4ee6915307c0dfd5156d" target="_blank" rel="nofollownoopener">Template Gallery</a>.<br><br>Another cool feature is the sharing options. You can easily manage other users to view only, comment, or edit on specific pages.

Notion is the most flexible project management/note taking do it all program I have used. It combines note-taking with the ability to assign tasks, build out project management, and use some excel format formulas all in one application. It is truly a well-thought-out flexible platform. They keep adding new features which make the product even more robust.

We leverage Notion as a knowledge base which has really helped with onboarding for our company as well as a note-taking app that allows us to easily share with fellow coworkers. I leverage it in marketing as a project management tool for our content. It easily allows us to gather research, organize it and then write our content, all in Notion all while helping us keep track of where every piece of content is in the process.

Notion is a versatile and convenient software for note taking and general organization. In my company we've used it to implement a Kanban methodology and keep track of different meetings in the week, plus having a centralized point to access important documentation that is presented better here than in a word document.

Positives
  • All device sync: whether you use Notion on your laptop or on your phone, the content you create is automatically updated and available on all devices.
  • Notion API: The software distributes documentation to connect your Notion content via an API to other services you might use.
  • Tutorials and templates: Notion comes with default templates that you can use to create pages suited to certain needs. The Notion webpage also has different tutorials to become a power user easily and quick.

Negatives
  • Free use limit: Notion allows users limited access to premium features by counting the "blocks" used by the user. The problem is that there isn't a clear definition of what are "blocks" and how are they measured.
  • Random freezes: When changing between Notion and other apps on my laptop, it would freeze and show a blank screen for a couple of seconds to a minute.
  • Portable between devices
  • Extensive tutorials and documentation
  • Free templates for different use cases

  • Confusing measurement of free use of premium features by "blocks"
  • Uses OS emojis (MacOS's look better than windows but can't choose which to use)
Notion is good for a plethora of use cases. The templates that it offers give just a few established pages for common uses but these are some of my favorites:
  • Kanban board: we use it a lot in my company to manage tasks and meetings
  • Note taking: whether in a professional or academic environment, Notion is well suited to take notes of everything regardless.
  • Software documentation: the "code" component to insert code snippets is perfect for creating tutorials and documentation for software development.
  • Finance control: I use the "my finances" template to have a proper following of my monthly transactions, which allowed me to be more responsible with my money.
  • Inventory management: Since I own multiple peripherals and general equipment, being able to have a portable inventory of all of it that includes their original value, warranty length and current state has been perfect to know when clean, maintain or straight up replace everything.

I came aware of Notion when preparing for a complete update of my course material as a university guest professor. In this capacity, I share from experience as consultant in the construction industry and bring this into the broader subject of "Building Information Modelling" (BIM). As the previous course has evolved from a Bachelor to a Master's Course, I needed to rethink the whole course content and structure.

While I had been planning to write a course text, I was initially reluctant on how to organise and publish it. Having had experience with traditional documents mostly (Word and LaTeX), those were the first attempts, but as the main concept of BIM is situation in digital transformation of the industry, I felt I could do better.

After a series of tests with a variety of dedicated writing tools (e.g., Scrivener), a blog-oriented writer tool (MacJournal) and some preliminary tests with Markdown platforms (Gitbook, Docsify, ...), I discovered Notion. And it had the incredible balance just right between an accessible Markdown-style writing environment, an open flexible structure (pages in pages) and integrated tables with database behaviour, this fit really well.

So its main use for me are in the form of a course (wiki-style) and as knowledge management. Being able to embed interactive content and having no barrier between writing and online publishing, I decided to adopt Notion for this purpose.
  • Flexible document organisation (everything is a page, pages can have subpages)
  • Embedded tables which act as databases (tables with relations, filters and views)
  • Simple markdown structuring
  • Direct online sharing (no separate publication steps)
  • Free Personal Pro plan for academic users
  • The depth of the formulas is a bit limited (e.g., when compared to Coda)
  • No way to group rows in a Table
  • eBook export or full publishing workflows are not available (but workaround seem to exist)
  • Turning a basic spreadsheet (I have countless of those scattered around when researching subjects) into a database with views and filters, in a clean layout.
  • Embedding interactive tables inside a document (no duplication of information required)
  • Clean and friendly minimalistic styling
  • No additional steps required: everything you write is "live". You only have to decide whether to make a doc public or not

We are using it within the design team as a place to collaborate, manage tasks, share knowledge and take notes. It solves our previous problem of having all sorts of things spread out across multiple platforms.
  • Robust: Notion is so nicely made and really robust to use
  • Databases: I love how Notion handles simple databases, allowing tons of flexibility of viewing and sorting
  • Mobile: The mobile app is really nice
  • More embeddable media types
  • Needs a refresh every morning
It's so open that it's good for anything, honestly. Because it's so flexible, you can use it for task management of varying complexities. Less appropriate if you need visual design control over your notes, and collaboration is really only possible with someone who also has a paid account, keeping it relatively closed off.

This is the tool that my organization uses for the bulk of our team and client communication outside of email and Slack threads. It is our note taking app that we use to help manage client meetings and keep the internal teams cognizant of what is going on and what was said in the client meetings.
  • The UX/UI of the platform is so simple and intuitive that we found the training on the platform to be almost redundant. It works how you expect it to when you expect it to.
  • It is adaptable. You need to share docs on one client across the entire team, done. Do you need folders for different phases of the project? No sweat. It is adaptable to pretty much all projects we have used it for.
  • It is cumbersome in offline mode, not unusable, just slow.
  • Can't scan a note using your phone/tablet camera, only can add notes as an image.
Notion is one of those platforms that is really good at helping you close out other platforms that do some but not all that it does. One of the best things that it has done for us is allowing us to stop using so many project management platforms. The only thing that I would not use Notion for is an in house program; it is set up perfectly for agencies though.

Notion is one of the emerging productivity services that help users like me to take notes and create to-do lists easily. Notion gives simple and beautiful writing experience that supports more than 30 media types. Dark mode must be coming to Notion next week. I'm not quite as excited about this feature as other possible coming feature but it's still a welcome move.

If you are looking for an alternative to Evernote or Google Docs, Notion would be the best choice for you. You can Keep records of everything and Capture your unique workflows easily. One of the highlights is that it supports both Kanban board, Calendar view and even list view. Note that free account is limited 5MB file in size.

We use Notion across our startup for all meeting minutes, note taking, company info, process docs etc. It helps us centralize all of our notes so that they're accessible to all of the relevant parties. We also keep steps for processes we use in Notion for new employees etc. The biggest pain it solves is to help us organize everything we need so that stuff doesn't get lost. It's also a super flexible platform so we're able to organize information in a lot of different ways.
  • Extremely flexible. It allows us to be able to organize and display information in almost any way we've needed to
  • It's extremely intuitive and easy to use. Even the shortcodes you can pick up very quickly.
  • They have a great app and a seamless experience across web app, mobile, and even desktop app if you want it.
  • They claim they want to be able to be an Airtable, Trello etc, but it's not quite there yet and even if it was it may be too much to pack into one software.
  • It's very pricey and they have a terrible trial. As great as it is, it's difficult to make the case to pay what they ask for, especially for most startups. They should definitely have a better free tier
  • Honestly not much else. I really like it.
Notion is great for organizing anything meeting related. It takes the place of Google Docs in a lot of scenarios. It's much easier to open docs and navigate around than a Google Doc.

Where it isn't as good is on the project management side. They may be trying to be too many things at once even though they're doing most of the things they do do very well.
