OpenText Content Suite Platform is used primarily for records management and physical object tracking. We also have several integrations with other systems to make the data available from other applications. We currently have OpenText Content Suite Platform, OTDS, OTTeamSite, and OTMM in-house. All are managed on-premise. We currently integrate with other COTS software, as well as internally developed applications.

We use OpenText for record management and object tracking. It also offers great content management options for staff that are less experienced in technical backgrounds. Our organization uses it as it offers great retention schedules where you can be able to go back to previous scenarios thus benefiting from the files that are recorded.
  • Great document management where you are able to put them into corporate folders depending on the tasks you are working on.
  • No knowledge of HTML is required thus making it easy to use.
  • You can manage physical objects.
Cons
  • Reporting can be quite tasking as no applications for this come with version 10.5.2
  • Lacks flexibility and modern tools on some versions user interface.
Great for content management and records even for organizations whose staff are not much experienced in the technical backgrounds as it's easy to use and no previous knowledge on HTML is required. It is great for storing invoices and payment proofs and for organizations dealing with global clients for general use documents.

We have implemented it in 13 departments within the Western Cape Government. It is being used through the whole organisation for document and records management. The file plans of the various departments as well as the retention schedules are being used to manage the documents. A strict records and document management policy are being adhered to within the whole organisation managed by archive services.
  • Document Management is being done well since it allows you to put in a corporate folder structure that applies to the business unit you currently work in.
  • Records Management works well in this organisation as it allows you to classify the document according to the file plan, as well as manage it according to the retention schedule for tat file plan.
  • The ability to collaborate on files works really well. You can share with users within your group, as well as allow other users access to the files for either read access to read/write access.
  • Access control of the folder and even individual files allows you to ensure only necessary people can have the right type of access. This is especially welcome in the government environment where document management is of utmost importance.
Cons
  • The forms maker that comes bundled with the product is not always that easy to use. I would like to see it come standard with a better forms maker application.
  • The user interface of version 10.5.2 can be quite daunting when you first start using it. Once you get to know it, it becomes easier. Also for non-technical users it can be quite difficult to get going with it.
  • There are no easy reports creation application that comes with version 10.5.2. So getting usage stats can become quite a difficult task and a database administrator is need to write the necessary queries to get the reports.
Your organisation has to support the type of document and records management needed for this to work. In an organisation that only needs to store documents and maybe share with many different parties, this might not be the best-suited software. In a large organisation with stringent document and records management policies, this suite is well suited. It makes management of documents across business units easy to manage and control.

OpenText content server is used enterprise-wide to manage client project data as well as internal administrative information. ECM is now evolving using the AGA toolset to become the archive and Records Management solution. This includes integration to our SharePoint solution.
  • OpenText handles high volumes of data very well and is stable when handling large volumes.
  • OpenText provides a solid security model that is intuitive to users and easy for them to grasp.
  • OpenText integrates well to he transitional file/folder based models that many end users prefer.
Cons
  • The user interface and configurability of that interface lack a lot of flexibility and modern tools.
  • There needs to be stronger and more powerful integration to electronic forms and workflow capabilities which are core to modern ECM.
  • Management of audit and content history needs to be modernized and made more dynamic and sustainable.
Very strong in high volume management of content but anywhere that user interaction and interface is critical, the application makes strong adoption very difficult.
Applications where security and audit are necessary are well suited but pure 'website' design for collaboration is not well suited.

I used OpenText when I was at AP to post Marketing Department collateral (mainly PDF versions of sell sheets) to an internal web site. I found the interface ease to learn and I didn't experience any technical problems along the way. OpenText is a good choice for content management by a staff with a minimal amount of technical background.
  • Easy to use interface. The toolbar is similar to MS Word, so non-technical users can learn it quickly.
  • No HTML knowledge required. Other CMS's require at least some HTML knowledge, so the learning curve is steeper.
  • Easy linking to SharePoint archives. Clink on the link and you're done.
Cons
  • I think the interface's simplicity is its strong point. I wouldn't change anything at this point.
OpenText is great in a scenario where you have non-technical admins. It is great for handling an internal web site (that's mainly text and simple photos), but might not have enough functionality for say, an commerce site that requires a lot of media integration.
