This functionality has been particularly beneficial for organizations with strict document and records management policies, such as the 13 departments within the Western Cape Government that have implemented the software. These departments have successfully utilized OpenText to ensure compliance with regulations managed by archive services.

One global customer, a hospital gas provider, has also found great value in OpenText LiveLink. They have used this platform to effectively store and manage various documents, including invoices, payment proofs, cargo/shipment documents, as well as general use documents. The integration of OpenText into their workflow has streamlined their document management processes and improved overall efficiency.

In addition to record management, OpenText is employed by the AP department to post Marketing Department collateral on an internal website. Users have reported that the interface is user-friendly and easy to learn, with no technical issues encountered during implementation. This has enabled seamless collaboration between departments and improved the accessibility of marketing materials.

OpenText's Content Suite, particularly Documentum and ECM versions, has been adopted for handling business content across different organizations. It ensures the security and integrity of important documents while facilitating financial tasks like invoice management, verification, and automation. This comprehensive solution has been successfully deployed across multiple departments with different versions tailored to their specific needs.

Furthermore, OpenText Content Server is widely used enterprise-wide for managing client project data and internal administrative information. Its integration with SharePoint has enhanced data collaboration and streamlined communication across teams.

I used OpenText when I was at AP to post Marketing Department collateral (mainly PDF versions of sell sheets) to an internal web site. I found the interface ease to learn and I didn't experience any technical problems along the way. OpenText is a good choice for content management by a staff with a minimal amount of technical background.
  • Easy to use interface. The toolbar is similar to MS Word, so non-technical users can learn it quickly.
  • No HTML knowledge required. Other CMS's require at least some HTML knowledge, so the learning curve is steeper.
  • Easy linking to SharePoint archives. Clink on the link and you're done.
  • I think the interface's simplicity is its strong point. I wouldn't change anything at this point.
OpenText is great in a scenario where you have non-technical admins. It is great for handling an internal web site (that's mainly text and simple photos), but might not have enough functionality for say, an commerce site that requires a lot of media integration.
  • OpenText is good for internal communications and for quick internal updates.
The interface is easy to understand and learn quickly.
They were content management folks for Corporate Communications.

The staff is comfortable with it and I doubt they'd change at this point.
I also used Tridion while at AP. It's tougher to learn (HTML knowledge is very helpful), but it is a much more powerful CMS. Tridion allows for language variation, more customization and the embedding of HD video. OpenText was a legacy system of our internal site. Tridion was purchased corporately to drive an external web site upgrade.
  • Implemented in-house
Change management was minimal
No, it's pretty easy to implement and use.
I never had any issues with access internally or via VPN. But, the response via VPN, was a bit slow.
  • I used OpenText nearly every day and I never had any performance issues that I can recall. That said, it's not terribly fast either.
