What is Planview Portfolios?

Planview Portfolios is a project portfolio management and enterprise architecture management tool provided by Planview, Inc., located in Austin, TX. It includes two components: Portfolio and Resource Management (formerly Planview Enterprise), and Capability and Technology Management (formerly Troux). The platform is available as a cloud-based or on-premise service.

Portfolio and Resource Management (formerly Planview Enterprise) connects strategy to execution by improving decision making across the enterprise, including product development, IT, and services. By integrating planning and execution, it enables organizations to prioritize their portfolios, balance organizational capacity against demand, link plans and resources to project execution, and manage the underlying financials of the entire process.

Capability and Technology Management (formerly Troux) is designed to drive business outcomes by connecting technology with business context. The vendor says this enables IT leaders to advance business strategies and capabilities by making better decisions about application and technology portfolios. According to the vendor, the module’s data model and visualizations, combined with deep domain expertise in application and technology management, enable customers to achieve shorter time to value and to better communicate the business value of IT.

I work as a Hospital Manager and in our hospital we need various equipment and advanced machines that can diagnose the best and give us the best results so that we can analyse the patient's best possible condition. We use Planview Portfolios to manage all of our IT projects. We leverage metrics to forecast capacity and needs and also how we are prioritizing these projects. Before using Planview Portfolios we managed our portfolios on several different platforms to cover all of our needs. Planview Portfolios is a one stop shop for managing resource, projects, financial aspect and tasks. We are incredibly pleased with how it has worked for us.

Great for resource management and strategic planning. Screens are easy to read, metrics are easy to create and dashboards are easy to navigate. Using Planview Portfolios was a huge change for us. Portfolios is used to support our NPD (New Product Development) process. It used as governance to determine when new projects can be approved. It is also used for execution of the project to create the schedule and tracking of milestones. Portfolios is also used to understand and track resource capacity.

I am a Planview Portfolios admin for my company. I create user accounts, terminate accounts, and run audits. I am part of running the business making sure accounts are in Planview correctly and making sure our audits are correct. I also complete the weekly timesheets within Planview Portfolios to track what it is that I work on.

Keeping track of time for each project seems well suited. Creating user accounts require a lot of clicking through different sections, feel that this could be a little bit easier. However pulling user accounts are no issue, having to navigate to the different areas seems tedious as to some time having to double click just to get to one section.

We can quickly see over and under utilized resources due to time management capabilities in the tool. It helps to spread the workload across multiple projects so there should never be too much demand on an individual.

Planview Portfolios is great but it's a huge change after using SmartSheet for many years. It's pretty simple to learn but it takes the time and dedication to do so. I manage the new project requests in the Request module, dispatch those efforts to the Work module. Then manage the process of sequencing the Pipeline work until it is moved to active and assigned to a PM. I build portfolios for reporting and help other teams build portfolios for visibility to efforts that their team owns or impacts their teams.

We use Planview Portfolios to manage all the Project budget and the approvals workflow. We have users from different segments and locations and we configure Planview Portfolios based on their need. We generate multiple financial info reports using Planview Portfolios.
  • Project Management with proper Reserve or Allocation

  • Different kinds of reporting and the option to develop the customized reports
  • this is the area I can see Planview Portfolios is very much lagging behind. If you see Atlassian, they are having a robust API information and using that we can securely access the necessary information based on the role. I think a similar kind of approach need to done in Planview Portfolios as well.
  • User Information and Resource information is separate. Expecting that, during the User creation, when a resource is linked, automatically all the basic fields should be populated with the values, also if a person is having an User account there is no way for that person to know that what User role that he/she is having. Also none of the reports covering that details.
  • Automation - It's mentioned using the UiPath some of the Automation has been done in the User creation but don't find any necessary document for better understanding.
I think it's very well suited for Waterfall model projects and difficult to manage Agile projects. Please should come up with different templates for the Project creation.

We use Portfolios to capture Value Streams and Initiatives. The supporting Epics are all put into E1 and we have Resources nominate to the Epics. All of our forecasts come out of E1 and are used by our Portfolio teams to review actuals and forecasts to make investment decisions.
  • System has many ways to accomplish the same tasks
  • Visibility to the information is available to all
  • There should be an easier way to find specific Epics instead of setting up a Portfolio or using the Search button. You should be able to search within the Work module
  • There has been a delay in producing a new feature that will allow users to set the standard nomination utilization at 1%. Right now, it is 100% (or whatever is left) and it causes us all kinds of issues because people forget to change it.
  • The system requires too many clicks to get to a specific answer. For example, if a Resource can't nominate to an Epic, there are around 10-15 clicks to open the Epic, find the line that they are trying to nominate to and checking to see if there is open demand.
Planview can work very well in a smaller organization. When you try to scale it to a large organization, it becomes difficult to manage. The UI is not intuitive, so the system requires a lot of training and support.

UPS uses Planview Portfolios throughout the year to support strategic planning, prioritization, financial planning, and project management processes. The main problem we were looking to solve was having multiple sources of project management and related business case (financial) data. Portfolios offers us a single source of the truth and enables faster, more reliable decision making.

We have multiple towers performing work in different systems and processes. We needed a tool to consolidate and make sense of the overall engineering progress towards corporate initiatives.

  • We've not really started using this, but I love how it will connect with ProjectPlace and AgilePlace
  • size of field names and alt structure values needs to be larger
  • Need to be able to add custom information to the USER records
  • customer success center tends to be only links. I understand the problem with recreated text, but it does get distracting when I have to click on several links to get to the information that I need. Often, before I get to what I'm trying to find, I get distracted by other links.
It is working great for us for doing all of the governance reviews and approvals.

We use it to manage our project portfolios and provide Reporting to our SMT. We run projects in sprints and have the sprints set up in Planview Portfolios as phases which make it easy to focus on packages of work and makes it easy to run sprint reviews. it allows us to show the RAG status of our projects across the portfolio and highlights areas where we are under resourced or over utilised.

It has now become the Tool of choice for the Digital Directorate of the Scottish Government. as such we are keen to encourage the uptake and use of Planview Portfolios. This will in turn allow us to report back to SLT/SMT and paint an accurate representation of workload, budget and time as well as identifying resourcing requirements within the directorate.

I believe this application is a great application, but there seems to be some latency challenges. I would loved to see more and more easy ways to maneuver through the screens and connect data. Overall, I really like Planview Portfolios and definitely am looking forward to the new updates and information being shared through these sessions!

I think areas where the information is great is looking high level at Projects, I think we are just not using the platform at its highest level and really need additional information on how it is best suited to our Org. There are other areas where it will definitely be beneficial for resource and capacity planning.
