What is Podio?

Podio is a cloud-based collaboration service that was founded in 2009 and acquired by Citrix in 2012. Podio supplies a web-based platform for organizing team communication, business processes, data and content in project management workspaces; also it may be used as a social intranet or as a light CRM platform. Its reporting features allow a user to observe sales pipelines and manage budgets and time. Its task management interface is meant to be lively and dynamic as a social networking site's to facilitate sharing and task delegations, and supports document uploading. Workflows can be improved via automation of various triggered tasks. It integrates email and many familiar programs and applications (e.g. Dropbox, Gmail and Google Apps, Gotomeeting, Excel) to expand functionality, and it is mobile accessible. Podio began as a free service and a free option still remains, though three tiers of paid plans (Basic, Plus, and Premium) are now offered which expand support options from implementation only to a priority lifetime user able to gain support at any time (Premium), and limited access to shared projects for subordinate team members. However core features are supported across the tiers.

These options weren't available when we picked Podio. Podio cannot compete with these options because Podio chooses not to actively develop, communicate with their customers or build system stability. Any serious customer should consider these as showstoppers when looking at Podio.

We were trying to find a cost-effective solution (we're a small company) that would allow us to store all our client contacts and notes and help save our team time. Podio's globiflow feature does this really well. Other options we looked at didn't have these features or gave us way too much stuff that we didn't need.

[Citrix] Podio has smart features for project management. There are many functions that are missing in Clarizen One, so [Citrix] Podio keeps better functionalities than it. It is a reliable and straightforward tool with a smart interface.

Podio is a custom solution, where Mavenlink was a less robust, less feature-rich solution. We simply outgrew Mavenlink and don't have any regrets. Mavenlink did its job during the time we used it. In order for us to successfully grow with our business, we needed a custom-built solution.

As everyone knows Asana is a well-known project management solution but because of its ranking Asana and its functionalities are coming down and coming up with some complaints. So, I decided to choose Citrix Podio because it works well and provides effective services.

I only listed Slack because it is similar in that you can coordinate with external and internal teams. You can share files and chat with other individuals. Slack is severely lacking compared to Podio though. Podio has the capabilities to track tasks, finances, projects, individuals. Compared to Slack, Podio is a beast.

Basecamp is as the product ironically states, much more basic. While Basecamp allows for form generation and tracking of projects and forms through workflows, Basecamp leaves a lot to be desired in the way of customization, historical tracking and workflows.

Podio is decent for task management. We selected Podio to learn about the product and how to work with the product going forward. It feels like more of a project management tool than a CRM. The limited reporting and contact management features leave much to be desired. There are many apps that can be added to get features that are not standard.

We really hadn't used other project management software before Podio. We relied heavily on Outlook and Excel for communication and organization. Podio allows for more visibility across employee task lists and projects and helps us collaborate better.

Podio isn't built for the enterprise market and is more flexible to adjust to the needs of our customers. The time to market is short, the app-builder is very easy to use and it can be used for multiple disciplines within a company or cross-company. Last but not least, it is a very cost-effective solution; both in configuration costs as in license fees.

Unlike Trello, Podio allowed us to establish a structure for the data, to be used by all team members, and establishing a clear workflow. (Podio can mimic the Trello “card” look, and integrates with it).
Basecamp seemed too rigid, or complex to modify. It's a solid tool, but not for our application.
Zoho (last time used a few years ago) was very cumbersome to update, and slow (again, years ago).
Asana is very likeable. Crazy fast to use with very intuitive keyboard shortcuts. I wanted to like it, but the inability to create my own apps –for CRM, milestones, and other more specialized functions– ultimately forced me to go back to Podio.

I have not yet found a permanent solution that meets all of our needs. We continue to use different tools across our different departments, and none of our tools really communicate with one another to our satisfaction. We remain optimistic, however, that a company will emerge that embraces an abstract, highly customizable interface and also provides exceptional customer service with an open-minded development team that does not simply say no to everything by default.

The direct Podio competitors we evaluated were Base CRM, Quickbase, and Insightly. Base CRM is a fantastic CRM product and I would love to use it. The problems is it stops at CRM. Base is really more for a sales environment than one that has a complex project lifecycle. Quickbase is a start towards whats needed to transition from a traditional platform to an integrated one. They fall short on integration (emails, events, data) being easily pushed into the system. Insightly came close to what we need. It is a great CRM system that leaves something to be desired for project management. It does a good job of integrating information but falls short as a serious project management tool in valuing ease too highly over customization.

Basecamp definitely is simpler but it's also far more restrictive. I felt like Basecamp wanted to force me to work a certain way and it also isn't as robust as Podio in that you can't build custom apps for it. Custom apps have been a life saver for me as I can structure them around how I work.
