- Document (Drawings/Specifications) Management: I personally believe that Procore does an exceptional job in the document/drawing management aspect of the program. Hyperlinks to details, ability to link RFI's and/or submittals to drawings, post progress photos in a specific area on the drawings, compare and overlay drawings, the list goes on.
- Daily Logs: Procore's daily log feature is in my top five favorite tools within the program. The daily log feature logs weather, work force, deliveries, inspections, accidents, visitors, etc. Each item logged within the daily log has the ability to be generated into weekly, monthly, quarterly, or yearly reports that can then be distributed to owners, subcontractors, company executives, etc.
- Submittals: Procore's submittal process is simple and easy. I can create the submittal and/or submittal package required by the contract documents. Assign the responsible subcontractor for that submittal, assign the appropriate reviewers, and Procore will automatically email the "workflow" individuals reminders of their open items and the required submission and/or return date.
- Photos: Procore provides the ability to create multiple folder and upload unlimited photos to a project. The photo tool also has the ability to tag the responsible contractors, scope of work, project area where the photo was taken, and gives the ability to make notes within the photo. Photos can then be searched by the tags, sorted by date, week, month, etc. One of my personal favorite features within the photo tool is the ability to generate weekly and monthly progress photo reports for the Owners and Architects. Procore has really done a superb job in the design, layout, and available features within the photos tool.
- Bidding: The bidding tool within Procore is glitchy and somewhat frustrating. While the concept of the tool is good, the overall usability of the tool is lacking. The biggest complaint I have is that Procore does not have the ability to sort a bid list by CSI division. The program requires you assign a cost code to each company and/or tag word which the program can sort by. However, when bidding project our company does not typically assign cost codes to companies until a contract is issued. Bidders are typically associated with the CSI division in which the company operates.
- Meeting Minutes: The overall layout of meeting minutes is not high on my list. The concept is great but the tool could use some improvements on layout and the ability to copy previous minutes.
- Financials: This is probably my biggest complaint with the program. The system does a good job with the ability to track and documents financials, contracts, change orders, etc. However, because everything within the system is tied to the original project budget, it can be very cumbersome to account for a scope oversight or unforeseen condition that occurs during the course of a project and the order of operations you must follow to make sure the system will work properly.
Essential Tool for Construction Team
It addresses many various issues, but most of it - in general - communication and ease of sharing various information.
- Specifications. Fantastic tool to upload specs and access them in any way needed.
- Submittals. Great distribution and clear process making and tracking submittals a snap!
- Bidding. Powerful tool to send out a large volume of bid invitations and track the responses.
- Observations. Easy and convenient way to record and share various situations that need team's attention.
- RFIs. A great tool for this necessary communications.
- Photos - inability to structure subfolders or albums
- Daily Log - when viewing Daily Log, viewing photos included in it is a hassle, I also don't like how the photos print in PDF version of DL.

Procore is not suited for estimating. The bidding tool is for bidding on existing projects and trying to manage anything prior to the actual project being awarded is too difficult.

Project Management Software at its Finest!
The ability of our on-site staff to easily view electronic plans and specifications has so far been the biggest business problem Procore has addressed.
- Viewing and management of plans and specifications.
- Financial tools.
- Tracking of outstanding insurance and subcontracts/purchase orders.
- Daily manpower reports.
- Text entered in PCO's needs to populate/move over when moving from PCO to CCO.
- Could improve on the need to remove a contact and re-enter when they change their email address.
- Problems arise when a contact company shares one email address with all staff.
- There's a problem when a contact company has multiple company entity names with the same staff/email. For instance, Smith Construction and Jones Construction are owned by the same people with the same staff. If Joe Smith is already entered in the directory with email jsmith@smithconstruction.com, I am unable to enter him as a contact under Jones Construction with the same name/email.
Procore isn't perfect....but it's close.
- I think the report functions are extremely useful, with that ability to pull data and review.
- Daily logs and time cards, all tracked in one place.
- We've recently added the Quality Control modules, and our outfield personnel think they will be very useful.
- The process for change orders is a bit challenging to get entered.
- From the financial side, I wish that we could push data down from Quickbooks, rather than up from Procore. Some of the cost code issues between Quickbooks and Procore are difficult, but that may be more of a QB issue.
Procore is an AWESOME software!
- Organizes Submittals.
- Electronic Historian of Files: Keeps all files, I can look at an older version and I never lose or save over files.
- Opens lines of communication between subcontractors and general and keeps a record.
- Holds plans and specifications for guys in the field so they can view real-time instead of worrying about paper plans and specs.
- The ability to redline plans in the field is amazing!
- Expensive.
- Until we figured out how to shut off email notifications we were spammed all the time. I have to check my spam folder often, messages from Procore automatically go to my spam folder even if I mark it safe in my Outlook.
Moving Forward...
- Submittals
- RFI's
- Photo and documentation storage.
- Checklists/Inspection Reports.
- Multiple submittal reviews by several parties and the ability to mark up the submittals in the Procore module.
- Financials need to be more advanced and available to collaborate with accounting systems.
- Executive Dashboards need more development.
- Buyout is not easy to track in Procore and it's a MAJOR part of our business—metrics to track should be a priority.
A Great Construction Management Software!
- Photos and daily logs shared from the field to the office are so easy and useful
- The change events tool does a great job of documenting and organizing all change orders and the impact it has on the budget.
- The project directory is a great tool especially on the mobile app. Having access to this directory in Procore without having to add the contacts to your own phone is a big help.
- While we get great value internally, using Procore as a communication tool with our partners (owners/architects) has been disappointing. The e-mails are confusing and come across as impersonal.
- The custom reporting needs a lot of work. We should also be able to run reports on our "inactive" projects to get a better insight to company history.
- The Sage integration is limited. A full integration across all tools (invoices, payments, JC transactions) would make it much for valuable.
- PRICING! Our rates have been raised significantly since we started with them. Be sure to iron our EVERY detail with them with your first contract signing
It's extremely difficult to get our owners and architects on board. It's just too vast of a software that requires training that they do not seem to want to participate in.
Great PM Tool.
In all the projects we are hired to manage, we bring Procore as a "must use" tool for all the contractors/subcontractors that are brought into the project.
It is used to keep all our documentation, as well as keeping track of the plans and financials of each project.
- Keeping track of current drawings and changes. Particularly in large projects, this is extremely helpful as you can get lost between revisions.
- Manage Punch Lists. Nobody can escape from pending items belonging to them. I've had contractors calling me asking to get rid of the reminder emails. I just tell them, "it's simple...complete the item and document it." Otherwise, it won't go away.
- Manage RFI's and Submittals.
- Keep your insurance and bonds updated. If you set your valid dates, the reminders will help you keep your policies updated.
- Searching for related items across tools. A lot of times during a project, an RFI or a Drawing Revision will trigger a submittal, a change request, change order, etc. A tool or field selector that lets you tie items to others would be very useful in searching for the specific history or timeline of an even. Perhaps using keywords and then allowing for searches of items having that keyword.
- An Observation or Inspection can become a Punch List item if not attended.
- Managing the use of this software between colleagues could be improved if the system would allow searching for the logins of a particular user in spans of more than 7 days. In dispute resolution, to make a point of whether a user has been using the tool as requested, it becomes hard to gather the necessary information because you have to go on a week-by-week basis. On a typical construction project going on for 12, 18 or 24 months, this becomes a tedious task that can't be assigned to lower administrative levels, since it can only be performed by people having administrative rights, who are typically high-level managers, whose time is very expensive.
Of course, if the project is in a remote area with no internet access, Procore cannot be used.
Great for Contractors, Room to improve for developers
- Plan management. We love the way it organizes drawings, lets you compare previous versions, and can publish modifications to the drawings.
- I like the document feature when used with Procore sync. It gives us a place to store all relevant product info.
- I like the Procore app. It's very easy to use.
- We would like a Mac version of Procore sync. We have some Mac users and uploading files through Procore is cumbersome
- Wish it had more flexibility for developing custom fields and processes.
- Wish the task feature could mimic other software, such as SalesForce, where tasks can be sent back and forth and have the ball in court feature available for tasks. These would be particularly helpful in the early stages of a project.
Transitioning to a Procore Company
- Document organization and accessibility
- Expanding directory - which improves communication between field, office, subcontractors and suppliers
- Advertising and marketing
- The financials are time consuming.
- The budget should offer a space for notes for each line item. When we use excel it is common to add a note to a cell to remind you of what was all involved in that particular line item.
- If the financial section is based on excel it would be nice to be able to add a formula to the cell in the event that you are adding materials or equipment together.
Is the British construction industry ready for Procore? A few tweaks and it will outdo Buzzsaw!
- Makes drawing management a lot easier as we don't have to mail out drawings.
- Subcontractors can log on and view the most up to date drawings.
- Older revisions are easily available to review.
- Provides live drawing comments and distributes to all the parties required.
- The program is a little too 'Americanised' for British construction terminology. For example, we don't use 'punch lists'. we call them snag lists.
- It needs to be adapted to accept company forms for document management, at the moment you are forced to use the templates which means that we are not compliant with company standard documents.
- The software that 'reads' the drawing revisions isn't able to work outnumbered revisions and if the box is empty it doesn't link it to any other drawings with the same title.
Procore Review
- Procore is exceptional at tracking cost on your projects. From subcontractor invoices to invoicing the clients, it can track everything from start to finish. It prevents subcontractors from invoicing above their contract values and ensuring all variations are captured.
- We now have an extensive library of photos for all our projects. All are easy to access/share, ranging from progress photos, certification inspections, defects, and dilapidation reports.
- Tracking of daily data. The site diary filled out by the supervisor creates valuable data recordings. All up to date site progress, man-hours worked by all trades, waste logs and issues are sent to me to review at the end of each day. This gives a greater understanding of how all of my projects are progressing.
- It would be beneficial if you were able to skip some steps in the Variation process as this can sometimes be cumbersome and time-consuming.
- The existing Equipment Register. I personally really need a global equipment register for the company. A place where all company equipment can be tracked and where all maintenance records are kept for the equipment. If a supervisor has one of my Bobcats on his site, he selects that item from the global register and then it is added to his project. If my mechanic is looking for that Bobcat so he can perform scheduled maintenance, he looks in the global register and will know what site the machine is at.
- Tenders/Bids require an easier way to forward Addendum's when information has changed on a project. Currently, you must send this out in each bid package individually. It would be beneficial if you could bulk action email to all bid packages.
Procore is a worthwhile investment
- Documentation of communications and official record of submittals/transmittals.
- Provision of a field app used to review and markup as-built drawings.
- Tracking of invoicing and project costs.
- Searches of number strings within the daily field log.
- Ease of project setup. I don’t want to go to 6 different tabs to set up my project.
- Directory entry and smart field entry.
Procore Believer
- Automating the repetitive needs we have.
- Organizing and storing data across the company.
- The accounting and construction divisions can each view the same information in a way that makes the most sense to them.
- Procore is always improving, and because of that, it is changing. Those who do not stay on top of it can get confused and frustrated.
- Beginning level buy-in and adoption. Our less tech-savvy subcontractors can be a challenge.
- There are some areas where, if you make a mistake, it is difficult to correct because Procore is built in layers.
Procore Review
- Having access in the field to real-time documents.
- Provides a workflow template for some tools to be able to track accountability across all project members.
- Streamlined our subcontractor/supplier billing process.
- A big issue for us being a Washington contractor is not having the ability to correctly calculate tax on our prime invoices to the owner. There is no way to customize this option, we have been told. This creates inefficiencies in our billing and actually now takes more time to generate this information.
- I would like to see each account have an account manager with one contact that we can reach by phone/email for more complicated questions and help us work through SOPs. The current set up only allows you to contact a general email. It feels impersonal and causes us to have to explain how we do things within our own company structure repeatedly. One person that gets to know our business and can help us navigate through this would provide an excellent customer experience. Something that I feel is lacking once you make it through your implementation.
- I would like to see Procore focus more energy on improving the existing tools that they have available based on customer feedback and not on implementing so many new items. Focus on what you do well and fine tune those things prior to moving on to other new items. I don't have facts or statistics but I would guess that the majority of users do not actively use all of the functionality of the existing core tools.
- I don't want to have to pay extra to customize tools on my account or to make the changes I need immediately, especially when they are currently being programmed and will be released in the near future. You either have to wait for the changes to take effect across all of Procore or pay to have it done now.
- When you do sign up for custom hours, which allows you to customize your account you pay for a block of hours, Procore has no way to track that accountability. For example, you need something customized and they send you an estimate of how many of your pre-purchased hours they think it will take but it could be less or more. They currently have no way to track and show the customer where they stand after the project has been completed, and therefore, you don't know how many hours you have left to use for other customization. Additionally, I feel they should include at least 10 hours of custom forms as a standard item in their renewals at no extra charge. The software is developing and changing so fast this is necessary.
However, it has some work to do with the financial tools, integration with accounting software, and integration with scheduling software.
Procore is a useful tool which streamlines communication and optimizes management productivity.
- Submittals - Effectively keep track of the submittals workflow and reminds responsible parties to review documentation and timely approve.
- Daily Logs - A very good tool to keep track of the daily activities at the site. The tasks breakdown helps the site superintendent include critical information on their reports.
- Drawings and Specifications - The drawings tool is very useful to keep all the drawing revisions on file and review changes. Sketches and markups can be incorporated and tracked.
- RFI's - Would be useful to include response workflows, just as the submittals.
- Schedule - Haven't been able to include our Primavera schedule into our Procore platform. Would be useful to have other ways to upload the schedules.
- Meetings - The meeting minutes could incorporate additional spaces for written notes/comments to be made during the actual meeting.
Procore Review
- Drawing management.
- Notifications and tracking of workflows for submittals and RFIs.
- Ability to customize and filter information.
- The quality control functions and the punch process needs to be improved slightly.
Procore Review for Project Construction Management
- Procore handles project financials very well including project budgets and change management.
- Procore can also be used as a cloud-based file storage platform for sharing of files to other parties involved in the construction project.
- Procore does RFI and submittal management very well. Routing to necessary parties for review is intuitive to set up and use.
- The cloud-based storage platform could have better organization of folders. It's not as intuitive as other cloud servers.
- The submittal review process can only be done in series. I'm not sure if this is company specific or Procore, but it delays the review process.
- You can upload plans to Procore for access on job site through an iPad. It would help if you could annotate plans for punch items similar to PlanGrid.
Efficient and Effective!
- Keeping track of all purchase orders and subcontracts within a project in the Commitments Tool. Project team members have access to these documents and can see what is being purchased and have access to the contract documents for Subcontractors, which helps clarify the scope of work.
- Submittals, specs, and drawings access. It is incredibly important for the team members to have unlimited access to these documents. Having them available online and at the touch of a button really helps.
- Coordination of submittals between vendors and engineers. The submittal process is so much easier and faster. Submittals are processed efficiently and there is no double entering or creating extra logs to track the submittal process.
- Currently, Procore is syncing with Sage 100, which is our current accounting software. There are quite a few items that need to be worked on within the Sage 100 sync. We have been experiencing a lot of accounting issues with costs, cost codes and change orders.
- More up to date training videos. Procore is constantly improving their programs, and the monthly updates do help, but the training videos need to be updated as well.
- More mark-up options for the drawings and PDF documents would be greatly beneficial.
Procore is the double edged sword that will either cut out the disorganization or cut you.
- Procore has a lot of ability to customize who gets which type of notifications.
- Submittals are fairly easy to keep track of.
- It is easy to set up new users.
- Multiple widespread outages that were extremely disruptive to our project. Contractors blamed (with valid reason) these outages to delays in the project as they couldn't submit RFI or receive responses to RFI. Workflow switched to email outside of Procore during outages, causing significant miscommunication and loss of documentation to management.
- The ability to create submittals and RFI is too locked down. We were not able to open this feature up to contractors without the submittal or RFI being in draft. Procore did their best to remedy this with awkward workarounds. Ultimately this system is not set up for an unknown about of submittals.
- The notification option is flexible but it also very confusing. It can also be very confusing on the permission side. It is difficult to know who has access to each type of information and if they will get notified. It is easy to either limit people from getting info they need or accidentally give info to people they should not have.
- Managing drawing set over 50 or so pages is very cumbersome. The auto numbering and tagging works ok, but when it doesn't it is hard to get drawings organized.
Tool Users Love Procore -- How to Build Operational Excellence
- Photos Log. The photo galleries are easy to document progress, incidents, and a continuous before and after sequence. It is like a yearbook for the project and it is gratifying to see all the progress.
- Directory. The directory is the who's who for all our projects. It helps update information once and have it right on all the projects. Since people can look up the numbers themselves in the field, I spend less time reciting phone numbers.
- Drawings. I can upload all the drawings in a batch and keep track of revisions for easy admin. In the field, zooming in on a backlit tablet takes care of "can't see it" complaints in poor light conditions and lost reading glasses.
- Change Orders. Finally, the whole workflow ends up in one place. Email and attachments are in Procore tied to one change order instead of stuck in a remote laptop's email.
- Locations and QR codes. Existing signage hardly ever matches the original drawings. Creating temporary door signs to match the drawings seemed to help communication and reduce confusion. I couldn't help but add the Procore Location QR codes to the signs since the tech was so cool. Scanning the code with your phone/tablet automatically picks the location to make entering new items into a punch list easier.
- Updates. Procore has a feature wish list. They are really good about rolling out new features. They also roll out features so service isn't interrupted for a long time or in prime work time. This is why I like cloud-based apps. My software is always current with the newest features for the same price.
- Financials. This one has a bit of room for improvement. If you are really good at clicking on things and like layers of detail, you would enjoy this. I set it up for a minimum amount of detail but still needed to keep a bullet journal to stay in the flow. If you need to reverse a transaction or fix a mistake, you need to unravel all the way back to the error and recreate it to current. Once you have your flow figured out, it is worth considering a customization project to avoid some of the chaos.
- Email notifications. This feature works almost too well. When you are setting up your workflow notifications, use email notification sparingly or aggregate it. The system will flood people's email if all the workflow is flagged to email updates in real time. This isn't obvious if you haven't used Procore before.
- Mobile app for admin users. The mobile app is designed for field work but if you need to administer the Procore system, you need to use the browser version. This is a hard one to work around in poor internet/cellular service locations since you need connectivity to admin the system. (Sounds like a wish list item.)
Procore is a gateway into future Construction Management
It addresses non-compliance instances; it reveals the number of drawings issued in each project.
- Drawing processing is the biggest strength.
- Ease of use and how quickly field staff adapts to using the application on smartphones.
- Easily adapted to Icelandic building methods.
- Firstly, Procore does not speak Icelandic. Secondly, to run/operate the same project in various languages at the same time would be beneficial.
- Drawing processing adapting to the Icelandic best design practices. Icelandic/European drawing headers are not understood by Procore.
Procore for General Contractors
- Submittals -- The logging, tracking, processing, etc. of submittals is so intuitive and user-friendly. After a brief training, most of our outside users (subcontractors, Architects, et.) feel comfortable navigating and processing submittals.
- Procore Sync -- Sync was released last year as a solution to file storage and syncing between users. There were many issues and we have since been advised to stop using Procore Sync. This was definitely a disappointment. Not only in the product not working properly, but also in Procore's lack of communication with its users regarding the known issues.
