We use it to track projects from sales to completion and reviewing beyond that. We track payments, commissions, deliveries, KPIs and productivity metrics. We needed the flexibility to create a database that could change and grow alongside the development of the company.

We use Quickbase as a sales & project management CRM. It's a great tool for tracking appointments, deal progress, and staying organized. Our business is in the consumer services and energy industry so tracking lead flow is of utmost importance and quick base has been a good help in doing this.

We have taken Quickbase and used it to automate the process of entering time for all of our field personnel, instead of admins collecting and entering dozens of spreadsheets into one master upload, we now have field personnel enter their time directly and one quick export gives us payroll for the week. We have integrated an approval process, have integrated checks and balances to help eliminate human error on both sides and continue to expand our application into new areas where the workflow processes have been stagnant, such as safety reports, tracking training opportunities, and even working on equipment management. Quickbase has been able to grow with our needs in a very scalable and agile manner to minimize the painpoints. If your needs grow beyond your time and expertise there are countless expert consultants that can continue to grow your application for you.

  • Forms are one of the first places we began to out grow the out of box options
  • The advanced elements of Pipeline configuration have little documentation
  • There is no way to export or summarize a lot of the configuration information for your application. Things like form rules, field names, etc have to be looked up, there is no place to easily see or even better search those rules so you know where changes need to be made.
Quickbase allows you to stand up a working database very quickly with little to no professional programming experience. The framework is very flexible and can tolerate change rather well. It will often tell you if you are about to do something that can have real consequences. Quickbase is very good at functional, if you are in a scenario where an attractive or flashy user interface is necessary you will have to expand into some of the less documented advanced capabilities of Quickbase. Things like buttons and layouts have limited options out of the box.

Our organization uses Quickbase for Project Management, production, field work tracking, training tracking, travel tracking and more! The platform allows us to standardize workflows across the company, eliminate spreadsheets and emails, phone calls, etc. in turn, increasing production. It has allowed us to automate many workflows that were previously very manual and time consuming. The best part is that it's easy and quick to set up. We have even used it for Disaster Recovery when Hurricanes hit and our work is needed in those areas. We can build an app in a day or two so that there is one centralized system that everyone has access to in order to record important information that can be accessed anywhere and reported on later.
  • Ease of use and development

  • Communication - I feel that I am always kept up to date on all the latest things. Quickbase seems to really care how each company is doing and performs routine check-ins
  • Pipelines - being able to share them or have permissions based viewing capabilities
  • Table size limits are small for really large apps. While I agree that there needs to be a cap on the size, it would be nice to adjust it up when needed.
Quickbase is well suited for the following:

Something that I'd say it's not well suited for is holding large amounts of archived data. We have some large apps and have had to resort to archiving in places like SharePoint. It's a great platform for tracking work in progress, but with a 500mb table size limit, data storage isn't great.

Well, Food for the Poor is an international nonprofit aid organization. We work in 17-plus countries in Latin America and the Caribbean. And we had a real need where we wanted software that would be able to handle projects that we were working on in the countries that we serve. The organization took a look at several options out there, but based on the flexibility of Quickbase, it became apparent that this would be the product to use because the environment kept changing, we kept changing - and we wanted a product that we could manage the change moving forward. So we ended up using Quickbase. Thank goodness. I quickly picked up the skills needed to develop. I took one of the app builder certifications, and I used the project manager app as a template to build out our product. The final product has developed way beyond the original, and it now encompasses a whole lot of departments in the organization and in the countries that we serve. Some of the challenges that we faced are having data coming in from the 17-plus countries into our database. In real-time, we're able to get over that hurdle where we now have users in these countries like Haiti, Jamaica, Guatemala, El Salvador, Peru, and Puerto Rico. Well, you know, and what we did was we enabled the users to come in, log into Quickbase and enter their data. So our project managers now here can have real-time access to information and move projects along. It's been a very interesting ride with the product.
  • I would say flexibility is, that's my biggest thing in that there are times when I'll get a change request and as the change request is being described to me, I'm fixing it. That is actually what I like about the product. It's very flexible. Easy to use.
  • I would say Quickbase is doing a lot of the right things. Bringing on pipe builders, you know, to enable Quickbase to get, take advantage of automation and plug into other systems has been very helpful. So when we speak of cons, I just want to say you guys are moving in the right direction. I would like to see a lot more dashboarding and business intelligence plugged into Quickbase and yes, that's what I would say about that.
The Quickbase App Store has a wealth of information and use case scenarios for lots of products. So I'm hard-pressed to find something that Quickbase cannot currently take care of, you know, because just about every problem or use case that has been presented to me to try and find a solution, I know I could either build it or find a template to pick from. So yes, I would say so far, so good.

My department uses Quickbase to document, track and schedule audits. Quickbase allows us to remain compliant with our audit requirements and the ability to quickly modify/enhance procedures, reporting and tracking without having to wait for an outside party to make the changes.

Quickbase is a great for allowing individuals with minimal or no development experience to be able to develop due the low-code platform. The product, in its entirety, helps us to assess the cost and viability of a construction project, perform approvals for the financial support of that project, and then track the project through to its completion and treating dialysis patients.
  • Yes, it does a lot. Well back in the day before we started using QuickBase, we used the Lotus Notes. It was very stiff and starchy. It was inflexible. It was just a pure database difficult to change. We didn't have a workflow in it for approvals. And so using QuickBase provides us the ability more so these days to be agile in meeting the company's needs and its approval processes for the construction purposes.
  • That's difficult really to say because over the last three years, maybe more the software development, the actual development of QuickBase itself is gone on phenomenally fast. So like at the moment, now every month they're coming out with new developments and so they're meeting all our needs essentially. There's, I mean, there's always something that can be improved upon, but I mean, as soon as we think of something to talk about, it's already on the books to be resolved.
We find it's perfect for our use in this construction process. One of the things that is consistent these days is change and it allows us to make changes very quickly, quite simply either on our own or with a really very good support from QuickBase itself.

So one big thing with us is supply chain management. At the moment, we have various applications that are holding our purchase orders or our sales orders. So we're using QuickBase as one centralized location to hold all of those purchase orders. As well as those purchase orders are also involving devices. So we have like serial numbers of modems, things of that nature. We need to track the device lifecycle. So we've created another application that works together with our supply chain to track those serial numbers.
  • I love the reporting aspect of it. Building reports and being able to export the CSV files on the fly is heavens and truly.
  • Technically. I was a little bit technical. So API calls. So in getting information from QuickBase, it really just gives you the metadata of the table and you have to be very specific in your script to try to parse through that information. It doesn't just give you the J S O N file, like the J s O payload at once.
This product is very well suited for the end user for any visual aspect of it. So in my company specifically, our higher-ups just want to see things look pretty. That is where we can make custom forms look amazing within QuickBase

Originally, we started using the product to be a way for our quality department to be able to do reviews and then we could control the development of those reviews, the reports, and all that. And then from there it kind of, a whole bunch of ideas just came into the team and there were a bunch of different things that we did from development tracking mentorships things of that nature.
  • I like the fact that you don't have to be, I mean, you can go from idea to implementation pretty quickly. You don't have to be overly knowledgeable about programming in order to get to a place where you can use it. So you go from concept to actual users using it in a much shorter period of time.
  • I'd say the biggest for me is gonna be the reporting aspect of it. There are certain things you can do with dashboards and stuff like that, but there's still plenty of, I think things that other applications like you can offload data into Power BI or something to get more of a data-rich experience. but I'd prefer everything to be located within the inquiry fees.
Well-suited. I mean, I think if you're looking to build quick applications and be able to manage them yourself I think it's best suited for that. if you're looking for very, very complex situations where, you know, you would need additional servers and things like that, I think that you probably be better off in a different product.

So that's a little bit of a trick question for us. So I'll talk first about how we use it internally and then we'll talk about how we use it with our customers. And those are two different things. So internally we use it to manage everything from our sales pipeline and a CRM-like functionality to managing our recruiting process and all of our outreach associated with that. We use it to manage our marketing campaigns and who is associated with those marketing campaigns. But then likewise, we use it to manage our projects from end to end from project creation through quality assurance and deployment. And then for our customers, we do the same thing. However, it's a little different with every customer because with some customers we'll use it as just a piece of the solution with other customers. We'll, QuickBase to solve their business challenges end to end.
  • So one of the things about QuickBase is that it's extremely flexible. So anytime you've got a mission-critical spreadsheet, anytime that you've got some piece of data that doesn't fit inside of an otherwise system of record. So think of something that you would want in your accounting system, but there's no field in the accounting system for it. You can use QuickBase to capture that data and then integrate it back into your accounting system to make the systems as if they were one. But it's really two systems that are connected.
  • So while there's tremendous flexibility, there are limitations to the platform, as with all platforms, for example, if you're wanting to move applications from one realm to another or from one customer to another, is very difficult to do with QuickBase.
  • Things like being able to truly understand the audit trail end to end of all of the transactions is very labor intensive to create that audit trail whereas with other systems it's just built in.
  • And then there are some limitations in terms of how you can integrate with other systems. There are usually workarounds to that, but there are some things that just are really harder than they should be.
So anytime you've got a situation where the existing systems don't meet the business case QuickBase is tremendous to fill any gaps in an organization's workflow or situations where there are certain features that don't exist, like imagine an approval workflow that doesn't exist in another system, you can use QuickBase to fill that gap. That being said I see in some cases it is being used too much like an accounting system and not following generally accepted accounting principles. And so you know, with flexibility comes danger. So you really have to understand the accounting flow and understand how accountants think and things like audit trails to keep yourself out of trouble with it.

So in my industry where we use it, basically it goes from cradle to grave. So we do it from sow generation, proposals, services, and projects, all the way through to the end of a lifecycle of a project. So archival sample disposition, and then we follow the lifecycle throughout. So any QC review, QA review, all kinds of things, inventory for reagents, these are laboratory settings. so human resources, a kind of sky's the limit. We have about a 12-app base.
  • The connectability of data. So just being able to put almost, I would probably say 90% of the information in your contract and then know that flows through the rest of the applications, it's critical.
  • The Pipelines user interface could be improved greatly. it's kind of clunky and bulky. It would be really great just to be able to type everything out that you needed. I, you know, the switch from automation to pipelines, like it's good and bad. I think it could do more things and be more powerful. I know there are some errors that have happened. That's probably the number one thing.
I think every industry and every company could use something like this in whatever facet. I think the more complicated an industry is and the more departments a project has to touch, the better suited QuickBase is for it. If you really only need one app in one table, you're not gonna need the platform. But I say the more complicated the better.

From the sales perspective and opportunities with prospects allows me to track the prospects that are in our system, whether they're a prospect, a sales lead, or a customer and they migrate through that transition. And then keeping me up to date with it, I use it from an activity standpoint, so it keeps me on task with what phone calls I need to follow up with which clients. Following up we have an activity section that actually well, it's not an activity section, it creates activities for us, but we create these six touch points that I need to do with our customers and it directs me through that process.
  • I've been blown away just for the fact that it allows citizens developers, so you're able to bring a programming in-house with people who have no development knowledge whatsoever, but if they're very in tune and advanced with Excel being able to build in-house with your current team and it could be a lead that's in a department, it could be somebody in the accounting department.
  • I think the flexibility of the product is phenomenal in the case that it allows you to start small and then grow with the product and you're doing it all in-house.
  • You can also outsource as well, but a lot can be done in-house with your citizen developers.
  • That's hard for me. I'm so new with it right now. I'm still learning so I don't feel like I can give great input in that arena right now.
I think that the pipelines that have been set up and the integration with other products that are out there. I'm historically a CFO and have been in the construction industry for the past 15 years and working with the SAGE products we have been able to build plugins and to allow us to work with our clients with their SAGE products and that's been invaluable to our customers.

We use QuickBase in primarily two different use cases. our company operates contracts with federal, local, and state government. So we manage our clients, our job seekers, predominantly it could be students. And so we manage them through all the services that we provide. So in one sense, we're managing people. So that's, that's probably 75% of how we use it. And the other would be just processes-oriented operations management performance reporting reviewing documents site reviews and all of the approvals and quality assurance touches that we have with that process.
  • I would say managing our participant expenses. We have thousands of transactions a day where we're helping individuals, whether it's childcare vouchers, transportation vouchers, clothing, things of that nature.
  • And it allows us to process the requests and have the workflow approvals embedded within the process so that we're protected also and making sure that we're utilizing the funds appropriately. That's probably one of the huge successes that we have.
  • And another would just be more on the process-oriented side, just making a lot of paper and spreadsheets go away, you know, just giving everybody visibility of the data and then just having a process that people can appreciate because it's simple, yet effective.
  • For a while, but now this is improving. It's been the dashboard experience. So it previously having a dynamic filter that would allow all of the data on a dashboard to be influenced wasn't possible. That's been overcome.
  • One of the areas that we're still struggling with is pulling up data from a child table that is text into the parent table. We've had some creative ways of working around the issue and now with the report query, there is hope that we're gonna be able to circumvent that. But that's been a bit of a sticking point for us pulling up text data in a child table from a specific repetition or iteration.
  • And then probably lastly, just a lot of our data entry is very elongated. There are a lot of fields that have to be entered. one of the comments that we received from the field is just the layout of the forms themselves. You know, they can be busy at times. there are ways to mitigate that, but that's an area that hasn't been a strong suit.
I think it's well suited for processes that have a two or three-table level of complexity where it's transaction oriented. It has a definitive start and definitive end when the record's done it's just a record and it's historic. It works well in that way. One of the areas where maybe it's not so well suited would be electronic signature required, in other words, it doesn't have that feature embedded in its native functionality. So it's a challenge because we have to find a solution outside the system.

So here at Grey Health Technology, we're basically bridging the gap between the laboratory space and also the end user space. So we've noticed a lot of laboratories don't give their employees or staff and nurse staff any external third-party access to see that data or see where the samples are lined. So what our applications do is just bridge that gap shows live sample management of every step of the way. And so one of the complex problems that we do face is just usability. And so we've noticed other applications or software, if that does exist, it's really hard to use, hard to implement. And QuickBase has really just helped us streamline that process, the workflow, the quickness that it takes to use and learn the app. It just has really helped us.
  • One of the big things that we have basically helped solve would be a CRM system. So we've interviewed and demoed with other software companies and they just weren't the right fit for us. It didn't feel that it can be user customizable, it didn't feel as friendly. it wouldn't have been something we could have rolled out company wide and everyone would've been able to use it. So we just use QuickBase to build our own and it's just been so much easier, so much happier, better to roll out and just better all around to you.
  • Honestly, I really can't name any. I might be biased though because I do really love the application and for me, if I ever have any questions, I have QuickBase University, I have the help desk. Like I have so many tools and resources that I feel like some people don't realize that we have in the system. So all of my answers are usually always answered.
So well suited. I think QuickBase is well suited for companies of all sizes and that's something that not many software companies can say. So small companies, companies with only one person, companies with thousands of people, you can use QuickBase because you can streamline workflows, you can build anything or less compatible. I really can't think of it because it just takes away so many problems. It takes away issues of spreadsheets, it takes away issues of communication. It just takes away so many issues in such an unconventional way. I feel like it does disrupt the industry that we have now, so I really can't imagine where use, where QuickBase can't be used.

So we have builders team of builders that support a multitude of clients and they develop all kinds of different things for those clients and I'm there to support them scale and grow, grow and scale.
  • So I've just seen it at a high level since I'm fairly new to it, but I loved the way you can use it for project management and I've seen how they do the pole cabs and dashboards and Gantz and sort of sorts of things coming from a project management world that is impressive to see how quickly they can build out a project management tool, for example.
  • I'm hearing that the enablements is an area of improvement that we as a partner, elite partner, trying to figure out how to make that work with QuickBase things is an area that we would really like to focus on.
So since I have limited experience with it that's a little more difficult, but I've met so many people here at the conference today and heard so many stories that it seems like it, it can do anything. I don't know about what it wouldn't work well at cuz I haven't necessarily been involved in that yet. But project management, you know, all kinds of construction, all those things it seems to do really well at.

Really anything in terms of accounting project management, education. I mean, you can use it in anything which is wonderful. Probably less likely probably any industry that has like their own homegrown software. Like the financial industry kind of has their own type of software that they use. That's kind of industry standard. So to compete with something that's industry strand industry standard is very difficult.

For us, QuickBase is basically our database for all contracts. So my team handles all customer contracts revenue side, expense side airport permits, and leases. All those contracts are updated and uploaded to QuickBase with the full summary broken down so all our departments can see what the contract entails. What's important to us also is notifications for renewals important liabilities, and things like that. So basically QuickBase is our go-to daily for all contract-related matters.
  • What it does really well is make sure I can sleep at night, meaning that I'll know when an agreement is due to be renewed might be automatically expanded or the extension might be triggered so we get notified from QuickBase either, you know, whatever timeline we put in there. So a month ahead, two months ahead, sometimes six months ahead, depending on the magnitude. So the notification is really a great tool for us.
  • I must say right now we're using a section of QuickBase. There are departments in our company that use different parts of it. It's more of the communication between those departments on our end. Maybe QuickBase can do that, but we haven't fully utilized it yet. So I would say I guess sharing that information on how different departments could be in sync and QuickBase.
It's definitely well suited for a big company that has a multitude of contracts, documentation, legal documents certificates, or whatnot to be able to have those all held in the same place and to make sure that all departments can have access to the information they need from those contracts.

In my department, there are three major functions that Quickbase is a solution for. 1) We log our systems checks on a daily basis. 2) We use it for shift turnover reports to notify staff of important events. 3) We use it for asset management to keep track of multiple sites where we have assets. 4) We keep track of pending work orders for vendors. 5) We are also using it for Change Management recording.
  • Very simple to learn and easy to use.
  • Lots of options for storing and retrieving data.
  • It's been around for a long time and has a good reputation.
  • I like being able to use a common web browser for QB.
  • I am always one for integrating voice command technology into applications. So that would be cool.
  • The admin interface could be a little more intuitive.
Often times I am asked to provide asset information to different departments within my organization. Quickbase allows me to easily pull the information that they are looking for and sort it any way that they need it to look. Usually, this is done by downloading to a CSV file and after that, I can manipulate it with Excel to provide reports.

We build on Quickbase to run all of our daily operations for multitude of companies - about three now. We build in multiple applications. We use it day-to-day, address all of our clients needs in a lab space, and inventory. It does a lot.
  • Inventory app
  • It's great at pulling reports, so any data that you need to pull out for anything that you're doing.
  • It's really, really great at customized reports.
  • I particularly don't have anything that I have found that it doesn't do yet. My tech building team might have a different opinion on that, but personally, there's nothing that I've seen that it cannot do.
Well-suited in tracking any data. So regardless of the industry that you're in, whether it be medical, which is where we're at, I can see it working across several different types of positions, different types of jobs, different departments. I think it's very versatile.
