Our organization is using many different applications developed in QuickBase. My specific group is developing project management and scheduling tools to manage our capital projects. Our company as a whole is trying to consolidate spreadsheets, improve processes and improve communication across departments.
  • Quickly allow someone to build a proof of concept to help determine a process flow. This helps showcase to users and management the abilities of Quickbase and how much more powerful it is versus traditional access of Excel.
  • Flexible to allow for on the fly modifications. So often an application is built knowing how to cover 80% of the process and as the exceptions become visible, it's easy to incorporate fixes in the system.
  • Quick report building and sharing. Access and other programs take a ton of time to do what can be done in seconds in QuickBase.
  • Quickbase support is very prompt and knowledgeable.
  • Gantt charts and their predecessor fields. Building scheduling apps is limited with their Gantt and predecessor fields.
  • The form builder is rather cumbersome.
  • I'd love to see a relationship diagram or a visualization in the Dynamic Form Rules because I can get lost in how many I've built and where there might be overlap.
  • Many to Many relationships are rather difficult to create.
Most of the people I work with try to make Excel do what a database should do. I push Excel users to try Quickbase and typically find they do well with it.

Everyone in our company uses Quick Base. Various departments use it for our own projects, and we all use it to keep up with each other. The development department uses it to keep track of what's going on with our software products, from changes that are being considered through execution and inclusion in a release build version. Sales and support use it to keep track of customers, and we all use it for general awareness of what's going on in different departments.
  • Very flexible! Can be configured to work how you need it.
  • The view is also pretty flexible so that individual users can see just what they need to see.
  • Always adding new features and refining old ones! If there's something you wish you could do, just give it a few months!
  • I really have no complaints with Quick Base.
In my view, Quick Base is useful for businesses of any size for processes or projects where you would like to have some ability to customize your software to your data and interests, rather than fitting what YOU do to what your software does. If an application exists that does EXACTLY what you want, setting up Quick Base to work for you would offer no advantage.

Quick Base was initially agreed upon to use by the quality assurance department of a company we are consultants for. Now that others have seen it, people in finance, supply chain, and engineering are starting to become involved; even some of their contract service providers use Quick Base to view certain information.
  • Quick Base is great at being easy-to-use. With minimal training, employees are actively using Quick Baes every day.
  • Quick Base is easy to develop. Being a low-code platform, users of all levels can develop applications.
  • Quick Base could improve on the graph capabilities when using a multi-user field. Sometimes we want to show how many tasks a person has, but when it is a multi-user field, every combination of people is separate line.
  • It would be great to have an audit trail that can be viewed by users. Sometimes we wish to see who has changed something but don't have the level of granularity we are looking for.
We have introduced Quick Base at one client already, and we are looking to introduce it to more places.

We introduced Quick Base (QB) in 2013 because we needed a centralized place to manage claims, customer surveys, analytics requests, and EPIC support requests. We weren’t integrating companies then and that wasn’t original interest in the product. We primarily purchased QB because it was a more cost-effective solution for customer surveys and additionally allowed us to centralize requests in the other two areas that were being done by email. In 2014, QB was very helpful in helping us with our first integration with a newly purchased company. It allowed us to share documents with those outside the company prior to the integration. But even at that point, we were using it in a very limited capacity as project management software.
  • Quick Base allows the users to build very low-cost applications for business processes where it would have been cost prohibitive to build in a traditional software development model.
  • Our organization out grew our prior solutions for managing tasks, processes, and projects. Quick Base handles a slew of scenarios it empowered business users to build their own applications in a matter of minutes.
  • Quick Base is working on its mobile platform and this is an important area for improvement.
  • We would like to see an easier way to do many to many relationships, which Quick Base is working on.
Quick Base is wonderful for managing tasks, processes, and projects. It also allows centralizing support or other requests that previously may have been done via email. Quick Base can handle a large variety of scenarios from sales and finance to business landing pages and support requests. Quick Base allows the users to build very low costs applications for business processes where it would have been cost prohibitive to build in a traditional software development model.

Quickbase is being used in various ways across the company. It is most often used to streamline MS Access, spreadsheet or manual processes.
  • Quickbase provides an easy to use interface to build custom applications without a lot of programming experience.
  • Quickbase has strong native integration capabilities that can allow a developer to use an excel source and replace it with a QB app in just a few minutes.
  • Quickbase has an excellent comprehensive API layer that allows for quick and easy integrations with other systems.
  • Quickbase could really use some improvement in allowing users to easily and simply customize the UI to better meet their needs.
  • I would love to see alternate keys be available for building foreign key relationships on tables as well as multi-column key values.
Quickbase works very well with processes that are dependent on manual data entry or simple data integrations. It does not work as well when complicated recursive logic is necessary. Also when there is not a lot of advanced reporting and visualization capabilities out of the box either.

QuickBase is currently being used in two departments, for CRM purposes as well as tracking of projects and resources and their associated time and expenses.
  • One of the greatest things about QuickBase is that it's simple to start building and implementing, allowing individuals from all backgrounds to jump right in and create a working database.
  • One thing that I've always wished QuickBase would do is add workflow functionality (aka triggers) where certain actions would initiate specified actions elsewhere in the database. I know they've recently added WebHooks, but it's not a feature that the average user could work with due to it's required level of knowledge. It should be set up more in line with how the notifications work.
  • Allow for adding custom Javascript to specified pages. We currently need to jump through hoops to add our own custom Javascript (many times to accomplish what could be done with triggers if they were available).
  • Add more customization to Calendars. Ability to display by day/week, drag & drop, custom colors.
QuickBase is great for tracking all facets of a project, and provides useful reports and charts within each table. However if you need to create cumulative reports/charts or with data from multiple tables (outer joins specifically) you'll find yourself hitting your head on the wall, though these can be accomplished with custom coding if you're knowledgeable in that area.
The QuickBase Community Forums are GREAT! It's a minefield of great information where you'll be able to find answers to many of your questions.

Quick Base is helping us improve business processes, replace spreadsheets, track assets more completely, add workflows and communication in our IT and Shared Services departments as well as our business units. Quick Base is expanding at our company, as more and more users are in the apps, they have more ideas they would like to have built, this could be additional functionality in existing apps or new apps to replace and enhance manual processes or spreadsheets.

Growth is also being seen with existing apps by providing additional visibility into apps for more groups. This growth in Quick Base provides additional opportunities for our employees to grow and work on different tasks. We are currently working on implementing a more comprehensive Citizen Development program to get our business units more involved

It is currently used within our procurement department. It's mainly focused on tracking projects, milestones, savings etc. It streamlined the business process within each group and improved the tracking mechanism.

It’s used by the project management team. It helps them manage projects better and stay organised.
  • If you are looking for applications with your own rules QuickBase does a good job.
  • QuickBase is a robust build it yourself tool for web applications.
  • Very helpful support team. You don't have to wait for QuickBase employees to respond to the questions you raise...Even the partners are available to address your questions.
  • Extensive documentation is available to help.
  • Very few video tutorials. The one available is very fast and to the point.
  • Make a list of the most common issues the users face and create video tutorials on those subjects.
It's very helpful for a sales team, project management, and to manage tickets. If customized well, QuickBase can also be used by recruiters. It's not much suited for accounting requirements.

I have used QuickBase as a collaborative task tracking solution for teams for over a decade. It has been implemented for both individual teams and multiple teams that need to share information. Its ability for simple and fast customisation has allowed us to take a base solution and customise it to our unique needs.
  • As an online, cloud service, it alleviates any software installation and maintenance needs.
  • It is one of the few online solutions that provides real data relationships between entities allowing for powerful reporting.
  • Its dynamic forms for both viewing and editing data are superb for customising the way different people and roles interact with the data.
  • Its user interface is still fairly old and requires the entire page to shift into Edit mode to update a single field.
  • Record level access rights across related entities is an absolute pain to get correct.
  • It is missing modern ways of letting users to interact with the data, e.g. drag drop between lanes etc.
I have been using QuickBase for over a decade as a solution for collaborative task tracking within single teams or across multiple. Fundamentally it's an online database with forms and whilst many other applications provide very similar services, QuickBase does this incredibly well. Over the years though, it has failed to keep up with modern user interfaces and it now starts to feel slow to do basic data entry.

Our organization uses QuickBase to manage the data generated from daily business transactions. We utilize the graphing, reporting, and summary options to provide visual feedback on how this data is trending through our company. We have several applications built that track everything from doctor's appointments, employee information, assessment data, repair orders, and survey results.
  • QuickBase makes navigation throughout the dashboard fairly easy to use and understand.
  • The interface is clear and concise without unneeded fillers.
  • There are options available to export data to other applications outside of QuickBase to increase usability.
  • The applications need more guidance to set up initially. Unless you are extremely familiar with out it works, it takes time to set up an application for initial use.
  • The reports and graphs set ups are also a little complicated to set up unless you know what you're doing. There are fields that require prior knowledge of how they function or what purpose they serve, as there are not helpful hints throughout the process. A wizard would be more beneficial for novice users to guide through the set up process.
  • Graphing and reporting are also limited to some degree. There are different types of graphs and reports that can be generated, however, if data is exported to Excel or a similar application to manage data, it is easier to make more detailed graphs with the same data. Excel also offers more editing options like changing font types and sizes, colors, etc. There are none of these options available for graphs made within the QuickBase application.
QuickBase is great at managing data and providing the user with a single place to store and report on a great deal of information. The range of possibilities that it does have is still beneficial, even considering its shortcomings. QuickBase is a great option for portability since data can be accessed anywhere there is a computing device and Internet connection. It is also a great combination of a database and a spreadsheet program since it does have the ability to create graphic images from the data.

Our information technology staff uses Quickbase apps for their helpdesk ticketing, documentation management, task management, and project management. We developed a custom app to facilitate quality control for our four call centers.
  • There is a large base of QuickBase applications developed by other customers in a wide range of categories that are readily downloaded and modified to suit our needs.
  • The user interface is intuitive and facilitates easy customization.
  • Reporting is also easily customized and helps much with app and user management.
  • Document files managed via the document management app are downloaded when selected rather than opened. I would rather see them opened with an option to download.
QuickBase is well-suited for quickly-needed applications where you don't have a lot of time for database development. It can pretty quickly get an application available to a large group of users. Integration with other systems/applications (such as QuickBooks) may be problematic and I'm not sure how well it would work for a large-scale enterprise application.

  • Quickbase is ideal for sharing and editing data by a group.
  • Reports are easy to create.
  • Being web based makes it computer agnostic.

Our entire organization uses QuickBase. Each department uses it for different needs. We use it as a repository for documents, as a change control application, as a place to document customer calls and complaints, and as a time tracking application. We use these applications to report out CMS data and well as receive notifications of due dates.
  • Very user-friendly. For building and end user use.
  • Tech assistance is invaluable. Response time is quick.
  • Reports are easily created and manipulated.
  • Formulas can be difficult to create.
  • Ability to retrieve deleted data is cumbersome.
We created an application to track time spent on daily tasks. Very easy to create and reports were easy as well. We have some applications that are very complicated to edit or manipulate, based on the creator who no longer is with us. It is very difficult to understand what she did, so its hard to know what can be changed without affecting the entire application.

  • Better report creation. Need to allow the creation of printable reports and the ability to share reports outside the user list.
  • Better form creation, especially for data entry. I used to use MS Access to create applications and had the ability to create user friendly forms with layouts giving the user understandable instructions and tips plus moving the cursor to the appropriate field.
  • Would like to see a no code process to create pop up views and pop up data entry windows so you do not leave the main form to get data into a child record.
Well suited for a need to have a database used by a limited number of people that does not need to interact with outside systems or need to run on demand queries.

Not suited for the need to produce extensive reports or run complicated queries.

QuickBase is used for workflow and tracking in a couple areas within the global development organization (part of customer service organization):

1-Between Navistar and our print partner for publications print setup

2-Vetween Navistar and our translation vendors for workflow and tracking of open projects

3-Within Navistar between departments; publications authors and publications QA and posting

  • Linear workflow is relatively easy to set up and easy to see where items are hung up
  • Ability to set up a clean dashboard to track WIP
  • Because it's web-based it allows us to transact with our vendors outside our firewall (we could not do this with SharePoint )
  • We'd like to be able to do more development ourselves instead of hiring an outside contractor - this means easier creation/more user-friendly to personnel without programming/IT background
  • Form creation is relatively easy, but collecting the data in a robust database that was easy to query would be really great

Quickbase is great at letting a user put process discipline into action. Creating an app with workflows and tasks ensures that each user is aware of their responsibilities at each stage of the game. The administration of the account is easy and our users have been very appreciative for the reminders - both e-mail alerts and tasks.

On the flip side, left in the hands of a real micromanager, it can go horribly wrong and create extra work for the users within a workflow.

I use QuickBase for a variety of data processing applications, mainly for managing projects. QuickBase helps to collaborate with multiple distributed teams working towards a common goal.
  • QuickBase acts as a single source of data for all stakeholders
  • Access control based on different roles makes it an excellent collaboration tool
  • Business rules can be embedded within QuickBase to manage workflow
  • Integration of JAVA Scripts helps to automate data creation, update, and data aggregation
  • QuickBase enables 'self service' for stake holders who needs visibility into live database for decision making
  • Ability to use formulas in exact forms
  • Have the ability to show email distribution list in notifications/subscriptions
  • Have the ability to define one-to-one relationship between tables in order to have the ability to transfer text fields from child table to the master table
QuickBase is well suited for sharing a live database among team members, stakeholders, organizations, etc. We never have to worry about version control as everyone is working on the live database. QuickBase is well suited for hosting any database on clouds that requires customized view/edit access by various team members. You don't need an IT expert to create a database, customize, or maintain it. Handling file attachments is not that easy in QuickBase. A drag and drop feature from a windows folder to QuickBase forms is highly desirable.

Quickbase is used as our main tool for all our clients' projects and internally for our own processes. Quickbase manages all our project schedules, key-date notifications and also serves as a repository for project documents, photos, etc. The different Quickbase applications we have created and shared with our clients has enabled our organization to collaborate more efficiently and streamline our processes. Our clients are able to log-in and obtain project updates or be notified of upcoming project activities. This automates many of our deliverables and keeps the client happy.
  • Quickbase is a collaraboration tool. It allows multiple users to access the application.
  • Quickbase is scalable. It can be used for simple repository of documents to large scale project management tool.
  • Quickbase has a great support database and a large community of users who are ready to assist.
  • Quickbase is adaptable. The various uses can tailor any project and our clients have even signed up to using Quickbase in their own companies.
  • Drag and Drop options for photos or attachments. We create multiple attachment fields but very tedious for users to add one attachment at a time.
  • Quickbase app for both Android and Iphone users. I have the Quickbase saved in my browser's favorites but a nice quick action to use a phone app displaying all Quickbase applications.
Quickbase is well suited for managing projects. The application can be designed to retain a data repository, create reports, manage users' access, automate reporting, create reminders, upload files, create charts, and many more uses that can assist with a project.

Our company also uses Quickbase to allow vendors to upload invoices and we have set up a notification system to alert the invoice approver that an invoice has been uploaded and requires review and approval. We have set up over 100+ outside vendors to use the tool and our management is able to ensure that approvers are validating, approving and clearing outstanding invoices in a timely fashion. The benefit for the organization is keeping track of our accounts payables and keeps our vendors happy.

It is used mostly to keep track of projects that are going on in the company. That way people have a quick way of seeing what is going on, what stage the project is in, etc. It is also being used as a database for product information. We can get quick details about a product with little effort.
  • The search function is very quick. That is important to us so we can find information without having to wait.
  • Creating filters, once trained, is very helpful for pulling reports.
  • Being able to share with other team members at different security levels is helpful.
  • It has somewhat of a steep learning curve.
  • Occasionally I have to look 3 or 4 different places to remember where a specific function is. I eventually find it, but it would be nice to be more simplified.
  • A better example section or help section would help people to find functions they are looking for more quickly.
  • I'm still a bit confused on the terminology that Quickbase uses, but when I update some of the projects we have in Quickbase, it can be done easily, but I feel like there could be a reduction in steps that would help updating become more efficient. It's all about being able to update quickly and easily.
It works very well as a database, such as in my case (finding information on specific products). I haven't used it for sales statistics, maintenance or much more besides the database and project management, but it seems that it wouldn't be as suited for applications such as these. I believe use in a purchasing/inventory department would be beneficial.

We use it across multiple sites because it's online and accessible for everyone. We can disseminate information to everyone simultaneously and perform some tasks in parallel. We mostly use it as a tracking tool for the status of our projects to see if we're ready to move into production.
  • Allow users from multiple locations to access the site.
  • Track task completion.
  • Create useful reports and quickly check off tasks in the report instead of having to go into each and every project.
  • Sometimes I cannot "end up" in a cell - I have to click on it - which results in time wasted.
  • It's difficult to enter mass amounts of data via upload - at least for our product.
  • Great for tracking and use among multiple sites so everyone can work on the same project together and see the status in a snapshot.
  • Quickly signing off on tasks efficiently without having to go into each and every project.
  • Ability to export reports to Excel for manipulation.

QuickBase is being used by the operations department to coordinate, track and report on deployments. It provides the necessary tool to be able to track all installs/events and locations in one place. QuickBase also provides the means to deliver reporting on a schedule or as needed basis. The reporting is extremely flexible and allows the user to choose and drill down as much or as little as required to provide the necessary overviews. The graphs are very useful.
  • Ability to track multiple events for given locations
  • Ability to provide scheduled automatic reporting
  • Ability to provide graphical reporting to visually depict results
  • Ability to drill down into reports and separate various data
  • For my purposes, I do not see any room for improvement.
QuickBase is extremely well suited for deployment style situations. The ability to have locations listed and then have events' tables linked to the locations and then having a deficiency table linked to the events makes tracking and reporting a breeze.

Our Learning and Development department uses Quickbase, specifically an application called Train-Pro Central, to track and manage training projects. This product allows us to track time spend on each project, report out on project statuses, and capture metrics. We also use this product the track and manage our Education Assistance program.
  • Dependability. The system has been "down" a handful of times in 9 years.
  • Very customizable - we have been able to make the system do anything we need it to do.
  • Support - support has been awesome and we have received the advice or assistance we need quickly and accurately.
  • The price has risen quite a bit since we first started using Quickbase, but the account mangers have been more than fair as they work with us to keep an affordable rate.
We use the Train-Pro-Central application so I am only able to speak to that piece. This product works fantastic for us to track our projects. There is nothing we need that it does not provide.

We use Quickbase to capture and report on our sales pipeline/sales opportunities across multiple businesses in Europe. Quickbase is a good platform as it is simple and intuitive to use, and easy to customise. Users are predominantly from my sales and business development teams. In addition, we capture leads from marketing activities and initiatives. We use Oracle as our ERP - Quickbase takes care of the 'lead to opportunity' piece.
  • QuickBase is easy to customise to your own particular application or requirement.
  • QuickBase permits easy exporting of data into external applications for more detailed analysis - alternate presentation.
  • The 'grid edit' facility in QuickBase enables multiple records to be viewed in a simple format.
  • The QuickBase report builder is simple and easy to use and permits data to be interpreted/converted into meaningful business information.
  • More recently I received more comments regarding QuickBase not running so well on mobile devices/phones /tablets etc....
  • It would be good if it were easier to delete aged/unwanted data. ( This could be a limitation of my ability!).
  • It would be good if it were easier to create 'richer' dashboards from which to navigate.
QuickBase works well for standalone situations - in our case sales opportunity capture and management.

We are currently using Quickbase as a lightweight student information system for one business division, a student attendance tracker for another, and a contract management tool for another. It is typically used by a single business division, but multiple departments use and access it (i.e. corporate finance, IT, etc.). It basically gives us a tool for field operators to enter data centrally that can be later used for billing, reporting, etc.
  • Easy to create and deploy applications.
  • Grid edits and imports make bulk inserts very simple and painless.
  • API is available for automation and integration with other systems.
  • Cost is a major prohibitor of expanding beyond our current number of users.
  • Creating complex joins between tables can be very tricky.
  • User management is siloed, making it hard to manage users across applications.
Quickbase is very well suited to replace typical single spreadsheet data collection processes. It allows users to work collaboratively to enter and share data via the web. It is relatively simple for non-technical users to use. Quickbase is not very well suited to create complex web applications. These would be better built using a typical web framework.

We use it to generate quote numbers and input quotes for services into the DB and then move the data onward once the quote has been accepted/approved. [It] Allows for forecasting of sales quotes and project updates.
  • Generating quote numbers.
  • Interfacing with QuickBooks and generating graphs.
  • Ease of creating a new database.
  • Pricing model is limiting for us as a small business not being able to afford to use it for a larger number of users.
Well suited for managerial tracking of projects and input of data by users.
