Quickbase is being used as an on-boarding application for providers we use across our business units. It allows us to have a lot of functionality to update all employees across the organization. At the same time it allows you to create views where specific employees can work on only the information they need daily to complete their tasks.
  • Allows you to map out your process and create an application to fit your flow.
  • Allows for notifications and alerts so different employees can be notified when something impacts their area of work.
  • When new ideas to work better or more efficiently come to light, it is very easy to adapt the application to the new process.
  • The reports are sub-par when you want to print.
  • The reports you want to email are fairly rigid so they are not very presentable.
  • The calendars are not as flexible as other parts of the applications.
If you are using an excel spreadsheet or several to track things in a business flow, there are applications that can be used to take this to the next level. You will be able to reduce meetings since everyone can access the same material. You also become more efficient with communicating changes in the system.

QuickBase is used in our division. I use it for daily calendars, tracking metrics, analyzing problems, incident management, project management, monitoring systems and reporting. It allows us to quickly customize databases and track various work processes and procedures. It serves as a one-stop place for storing documents and allowing team members to access everything.

It is primarily used as a CRM tool for hosting lists of target physicians/pharmacies and calls on them. Other teams use our own software for similar things, but Quickbase handles the backend/database side of it.

Quickbase is implemented via the IT department but is utilized by almost every other department in the city.
  • The ability of quickly and easily refine forms is great and allows us the flexibility that we need.

QuickBase is being used as the primary operational system for 2 business units in our organization both of which span multiple locations. We developed custom apps to track and report all aspects of those businesses. The ease of building out the systems and the custom security models were a huge time saver. Within a week we had a system to store data associated with our client interactions and report out to managers and State agencies saved us tens of thousands of dollars in development costs. The ability to tweak it in real time makes enhancements a snap. We have been using QuickBase for over a decade and there is nothing that compares to the ease of use and power of the platform.
  • Rapid development from scratch or starting with multiple pre-built systems.
  • Ease of use for staff, there is very little training needed for staff to use what you build.
  • Simple yet very robust reporting capabilities and staff can customize their own.
  • Reporting with complex charts is not a strong suit and while linking to embedded HTML is supported it is difficult to get to work.
  • Building complex/visual formatting of forms is challenging with the designer layout.
  • Formula fields are close to Excel which can be confusing as the syntax is different and long formulas are hard to determine where the error is occurring.

We are using QuickBase as a project management tool. It enables communication across several departments. When fully implemented it will allow management to see the status of all projects and where they are in their lifecycle quickly and easily. The organization is excited to have this new tool available to us. I am excited to learn the capabilities of this tool as a new user with no coding or programing background.
  • For getting the job done, it is very adept at notifications to a person or department. This allows everything to be electronic which is much faster than forwarding word documents as such.
  • It is fairly easy to create an app without any programing background.
  • The HELP and Community Questions and Answers are very helpful. When you ask a question, help is provided very quickly, you don't have to wait days.
  • Predecessors automatically assigning themselves based on rules within the predecessor field. I'm not a fan of having to select a predecessor for each of my tasks when the tasks are always the same.
I only know that it is well suited for project management since it's the only app I've worked with.

We are using Quickbase to track our various programs, participants, projects, and key documentation. The university as a whole has access to the product. Within our center, each program manager has their own databases set up to track the data they need. We're working towards using a center-wide database to understand how participants move through our various programs.
  • Ability for non-experts to learn the system and create effective database and project management systems.
  • Automatic visualization of key data points.
  • Ability to bring together quantitative and qualitative reporting.
  • Figuring out how to import linked data (e.g. profiles for participants and the programs they participate in; a "many-to-many" relationship) - this feature is more complicated for non-experts to learn.
  • Getting the right output format for reports can be challenging.
  • There are so many functions available (good!) but it does take time to find the right resources when you're trying to learn how to do something. It would be great if a complete guide to QuickBase were more readily available.
It's been a great tool for us to streamline the management of our programs, share information across the center, and have multiple users updating information. It's helped significantly cut down on the antiquated approach of sending versions of spreadsheets back and forth. I think there's a lot that QuickBase can do that we're still learning about. Although I know it can automate emails to be triggered upon particular tasks completed, we have not yet had time to work on this function.

I use QuickBase as a data base of products to estimate the cost and price for our customers. Data from QuickBase is put into our quotations to provide insight for manager approval before a quotation is sent to our customers. Currently only our industry-specific division of sales is using QuickBase. This allows us to make informed decisions about the actual cost to produce materials versus what our customers have paid in the past.
  • Customization is excellent. You can make form fields be exactly what you need them to be.
  • Reports are easy to create and sort.
  • Dashboards are drag-and-drop which makes it easy for certain users to see exactly what they want to see.
  • Visually, the forms and reports look kind of clunky and not so modern. There are a lot of erroneous filtering abilities that would be nice to turn off in certain reports and views.
QuickBase is very relevant where a lot of data is being entered into spreadsheets. QuickBase allows so much filtering and customization for how data is viewed, it would be perfect for someone who wants to see certain views of spreadsheets. If you are allowing customers or sending forms directly from QuickBase, you may be disappointed with the user experience.

We use the quickbase platform throughout our division for a wide range of purposes. Our entire sales and fulfillment workflow is managed and guided with quickbase applications. The ability for us to create custom CRM applications, process management, purchasing and other apps and tie them all together has dramatically changed how we approach process development and continuous improvement. In short, every application we use is 100% custom tailored to our specific needs - which is something you can't get off the shelf.

If you have custom workflows you're trying to manage, unique requirements for storing customer information, or looking for a way to allow your employees to quickly input information collaboratively, chances are you can have a QuickBase solution in days.

We use QuickBase as our sales funnel management software. It is being used by sales, marketing and manufacturing. From the database we can track sales activities by account, market and customer - providing us with a view on what our quarterly bookings are relative to the quotas set, as well as what configurations we will need to build in manufacturing. It is also our tool to track our progress on strategic growth initiatives relative to products, markets and applications. This is a global tool so, we also segment information by regions of the world.

When we bring on new sales people, it's the basis for understanding historical activities within existing accounts.

  • used as a quarterly forecasting tool, segmented by probability of closing in current quarter and where each identified opportunity is in the sales process
  • provides manufacturing with visibility on the different products and configurations that they will need to build for each quarter
  • Getting information into the database while on the road is not as convenient as sales people would like - perhaps providing better linkage to what can be done on a tablet or the iPhone.

We are a small business (i.e.P&L) within a large business. We sell a product and deliver professional services associated with it. About 6 years ago we searched for a system that would help us manage time and cost associated with implementations. We found and easily implemented QuickBase, and then extended it to manage other aspects of the business. We now manage customers and contracts, reconcile billings and P&L on monthly basis, store key documents and manage time. We also set up calendars to schedule our time and appointments at industry events. All members of my direct team and my finance partner have access to the system. We consider it fundamental to managing our business.
  • Manage Customer Contracts - We store contracts and amendments and note key data, e.g. expiration dates. This helps us stay ahead of renewals and closely manage any attrition issues. We also track billing on monthly basis and reconcile with corporate systems.
  • Manage Time and Projects - We have implementations that can last from days to months. We log time and progress against objectives, and are able to report as needed on COGs.
  • Sales Pipeline - We manage our prospect pipeline and also have ready access to any materials needed in the Sales process.
  • Event Management - Our sales efforts are often event driven. We manage event calendars and appointments across multiple participants.
  • Interestingly enough, we have found the flexibility of QuickBase to be so good that we have been able to implement new use cases as we go. We have a couple people on staff that are familiar with the admin functions (which are simple and straightforward) and have been able to create new applications as needed. I'm sure there are areas that can be improved, but we have been successful enough with QuickBase that I haven't focused on any problems.
QuickBase is particularly well suited to businesses with a lot of moving parts, and participants (i.e. users) that are geographically disbursed.

I like Quickbase because it provides a very flexible toolbox for designing the forms that users use to input and manage data. It also allows us to send out reports on that data on a specified interval, which my higher management team really likes. Users can quickly and easily learn how to use their views which facilitates buy-in during the adoption and training phase.
  • Cloud-based, which allows remote workers to enjoy using the same product that they use when in the office.
  • Consistency - the base platform hasn't changed in significant ways that cause user confusion.
  • Ability to export data for alternative analyses.
  • Cost. We have trimmed our license count down substantially, lower than we would like, in order to reduce costs.
  • Slight learning curve on getting used to the report configuration page.
More suited for manual data entry, not so much for integration with automated products/processes.

It's being used across the organization. Different groups or teams may use it differently but generally all folks are using it to either manage projects or manage tasks -- or both. In fact, nearly all project information, down to the smallest detail, can be found in QuickBase. This allows us to pull crucial reports about projects we've run over the last quarter, year, multiple years.
  • QuickBase empowers the app builders. I get to make key decisions about how the users interact with and use QuickBase.
  • You don't have to be in IT to be able to build an app. Anyone can build an app, it breaks down walls and doesn't rely on an approval process necessarily.
  • It's an excellent database that includes minimal coding (if you want it).
  • Coding is limited - sometimes I'd like to do more.
  • The GUI is great, but occasionally I do wish it were more malleable so I could make it more my own.
  • In addition, the GUI is in need of an overhaul - QuickBase has looked exactly the same for years.
QuickBase is probably well-suited for slightly smaller companies. I don't know if I can imagine an extremely large company being able to implement it. I find it useful as a replacement for the many, many Excel sheets all companies seem to have that contain crucial information but aren't bring stored properly.

We track products returned for failure analysis. Returned components are tracked from receipt to final reporting to the customer. Because many different support personnel are involved, our Quickbase application is important in making sure there is an orderly flow from start to finish and that nothing falls "between the cracks". All involved individuals have visibility to the progress of the component through the process and received automated email reminders when a specific action is required. Previously, this was "managed" in typical fashion with Excel spreadsheets and emails which, as we've seen time and again, is a recipe for failure.
  • Easily accessible global visibility to support case records in the table. Visibility access can easily be controlled: for example privileges can be set up so that users in one location can only view records for their location while other users have visibility to records across the organization.
  • Very easy to customize to meet an organization's needs. Can be further customized so that different users in the same company see a GUI that is customized for their particular area.
  • Very powerful ability to send automated email notifications to users based on programmed rules (e.g. on record creation/change, based on a user's user group etc.)
  • Very easy to create customized reports. I've found this very useful to improve compliance; users that can quickly create visibility to exactly what they need to see quickly become avid users and are able to effectively leverage Quickbase for the workflows.
  • Tabular reporting has limited cosmetic formatting options. This is mostly due to the fact that Quickbase is designed to run on virtually any type of display screen.
  • Most graphical plots, while technically sufficient, lack the "pizzaz" required for a customer-ready presentation.
  • Quickbase would benefit from a more friendly form-rules manager. On forms for which I have ~30 rules, it can become laborious to review or debug the rules.
Well suited for:
  • Global operations (effective communications and information sharing across time zones).
  • Auto-formatted reporting that takes information from Quickbase fields and loads it into a pre-formatted report template.
  • Tracking actions and owners, with automated email notifications and tabular reporting to spotlight stagnation in a workflow.
  • Letting users create reports that let them tightly focus on only the information that is relevant to their job.

Our company is using QuickBase as a tool to track projects and tasks and as a database. Currently, this program is being used by only our analytics department. As an entertainment company, we are in charge of creating, developing and launching apps on mobile devices, OTT devices, and websites. The apps allow users to watch videos on demand and on live tv. Our department is creating analytics requirements and QA's the apps. For a stable workflow, we needed to have a tool which could track all our projects and tasks related to them. Also, we are putting all versions of analytic requirements to QuickBase so that we can track back all changes we made in the past.
  • QuickBase keeps track of all changes we make.
  • QuickBase allows multiple users to access the tool and be aware of all updates.
  • QuickBase is very agile and allows us to modify different features on the fly.
  • Sometimes users want to go to Quickbase and make updates, but it requires to click on the button 'edit' and after that - save.
  • Google Documents is the best example of a sheet which can be easily modified by multiple users.
  • It's impossible for now to see what changes were made to the document or project by different users.
QuickBase is perfectly suited for accountants and financiers. They do no ask to modify forms very often and they don't need agile boards for their work. The tool might be less useful for such departments as project management departments. IT teams can find it useful as well, but JIRA already has better functionality to track bugs or user tasks.

I use QuickBase in my department to keep track of contact information for the many states and school districts that we service. It's very helpful to be able to use the tools that allow you to create spreadsheets and other documents. It's also helpful to be able to make changes to an entire group rather than having to go in and change each entry individually.
  • Being able to pull spreadsheets and reports from the files in QuickBase is very helpful.
  • Being able to edit in groups is very helpful.
  • It could be more intuitive - I find it difficult to create things from scratch.
  • QuickBase could be more user-friendly, it can be frustrating when you're trying to complete a task and have to use Google to figure out how to do it because you can't figure it out on the QuickBase site.
QuickBase is well-suited for creating and keeping lists of people, addresses, email addresses, entities, etc.

We use QuickBase all across our company. Work Orders, I.T. Work Orders, Employee on-boarding, files, vacation tracking, office duties, office scheduling, apartment files and rent payments, many areas.

We use quickbase to perform request management. Requests come in from areas of the organization that are transactional in nature. We also use it as project tracking.
  • The ability to have a workflow, notifications and assignment of tasks.
  • Cloud-based, easy to manage and modify as needed.
  • Options to create lots of different apps to meet changing business needs.
  • Expensive for a cloud-based solution - yhe pricing model is high end, in comparison to similar solutions which are 1/2 the cost.
  • The account management leaves a lot of support to be desired. Lack of any support or account management for such a large organization. Calls come at contract renewal time, no ongoing support.
  • There's been a fair amount of unexplained downtime.
QuickBase is well suited for a someone who is looking for workflow management, wants to assign tasks to individuals and see the status of tasks or projects. Overall it is a good tracking system.

We use QuickBase to automate a number of business processes. We started using it in the internal audit department, but it has expanded to now include purchasing, treasury, HR, legal, and corporate accounting. QuickBase is a huge time saver for us for processes that were previously manually tracked in Excel. We have also used it to save costs as a replacement for similar applications that could be used for mass distributions of policies/etc., as well as electronic preparation of balance sheet account reconciliations.
  • Workflow - We are easily able to generate communications back and forth based on certain actions that take place.
  • Reporting - Certain applications that we use contain a lot of data, and QuickBase makes it very easy to report on that data in a clear format.
  • Ease of use - QuickBase is fairly intuitive and does not take very long to pick up. The more and more applications we have, the easier it becomes because it is the same user interface for everything. They also make it easy to build applications with little to no programming background.
  • Formatting - QuickBase has some formatting options available, but I'd like to see some more options in terms of fonts, sizes, bold/italics.
  • User Management - QuickBase has a user management application available that is helpful, but it could be more robust in terms of identifying who added a user, when they were added, etc. These might be options, but don't come with the standard application.
QuickBase is very well suited for anything that you are tracking in Excel. It is usually very easy to even start a QuickBase application based on an existing Excel spreadsheet. It also does a great job for workflow. Instead of e-mailing a file back and forth, it can be kept real time in the QuickBase database and e-mail notifications can be automatically generated.

We use Quickbase to track a site ES&H footprints in our facility profile, site legal requirements, a task manager, an audit capture tool, an event planner, a risk assessment tool along with several other applications.

  • With all the advancement of communication it would beneficial for the system to be able to provide a simpler text messaging capability.
  • System design for development, i.e. look and feel seems to be limiting.
Quickbase is completely customizable. We have been able to use this platform to develop in the area of 14 different applications to help us manage our integrated ES&H Management System.

  • Easy to build tables and relationships
  • Implementation does not require significant technical training (e.g SQL familiarity)
  • Easy to deploy to multiple users
  • Table management (e.g adding or deleting columns could be easier)
  • Presentation allowing cell value level coloring, as opposed to row-only highlighting
  • More robust user role definition to allow specific field updates.
Simple user entered/updated data applications are easy to implement, such as form entry and status management. I have not spent significant effort building applications using automated data input but that seems like an area that SQL-based tools have an advantage.
